JOB DESCRIPTION

JOB TITLE: Project Coordinator, Preparation for WorkSalary: £20-22K________________________________________________________________

STRATEGIC OBJECTIVE:

Tower Hamlets EBP is an independent charity that supports the education, training and development of young people in Tower Hamlets by forming mutually beneficial partnerships between businesses and schools.

We deliver a range of programmes which help young people to raise their levels of achievement and aspiration, gain relevant employability skills and develop an understanding of the world of work. Our programmes provide City of London and Canary Wharf firms the opportunity to engage with the local community, deliver their employee volunteering strategies and fulfil their wider corporate social responsibility agenda.

We have been in existence for 25 years and have recently expanded our reach to work beyond the borough of Tower Hamlets, primarily in Greenwich. Our envisioned future is to be recognised by educators and employers as the market leaders in developing the employability skills of young people. We want to be the partner of choice for employee volunteering in education, with programmes running nationally.

THE ROLE:

The Project Coordinators will work as part of the Programme Team managed by the Schools Project Manager – Preparation for Work. The post has specific responsibility for the areas outlined in the Job Description. These areas may change through negotiation with the Director and the Deputy Director for School Programmes.

Areas of Responsibility:

The core focus of the role will be to coordinate a programme of work related learning for a defined group of schools. This will include

Coordinating the event administration of the Getting Ahead world of work conferences and Head to Head events for your allocated group of schools as directed by the Senior Coordinator.

Recruiting and coordinating business volunteers for the Getting Ahead, Head to Head and other enterprise or employability skills events and supporting the Senior Coordinator with the administration.

Recruiting work experience providers for the work experience programme. Supporting ad hoc one off projects and bespoke events as directed.

Day to Day workload: This is approximate and will change depending on workload, time of year and team needs.

1.5 day per week – Employer engagement and admin coordination for work experience0.5 day per week – Health & Safety visits/revisits for work placements1 day per week – Coordination and attendance of school events½ day per week – CRM administration tasks1.5 day per week – Volunteer recruitment and administration for events

MAIN DUTIES

Employer liaison

1. As directed by the Deputy Director for School Programmes and the Project Manager, coordinate the Preparation for Work journey for an allocated group of secondary schools.

2. Coordinate the work experience programme for your group of schools. This will involve placement finding, new company recruitment and carrying out health and safety visits and revisits. (Training is provided for these visits).

3. Own specific employment sectors and actively recruit new businesses to the work experience programme with support from the Membership & Marketing Coordinator.

4. Deal with incoming enquiries from businesses relating to work experience, preparing mail shots and other marketing information with support from the Membership & Marketing Coordinator.

5. As directed by the Project Manager and the Senior Coordinator, recruit business volunteers for the Getting Ahead school conferences, the Head to Head practice interviews and other employability events as directed.

6. Send out event details and briefing notes to event volunteers for your group of schools.

School administration

1. Liaise with teachers and school coordinators to ensure the work experience process is delivered within the time frame and to a high professional standard. Carry out all school administrative tasks for your group of schools.

2. Meet with new teachers as directed by the Project Manager to explain the work experience process and train them on the Customer Relationship Management system.

Events

1. Attend the Preparation for Work events (Getting Ahead and Head to Head) for your group of schools and support the event facilitator throughout the day. This will include looking after volunteers, on site liaison with school staff, overseeing refreshments, evaluations etc.

2. At some events, you may also need to support a volunteer or act as a business volunteer yourself and work with groups of students or provide individual students with a practice interview.

3. As directed by the Senior Coordinator support the Admin Apprentice in the preparation and transportation of event resources for your group of schools.

4. Assist at other Work Related Learning or Careers events such as the Apprenticeship Fair.

Relationship Management1. In consultation with the Deputy Director for School Programmes and the Project

Manager, own the relationship for some sector specific employers of the work experience programme.

2. Feed relevant information into the Project Manager in relation to employers and secondary schools.

3. Troubleshoot relationship issues with schools and businesses, supported by Project Manager or the Senior Coordinator as required.

4. Liaise with Membership & Marketing Coordinator to provide information for annual reports and case studies.

Customer Relationship Management (CRM) tasks1. Inputting of new volunteers and the retirement of others to the CRM.2. Under direction of the Senior Coordinator, assist in the upkeep of the programme

activity for Getting Ahead and Head to Head for your group of schools. Ensure that all active volunteers are mapped against relevant programme activity in a timely manner.

3. Train your group of schools in the use of the work experience portal on the CRM as directed by the Project Manager.

4. Maintain the work experience programme activity for your dedicated group of schools.

5. Produce regular updates for the Membership & Marketing Coordinator and managers as requested.

6. Produce annual volunteer data reports as requested by Deputy Directors.

Impact & Evaluation

1. Contribute to the evaluation of Head to Head and Getting Ahead as directed by Senior Coordinator by preparing and administering student and volunteer evaluations for your group of schools.

2. Input the survey data into SurveyMonkey as required.3. Provide Senior Managers with data as directed.

Communication & Media

1. Contribute to the teams’ social media presence for its projects as directed by the Project Manager or Senior Coordinator.

2. Provide evaluation comments or soundbites for the Heads Up! Newsletter as directed by the Project Manager.

Peer Support1. Support the other Project Coordinators with the recruitment of placements and

volunteers for the preparation for work programmes. Although you will own a group of schools, you will work collectively as a team.

2. Meet termly with peers to discuss ideas, troubleshoot and share best practice.

PERSON SPECIFICATION

ExperienceThe post holder should ideally have a minimum of 6 month’s relevant work experience in sales, education or business administration.

Specific SkillsHe/She should have excellent administrative skills and be highly organised. A self- starter who is comfortable setting their own pace of work and managing their deadlines with only some supervision. They should be able to administer several project streams at the same time.

The job holder should have good telesales skills, being able to persuade and persist when cold calling. They should have a confident telephone manner and be able to work in a pressured target driven environment.

He/she should have experience of database management and be self-reliant with Outlook, Word, Excel.

He/she should have excellent written communication skills. They should be able to produce business standard letters with minimal supervision. They should be able to produce typed agendas, event resources and volunteer briefings with minimal supervision.

The job holder should demonstrate the ability to work with people at all levels of seniority. They will liaise with school personnel and business personnel.

They should have a friendly manner and be confident speaking to new people and happy to network with business volunteers and students at school events.

General Skills

They must have a high degree of self-motivation and drive for promoting and developing links between business and schools in Tower Hamlets and nationwide.

An enhanced DBS clearance is essential, which will be undertaken as soon as the role starts.

Desirable Experience, Skills & Knowledge

Previous experience of working with children and young people.

Understanding of the benefits of work related learning for young people.

Knowledge of SurveyMonkey or other similar data collection and evaluation tool.

Willingness to develop presentation and public speaking skills.

Reporting lines

The post holder will be line managed by the Project Manager and also supervised by the Senior Coordinator.
