Preparing for installation Before the installation, check the following:

• Ensure that your system fulfills the system requirements listed below. • Ensure that there is enough free space on the disk where FORMS is to be installed. While 100 MB

is the minimum space required for installation, more disk space will be needed when FORMS is in use.

• If FORMS is to be used in a network, read Network installation on page 8. • If you have a previous FORMS installation, follow the instructions on page 7. • Make a backup copy of all the important files on your system.

System requirements FORMS can be used on one PC or in a network of them, with one or more scanners connected. FORMS supports the following environments:

Web browser

Microsoft Internet Explorer (version 5.5 or later) is required in order to run the Form Definition Guide that is included with FORMS.

Database servers

Install your database product, following the instructions that came with it.

• Microsoft SQL Server 2008 Express, Standard, or Enterprise Edition

• Microsoft SQL Server 2005 Express, Standard, or Enterprise Edition

Purchase and install your database product before you install FORMS. We recommend an operating system from the Microsoft Windows 2003 Server family. Refer to Installing and Configuring Microsoft SQL Server, a ReadSoft document that is available on the installation CD. On the main menu of the autorun program, click Documentation. Then click the document name.

Ensure that the latest service pack of the database product is also installed.

Scanners, scanner cards and scanner drivers Your scanner and scanner card are important components of your FORMS processing solution. Only scanners and scanner interfaces recommended by ReadSoft are supported.

Scanners

FORMS supports scanners from these manufacturers:

• Böwe Bell + Howell

• Canon

• Fujitsu

• Kodak

• Panasonic

• Ricoh

• InoTec

Note that Kofax Virtual ReScan (VRS) is generally not recommended for use with FORMS because of its buffering process. Vista is only compatible with Kofax VRS 4.1 SP2. If you do use VRS, refer to Installing and Configuring Virtual ReScan (VRS) (file name: Installing Virtual ReScan v41SP2.pdf), a ReadSoft document that is available on the CD. The document describes how to install and configure VRS for use with FORMS.

For information about the use of specific scanners with FORMS, see FORMS Help. If you do not find what you need there, get more information about certified scanners from one of these sources:

Scanner drivers

Install the scanner drivers that were supplied with your scanner.

Note: Scanners connected using an ISIS interface tend to continue scanning even after they have received a signal to stop. For example, if you click Stop while running a job, FORMS cannot stop the scanner until it has scanned a few extra pages. When you are scanning a batch, the scanner continues to scan even after the number of pages you indicated for your batch has been scanned. This ScanAhead behavior (and how to deal with it) is documented in FORMS Help.

Scanner interfaces and their drivers

FORMS requires one of the scanner interfaces listed below, depending on which scanner is chosen.

Kofax cards

• Adrenaline 450 or 650i (SCSI)

• Adrenaline 850 or 1700 (video & SCSI)

Note: FORMS always tries to scan using the scanner selected as the “default” scanner in the Kofax Scanner Configuration Tool (found on the Control Panel—or select Start All Programs Kofax VRS Scanner Configuration Utility). Ensure that your scanner is set as the default scanner before scanning with FORMS. See Installing and Configuring Virtual Rescan (VRS) (file name: Installing Virtual ReScan v41SP2.pdf) for more information.

For information about installing your scanner card, see the instructions supplied with it. To use Adrenaline cards or to simply get the Kofax scanner drivers and runtime, install Kofax VRS 4.1 SP2 or later.

The latest VRS drivers can also be obtained from Kofax’s website at www.kofax.com. You can also contact your local dealer, or ReadSoft AB in Sweden, or obtain drivers from http://www.readsoft.com/services/support.htm.

Other SCSI cards

• Adaptec 29160N (While AHA-2940AU or AHA-154x can be used, Adaptec 29160N is generally recommended.)

• Adaptec 29160 for scanners with Wide SCSI (68 pins) contacts, such as Fujitsu FI-4860C, Panasonic 905C, and Kodak i800 Series scanners.

