INTRODUCTION - WIRE TRANSFERS

The Wire Transfer system enables you to initiate, approve, modify, and delete wires, both internationally and domestically (U.S.). Other functions include the ability to generate reports showing transfers and templates, and an Import/Export option that provides the ability to import wire transfer records and wire templates into CashManager OnLine.

Processing time for outgoing wire transfers is between Monday thru Friday, 8:00 a.m. (EST) and 5:00 p.m. (EST).

For international wire transfers, please allow up to ten (10) business days before inquiring about non-receipt of funds from the beneficiary.

Correct and complete wiring instructions need to be obtained from the beneficiary. These instructions include: bank routing number, bank name, bank address (international), beneficiary account number, beneficiary name, and beneficiary address.

Special characters such as !@#$%^&*()_+={}\?><~`[] and | are not allowed. Only letters, numbers, commas (,) and decimals (.) are allowed.

Field labels preceded by an asterisk (*) are required fields.

CREATE WIRE FROM TEMPLATE

An active template is required.

The following procedures are to create a wire from a template:

1. Go to Wire Transfer, Create / Maintain Wire and click From Template.

2. The Create Wire From Template screen is displayed.

No.|Account Name|Curr from the drop-down menu. 4. Click the Search button. 5. The Create Wire From Template Results screen is displayed.

FREE-FORM FED WIRE

Suggestion: These type of wires should be primarily used as a single event domestic transaction.

The following procedures are to create a U.S. wire from a free-form. A free-form wire is also known as a non-repetitive wire transfer:

1. Go to Wire Transfers, Create/Maintain Wire; and click Free Form.

2. The Wire Message Type Selection screen is displayed.

3. Click on FED for a wire transfer within the United States or its territories. 4. The Create FED Free Form screen is displayed.

5. Verify the Message Type is Fed. 6. Select the BB&T account to be debited from the drop-down menu. 7. Enter the amount of the wire transfer in the Amount field. 8. Enter the date of the wire transfer in the Value Date field by entering the date (dd-mmm-

yyyy, e.g., 27-MAR-2003), or click on the calendar icon to select the date from the calendar box.

9. Verify Curr is USD. 10. In the Beneficiary Information section, click on the Bank Search button. 11. The Bank Search Criteria window is displayed in a separate browser window.

Bank Search Criteria window 12. Select “F” in the ID Type field. 13. Enter data in one or more of the following fields: ID (routing number/ABA), Bank Name,

City, State or Providence, Postal Code or Country. 14. Click the Search button. 15. The Bank Search Criteria screen is displayed.

Create FED Free Form screen. 19. Enter the Beneficiary Account number. (maximum 20 characters) 20. Enter the Beneficiary Name. (maximum 35 characters) 21. Optional: Enter the Beneficiary Address (3 fields available). (maximum 35 characters per line) 22. Optional: Enter any payment details in the Payment Details 1 and Payment Details 2.

If an Intermediary Bank is required, click the Bank Search button in the Intermediary Bank section and repeat Steps #11 through #17.

23. Scroll down to the Originator section. This section is automatically filled with the user’s information, however it can be modified.

24. Click the Preview button to verify entries. 25. The Create FED Wire Preview screen is displayed with the entered data to be reviewed.

FREE-FORM INTERNATIONAL WIRE

Suggestion: These type of wires should be primarily used as a single event international transaction.

The following procedures are to create an international wire from a free-form, this type of wire is also called a non-repetitive wire transfer:

1. Go to Wire Transfers, Create/Maintain Wire; and click Free Form.

2. The Wire Message Type Selection screen is displayed.

3. Click on INT for a wire transfer within the United States or its territories. 4. The Create Free Form INT screen is displayed.

Create Free Form INT screen 5. Ensure the Message Type is INT. 6. Select the BB&T account to be debited from the drop-down menu. 7. Enter the amount of the wire transfer in the Amount field. 8. Select the currency of the wire transfer from the Curr drop-down list.

9. The currency will determine the earliest effective date, or you can enter the date of the wire in the Value Date field by entering the date (dd-mmm-yyyy, e.g., 27-MAR-2003), or click on the calendar icon to select the date from the calendar box.

10. The Exchange Rate is automatically calculated, depending on the selected currency. 11. The Debit Amount is automatically calculated, depending on the entered amount and

selected currency. 12. Scroll down to the Beneficiary Bank section.

13. Optional: Enter the Bank ID, such as the SWIFT or CHIPS code. 14. Enter the Bank Name. (maximum 34 characters) 15. Enter the Bank Address. (maximum 35 characters per field) 16. Scroll down to the Beneficiary section.

