How to create a shipment:

1)  Click on ‘Create Shipment’ on the top left of the screen  2)  Select the Country you are shipping to: Parcelhub automatically defaults to GB.

(UK) –  enter the postcode of the destination using the space bar between outbound and inward halves of

the postcode.

Parcelhub’s PAF software will then automatically fill in the street and locality address for that postcode –  enter

a house/unit number if applicable (Numerals only. E.g. Unit 1 becomes 1) 

a.  Confirm the address and enter all mandatory field information using the “tab” key to move between

fieldsb.  Fill out all the mandatory fields (yellow) and remember to include a phone number where possible.c.  If there is no “company name” Parcelhub will auto populate this field with the recipient’s name.  d.  Parcelhub will attain the services that are available for that postcodee.  Select the service that you want

f.  Click on ‘Create Shipment’ at the bottom right of the screen.  g.  You will be given the choice to print the label at this stage. You may wish to leave this for later and

print the label from the “View Shipments” screen.  

3)  (International) –  Select County from the drop-down menu and enter the postcode for the destination

a.  Check that the postcode is the correct length. Failure to do so will result in the parcelbeing returned (and charged at an additional rate).

b.  Complete the address and enter all mandatory field informationc.  Parcelhub will attain the services that are availabled.  Select the service that you wante.  Click on ‘Create Shipment’ at the bottom right of the screen  

4)  Parcelhub will ask you to confirm that the selection is correct5)  A label will then be printed for the parcel6)  Apply the label onto the parcel

How to view your shipments 

1)  Click on ‘View Shipments’ on the left side of the screen 2)  This will retrieve a page summarising all shipments that have been created3)  From here you can also search for an individual shipment using various criteria4)  You can also cancel or print a shipment*

*Please note, DHL do not allow the reprinting of a label once printed.

How to track your shipments

1)  Through Parcelhub Interface:a.  In ‘View Shipments’  –  highlight the shipment and then right click the shipment and click ‘View

Carrier Tracking’ 

b. 

This will take you to the carriers tracking site and give you the latest details on the progressof the parcel

2)  Through Parcelhub Tracking Softwarea.

 

Go to track.phservice.co.uk  b.  Login using your username and password (this will be emailed to you after the installation)c.  You can search by:

i.  Tracking Numberii.  Referenceiii.  Postcode

d.  Each status is colour coded for easy identification

3)  UK Parcels via DHL’s Website a.  Go to http://www.dhl.co.uk/en/express/tracking.htmlb.  Enter the Tracking Numberc.  Click on Submitd.  This will bring back the latest information on that parcel

4)  European Road Parcelsa.  http://www.dhl.co.uk/en/express/tracking.html

b. 

Enter the Tracking Numberc.  Click on Submitd.

How to delete a shipment

1)  If you wish to delete a shipment it must be on the same day that it was created:a.  In View Shipments

i.  Highlight the shipment you wish to delete

ii. 

Click ‘Cancel Shipment’ iii.  Parcelhub will ask you for confirmation

1) 

If you wish to delete a shipment after  the day it was created:a.  Please email Kate Webb on [email protected] and provide:i.  The Tracking Numberii.  The Serviceiii.  The Postcodeiv.  The Contact Namev.  Reason for Deletion requestvi.  A copy of the unused label may also be required

b.  We will confirm that you have not sent anything on that tracking number and a credit can beraised subject to approval.

How to produce an end of day manifest

1)  You will need to produce an ‘End of Day Manifest’ at the end of each day for the information to be

submitted to the service provider2)  Go to End-of-Day and click on the “Create UK Manifest” for all UK shipments, and “Create Euro

Manifest” for all European shipments. 3)  All manifests will be stored and listed in date order on this page for ease of viewing, exporting or

reprinting later4)  Please be aware that the DHL manifest contains little information and is provided as a receipt of

parcels collected that day. Please ensure you driver counts the parcels he collects and then

leaves you with a signed copy of the manifest

How to process a shipment report

1)  Click on the “Shipment Report” button. 2)  In the top left hand corner you will see “Report” drop -down to “Daily Shipment Reports” 3)  Click “OK” and you will be presented with a date range.

4)  Select the required reporting dates and click finish.5)  You will see a printable report. Go to the top left of the pane and there are three options.

a.  Export Report, will allow you to export to Excel and other formats. The “MS

Excel Data Only” option will provide you with your shipment data in a user

friendly format for re-importing into your own system or invoice checking.

b.  Print report on your laser printer.c.  Refresh report, this clears the screen and allows new date ranges to be entered.

CSV Import and Integration

The CSV formats for importing shipments en mass and the Shipment Integration functions will be discussed

prior to installing and can be demonstrated on the day of installing if required.

UK eBay and Amazon file types are supported and with a little work can be smoothly imported to provide afull list of shipments ready to print.

Example import files with generic headers will be left with you and full instructions are included.
