The Fellowship One iOS Check-in Application captures real time attendance for church activities. It is designed to run on an Apple iPad or iPad mini in either the Assisted Kiosk or the Self Kiosk Check-in mode.

In the Assisted Kiosk mode, check-in is operated by trained staff or volunteers. It is used to:

• Check-in individuals, households and guests • Check-in teachers, volunteers and staff • Print name tags and item tags for activity participants and staff • Print parent receipts for additional security in Children’s activities • Add new households, individuals and guests to Fellowship One • Edit personal information for household members • Configure printing and other application settings

In the Self Kiosk mode, check-in is operated by activity participants who can:

• Check themselves and/or household members into an activity • Print out name tags, item tags, and parent receipts

System RequirementsThe Fellowship One iOS Check-in Application is designed for use on Apple devices running iOS 8 or later.

Activity RequirementsIn order to run Fellowship One check-in, there must first be a complete Activity built out in the Fellowship One portal. The activity should include:

• At least one Activity Schedule with a recurrence • Test Activity Schedule and recurrence for check-in training (optional) • Activity Code (generated when Activity is created)

INSTALLING THE FELLOWSHIP ONE iOS CHECK-IN APPLICATION

The F1 CheckIn App is located in the iOS App Store. Search for the F1 CheckIn App and install it on your device.

Starting Check-inTo initialize check-in, tap the F1 CheckIn icon on your iPad. The first time the Check-in Application is started on a new device, you are required to Authenticate the church, which ties this device to your church’s activities.

To Authenticate the church, enter your Fellowship One portal Username, Password and Church Code.

Enter Activity CodeActivity Codes are unique, 4-digit codes generated when an activity is created in the Fellowship One portal. Super check-in codes are also generated in the portal and are used to group multiple activities together. Super check-in codes allow participants to check into multiple different activities at the same kiosk.

Enter the Activity code or Super check-in Code.

Note: To avoid check-in errors, be sure to Change activity or Sign out and re-enter the activity code at the start of each new day, even if the check-in code has not changed from the previous day.

ACTIVITY INSTANCES Once the Activity Code is entered, the Activity Instances page appears and displays the available Activity Schedules. Note: If the Activity only has one available Activity Schedule, the Activity Instance page does not appear and the check-in Application goes to the Search page.

Choose a default Activity Schedule, such as the upcoming service. This streamlines the check-in process by automatically selecting this schedule when checking people into the activity.

• Use this option to utilize Rapid Check-in. Rapid Check-in automatically checks participants into an assigned or best fit roster, bypassing the roster selection screens and going directly to the Check-in Summary page.

• Even with a default Activity Schedule selected, you can still override the default and select additional Activity Schedules when checking in a participant.

Choose No Default Activity Schedule. • This is the appropriate option when you need to assign participants to multiple Activity Schedules or when using a Super Check-in Activity Code with a number of Activities and schedules to choose from.

• Choosing this option automatically disables Rapid check-in.

Tap to select either: • The required default Activity Schedule (Ex. The upcoming service)

• No Default

CONFIGURE PRINTER SETTINGS The Fellowship One iOS Check-in Application supports the following printer connections:

Bluetooth printers connected wirelessly to the iPad • Bluetooth printers must first be paired with the iPad before they can be selected in the Check-in Application. Please refer to Apple iOS printer documentation for the latest procedure.

• Please refer the Fellowship One Hardware guide for supported Bluetooth printers

AirPrint over Wi-Fi for legacy printers connected to a PC • Connection requires 3rd party AirPrint server software installed on the PC, such as Collobos Presto (Please see FellowshipOne Help Center for more information.)

• AirPrint printers are automatically discovered by the iOS Check-in Application when selecting a printer • Please refer the Fellowship One Hardware guide for supported legacy printers

ASSISTED CHECK-IN MODE

Searching for HouseholdsTo check-in participants, use the search field to search for the individual or household using one of four methods:

Enter the last 4 digits of the household phone number.

Enter at least the first three letters of the first, last or goes by name of a member of the household.

Use the camera on the front of the iPad to capture a bar code. Be sure to position the bar code with the brackets

Select an Activity Instance, Roster Group and Roster for the individual shown, and then tap Next.2.Continue to choose the appropriate Activity Instances, Roster Group and Roster for eachperson checking in, tapping next to move on to the next individual.3.After the final individual had been assigned to a roster, the check-in summary page is displayed for the household.4.

