Q522 VSF to Email Author: Will Smith

iPECS Email Notification
Using Hotmail to send the VSF msgs:
PGM 102 Set DNS IP address, set as required. (Use CMD prompt: ipconfig /all or ask customer’s IT administrator or use 8.8.8.8) PGM 111/113 54 VSF MSG - SMTP Mail Server Address = smtp.live.com
55 VSF MSG - Receiver Mail Address = [email protected] (e.g. users work email) 66 VSF MSG - SMTP Mail Server ID = "Your email address" 67 VSF MSG - SMTP Mail Server Password = "Your email account password" 72 VSF MSG - Attach Message = ON 76 VSF MSG - Delete Message = ON 88 VSF MSG - SMTP Security = TLS 89 VSF MSG - SMTP Port (00001 - 65535) = 587 90 VSF MSG - Sender Mail Address = "Your email address"
Tip1: PGM items 54, 66 to 90 can be common to all users. Only item 55 needs to be different for each user. Tip2: After successful receiving VSF emails try changing item 90 to an email address at the site. If successful this will change the ‘Sender Domain Name’ in the email body to something more suitable e.g. Domain: lgaria.com.au Tip3: If using VMIM add the router IP into PGM 132. Tip4: Hotmail uses the registered name of the account so use a name that suits your client. E.g. iPECS Voicemail
Troubleshooting: 1. Upgrade to F.0Dq or newer. Tech support requires latest s/w, VMIM f/w & prompts. 2. Use the iPECS ping feature (System Management > Trace > Ping Test) to ping 8.8.8.8 (Google’s DNS server). This will confirm you have internet access, which naturally is required when using webmail providers. 3. If VSF to email fails after 5.5 upgrade set PGM 253 VM COS 1 Order 5 to Notification & Delete. (The other default settings for PGM 253 are 1= 60, 2, 3, 4 = 0, and 6, 7, 8 = off.) 4. If all settings are correct, backup the system & then initialise the station. Re-enter the settings & re-test. 5. PGM 102 keep addresses within the same subnet. See example > See FIB1230 & Q531 6. Test from this subnet that you can ping the router, SMTP server (& DNS). System Management > Trace > Ping test. For servers with a name check you can ping the router & local PC then ping via PC’s CMD prompt. 7. See the Postcast server instructions below – this is another method of proving it out. 8. See TRACE INSTRUCTIONS at the end of this document. 9. At jannie command to clear possible corruption enter: maint> del vmdata maint> del mbox unlink maint> del mbox all
10. If your customer is using local smtp – create a free account & test as per above instructions to prove out. 11. To increase VSF WAV volume: PSTN PGM403 (ISDN PGM404) Right hand column (TX) change the VSF value 35 ~ 40. Make test calls before & after to find the best setting. Not recommended to go over 40dB. 12. Yahoo tested ok: smtp.mail.yahoo.com, SSL, 465 & PGM111/90 filled with yahoo email address. 13. Hotmail/Live/MSN/Outlook can use: smtp-mail.outlook.com, TLS, 25 (or smtp.live.com, TLS, 587 as above example) 14. Gmail (using software dated AUG/14): smtp.gmail.com, SSL, 465 (see next page for example) For more info click on these links: SMTP DNS SSL TLS VSF CMD IPCONFIG. For local SMTP host see pages 3 - 6.
Recently Gmail has been a bit unreliable; consider Yahoo, Hotmail/Outlook or other SMTP service. New s/w F.0Dq (VMIM: F.0Ec) was released to rectify a Gmail issue which appeared July/14. Gmail patched their own servers Aug/14 to clear the issue.