Adaptec 29160N and 29160 must be installed like this:

1. Install the scanner card according to its installation guide.

2. Connect the scanner, turn it on, and restart the PC.

3. Install FORMS and select the appropriate scanner.

For more information about installing your scanner card, see the instructions supplied with it.

FireWire

Certain scanners require FireWire, for example Kodak scanners in the i200 and i600 series. Use FireWire IEEE 1394. The manufacturer’s standard scanner installation is supported.

USB 2.0

Certain scanners require USB, for example Kodak i30/i40 and Canon 2580C. Use USB 2.0. The manufacturer’s standard scanner installation is supported.

Obtaining additional information before performing a major upgrade

Important: If you are upgrading from FORMS 4.1x or FORMS 5-1 to FORMS 5-3, first see Upgrading to FORMS 5-2 from a previous version and then Upgrading to DOCUMENTS |FORMS 5-3. The first document in particular contains special instructions and explains issues that you should be aware of. You can obtain this document from ReadSoft. Upgrading to ReadSoft DOCUMENTS | FORMS 5-3 is found on the installation CD.

If you are upgrading from one release of FORMS 5-3 to another, for example from one service pack to another, then you do not need these documents.

Replacing an existing version

Whatever the prior version of the software on the disk, complete these steps before you install the new version:

1. If you are upgrading a network installation, you may need a new FLEXlm license file from ReadSoft. See “For network installations: Installing FLEXlm” on page 16 for more information.

2. Interpret, verify, and transfer all existing forms until there are no more forms left in the databases.

Export all form definitions, set definitions, batch definitions, and tables that you need for future. To do this, open the Manager and select Administration Export definitions. Further instructions are provided in FORMS Help.

3. Job description files from version 4.1x are compatible with FORMS 5-3. Copy the files to a separate directory before installation.

4. Transaction description files and batch report layout files from previous versions are compatible with FORMS 5-3. If you have any you want to continue using, copy the .trs and .bjb files to a separate directory.

5. We recommend that you remove previous versions of FORMS, or that the new version be installed in a new directory and all databases also be placed in new locations.

To remove previous versions of FORMS, open the Control Panel and double-click Add/Remove Programs. Then choose Eyes & Hands FORMS from the list and click Add/Remove. If you are installing a later version (such as a service pack for FORMS 5-3), you select ReadSoft DOCUMENTS | FORMS in the list, instead. All files associated with the older version are deleted, as are changes that were made to system files.

Network installation FORMS can be installed in a variety of networks. It can be run from a local disk or from a network drive. Its performance depends on conditions such as the capacity of the network and file server, as well as the number of workstations.

The most common way of running FORMS with multiple users is to install the databases on a shared database server. This allows multiple users to access the FORMS system at the same time.

Install the database server before you install FORMS on each PC. See “Database servers” on page 5.

Below are some tips that can improve performance when the volume of forms is high.

Setting up the system • Run Microsoft SQL Server on its own server (Microsoft Windows Server 2003) rather than on the

Workstation itself.

• Ensure that the server is dedicated to the database. (See “Dedicating the server to the database” on the next page.)

• Use only TCP/IP.

• For improved performance, use UNC paths instead of mapped drives (“R”). For example, after you install FORMS, change the path specifications in the [Directory] section of Ehlocal.ini (see page 18) to look like this:

[Directory] Images=\\ServerUncName\Img FieldImages=\\ServerUncName\FieldImg etc.

Managing images • Store image files on a different server, separate from the database.

• When you choose how to store scanned documents (the Storage option in Scan job descriptions), consider the question carefully. You find the alternatives for storing scanned documents in FORMS Help.

• If you export form images from FORMS, create subdirectories every X number of forms (for example every 1000 forms). This shortens the time taken for your operating system to search for a file. Refer to FORMS Help for further information about exporting image files and creating subdirectories.

