W elcome to the June issue of the Success Newsletter. Working with many different business owners gives me a great insight into what works and what doesn’t. Without a doubt, one of the things that’s present in successful businesses is ‘SYSTEMS’. I don’t mean mechanical or software systems—I mean a set of procedures for every facet of running the business efϐiciently. It’s something we’ve had to do in our own business and something that we keep working on every week. The transformation in how the business runs and performs is staggering when you grasp the concept of systems. If you think about it, everything you do in your business (no matter what you do) is in reality a set of procedures starting with step 1 and ϐinishing with a set outcome. But what systems do, is take those steps, put them in a logical order and ensure that what happens in each step is the best way of doing it. Think about that for a moment… ...because you know what each step in a procedure is, you can create a ’mini‐ system’ within each step to ensure that step is carried out at the highest level, giving you the best possible result. Now imagine that multiplied across the dozens of steps a procedure may have, and all of a sudden you’re creating a world‐class business. There isenough grease in the kitchen tomake John Travolta experiencePTSD lashbacks,and liestaunttheemployees by procreating in mid‐air. The worst part, however, wasthat the air conditioner was notworkingthroughoutmostofthe90‐degreeGeorgiasummer.

Still, we worked our long hoursas diligently as ever. A man inPennsylvania proved himself to befarlesssteadfast,andcalled911torequest a repair of his air‐conditioning unit. According toHuf ingtonPost,heclaimedhewashavingtroublebreathingduetotheheat.Unfortunately, this bogus callendangered a patient experiencinga real medical emergency at anearby Chinese restaurant.Supposedly this is the irksomecaller’s63rdcalloverthecourseofseveral years; you’d think theoperatorwould knowby now thathe’sjustblowinghotair.

Emailmarketingcontinues torise, and it’s no surprise asit’s an effective form of

communication where you canreach out to thousands of peoplejustbyclickingafewbuttons.

However, because we all get lots ofemails every day, we become lesstolerant of thosewedon't expectandare more likely to press the deletebutton than we are to read themthrough.

This doesn’t mean you shouldn’t useemail marketing, but you have torevise your strategy. Here are a fewways to ensure people read youremails (and respond to your call toactions):

1.The time you send the emailreallydoesmatter

The typicalpersonchecks theiremailirst thing in the morning and lastthing at night. Although the idea ofemail is to send a non‐intrusive

messagetosomeoneforthemtoreadwhen they’re ready, people can soonforgettoreaditoncetheyactuallyareavailable.

If someone doesn’t reply to youremail,trysendingitagainearlyinthemorning,orlateatnight.

Instead of just writing content thatisn’t time‐sensitive, angle your emailaround something that is happeningintheworldrightnow.

2.MakeyouremailurgentIt’s not just the timeof day you sendthe email that matters, but whetherit’surgentornot.We’reallmorelikelytorespondtothecalltoactionifthereis a close deadline. Otherwise, you’llreaditandforgetaboutit.

3.KeepthecontentshortandtothepointIrrelevant words and longintroductions will just lead people toscan through and eventually give upreadingtheentirething.

Ifittakesmorethanaminutetoread,it’s too long, and if there are lengthyparagraphs,it’llgetignored.Thisgoeswithoutsaying,really,butinorderforyour email to be read luently, keepsentences short, include subheadings,keep paragraphs to just a few lines,and include plenty of space betweeneachparagraph.

4. Be clear about what you’reaskingforAn email that has no call to actionwon’thelpyourbusinesstogrow.

5.GetyoursubjectlinesrightYou should spend more timecomposingasubject line thanwritingthe email itself, because most peopledecide toopenanemailbasedon thecontentinthesubjectline.

The most important thing is to keepthem personal and not generic. Youwon’tstandoutagainstthe100otheremails they’ll receive that day if youdon’t.

Howdoyoukeepthempersonal?

Make sure you’re sending therecipientanemailtheywillcareaboutandrelateto.Beforeyouhitsend,askyourself, ‘Will this person want toknowthis?’

The same goes for the email itself.‘Dearsir/madam’or‘Towhomitmayconcern’makes itobvious thatyou’remass‐sending this email. Use theperson’sname.

Don’t forgetaboutyourself either.Onthe‘from’ ield,useyournameandnotyour irm’s name… just like you

wouldn’t direct the email to therecipient’scompany.

It’s tempting to use words you thinkwill lure people in, such as ‘free’,‘reminder’ and ‘percent off’. Spamiltersworkbypickingoutwordssuchas these, soavoidusing them inyoursubjectlines.

Keep it to50 charactersor less ‐ andusing a question will help to urgepeople to open the email. Usingcapitals looks like you’re trying toohardtogetattention,sokeepthesetoaminimum.

When it comes to sending the nextemail to the recipient, change thesubject line so it isn’t too similar tothe previous one, or your emailsbecome predictable and lackoriginality.

6. Make everything about yourteam

If people wanted to read about yourirmandwhatservicesyouoffer,theycouldjustvisityourwebsite.

How iswhatyou’rewritingbene icialto others? People won’t respond ifthey don’t see how itwillmake theirlifeeasier/better.

7.Conveyaclearcalltoaction

Your email should have a clearobjective. If people just read youremail and that’s it, you’vemissedahugeopportunity.

In the irst paragraph includewhat itisyouareaskingfor,butdon’taskorexpecttoomuch.

Feel free to ask the person how theyare,orquestionsabouttheir irmthatpromptareply.

Even if you’ve done everything listedhere, you should still measure howmany people have opened the emailsand the response rate you get. Ifpeople aren’t opening your emails,you can try testing different subjectlines and sending them at differenttimes.

Conclusion

Test everything and try again! Hookyour reader from the beginning tokeepthemuntiltheendoftheemail.

Always keep in mind that you wantyour reader to do something withyour email, and not just read it andnothingelse.Whether it’s touseyourservice, book a meeting, etc., givethemareasonto.
