The main features and prin- ciples of keyword index of ISA are also outlined. INTRODUCTION The keyword index has been defined as a listing, usually of document title s , with the significant words arranged in alphabetic order in a column. A keyword without context does not adequately clarify the scope and contents of the subject, and as the same keyword may occur in different subjects, it is made explicit by using the context. Thus a keyword has its significance and limitation well defined when viewed against a particular context. From its inception in January 1965, keyword indexing has been adopted in a modi- fied form in the Indian Science Abstracts (ISA) to serve as an alphabetical subject index tq its contents. The system followed is keyword with context, and the same pattern has been followed with some modifications in the machine made index introduced from July 1966 issue. These modifications have been described later. The index entrie s are prepared manually as before; but they are now punched on IBM 80-column punch cards and processed through a digital computer (IBM 1620). The processing consists of only alphabetizing the entries and printing them in 70 character index line. The computer has been brought into action to save time and manhour of work in preparing the printed index.. Moreover, as all punched cards for monthly index entries are stored for future use, cumulative indexe s can be compiled from them rapidly and economically. I.). About the same time, Citron, Hart, and Ohlman were engaged in deve loping the same type of index. Considering its recent origin, the concept has undergone rapid development and found practical use. It is being increasingly used by various abstracting and indexing services, commercial and industrial establishments, government agencies, institutions etc. As it is not possible to describe all such indexing perio- dicals and the systems used by them, only a few variations to the original code (i. e .Keyword. -in-index or KWIC as developed by H. INTRODUCTION

The keyword index has been defined as alisting, usually of document title s , with thesignificant words arranged in alphabetic orderin a column. A keyword without context doesnot adequately clarify the scope and contentsof the subject, and as the same keyword mayoccur in different subjects, it is made explicitby using the context. Thus a keyword has itssignificance and limitation well defined whenviewed against a particular context.

From its inception in January 1965,keyword indexing has been adopted in a modi-fied form in the Indian Science Abstracts (ISA)to serve as an alphabetical subject index tq itscontents. The system followed is keyword withcontext, and the same pattern has been followedwith some modifications in the machine madeindex introduced from July 1966 issue. Thesemodifications have been described later.

The index entrie s are prepared manuallyas before; but they are now punched on IBM80-column punch cards and processed througha digital computer (IBM 1620). The processingconsists of only alphabetizing the entries andprinting them in 70 character index line.

The computer has been brought into actionto save time and manhour of work in preparingthe printed index.. The concept of keyword indexing in theform of scholarly concordances existed for cen-turies. More than a hundred years ago, thesame concept was used for permutated indexing[i , e. A. Crestadero's Art of making cataloguesof librarie s , 1856) in England [3], and a lso for'catchword' indexing for cataloguing in Germany.

H. P. Luhn, the pioneer in the field ofmechanised permutated i"ndexing, introduced themachine based index in 1959. He had also lateradvanced the idea of selective dissemination ofinformation (5. D. I.). About the same time,Citron, Hart, and Ohlman were engaged indeve loping the same type of index.

Considering its recent origin, the concepthas undergone rapid development and foundpractical use. It is being increasingly used byvarious abstracting and indexing services,commercial and industrial establishments,government agencies, institutions etc. As it isnot possible to describe all such indexing perio-dicals and the systems used by them, only afew variations to the original code (i. e .Keyword.-in-index or KWIC as developed by H. either by using a thesaurus of keywords, whichhas been transferred to its memory or the ma-chine memory is programmed by a stoplist toignore 'common' words. The latter method ismore practical although some words of doubtfulsignificance may get admitted, which can, ofcourse, be eliminated at a later stage or tole-rated as 'noise' [4]. Some arrangement ofvocabulary management may be necessary toinsert human-selected keywords to citations tosupplement the deficient one s. The compute rprints one index entry for each keyword servingas entryword. Tbereafter, these index entriesare alphabetically arranged by. their respectivekeywords and reproduced.

KWIC CONCEPT

The keywordl can be taken from title.abstract or whole text, along with wordl in itlvicinity. and made to retain a fixed TY\sition

within them. The keywords are arranged alpha-betically, the modifierl retaining tbeir origi-nal sequence and conlequently the keywords,being sorrounded by words in its proximity,can be read in context. The KWIC index, thusgenerated, presents a 'wrap-around' or 're-circulated' appearence. The form of KWICindex, a8 now used by some indexing servicesi.e. B.A.S.I.C., Biorelearch Index (super-sedes Bioresearch Titles which cealed withDecember 1966), and Chemical Titles areshown (Annexure 1 to 3). Chemical Abstractsuses Keyword-without-context (Annexure 4).