Example 2 - VSF to Email using a Gmail account. STEP 1. Upgrade the MFIM to gmail patch software – released in August 2014. (VMIM F.0Ec or newer) PGM 102 Enter DNS IP address, set as required or 8.8.8.8 PGM 111/113 54 VSF MSG - SMTP Mail Server Address = smtp.gmail.com
55 VSF MSG - Receiver Mail Address = [email protected] 66 VSF MSG - SMTP Mail Server ID = "Your Gmail account id" 67 VSF MSG - SMTP Mail Server Password = "Your Gmail account password" 72 VSF MSG - Attach Message = ON 76 VSF MSG - Delete Message = ON 88 VSF MSG - SMTP Security = SSL 89 VSF MSG - SMTP Port (00001 - 65535) = 465 90 VSF MSG - Sender Mail Address = (Gmail email address e.g. [email protected])
Tip1: PGM items 54, 66 to 90 can be common to all users. Only item 55 needs to be different for each user. Tip2: After successful receiving VSF emails try changing item 90 to an email address at the site. If successful this will change the Sender Domain Name in the email body to something more suitable e.g. Domain: lgaria.com.au Tip3: If using VMIM add the router IP into PGM 132.

Information from the Training PowerPoint:

VSF/VMIM Email Sending
7.pcm
The IPECS Phase 4/5 VSF/VMIM modules are capable of SMTP email sending of station voice mail messages, to an SMTP compatible server on the LAN. The message gets delivered in the .wav format, but does not cancel automatically once read from your email inbox. You still must cancel the messages from the respective handsets.
Phase 4/5 Additional Functions
Remotely hosted Email servers are not supported prior to 5.5Ed.
* The SMTP server will need to be configured to accept emails from the iPECS. Also consider using the auto delete feature to purge VSF messages once they have been sent as emails.

VSF/VMIM Email Sending
Only two fields need to be entered to allow this function – fields 54 and 55 – The SMTP Mail Server Address, and the User Mail address. Once this is done the system will automatically convert a voice mail( VSF/VMIM ) message to .wav format and send it to the stipulated email box. NOTE that every station has to be set individually to send to any specific email address.
Phase 4/5 Additional Functions
5
VSF/VMIM Email Sending
At Right is an example of a message sent to a Microsoft Outlook Inbox – and shows the format of the message.
At right and below is the actual message opened - note that the voice part of the message is an attachment, and that the message shows the caller ID – it will also show CLI of an incoming external call.
Phase 4/5 Additional Functions
Note that the From field will show CLI id as well.
Further programming. 5.0 instructions.

Instead of having the email come from [email protected] add a valid email address to PGM132/6. (Check the Sequence number in PGM 102/103 but usually 3 or 4) Below shows an email from the default address then
the preferred email address I entered. (5.5 this is now entered at Sender System Domain Name in PGM160)
Once you have this working you might want to activate automatic recording which will email each and every
call to you.
Automatic Call Recording (functions for ICM and Co Calls)
Set Station Attributes (111-113)
Web 28 Two Way Record –ON Web 58 Automatic Call Recording Option –ON
Web 59 Automatic Call Recording Destination –VSF Group Number (e.g. 622)
For Manual Call Recording
Set Station Attributes (111-113)
Web 28 Two Way Record –ON Program a Call Recording Flex button (Trans/Pgm 80)

If you are receiving large volumes of VSF messages and emails you may wish to use the auto delete feature.
PGM 111-113 Web 76. VSF MSG – Delete Message set to ON.
Test 13/8/2010 – works well.
From training projects
26 Project- Email sending of a station Voice mail:-
Retrieve and load on your Laptop the ‘Postcast Server Pro’ application –from the training CD
Run the app and set it up as default – leaving it open on a PC which is connected to the same
SHUB8/POE8 as the IPECS, and has a static IP assigned. Enter the IP address of your laptop ( into 54- the SMTP Mail Server Address ), and a dummy email
address (into 55- the User Mail address) into the two fields of station number 100’s attributes,(PGM
111-113) as shown below, and click the save button:-
Ensure station 100 is forwarded to the VSF, and make a call to station 100 from another handset –
leaving a message for 100 in the stations mailbox. You should see a message appear in the Postcast server Pro app from ‘[email protected]’ – with an
attachment which will be the voice mail message for station 100. You need to save this message
elsewhere on your computer to listen to it.
Note that if this email message is deleted from postcast server Pro, it does not delete from the handset. In the same way, if you delete the message from your normal Email app (Outlook) it will still
have to be deleted separately from the IP keyset.
Check Station Data/Station Attributes PGM 111-113
B44 Check LEFT MSG EXEC must be set to ON
Note: PGM 160-Enter domain name here (early software)