Beneficiary section 17. Enter the Beneficiary Name. (maximum 34 characters) 18. Enter the Beneficiary Account Number. 19. Enter the Beneficiary Address. (maximum 35 characters per field) 20. Optional: Enter any payment details in the Payment Details 1 and Payment Details 2.

If the operator elect to include a US Intermediary Bank, complete Steps #21 through #28.

information. 27. Scroll down to the Originator section. This section is automatically filled with the

user’s information, however it can be modified. 28. Optional: Scroll down to the Regulatory Reporting section. This section is can be used

for additional instructions. 29. Click the Preview button to verify entries. 30. The Preview International Wire screen is displayed.

APPROVE WIRE

This function allows you to approve wire transfers that you are entitled to approve. You will be given a choice of approving or skipping each displayed transfer. The following procedures are to approve entitled wire transfers:

1. Go to Wire Transfer, Create / Maintain Wire and click Approve.

2. The Approve Wire(s) List screen is displayed.

A. To review a wire, select the check box next to the wire to be reviewed in the Review column. To review all wires, select the check box in the heading.

B. To approve a wire, select the check box next to the wire to be approved in the Approved column. To approve all wires, select the check box in the heading.

7. Click the Submit button. 8. One of the following will occur:

A. If the wire is being reviewed, the Approve Selected Wire(s) screen is displayed. Go to Step #10.

B. If the wire is being approved, the Approve Selected Wire(s) Results screen is displayed with the total number of wires selected, the total number of pending and released wires, and details for each wire.

9. Click the OK button. 10. If there are wires to be reviewed, the details for the first wire are displayed on the Review

Selected Wires screen. 11. Do one of the following:

A. Click the Approve button to approve the wire. B. Click the Skip button to skip the wire without approving it. C. Click the Cancel button to return to the main menu.

13. Repeat Step #11 to review each wire. After all wires have been processed, you will return to the main menu.

MODIFY/DELETE WIRE

Wires that have been released cannot be modified or deleted. This function allows you to make changes or delete a previously entered wire. When the wire is modified, the original wire is actually deleted and a new wire is generated with a new control number. Therefore, the modified wire may need to be approved according to the pre-established approval requirements. The following procedures are to modify/delete wire transfers:

1. Go to Wire Transfer, Create / Maintain Wire and click Modify / Delete.

2. The Modify/Delete Search Criteria screen is displayed.

3. To narrow the search parameters, specify criteria in one or more of the following fields:

• Value Date • Amount • Debit Account Number • Currency • Sequence Number • Message Type • Beneficiary Name

4. Click the Search button. 5. The results of the search display in a list on the Modify/Delete Wires screen.

6. Click on the Beneficiary Name hyperlink to select the wire to be modified or deleted. 7. The Modify / Delete XXX Wire screen is displayed.

8. Do one of the following.

A. To modify the wire, go to Step #13. B. To delete the wire, go to Step #9.

9. Click the Delete button. 10. The Delete Transfer screen is displayed.

CREATE FED TEMPLATE

Suggestion: Templates should be primarily used, if a wire is going to be initiated on a regular or consistent basis.

The following procedures are to create a FED (domestic) template:

1. Go to Wire Transfer, Create/Maintain Template and click on Create New.

2. The Template Message Type Selection screen is displayed.

3. Click FED to begin creating a Fed template. 4. The Create FED Template screen is displayed.

5. Enter a template ID in the Template ID field. (1 word containing 1 to 10 alphanumeric characters) 6. Enter a name for the template in the Template Name field. (maximum 34 characters)

7. Select the number of secondary approvals required when using this template from the Number Approvals list.

8. Enter the maximum dollar amount that can be entered when this template is used in the Transfer Limit field. (value - 0.01 to 9,999,999,999.99)

9. Enter a Template Level. (value – 1 to 999) 10. Ensure the Message Type is FED. 11. Select an account to debit. 12. Enter the maximum daily cumulative limit for this template in the Cumulative Limit

field. 13. Verify the currency as USD. 14. Go to the Beneficiary Information section.

15. Click Bank Search by the Beneficiary Bank section. 16. The Bank Search Criteria window is displayed.

CREATE DRAW-DOWN TEMPLATE

Suggestion: Templates should be used primarily if a wire is going to be initiated on a regular or consistent basis.

The following procedures are to create a draw-down template:

The purpose of a Draw-Down template or wire is to send a wire transfer to another bank to debit an account. This account will most likely reside at, but is not limited to, the originating company’s secondary account at a secondary bank. The procedures are the same as create a FED template, except for the wording. Instead of “FED” you will see “DRAW”. See Create Fed Template.