VARIATIONS TO KWIC

At present, there exist several variationsof KWIC i.e. KWOC, KWAC, KWIT, WADEXetc. The very fact that the KWIC concept canbe made to undergo variations in form to suitindividual needs shows the flexibility of thesystem and the ease with which it can be mani-pulated.

KEYWORD-OUT-OF-CONTEXT (KWOC)

KWOC is used by Keyword Titles (Pub:Office of Technical Services), Scientific andTechnical Aerospace Reports (Pub: NationalSpace Aeronautics and Space Association) andInternational Aerospace Abstracts (Pub: Ameri-

can Institute of Aeronautics and Astronautic:.etc. ) [3].

In this system, the keyword is taken outof the context and placed outaide it and the titleis repeated again.

There are several variation. to this formof index (KWOC) also.

WORD. AUTHOR INDEX (WADEX)

Thi8 form of permutation indexing com-bines subject and author entries 118ingtheauthor's names as keywords. Thus, machineindexing also offers the facillty of searc:hin ••document through author's name.

It does not seem to be necelsary here toelaborate further on other variations of KWICor KWOC index.

ROLE OF THESAURUS

A thesaurus, when used for informationretrieval, has been described by Bal. as:

"A collection of authorized subject bead-ings or 'descriptors'. These descriptors arearranged according to conceptual groups andfie Ids, accompanied by an alphabetic index andcontaining pertinent scope notes and crossreferences-.

Synonyms and homonyms, which originatedue to use of natural language, can be corre-late d through cross reference entries with thehelp of a thesaurus. It will aleo help to selectkeywords and appropriate search terms byavoiding word ambiguities, difference in spell-ings etc., besides synchronising the entireproce s s of indexing and information retrieval.A thesaurus is, no doubt, necessary but thereis little evidence to show that it has found favourwith KWIC indexing.

ISAINDE~

The indexing pattern of ISA has grown outof the needs peculiar to it which aims at ab-stracting the literature covering all aspects ofscience and technology.

The system of keyword indexing, as usedin !SA, is a marked departure from those thatare now being used by the present day indexingservices. It is a modified form of KWOC.

The modifications consist of using quali-fier(s), whenever possible, along with keywordswhich are placed outside the context and not re-peated within it. This variation of KWOC con-siderably reduces the length of an index entrywithout markedly reducing its effectiveness.

DISSEMINATION AND RETRIEVAL INDEX

The machine generated keyword index canprocess enormous quantity of material withleast effort within minimum possible time forimmediate communication to public. Thereby.it serves the purpose of current awarenessservice in the form of an index. But the 're-circulated' look is not conducive to easy readingand since the number of characters per entryare limited, words are sometimes broken up orsplit at the end of a column. Some title s areambiguous or misleading which, in turn, gen-erate imperfect index entries. Moreover.many 'unsought' terms creep in as keywordsdue to mechanical system in auto-indexing.They swell the index without any advantage forinformation retrieval. These dt sadvanta geacan, however, be tolerated because they gen-erally serve as dissemination index and istransitory in nature.

However, for those services who want acarefully prepared index for its ultimate use as

'a permanent tool of reference [i , e. retrievalindex), title management by editing becomesnece ssary and thus the human factor is inevi-tably brought in the picture. Since auto-index-ing cannot match manual indexing in efficacy.the latter is preferred in ISA for generating theindex. Processing of the index entries is doneby the machine. Men and machine. thus, workin close co-operation to produce the keywordindex of ISA.

MAIN FEATURES

A logical code of practice for pr epa r ingISA index has been evolved in order that thepattern of indexing will not vary if differentindexers take over at different times. As com-plete enumeration of the code will increasebulk of this paper. only its salient features andprinciples will be described:

Structure and Form:

Generally. an index entry of !SA indexconsists of (1) main heading. (2) sub-headingor context Is ), and (3) identification number.

The main heading, in turn. consists of(i) keyword, and (ii) qualifier(s).

The sub-heading. which is placed belowthe main heading, will. hereafter. be termedas context(s). It consists of one or more as-pects separated from one another by a bar (-).

An index entry may. however. also con-sist of a single keyword with or without any ofthe subsequent constitutents.

It can be illustrated by the followingschematic representation:

(l) Main heading

The main heading consists of a noun (ora phrase), or a noun qualified by one or twoadjectives which are termed as qualifier(s).

Normally an inverted form is used sothat the adjectives follw the noun. A comma(, ) is interposed between the noun and the ad-jective, e. g. CELL CARCINOMA is entered asCARCINOMA, CELL.

When a term (e. g. GIANT) is used toqualify a keyword in addition to another adjec-tive qualifier (e. g. CELL), the 'GIANT' quali-fication is to be regarded as subordinate and beplaced immediately after the keyword, forexample,

GIANT CELL CARCINOMA is entered asCARCINOMA, GIANT CELL.

But, where common usage demands, theuninverted form is used, e. g. SEA SICKNESS,CENTRAL NERVOUS SYSTEM etc.

The constituent parts of an index can,therefore, be briefly indicated as follows:

1. (I) Keyword:

It is the catchword or the essential wordwhich covers an important aspect of the subjectunder review. The policy is to enter the infor-mation not to the generic but to the most speci-fic level. In ISA index, selection of keywordsis made from the title, abstract and whole text,whenever feasible. Usually the singular formof the catchword is used because it is felt thatwhile searching, people generally think in sin-gular form. But the nouns (or keywords) whichhave no singulars are used as such i. e. anaes-thetics' forceps etc. Abbreviated terms, andwords beginning with numerals or Greek lettersare gene rally not used as keywords.

[ii] Qualifier(s):

It is a word or group of words (generallyadjectives or adverbs) which qualifies thekeywords and is separated from it by a comma(, ).

Example: FLOW. UNSTEADYfINVISCOUS FLUID

The word 'unsteady' is the qualifier here.

2. ' Context(s):

It is a brief description of the subject inaddition to the keyword. The context is madeas brief as possible by using only essential

rds, abbreviated terms, minimising con-junctions and eliminating articles, wheneverpossible. It is separated from main headingby placing it below.

Sometimes it becomes necessary to add asecondary aspect to the primary one. Suchcases occur when the primary aspect does notfully clarify the scope of the subject and thenthe secondary aspect is used in its continuationand separated from the former by a bar (-) tocarry the idea beyond to make it meaningful.

Example:Heat transfer to fluids flowing through an

annular passage.

Index entry:

FLUID FLOWTHROUGH ANNULAR PASSAGE

HEAT TRANSFER TO.

SPECIAL FEATURES

As the machine has no lower case types,subscript or superscript numerals, chemicalsymbols, names of elements, radicals andcompounds (excluding selected abbreviations)and Greek letters are spelled out in full. Thecitation of an element is followed by isotopemass numbers or indications of valence inRoman numbers which are separated from it bya bar (-), as in uranium-238.

Inorganic compounds are not enteredunder their formulae when used as keywords,but the practice differs in sub-heading. Chem-ical formulae with subscripts are spelled outin full in any part of an index entry whereasthose without them are entered under theirchemical formulae in context(s).

For complex organic compounds, posi-tional and isomeric designations are not shownwhile their parent structural units are used askeywords, followed by the term 'deriv'.

A concrete example, as enumeratedbelow, will illustrate the procedure of pre-paring index entries for the respective keywordsas contained in the title and abstract of thefollowing document which appears in the IndianScience Abstracts 1956,2(11), 1271:

IDENTIFICATION CODE

In Chemical Titles, entries in the Bib-liography section are arranged according toinitial alphabets of their alphanumeric codenumbers and they, in turn, are correlated toKWIC index by these numbers. As the indexentries of ISA are arranged alphabeticallyaccording to keywords, they are linked to theabstracts by the serial numbers of the latter.

CROSS REFERENCES

In the index of each issue of !SA, indexentries are entered under keywords and theirvariants, wherever they occur, but they arenot correlated through cross reference entries.The information supplied by ISA is generallysuited to needs of researchers. They are sup-posed to be familiar with both technical andcommonly used terms concerning their subjectfields. Since all index entrie s commence with'sought' terms as keywor ds , they are expectedto locate information through any term thatthey may be familiar with. For example,entries are made both under carcinoma andcancer, or ascorbic acid and vitamin C as theyoccur in the citation or abstract. The termsare not selected from thesauri because firstly,thesauri of all such subjects as covered by ISAare not available; and secondly, if every term1S testea wrtn thesauri prior to its ae Iect ion ,then work at the input stage will be consider-ably slowed down.

It is, however, contemplated to providecross reference entries between synonyms andhomonyms in Annual Cumulative Indexes of ISA;but no attempt will be made therein to establishcorre.ation between botanical and zoological orcommon names of plants, animals etc.

CONCLUSION

From the foregoing dfsc ue s ion , it can be 3.concluded that when volume of information underprocess is not very large and accuracy has tobe combined with speed, manual keyword index-ing coupled with machine proce !ISing will acce-Ie rate dissemination of information. The index,thus prepared and cumulated will subsequently 4.serve as a medium for information retrieval,if suitable cross -reference s are interpolated.