Dedicating the server to the database Use this procedure on Windows 2003 Server:

1. Choose System on the Control Panel.

2. Click the Advanced tab.

3. Under Performance, click Settings.

4. On the Advanced tab, select Adjust for best performance of Programs.

Setting up users and user groups As one part of configuring your network, create a unique Windows user name for each FORMS user and include the users in FORMS-oriented groups. This is useful when the volume of forms is high.

Including users in program-oriented groups requires system administration knowledge. Refer to Windows online help for further information about user names and groups.

Benefits

• Permissions can be used to prevent unauthorized users from accessing sensitive data on shared FORMS network resources.

• You can use Windows’ messenger service. Examples:

c:\>net send /users "The server will be rebooted in 5 minutes. Please log out of FORMS."

c:\>net send john.smith "Scanner number 4 needs attention."

• You can use VBA and batch files to make FORMS report to users. Example:

OnJobNoMoreForms: Shell NoMoreForms.bat

Recommended procedure

• Create a unique Windows user name for each user who will work with FORMS.

• Work out five different groups of users that correspond to the five different FORMS modules, as shown in the table below.

• Include each user in one or more of these groups, assigning the permissions recommended in the table, depending upon the user’s role in the FORMS system.

The permissions are:

• R (Read)

• W (Write)

• D (Delete)

• Change (All permissions)

Automating the user environment • User profiles: Define user profiles that contain a specific set of system settings, including the

desktop layout, system menu configuration, etc. You can limit access to FORMS applications and job files. User profiles stored on a server allow users to use any PC.

• Home directories: Create a directory for each user. This way you can create a working directory of jobs that you want that individual to use. For example:

\\BigServer\JobsForSusan

• Login scripts: If you are processing one form all the time, write a command file that runs automatically each time specific users log in. This allows you to ensure that specific operations are always performed at that time. The command file can load FORMS modules with a specific job file. Use the /s and /d options with batch files. For example:

Fine-tuning the network All FORMS modules share one small, crowded pathway to the server. Since they all wait for a response from the server many times, the wait must be minimized.

Ethernet principles

An Ethernet workstation can send data packets only when no other packets are traveling on the network. If multiple stations sense an opening and start sending at the same time, a “collision” occurs. Each station then waits a random amount of time and then tries to resend its packet. After 16 consecutive failed attempts, an application trying to send a packet must start again.

In the case of FORMS, the application reports that contact has been interrupted and that the module must be restarted. As the number of collisions increases, errors and subsequent retransmissions grow quickly, causing a snowball effect.

Fast Ethernet communication means that the greater bandwidth allows for more and larger packets, and they can travel faster, but collisions still occur. When more than 50% of the network is used, congestion begins. Too many collisions slow the network and packets are lost. When more than 60% of the network is used, the network can grind to a halt. The solution is to use switched Ethernet.

Switched Ethernet

In an unswitched network, all packets go to all destinations. In a switched network, packets go to only their specified destination. Experience has shown that the return on investment greatly outweighs the cost of a switched network. Collisions no longer occur since packets have a regulated path to their destination.

Tips for configuration:

• Connect servers and workstations to the same switch to prevent bottlenecks and errors across switch-to-switch links.

• Use high-quality hardware and cables.

Flexible license manager If you run FORMS in a network, you need only to install FLEXlm license manager software on a server that is reachable from your FORMS clients. FLEXlm is included on the installation CD.

Database maintenance and backup Normally, the databases do not require operator intervention. However, if there is a power failure, or if a FORMS process is terminated unnaturally for any other reason, the databases themselves can become corrupt. In most cases, the network database server handles such situations and you need only restart the FORMS process or processes.

Nevertheless, it is essential that you establish and carry out maintenance and backup routines that are appropriate to your system. For more information about database backup, error prevention and troubleshooting, please refer to:

• FORMS Help (look up “database” in the index)

• One of ReadSoft’s documents, mentioned under “Database servers” on page 5, depending on which database product you installed.