CREATE TEMPLATE FROM EXISTING

The following procedures are to create a new template from an existing template:

1. Go to Wire Transfers, Create / Maintain Template and click Create From Existing.

2. The Create Template From Template Search screen is displayed.

upon: A. Enter the first few characters of the Template ID. B. Select the message type from the Message Type list. C. Select an account number.

4. Click the Search button. 5. The results of the search are displayed in the Create Template From Template List.

The following procedures are to approve a template:

1. Go to Wire Transfer, Create/Maintain Template and click on Approve.

2. The Approve Template(s) List screen is displayed.

A. To review a template, select the check box next to the template to be reviewed in the Review column. To review all templates, select the check box in the heading.

B. To approve a template, select the check box next to the template to be approved in the Approve column. To approve all templates, select the check box in the heading.

4. Click the Submit button. 5. One of the following will occur:

A. If selected for approval, the Approve Selected Template(s) Results screen displays the confirmation details for those selected templates. Go to Step #6.

the details of the first listed template. Go to Step #8.

6. Click the OK button. 7. If the templates have been approved, you will return to the home screen. 8. Do one of the following:

A. Click the Approve button to approve the template. The Approve Selected Template(s) Results screen is displayed. Click the OK button.

B. Click the Skip button to skip the current template without approving it and to review

the details for the next template. C. Click the Cancel button to return to the main menu.

9. Repeat Step #8 to review each template. After all templates have been processed, the main menu is displayed.

MODIFY/DELETE TEMPLATE

The following procedures are to modify/delete templates:

1. Go to Wire Transfer, Create / Maintain Template and click Modify/Delete.

CREATE QUICK ENTRY WIRE

Existing templates are required. International templates cannot be used in the Quick Entry Wire function.

The following procedures are to create multiple wires simultaneously:

1. Go to Wire Transfers, Create / Maintain Wire; Quick Entry and click on Quick Wire

Entry.

2. The Quick Entry screen is displayed.

3. Enter a Template ID or enter at least the first character of the ID and click on the magnifying glass symbol to search. A separate browser window is displayed with all of the results. Click on the Template ID hyperlink. The ID will pre-fill in the field.

4. If the date is to be changed from the default (current day), enter the date for the wire to be sent in the Value Date field (dd-mmm-yyyy, e.g., 27-MAR-2003), or click on the calendar icon to select the date from the calendar box.

5. Enter the amount of the wire in the Amount field.

Repeat Step #3 through Step #5 for each transfer to be submitted.

6. Click the Submit button to submit batch. 7. The Quick Entry Approve Results screen is displayed. It will display the total number of

CREATE GROUP QUICK ENTRY WIRE

An international template cannot be used as a group quick entry wire. The following procedures are to create multiple wires simultaneously. This function is very similar to "Quick Entry Wire". The difference is that with this function, the user does not have to enter the template ID. The template ID is included in a group that is previously created by the user or another authorized user. To use this function, a template(s) is required.

1. Go to Wire Transfers, Create / Maintain Wire; Quick Entry and click on Quick Wire

2. The Group Quick Entry screen is displayed.

Deleted Transfer was deleted prior to processing.

Pending Transfer has an assigned sequence number, but needs additional approval before further processing can occur.

Released Transfer has all necessary approvals, has been assigned a control number, and has been accepted by the wire system. A transfer in a Released state will have additional statuses assigned to it by BB&T.

Expired Transfer was not processed by its assigned value date.

ABA Number – A nine-digit bank identifier (also known as transit or routing number) Account Analysis – An analysis performed to determine the profitability of each demand account to the bank. The analysis may also be used to determine the profitability of a group of demand accounts with the same owner. Account analysis is normally performed by the bank, but can be done by anyone in the depositor's organization provided sufficient information is available. The analysis identifies the net earnings based on the average daily ledger balance less reserved requirements and float. The net earnings can then be compared with the various activity service charges based on the volume of transactions and the per item price of the services. ACH (Automated Clearing House) – A nationwide network of financial institutions that sends electronic messages to transfer money between two parties. Addenda Record – An electronic record, which is attached to an ACH payment entry, used for the purpose of transmitting payment related information. ANSI (American National Standards Institute) – A private, non-profit organization that administers and coordinates the U.S. voluntary standardization and conformity assessment system, to include national and international standards for electronic transaction formats that are used in electronic data interchange (EDI). www.ansi.org ANSI X9.17 – Standards for authentication and key management. These standards are maintained by the American National Standards Institute and can be found at the Computer Security Resource Center (www.csrc.nist.gov).

