Important! On many systems you might not be allowed to access the C drive and you may be instructed to save folders and files on another drive, e.g. a network drive. Do not go any further in this exercise until you know which drive your work is to be saved to.

♦ If you have access to the C drive, follow these steps:

— Click the C drive (your hard disk) in the folders list. Windows XP’s security measures might warn you about the importance of the files on this disk and show a link that you have to click if you want to see them. If you see this message, click the link so that you can see the contents of this drive.

— The folders that are part of your C drive are listed in the folders list. They are also listed in the contents pane along with any files that are stored on the drive, but not inside a folder.

— Click the plus shown to the left of the Program Files folder to expand it. This displays a list of the subfolders within the Program Files folder, each representing an application that’s installed on your computer. Since you haven’t selected (by clicking) a folder or another drive in the folders list, the contents of the hard disk are still displayed in the contents pane.

1. Ensure that Internet Explorer is running then click the History button. This button looks like this: .

When the History bar is displayed, the amount of information and the actual information shown will depend entirely on how your computer has been set up and how it’s been used recently. You’ll find, therefore, that although some of the pages that appear on your list are the same pages as those in the illustrations in this exercise, you shouldn’t expect yours to look exactly the same.

The History bar shows the pages you’ve visited today, although you could go back through any of the days or weeks shown on your list. You might have to click Today to see these pages.

Exercise 3.2 Important! If you are working alone, send and forward the messages as indicated in the steps of this activity but address them to your own e-mail account. If you are not working alone, identify a work partner and address the e-mails to them.

Again, the illustrations shown in this activity use the Freeserve e-mail facilities, so the appearance of the screens may differ slightly if you use a different provider or if you use non-internet e-mail.

1. Follow the instructions below to send your first e-mail message. ♦ Make sure that you are logged into your e-mail and that the Inbox is displayed.

Alternatively, if you are using non-internet e-mail, open your e-mail program. ♦ Choose to create a new e-mail message. If you are using Freeserve, you do this by

clicking the Write Mail tab at the top of the page. If you are using Yahoo!, you click the Compose button. Other providers will have similar methods of creating a new e-mail message.

♦ Click in the To box and type the address of the person you’re sending the e-mail to. Remember this address has to be typed exactly as it should be or the message won’t reach your intended recipient.

♦ Click in the Subject box and type Staff Meeting. ♦ Click in the message box and type the following message:

It is important that you attend this meeting, so I'd be grateful if you'd ensure you can be there. There will be a short break around 11am to allow you to pick up any urgent messages, and the meeting will continue until around 12:30pm.

♦ Read over your subject and message to make sure you haven’t made any mistakes and then click Send.

♦ If you’re using Freeserve and the address that you sent the message to hasn’t been added to your Address Book, you’ll be given the chance to add it now. If you want to add the address so that you can use it again later without having to remember or type it, click Save Address(es) and then click the address then the Save button.

In future, when you want to add this address to a message, you would click the Address Book link on the new message screen.

♦ If necessary, click OK to return to the Inbox.

2. Following the instructions below, reply to the e-mail that you’ve just received. ♦ In your Inbox, open the message with the subject Staff Meeting that you’ve just

4. Following these instructions, forward an e-mail to another user. ♦ Choose a message from your Inbox and open it. ♦ Click the Forward button or link.

A new message containing the original text (and any attachments that were part of the original message) is displayed. Because you’re forwarding it to another user rather than replying to the sender of the original message, the address fields haven’t been filled in.

♦ Address the message to the same person as before, this time using the Address Book link if you added them to it.

♦ Add the text Could you deal with this for me, please? ♦ Send the message. ♦ Open and read the forwarded message that you receive. Notice that the original

subject has been preceded by Fw (or perhaps Fwd) to show you that the message originally came from someone else.

5. Follow the instructions below to delete a message from your Inbox and then empty your Deleted Items folder. ♦ In your Inbox, select a message. In Freeserve and Yahoo! you would do this by

clicking in the box to the left of the message. Other providers will have a similar method of selecting individual messages.

♦ Click the Delete button to move the message to the Deleted Mail folder (this folder is called Trash in Yahoo!). You may have to confirm this deletion.

♦ Click the Deleted Mail folder to see the messages that have been deleted from any folder in your mailbox.

♦ Empty the Deleted Mail folder by clicking the Empty link next to it. You may have to confirm this.

6. Following the instructions below, send an e-mail with an attachment. ♦ Create a new message and address it as before. ♦ Type the subject Document for Review ♦ Type the message text Could you have a look over this and let me have your

comments please. ♦ Click the Attach button or link. ♦ Follow your provider’s process to attach the file Company Car Entitlement that’s

stored in the Employee Documents folder in the Internet – Int 1 folder on your computer.

7. Follow the instructions below to read the message and open the attachment. The file that was attached to the message is a Microsoft Word document, so you will have to have Microsoft Word installed on your computer. ♦ Return to the Inbox and notice that the message you received is shown with a

paperclip to show that it has a file attached. ♦ Open the message.

♦ Click the attached file’s name to open it in a suitable program. In some e-mail systems, you click a paperclip next to the attachment name rather than the name itself.

♦ If you’re using Yahoo! Mail, choose to Scan and Download Attachment and then Download Attachment once Yahoo! has checked the message for signs of a virus.

You may have to confirm whether you want to open or save this file. If so, choose to open it.
