Your Wedding Day…

Having chosen our venue for your wedding ceremony, your guests begin to gather in our bar or lounges, relaxed in the knowledge that yours is the only wedding taking place. You are our absolute priority.

Your guests will be guided to your chosen wedding setting, either the 16th century jacob building or the Extravagant marquee, where the groom is waiting nervously for his bride to arrive. A few final moments to take in the beautiful sur roundings, finished per fectly by your own personal touches and adornments, before the ceremony begins as the br ide makes her grand entrance.

Af ter tak ing your vows over looking our picturesque gardens or having just ar r ived at our hotel for your wedding reception celebrations, your guests will enjoy dr inks and canapés whilst your photographer takes advantage of the stunning backdrops for individual and group photographs, both inside and outside the hotel.

Once your per fect pictures have been captured, it is time for you and your guests to enjoy a sumptuous wedding breakfast. For a close and intimate gather ing, the 16th century jacob building is perfect for up to 70 guests. Or for a decadent celebration or a space in our Garden for a marquee that can cater for up to 200 guests.

After enjoying coffee and cake with champagne flowing, your speeches will mark the close of your daytime reception, ready for the evening celebrations to begin.

Your next step….Please ar range an appointment with our Events Manager who will discuss all of your requirements and provide a tour of our hotel and grounds. If you would then like to make a provisional reservation, we can hold your desired date for up to 14 days following which, we would require a deposit to confirm your booking. BOOKING INFORMATION

PAYMENT A deposit of £500 will be payable to secure the reservation. The balance will be due in stage payments as follows: 90 days pr ior to function date: 50% of balance 14 days pr ior to function date: remaining balance.

FINAL ARRANGEMENTS Your quote will be based on the numbers given with your initial reservation. We will meet with you 21 days pr ior to your function date to clar ify your requirements in detail, check menus and confirm the final number of guests. The cut off time for final numbers is on the balance due date (14 days pr ior to the function date), the number of guests agreed at this time, but not lower than the minimum number of guests agreed at booking, will be invoiced to you. We regret that we are unable to refund deposits or balances paid and always suggest that appropr iate event insurance be purchased. All bookings are accepted subject to our Function Hire Terms and Conditions detailed below.

FUNCTION HIRE TERMS AND CONDITIONS Clar ice House (Colchester ) Ltd consists of a restaurant, top lounge, lounge and patio which are available for pr ivate hire. We are able to provide cater ing as detailed in our function brochure. Hir ing is subject to the following Terms and Conditions. Function Booking

1. Hir ing is conditional upon the type of event and is subject to sensible dr inking and any relevant licensing issues. Management reserve the r ight to refuse a booking for professional, health and safety, licensing or other business reasons. Paying a deposit constitutes agreeing to these terms and conditions, a copy of which are available from us on request and can be viewed online at www.clar icehouse.co.uk . These Terms and Conditions may be adjusted on an individual basis as agreed to in wr it ing by the management of Clar ice House (Colchester ) Ltd. 2. Hire Charge: The applicable hire charge is payable for the exclusive use of the areas as agreed. The hire charge may not be used towards damages or other unforeseen costs that might occur dur ing or as a result of the event. 3. Minimum Spend: In order for us to close areas of our venue for exclusive use we need to recover the usual income we would make over the restaurant/bar ; we do this by requesting a Minimum Spend from your function. Your minimum spending will need to match these revenue targets: Sunday to Thursday £2000, Fr iday £2500 Saturday £3000. All your function expenses through Clar ice House on food and dr ink will count towards the minimum spend, the Hire Charge does not count towards this. If you do not reach the Minimum Spend by the time your function ends, we reserve the r ight to add the deficit to your final bill. We are able to update you on your spend at any time dur ing your function. Please bear in mind we promote responsible dr inking and encourage customers to dr ink sensibly. 4. Booking Form: A booking form must be completed and signed and the applicable deposit paid to secure your booking. Clar ice House (Colchester ) Ltd cannot guarantee your booking until the deposit, terms and conditions and booking form have been accepted. 5. The total cost is payable 14 days pr ior to your function (unless otherwise ar ranged and confirmed in wr it ing by Clar ice House (Colchester ) Ltd). You will be issued with a confirmation detailing individual charges. In case of not receiving the stage payment of balance payment, your booking may be cancelled and the deposit will be nonrefundable. Cater ing 1. The menu selection for your function needs to be pre- ordered, and the table plan and the information for name cards should be provided a minimum of 14 days pr ior to your function. 2. Corkage: It is highly restr icted to br ing any wines, spir its, food or beverage into the premises by or on behalf of any customers. This is for legal, health, licensing and trading standards reasons, we

