boyum portal

The Boyum Portal is...
an interface where you administrate the Boyum software for your customers and get the full overview of your partnership.
This presentation takes you through all menu points so you can discover the Portals’ many facilities.
We recommend that you grant your coworkers access to the Boyum Portal.

To get the most out of the Boyum Portal and benefit from the partnership, we also strongly recommend that you as a Boyum partner encourage your coworkers to receive important partner updates (newsletter).

Access to the Boyum PortalAll coworkers of your company can get access to the Boyum Portal by asking existing Portal users/admins to create a new user.
The access is based on your company name, name and email.
If you are already registered as a user, you can log in via https://portal.boyum-it.com/.
If you haven’t received a login yet, you are welcome to contact [email protected] can help you identifying the admin(s) of your company.

Important! Installation numbersA license needs one installation and system number (e.g. 0020162055_000000000312220260).
In case of license errors, please always check the license status and installation number before you start trouble shooting. Onlyvalid licenses will pass the license check.
For OEM licenses or trials where the same combination of installation and system number appear more than once, we need the database name too.

SettingsClick on your email in the corner and you are able to change your user name and password.

All coworkers with access to the Boyum Portal can see his/her company’s customers.
Use ”Search and Sort” or ”Quick Search” to get directly to you customer’ license.
If you have a new customer, add it to the list by clicking ”Create new”.

Edit customer
See how to purchase a license in trial and how to set up more trials
Customer users (step 1)It makes sense to give your CRM for Outlook customers access to the customer portal site because they are then able to manage and edit their CRMfO users – this gives them flexibility. Your customer portal users can ONLY see their CRMfO licenses, they can’t purchase, can’t create mor customer portal user and they can only manage the purchased amount of CRM for Outlook licenses!
First, you create the CRMfO license and assign at least 1 CRMfO user to the license.

Customer users (step 2)Secondly, you create the customer portal users under All Customers -> Users. This only makes sense if the customer uses CRMfO as the customer can:- Create new and edit existing CRM for Outlook users for their active CRMfO licenses- See the API-key and download subscription file- Access the download link under ”Resources” -> ”Useful links”
NB: No customer can see the price list, view or renew maintenance!

CRM for OutlookThis is a short way to access your CRMfO customers and only these customers will appear on the dropdown menu. Here, you can see, manage and assign new CRMfO users, access API-key and download subscription.
You can always access the customer from this page and e.g. Assign a new trial or purchase more users.
Please note that you find access to CRM for Outlook material and links to download under ”Resources” -> ”Useful Links”.

New Trial CustomerThis function is practical if your customer is brand new and not created as a customer yet (you can of course always do the same setup under ”All customers” by creating the customer and add the trial(s) afterwards).Once created, the new customer with trial will appear under ”All customers” and this is also where you create additional trials in case the customer wants to explore more products.
*Please do not use this function to create partner licenses as these will only be temporary!! Partner licenses are created by contacting [email protected].

Shop - PurchaseYou place order for customers under ”Purchase” and you can add as many products for as many customers as you’d like and services too.
Place the order on the existing installation number unless you are adding a second license (= second installation number).
You will receive 1 invoice – the amount is our recommended sales price where the maintenance is added and partner margin deducted. You create the invoice(s) for the customer(s) yourself.

Shop - OrdersAll orders are visible in the Portal.
Click ”Show” to see order.
If the order is placed via the Portal, you can always settle payment online and the licenses will be released immediately.

Shop - InvoicesAll invoices are visible in the Portal.
Click ”Download” to get the invoice as a PDF-file.
We recommend that your Accounting Department is set up as portal users under ”My Company” -> ”Users” so they can always see the invoices too.

Services, Coupons and Price ListServices: are only visible if you have purchased Premium Support – the Boyum Portal will give you an overview.
Coupons: are only visible if there are any offers for your area. These can be added for the respective product/ service if available. Contact your regional sales manager if you need more information.
Price List: The price list is available for all our Enterprise products and represents the recommended sales prices for your area. For all purchases (and quotations), the partner margin is deducted and maintenance added.

Maintenance – Renew itYou can renew maintenance all year, but the annual maintenance is renewed from 1st- 31st of January each year. A reinstatement fee will occur by later payments.
You can add all the customers to one invoice only – maintenance paid in the Boyum Portal is charged to the partner. You invoice your customers individually.
It’s not possible to place a new order until maintenance has been renewed for a customer.

Maintenance – See it In order to get a forecast for next year’s maintenance payment, go to “See Maintenance 20xx”.
Here, you can download an excel file which shows a status quo over existing licenses and the corresponding maintenance fee.

My Company - DetailsUnder details you can check your company data to make sure that the correct data is displayed on your invoices and contract.
The reseller agreement can be downloaded from this site too under ”Legal” displayed below on the page.

Partner licensesThe 20 user partner license is free of charge for all signed partners and includes beas, Boyum and Produmex products with 10 available databases. The licenses are renewed every year.

Partner Portal UsersUnder ”Users” you set up new admins for your company’s partner portal site.
Admins/ Portal users can access customers, place orders, see maintenance etc. We recommend that both sales staff, consultants and your accounting department have access to the Boyum Portal.

Person who signed reseller agreement is the legal person
User will receive notifications e.g. about maintenance payment
Users can be restricted to see only some customers (co-admins)

Previous login time is registered
Create new portal users/ adminsYou create new users under ”Create New”. You are being transferred to My Company’s Users site.
Here you decide if the user should be an admin or co-admin. Co-admins are restricted to see only the customers that you decide they should be able to see.
