So to entrust this to an agent and to allow a tenant to occupy the property can be a daunting decision. With this in mind we provide you all the help, support, advice and guidance to ease you through the full process.

Our Commitment. Our commitment, to you the landlord, is to make the process of letting your property a simple, straightforward and pain-free experience.

We are fully committed to providing a convenient, reliable and professional service. We will apply our experience and knowledge of lettings and the local market to achieve the best possible rent for your property. We will also provide advice on possible small improvements that may increase the rental value.

Throughout this process, we will employ best practice in all the current procedures to ensure that you have the most protection allowed in law; to enable you to regain possession of the property should the matter arise. We will also make every endeavour to provide a satisfactory tenant with thorough referencing and credit checks.

Advertising. We advertise all of our properties in a way to get maximum visibility to prospective tenants locally and nationally (for those who may be relocating). FULLY MANAGED OPTION

This is the most popular choice of service. It gives complete peace of mind and provides you with the opportunity for a ‘Hand-Off’ approach to being a Landlord. This is most important for Landlords who also have demanding work commitments. Our Fully Managed Service includes:

Pre Tenancy:Advertising Property Escorted viewings with prospective tenants. Preparation of a full Inventory and Schedule of Condition. Full Referencing of prospective tenants. Preparation of all Assured Shorthold Tenancy paperwork. Receipt of Deposit prior to occupation. Receipt of Rent in advance. Full and formal Check-in with tenant (to include check of Inventory). Lodging Deposit with Tenancy Deposit Scheme. Take meter readings Report occupancy to utility companies. Report occupancy to Peterborough City Council.

During Tenancy:Collection of rents due. Transfer of rents to your nominated account. Receive all calls for maintenance. Deal with all calls for tenants queries. Visit property to review condition and maintenance. Liaise and organise trade specialists for any maintenance tasks. Negotiate with tenants for further tenancy renewals.

End of Tenancy:Arrange pre-check-out visit. Arrange check-out. Conduct full formal Check-out (to include check of and verification against original Inventory). Take utility Meter readings. LANDLORDS – THE ESSENTIALS (THINGS YOU SHOULD KNOW)

When you first embark into the Letting market there are many important things to consider – some legal, some best practice and some just good sense. Below you will find information and guidance on the important things that you need to know as a Landlord. But remember at Just Lets, we do what we do so you don’t have to!

THE RENTAL VALUE We will visit the property and give our appraisal of the market rental value for the property. This shall be per calendar month and as an unfurnished (or furnished) property. The rent is exclusive of water and sewage charges, heating, council tax, electricity (and gardening if required) which are all paid directly by the tenant.

UTILITY SERVICES Gas, Electricity, Council Tax Water Charges etc. We ensure that all services are registered in the tenants name and that at the end of the tenancy a forwarding address is obtained and all meters are read and billed accordingly. The tenants will need to make their own arrangements with BT or a cable company for the telephone. Where services are not independently billed to the property we shall assess a proportion of the costs and the tenant will pay these, either as a rental inclusive of service charges or as an independent invoice presented to the tenant on a monthly basis.

DEPOSITS A deposit will be taken from the tenant. Typically this of an amount equivalent to One Month’s rent plus £100. The deposit will be protected by The Deposit Protection Service (DPS) in accordance with the Terms and Conditions of The DPS. The Terms and Conditions and ADR Rules governing the protection of the deposit including the repayment process can be found at www.depositprotection.com

BUILDING INSURANCE It is the responsibility of an owner letting a property to ensure there is adequate building insurance cover. You should ensure that the protection provider is aware that the property is tenanted – not all insurance policies are suitable.

SPECIALIST INSURANCE. We can introduce a specialist insurance company. They offer a building and contents insurance that is specifically tailored to meet the needs of rented accommodation and gives public liability insurance. Should you require more information we shall be pleased to arrange for a proposal. Special preferential rates are available for properties that are managed by our company – ask for more details!

CONTENTS INSURANCE Contents insurance is the responsibility of the tenant if the property is let unfurnished and that of the landlord if the property is let furnished (only to cover those items provided by the landlord). It would be prudent (but not essential) to hold minimum contents insurance for unfurnished property especially where, as in most cases, carpets and curtains are included with the property.

MORTGAGORS APPROVALIf there is a mortgage on the property it is important that you inform the provider that you intend to let the property. Not all mortgage providers are happy for the property to be tenanted as there are specific products available for this activity; Buy-To-Let mortgages and so on.

FIRE REGULATIONS Should the property be let furnished it will be necessary to check all furnishings and beds to ensure they comply with the British Safety Standard Fire and Furnishings regulations. Any non-compliant items must be removed from the property prior to commencement of a tenancy. Additionally, you must install suitable fire alarms. Ju

GAS REGULATIONS As the landlord, you are responsible for the service of all gas appliances at the property. It is a legislative requirement that the appliances are serviced annually by a GAS SAFE registered fitter. A current Landlords Safety Certificate must be held by us and a copy presented to the tenants. We can arrange for this service to be carried out as part of our management service.

ENERGY PERFORMANCE CERTIFICATES From 1st October 2008, all buildings, residential or commercial, are required to have an Energy Performance Certificate (EPC) that is no more than 10 years old. The directive applies to rented properties and it is an offence to advertise a property if it does not have a current EPC.

ELECTRICAL SYSTEM AND APPLIANCES All properties must have the electrical system tested before commencement of a tenancy and again if any problems occur which might suggest a fault to the electric system.Electrical devices in a furnished property need to be checked annually, an annual PAT test for all properties whether furnished or unfurnished will soon become law.Should there ever be concern about any electrical device we shall insist that an electrical safety check is carried out.

TENANCY RENEWALRenewal of the agreement is carried out with your authority once satisfactory property visits have been carried out.

REFERENCING We make every effort to ensure that tenants are referenced to a satisfactory standard. We use a specialist external referencing company who take references from employers, a credit reference and confirmation of status on the electoral register is taken. If the prospective tenant is self-employed, bank and accountants references are also obtained.

INVENTORY The Inventory is a key document to the letting process: It records the condition of the property and the fixtures and fittings at start of the tenancy. We carry out a full and comprehensive inventory of the state and condition of the interior and exterior of the property as well as the content. This is perhaps the most important safeguard we can offer. Whilst standards are high everyone has different priorities, we aim to reduce any ambiguities between each parties’ expectations. Once an inventory has been completed the landlord and the tenant are given the opportunity of making additions or amendments until each is satisfied that the inventory is an acceptable representation. This document is then used as the bench mark during the check out at the end of the tenancy.

TAX Residents of the UK are responsible for their own tax affairs. However, the managing agent is responsible for tax in respect of properties rented by landlords who reside outside the UK. In these cases, we must deduct 25% of the net rental income until such time that we are assured in writing by the Inland Revenue that all tax due on the rental income of that property has been settled. The Inland Revenue have a self-assessment scheme, which allows non-resident landlords to receive UK income with no tax deducted. Both husband and wife need to be registered where a mortgage is in both names.

THE TYPE OF TENANCY The type of tenancy will generally be an Assured Shorthold Tenancy under the terms of the Housing Act of 1988 as amended by the Housing Act of 1996. The standard period being for 6 months.