Automated workstation installation (silent install) You can install FORMS in silent mode using the command line, but this is only recommended for installers that are very familiar with this process. Using this mode, no dialogs (or very few) are displayed during installation. See “Installing FORMS 5-3 with silent install” on the installation CD for more information.

Note: The ability to record an installation and play it back on multiple client stations that was available in previous versions is no longer available. FORMS configuration settings have been moved to a separate configuration program.

Manual installation During the installation procedure, follow the instructions on the screen.

Warning: If there is a prior version of FORMS on the disk, make sure you carry out the steps specified on page 7 before installing the new version.

1. Exit all Windows programs.

2. Insert the installation CD. The installation menu appears.

If the installation program does not start automatically, click the Run command on the Start menu and specify X:\AUTORUN as the program you want to run, where X is the drive letter for the CD-ROM drive. Then skip to step 5.

3. Click Install Software.

4. Click ReadSoft DOCUMENTS | FORMS 5-3.

5. Click Next.

6. Read (click Print to print the terms) and accept the terms in the license agreement, and click Next. If you do not want to accept the terms in the license agreement, click Cancel to close the installation.

7. Click Install to continue with the installation. The installation dialog displays the progress.

8. Click Finish to complete the installation.

9. FORMS must be configured before it can be used. Click Start All Programs ReadSoft ReadSoft DOCUMENTS FORMS 5-3 Configuration Configuration Tool to start the configuration process. See Installing and Configuring Microsoft SQL Server for Use With ReadSoft Products for more information.

FORMS is now installed. Keep the software CD in a safe place.

If you are performing a network installation, you must now set up your databases as described in the separate documentation mentioned under “Database servers” on page 5, depending on which database product you installed.

Post-installation setup

Installing FORMS service packs After you have installed FORMS from the CD, you can check for service packs that include the latest upgrades. Refer to ReadSoft’s website (http://www.readsoft.com/customer/forms/upgrades_forms5.htm – and you will need your customer password) or your local ReadSoft representative for details.

After you obtain a service pack, simply execute it on the PC where FORMS is installed.

Installing scanners Install your scanner and the driver supplied with it, if you have not already done so.

For network installations: Installing FLEXlm In order to use FORMS in a network, the FLEXlm flexible license manager software that is included on the FORMS installation CD needs to be installed on a server that is reachable from FORMS clients. It ensures that the maximum number of simultaneous users does not exceed the licensed number of users.

In most cases, a hardware dongle also needs to be connected to the server. You receive one of two types of dongle from ReadSoft:

• A parallel port dongle.

• A USB dongle. Important: Do not insert the USB dongle into the server until you have followed the installation procedure described in Installing and Configuring FLEXlm for use with ReadSoft FORMS (mentioned below).

If you receive a license file with a time limit and no dongle number, you will not need a hardware dongle at all.

In either case, FLEXlm makes FORMS available anywhere on a network, which provides a flexible working environment in FORMS, because FLEXlm ensures that the maximum number of simultaneous users does not exceed the licensed number of users.

For installation instructions and background information, see Installing and Configuring FLEXlm for use with ReadSoft FORMS, available on the installation CD. On the main menu of the CD’s autorun program, click Documentation. Then click Installing FLEXlm for FORMS. For any other information about FLEXlm, contact your ReadSoft representative.

For single workstations: Connecting the hardware dongle For a single workstation, you only need to install FORMS locally, and connect a parallel-port or USB dongle to it. In the case of the parallel port dongle, connect it so that the arrows on the bottom of the dongle point toward the computer. If there is a local printer connected to the parallel port, connect the dongle to the computer, and then the printer to the dongle.

Creating and initializing the databases If you did not let the installation program create and initialize the databases (see step 9 on page 16), you should do it yourself, unless you installed the program in the same directory as an earlier installation of FORMS.