From the Check-in Summary page, you can also: • Tap Edit phone numbers to update household phone numbers

Tap edit next to any unassigned household member to assign them to a roster:

• Tap View all family members to view unassigned household members

Tap Rapid check-in.

Check-in with Default Schedule Selected - (Rapid Check-in)Choosing a default schedule automatically enables Rapid check-in, which allows you to bypass the Roster Selection pages and proceed directly to the Check-in Summary Page.

Begin by searching for the individual or household. After choosing the correct household, select the individuals to check-in.

Rapid Check-in automatically checks participants into an assigned roster or a “Best Fit” roster which is chosen based on a recommended age range previously set up on the Activity in the Fellowship One portal.

If assignments are correct, print required asset tags, then tap Complete and Print (or just Complete if printer functions are off.)

To change an assignment for an individual, tap the Edit button next to the individual, then make the appropriate Roster selections.

ADDING & EDITING HOUSEHOLDS, INDIVIDUALS OR GUESTS

Adding HouseholdsIf searching for a household returns no results, you may need to add a new household. To avoid creating duplicates, search at least two ways before adding a new household:

• Last name, first name

• Last 4 digits of the household phone number

If no households matching your search are returned, tap Add new household.

Note: The Add new household button only appears after a search is performed.

Enter information for the first individual in the household. • A red asterisk indicates a required field • Optional: Use the Tag Comments field to notate allergy information or special care instructions. (This information prints out on the bottom of the name tag.) • Optional: Tap the avatar to take a photo of the individual • Optional: Enter a bar code number or tap the camera in the Bar code field to scan a bar code tag Once personal information is entered for the first individual: • Tap Save and add next member • Tap Finish if finished adding household members

Adding Individuals or Guests to Existing HouseholdsTo add an individual or a guest to an existing household form the household page, tap Add individual to household.

Enter personal information for new individual, and then tap Finish. If another individual needs to be

added, tap Save and add next member.

SELF CHECK-IN MODE

Starting Self Check-InFrom the Assisted Check-in mode, tap the action gear to open the Settings menu.

Under Application setup, tap Self Check-in.

Choose Self Check-in Settings, and then tap Start self check-in.

Entire Household - returns all household members regardless of which individual the bar code or phone number is associated with. This option is recommended for services where multiple household members need to check into respective activities.

Individual Only - Returns only the individual associated with the bar code or phone number. This option is commonly used for youth activities in which the student has a bar code assignment different from his or her parents.

Allow Item Tags - Allows participants to print item tags that are used to identify personal items such as bottles, diaper bags, Bibles or backpacks

No Item Tags - Prevents participants from printing item tags

Enable Phone Search - Allows individuals without bar codes to search for themselves by entering their complete, 10 digit phone number

Disable Phone Search - Only allows individuals to search for themselves by scanning a bar code

Self Check-In ProcedureEvent participants or volunteers may check themselves and household members into available Activities up until the end time of the Activity Schedule.

Two Search Methods:

Hold bar code key tag up to the camera on the iPad

Enter all 10 digits of phone number (Phone search must be enabled to use this option.)

Tap the Activity Schedules that each individual plans to attend.

• Assigned rosters are shown for individuals pre-assigned to an Activity.

• Is individual is not assigned, the available best-fit option, based on recommended age range, gender and capacity, is shown.

Tap Print Item Tags to the right of the individual for whom you need item tags. You may print up to three item tags per individual. (This is optional and only if Print Item Tags is enabled in the Self-Check-in settings.)

Once the required Activities have been selected for all individuals, tap Complete.

Note: Assigned Rosters cannot be changed in the Self Check-in mode. To change a roster assignment, participants must seek a volunteer at an Assisted check-in kiosk.

Name tags, parent receipts and item tags are automatically printed (if printing is enabled.)

Switch from Self Kiosk to Assisted Kiosk Mode

It is necessary to switch from the self Kiosk mode to the Assisted Kiosk mode in order to:

• Change the Activity

• Update Self Check-in Settings

• Configure Printing

• Change a Roster Assignment

• Utilize Assisted Kiosk features such as adding a household or individual

To switch to the Assisted Kiosk mode:
