General Meeting Minutes May 8, 2015
The meeting was called to order by President Betty Bickford at 7:04 p.m. at the arena, followed by the pledge of allegiance led by Joe Sullivan.
The attendance roster was passed around. No guests were in attendance.
Lettie Smeding made a motion, seconded by Sally Kimsey to accept the minutes from the last general meeting. The motion was passed.
Paul Kimsey made a motion, seconded by Joe Sullivan to take a vote on accepting Celeste Cave as a club member. The motion was passed. Welcome Celeste! Officer Reports:
President - Betty wanted to bring up the problem of needing a quorum at club meetings to vote on important issues and conduct club business. According to our bylaws, we need 30% of the membership to
vote on issues and at most meetings we do not have 30% attendance. She shared 3 ideas presented at the Board Meeting - 1) Having 2 levels of
membership, only 1 being voting (ex. regular and associate); 2) Encouraging people to attend meetings through e-mails highlighting issues coming up for a vote; and 3) Changing the bylaws. The consensus of the discussion was not to change the bylaws, but use e-mail messages to try to get people to come to meetings or get votes by proxy. It was felt that as long as we can get a 30% vote either through e-mail and/or members present,
then we should be able to conduct business.

Chris’s report. The check book balance is $7060.21, the savings balance is $1941.07, the Paypal balance is $1219.15, with a grand total of $10,220.43.
Committee Reports:
Trail Rides - The May trail ride is the Mothers Day ride at the Smedings’ on Sunday, May 10th. The
committee is composed of Paul Kimsey, Phil Burton, Barry and Dawn Kessey, Sandra Bickford and Hendrik Smeding. Discussion was held as to what was needed and what would be donated. Mary asked if anyone could plan a trail ride for June.
Clinics- Alejandro has offered to do a roping clinic June 12th beginning at 5:30, before general meeting at the arena.
The Committee Sign-up Sheet was posted in the last issue of the Road Apple.

Old Business:Arena -Dale is working
on getting gravel for the driveway. Gravel for the spectator area is not needed. Two patio heaters were purchased and a third one will be purchased when they go on sale. The new fence is done. Thanks to all who volunteered time, equipment, supplies, muscle, and
expertise! The pruning of the oak tree in the spectator area was brought up for discussion and it was decided to get a new bid which would include pruning and all clean-up of limbs and debris. The gymkhanas are set at 5/17, 6/14, and 7/19 and are ready to go.
New Business:Alejandro and Joe said
they could take care of the
garbage from the General meetings.
Parades - The Middletown Parade is June 20th. Anyone interested should contact Joe Sullivan. The July 4th parade in Calistoga is usually coordinated by Jan Hiney, but she was not in attendance to confirm.
Mary made a motion to
buy two chairs with backs for the announcers booth. Paul Kimsey volunteered to research and buy chairs.
Announcements:Joe Sullivan announced
the Chile Cook-off in Middletown on Saturday, May 16th, to support the senior center.
Brags:Mary announced Phil's
birthday today. Happy Birthday Phil!
Joe announced his son Peter's birthday on Sunday. Happy Birthday Peter!
Hendrik made a motion, seconded by Paul to adjourn the meeting. The meeting was
adjourned at 7:46 p.m.

Trail Rides(usually on the Sunday following the monthly meeting)
Members are being asked to sign up to lead a trail ride, choosing a date most convenient if the Sunday following
the meeting will not work. They will also choose the destination for the ride. Come to the April meeting at
the Arena to find out more.
Point Reyes Weekend is scheduled for Sept. 25-27.