Warning: Make sure this step is completed before importing any form definitions, set definitions, and tables that you saved from a previous installation.

To initialize the databases, start Manager and select Administration Clear/initialize databases.

Restoring objects from an earlier version of FORMS If there was a prior installation of FORMS, carry out the following steps after the databases have been initialized (see above):

1. Import the form definitions, set definitions, batch definitions, and tables from the exported file into FORMS’ databases.

To do this, open the Manager and select Administration Import definitions. Further instructions are provided in FORMS Help.

2. If you saved any job description files from a previous installation in a separate directory, move them back to the new Jobs directory after installation.

3. If you saved any transaction description files or batch report layout files from an earlier version, move them back to the new Jobs directory after installation.

Editing the initialization files The installation program creates three INI files for FORMS (Ehlocal.ini, Ehglobal.ini, and Ehcharset.ini). If an existing Ehlocal.ini file is found in the default location when FORMS 5-3 is installed, it is replaced by a new Ehlocal.ini file. However, a backup of the existing file is saved in the same folder with the name Ehlocal.ini.bak.

If FORMS does not work after the installation, check the descriptions of the INI files in FORMS INI File Help and make sure that INI settings are used properly. In addition, make sure that you have made the modifications mentioned below.

Warning: Modifying or re-installing the program can automatically affect the content of Ehlocal.ini. See “Other installation options” on page 21 for more information. To be certain, always save a copy of the file to another location before changing the installation.

Ehlocal.ini: Making adjustments for DLLs

The settings for each workstation are saved in the Ehlocal.ini file:

• Windows XP default location: C:\Windows

• Windows Vista default location: C:\Users\Public\Readoft\FORMS

The settings are made after installation using the Configuration Tool and normally do not require manual changes. The [Directory] section of Ehlocal.ini after a default installation is described in FORMS Help.

The installation program does not set any paths for external DLLs in Ehlocal.ini. If you are going to use external DLLs, we recommend that you put DLLs in either the directory you specify on the ExternalDLLs line or the directory specified on the Programs line, because FORMS searches for DLLs in those directories in that order.

The exception is a DLL to be used for external formats for character and mark fields. Type the name and path of this DLL on the FormatDLL line.

Ehglobal.ini and Ehcharset.ini: Moving the files to a central location

Settings that apply to all workstations in an installation, such as shared paper sizes, are saved in Ehglobal.ini. Character sets and other settings interpreting different languages are saved in Ehcharset.ini (see more information in “Ehcharset.ini: Adjusting which characters are to be interpreted”, below). These two files are located in FORMS’ root directory.

If you installed FORMS in a network and did not specify a central location for Ehglobal.ini, then settings that you want to adjust in these two files must be made at each workstation in order to take effect.

To avoid this necessity:

1. Move Ehglobal.ini and Ehcharset.ini from FORMS’ root directory to a network server.

2. At each workstation, open Ehlocal.ini and change the GlobalPath= line to specify the path where the files are now located. This can also be done using the Configuration Tool if it is installed on the workstations.

Ehcharset.ini: Adjusting which characters are to be interpreted

Ehcharset.ini contains character sets and other settings for interpretation of different languages. The file is located in FORMS’ root directory or in a central location (see above).

The [General] section specifies all the languages (character sets) that FORMS can interpret. In most cases, FORMS uses the character set for the language listed for DefaultCharSet= in Ehglobal.ini.

You can adjust character sets and language settings without leaving FORMS. See FORMS Help for more information.

Setting up user authorization FORMS has a user authorization system (login system) that is disabled by default. The default user “admin” should be deleted after you set up your own user authorizations. The password for admin is “secret”. To change user control settings, select Settings User authorization. When user authorization is enabled, a user who starts FORMS must enter a user name and password. If the wrong user name or password is entered, the module is closed.