recommend you inform your guests of this. In case we find a customer car rying dr inks or food from outside, that customer will be asked to leave and a £100 charge will be added to your bill. Enter tainment 1. Clar ice House (Colchester) Ltd do not recommend or book entertainment providers. If you would like to source your own provider , this must be approved by us in advance. We will require the contact details for the provider and we will need to discuss with them our licensing requirements, terms of sound and volume levels etc. It will be your /the entertainment provider ’s responsibility to ensure any PRS, PPL, electr ical tests and necessary insurance etc is fulfilled. They will need to adhere to any management requests at the event in terms of sound levels, music suitability etc Secur ity 1. Subject to the nature of your function, additional secur ity measures may be need to be implemented. This is typical for events where food is ancillary to the function or event and/or when young people are likely to be present. These costs must be met by you and will form par t of your total cost. Any persons car rying out a secur ity activity will be licensed by the Secur ity Industry Author ity. 2. Age Ver ification Policy: Challenge 25: We reserve the r ight not to serve alcohol to any customer who appears to be under the age of 25 and fails to present valid identification to prove they are over 18. 3. Guest List: A guest list procedure may need to be implemented to control entry to your function or event. Clar ice House (Colchester ) Ltd will do their best to ensure your par ty is kept pr ivate and closed off to the public but will not be held responsible for gatecrashers/ intruders. In exceptional circumstances needs of business may necessitate use of your area by others. 4. Search Policy: Clar ice House (Colchester ) Ltd reserve the r ight to ask for supervised voluntary searches of customers upon entry or at any time dur ing the function or event. Anyone not wanting to adhere to this may be disallowed entry or asked to leave. 5. Drugs Policy: We operate a Zero Tolerance drugs policy. Anyone found in possession of illegal substances will be repor ted to the police and asked to leave the premises. We reserve the r ight to call shor t a function if we suspect any kind of drugs activity. 6. Car Park: Cars parked on our premises are at the customer 's own r isk. Clar ice House (Colchester ) Ltd do not accept any responsibility for damage to or theft of vehicles or vehicle contents. Cancellation 1. If you cancel a booking, for whatever reason, up to and including 90 days pr ior to your function date, your deposit is non- refundable. After that date the following charges will apply upon cancellation of the function: 91 days to 14 days pr ior : 50% of balance. 13 days – 0 days pr ior : 100% of balance. The total cost is as shown on your booking paperwork.

Legal i ties 1. Last orders: Last orders for dr inks are at 00.45, with all guests having left the premises by 01.30am. Should you wish to extend your finish time beyond this, we can apply for an extended licence from the local author ity. There are a limited number of Temporary Events Notices that we can apply for in one year , so this might not be always possible. Clar ice House (Colchester ) Ltd cannot guarantee the issuance of a late licence extension, as this is at the discretion of the local author ity. There is a charge of £300 for this Notice. The charge is non- refundable. Processing a late night licence requires time and the application and payment should be made to us 4 weeks in advance. 2. The organisers of the function will be held responsible for their guests and conduct. We reserve the r ight to remove intoxicated guests from our premises. Clar ice House (Colchester ) Ltd also reserve the r ight to call short a function if guests do not act responsibly. Any deliberate damages and breakages dur ing the event will be billed to the organiser . 3. CCTV is in full operation on the premises. If guests are identified removing any items belonging to Clar ice House (Colchester ) Ltd, the management will contact the client for the return of the items or payment to the value of the items which were taken off the premises. Matters will be taken to the Police if necessary. 4. Clar ice House (Colchester) Ltd takes every measure to comply with all legal legislation, including the Licensing Act 2003. Clar ice House (Colchester ) Ltd ask you and your guests to fully suppor t our promotion of the following four licensing objective: the prevention of cr ime and disorder ; the prevention of public nuisance; public safety; the protection of children from harm.
