3. For parents to use if the club leader or County staff entered the family without

resetting their password. The system will send them to a subroutine to reset

their password and log into the system.

4. This e-mail address must match the Family E-mail Address entered into

4honline.

LOGGING INTO YOUR FAMILY ACCOUNT

1. Click the big Orange button to go to the Family information. The first time a family logs in

they will go directly to the family information and can click Home at the top right of the

page to get back to this screen.

2. Club Leaders can click on their name in a drop down menu to start to log into the club pag-

es.

3. A drop down menu will list all of the clubs this person has read only or member manage-

ment access. Select one.

4. Enter the club password for the club trying to access. Each club has one unique password

for all leaders to use. Leaders will be allowed in only with their access rights.

5. You must click on the “Login to Club” button. Just hitting the Enter key does not log you

in on this screen.

1. Click on the Family button to go back to the Family Home Page

2. The Search page allows leaders to accomplish the most tasks. This is the page shown above.

3. The Confirm Members page is the default login page and shows any leaders and youth who need to be confirmed or accepted by

the club prior to confirmation at the County Level.

4. The Members page shows all confirmed members of the club and allows leaders to see basic information on each person. Pending

members can be found on the Search page.

5. The Reports page is used for creating files that can be saved or printed in PDF or Excel formats.

6. Quick Exports allows a leader to download selected data into an Excel file to be printed or saved (See 8).

7. Quick Reports allows a leader to print or save a PDF list of selected data (See 8).

8. By putting check mars, keywords, and dates into the specific boxes in the Members/Volunteers area (the area including the Search

button) and/or in front of names in the list below, a leader can select who is included in a list or find a specific group or person.

9. By clicking on the Email List button a leader will receive a list of email address to cut and paste into their outgoing e-mail. Who-

ever in the box below after a search will show up in the list.

10. By clicking on the Add Family a leader is starting the process of adding a new family or member. Follow the instructions on the

following pages to add new families or members. See 11 to add a member to an existing family.

11. The Login button after a persons name allows a person with Member Management access to update information for specific mem-

bers and families. A leader can gain access to the Family information by clicking on My Member List on the next page (Personal

Information). This is where a leader would change address, or other information for an entire family as well as add another mem-

ber of that family.

Between the Search page and this page is a small pop-up the requires Family Name, Family E-mail, and Family phone number. This

is the only page that you must put dashes in the phone number. If you don’t put in the dashes, you have to retype it on this page.

1. Click on “Club” to go back to the search page. Never use the back arrow on your browser, you may loose date.

2. If you are changing or updating a record check this box to make correction or updates to all family members.

3. Club Leaders can change family passwords if the family is having trouble logging in. Make sure to write down the new pass-

word and pass it to the family.

4. “Continue “ button also acts as a save.

1. Click “Edit Family” to change or update family information. Be sure to check the box marked “Update member records

with the same address” box to update all family members.

2. Click on the drop down menu to add either an adult or youth family member.

3. Click “Add Member” button to add an adult or youth member.

4. Family members will be listed here as they are added.

The following pages show the add a Youth Member Page. The

add an Adult Member Page is the same with less information col-

lected.

Adult/Youth Personal Information

The pages are very similar with the Youth having more spaces to fill out. Please refer to the

two Required Information pages prior to sitting down to enroll members. Please fill out as

much information as possible.

1. Once the Date of Birth is submitted it can only be changed at the County office

2. The cell phone provider must be provided and the small box must be checked in order to

receive text messages

3. Once the Years in 4-H is submitted it can only be changed at the County office

4. Please include the emergency contact from the health form.

5. A volunteer can be a youth club officer or youth project leader or an adult

6. Please refer to the population chart to make sure you put families in the right area. Just be-

cause a address has what looks like a town or city name does not make it a legal town or

city. For example Silverdale is listed on an address but it is not a town or city, it is a urban

growth area.

7. If you select Other—Private as the School District they should then be listed by School

Name.

8. Click on School Type to enter a Home School.

9. Once the Grade is submitted it can only be changed at the County office.

10. Click “Continue” button to save and move to the next page.

Currently the Liabilty Release, Photo Release, Health Information, and Code of Conduct forms are on this

page. Make sure the forms are completely filled out. Have the parents complete each form either for the

first time online or update old records. In 2015 every parent should fill out all the youth pages and their

own if they are leaders. They should then update them during each reenrollment season. Project Leaders

and Club Leaders will be able to download and print the needed form for each activity if they have been

given access.

Guardian place their official Signature by typing their full name as requested. Because the parent has

logged onto a private system with a password the signature becomes legal.

1. Select a club from the drop down menu.

2. If they are an officer or a leader, select their position from the drop down menu.

3. Click this button to enroll them into the selected club. If they are members of more then one club go back to set 1 and

repeat until all clubs are listed below.

4. Their Primary Club will be the one with the dot in the middle of the circle. To change the primary club, just click on the

circle of their Primary Club.

5. Once you have added a club, you can go back and add a position by clicking the “Edit” button. This should be done after

each club election of officers. If the youth member is a new officer you will need to go back to the personal information

page and change their volunteer status about half way down the page.

6. Click Continue to save this information and move to the next screen. You will get an error message if you forgot to click

the “Add Club” button after you selected their club(s).

1. Select a club from the drop down menu. Only clubs selected on the previous page will be listed.

2. Select a project from the drop down menu. Projects can be added and subtracted by the County office.

3. Type in the number of years the person has been in this project. If they are new type 1.

4. If they are a youth or adult leader, select the position from the drop down menu.

5. Click “Add Project” button to enroll this person in this project. Go back to set 1 to add additional projects.

6. Once a project is added you may go back and edit the volunteer position.

7. Click Continue to go to the Activities Tab

8. Click the Submit Enrollment if you will not be adding information in the Activities, Awards, or Group tabs. (This

is the most common for new members and leaders.

1. Select a Group that the person is eligible to be a member of and select from the dropdown menu.

2. Click the “Add Group” button to add this person to a group.

3. Click “Submit” button to send it to the Club Leader to accept.

1. Confirm Members is the default page after logging into the club. This page will show a leader if

there are any youth and adults needing to be confirmed and sent to the county for enrollment.

2. Click the “Edit” Button to go in and confirm a member.

1. Check information to make sure it is correct. If you need to change information in a field, Click

on the “Search” button and log into this person’s records and change the information. After you

change the information follow the instructions on the previous page to get back to this location.

2. Make sure the person is listed in the correct club(s).

3. Make sure the person is listed in the correct project(s)

4. Click “Confirm” button only after all of the information is correct. Clicking the “Confirm”

button sends a message to the county that this person is ready to be enrolled.