When the user authorization system is on, FORMS keeps track of the most recent user to change each form. To obtain this information as output, the #UserName field must be included in the form definition’s transaction description.

Define authorized users in the Users object bar area. You can find instructions in FORMS Help.

Selecting a scanner The first time FORMS is used after installation, you must select the scanner to be used.

1. Start the Manager. The Scanner settings dialog appears automatically.

2. Click Select scanner.

3. Select the name of your scanner from the list.

4. Click OK twice to exit the Select scanner and Scanner settings dialogs.

Troubleshooting If FORMS does not work after installation, verify that you have followed the installation instructions, and that you have read the Readme file and followed the instructions there. The most common problems are described below.

FORMS cannot be started

This is usually because the program’s databases were not initialized. See page 17.

If FORMS is installed on a network computer, it is possible that Windows uses other INI files than those that have been updated by the FORMS installation program.

FORMS can be started, but the scanner does not work

Usually, this is due to a faulty connection between the scanner and the PC or a conflict between the scanner card and another card in the PC.

If you are using a Kofax scanner card: FORMS always tries to scan using the scanner selected as the “default” scanner in the Kofax Scanner Manager utility (KSM, found on the Control Panel—or select Start All Programs Kofax VRS Scanner Configuration Utility). Ensure that your scanner is set as the default scanner before scanning with FORMS. Otherwise you will get an error message.

Check the cable connections. Make sure the scanner works when you run the demo program that came with the scanner card. If it does not work, you probably have a hardware conflict (Base address or IRQ).

Port connection problems on Windows XP Service Pack 2

Because of its built-in firewall, Microsoft Windows XP Service Pack 2 prevents some ReadSoft products, or products with which they are integrated, from working properly.

If you encounter problems, please see Using Windows XP Service Pack 2 with ReadSoft Products, which is available on the installation CD and in C:\Program Files\ReadSoft\Documentation\Other after installation. The file name is Using Windows XP SP2 with ReadSoft Products.pdf.

Modify (XP) – Change (Vista) In XP, this alternative is available from Control Panel Add or Remove programs and in Vista, it is available from Control Panel Programs Programs and features. It also becomes available if trying to install the same version that is currently installed. If it is used, features (modules) can be added or removed.

If these options are deselected, the items will be removed from the installation.

Note that Ehlocal.ini is not modified using this alternative.

Repair

In XP, this alternative is available from Control Panel Add or Remove programs and in Vista, it is available from Control Panel Programs Programs and features. It also becomes available if trying to install the same version that is currently installed. It restores the previous installation including the default values, any missing or corrupt files, shortcuts, and registry entries.

Warning: If the default values for the following settings in Ehlocal.ini have been modified (either by hand or by using the Configuration Tool) since the program was installed originally, they are restored when using this installation option.

• All path settings in the [Directory] section.

• The Language setting in the [Settings] section.

Any other section(s) that have been added to or modified in the file, however, remain intact. Therefore, if you want to keep changes that were made to any of the default values listed above, save a copy of Ehlocal.ini to another location before you use Repair so that you can replace the file when the installation is complete.

Remove (XP) – Uninstall (Vista) In XP, this alternative is available from Control Panel Add or Remove programs and in Vista, it is available from Control Panel Programs Programs and features. It also becomes available if trying to install the same version that is currently installed. It removes the current installation. However, files that have been modified or that are added afterwards are left in place. This means that plug-ins and other files that are added afterwards and do not belong to the original installation are left.

If Ehlocal.ini has been modified, for example, either manually or by using the Configuration Tool, it will not be removed from the computer.

Note: If you then reinstall FORMS 5-3, the existing Ehlocal.ini is saved in the same folder as Ehlocal.ini.bak, and a new default version is installed instead.

Upgrade This installation alternative is only available when trying to install a FORMS 5-3 version that is newer than the one currently installed. Only those features that are currently installed are upgraded.