ANSI X12 - Standards that regulate electronic data interchange (EDI), as governed by the American National Standards Institute Accredited Standards Committee. ASCII (American Standard Code for Information Interchange) – The most common format for text files in computers and on the Internet. In an ASCII file, each alphabetic, numeric, or special character is represented with a 7-bit binary number (a string of seven 0s or 1s). 128 possible characters are defined. BAI Format – A file format developed by the Banking Administration Institute that is used to transmit data information. www.bai.org Batch – The transmission or processing of a group of payment orders as a set at discrete intervals of time (as opposed to real-time processing). Cash Management – One or a combination of various techniques for accelerating cash receipts, delaying cash disbursements, effectively utilizing banking services, managing or augmenting liquidity, increasing the amount of cash available for investment, and/or increasing returns from liquid investments. CCD (Cash Concentration/Disbursement) – A (SEC) Standard Entry Class that can be either a credit or debit, where funds are either distributed or consolidated between corporate entities. This class is also used for the payment of state and federal taxes. CHIPS (Clearing House Interbank Payment System) – An international wire-system for high-value payments operated by a group of major banks. CSV (comma-separated values) – A file containing the values in a table as a series of ASCII text lines, organized so that each column value is separated by a comma from the next column's value and each row starts a new line.

CTX (Corporate Trade Exchange) – A (SEC) Standard Entry Class, either credit or debit, that is used to pay trading partners and accompanied by addenda records that relay information. Closing Available (collected) – The portion of the commercial account ledger balance for which a hold time allowing for the collection and return of deposit items has elapsed.

Closing Ledger – Total Float = Closing Available Balance or “Collected Balance” Closing Ledger (ledger or book balance) – A commercial account balance that is the result of the total debit and credit activity as of a specific date and time. There is no indication of funds availability or usability. This is sometimes referred to as book, gross, or statement balance.

Opening Ledger + Total Credits – Total Debits = Closing Ledger Balance Correspondent Bank – A bank that serves as a depository and provides banking services for another bank. See Intermediary Bank. Current Ledger – This figure is subject to change throughout the day to reflect current day Memo Debits and Memo Credits. Data Exchange – A method by which multi-bank reporting is gathered and presented to the respected user. DDA (Demand Deposit) – A deposit account that permits the depositor to withdraw funds on demand. This is usually, but not always, a checking account. Sometimes called demand deposit account. Delimited Format – A file format that can be imported using the Import Rules. It has fields that have a fixed order and are separated by a defined delimiter, such as a comma or semicolon.

Effective Date – The date on which funds will be electronically credited or debited. EFT (Electronic Funds Transfer) – An electronically based, rather than paper-based, system of transferring funds to and from accounts. Two main EFT remittance methods are wire transfers and Automated Clearing House (ACH). FRB or FED (Federal Reserve Bank) – An independent agency of the United States government that plays a central role in monetary policy, domestic payments system, and the regulation of financial institutions. Fedwire – A funds transfer and supporting information system operated by the Federal Reserve Bank. Fixed Format – A file format that can be imported using the Import Rules. It has fields that start and end at fixed positions within the file record. Float – The use of funds generated as a result of timing differences in the check-clearing system. For banks, float occurs because debits given by the Federal Reserve to a bank's reserve account for checks being cleared can be received prior to the time that the bank allows the customer who presented the check to use the funds. For depositors, float occurs because credits may be given for checks deposited or tendered for payment before the depositor's account is debited. Hold – A process by which a bank restricts funds deposited by checks. It is usually, but not always, used to restrict the proceeds of checks drawn on other banks until the funds have been transferred by the drawer’s bank to an account that the depositor’s bank maintains with the Federal Reserve. Hyperlink – Selected words or icons that can be activated (usually with the click of the mouse) to navigate to another site or location.

Import Rules – A specific ACH function to create and maintain rules of information than can be used to parse text files that are imported into CashManager OnLine. The rules can be created for two specific types: fixed format and delimited format. Intermediary Bank – A bank that serves as a depository and provides banking services for another bank. See Correspondent Bank. Lockbox – A cash management arrangement designed to reduce delays in depositing funds into the payee’s bank accounts. A post office box is established by a bank to receive checks for its cash management customers. Memo Post – An interim procedure in which credits and debits are recorded to accounts in a manner that allows financial institutions to reflect deposit information before actual posting. NACHA (The Electronic Payments Association) – The National Automated Clearing House Association is a national association of payments associations that develops operating rules and business practices for the Automated Clearing House (ACH) Network and for electronic payments in the areas of Internet Commerce, electronic bill and invoice presentment and payments (EBPP, EIPP), e-checks, financial electronic data interchange (EDI), international payments, and electronic benefit transfer (EBT). NACHA also provides information and education to its members. ODFI (Origination Depository Financial Institution) – The financial institution that receives the payment instructions from originators and forwards the entries to the ACH Operator. Opening Available – The available balance at the start of the business day following the day for which activity is reported.

Opening Ledger – The closing ledger balance of the previous day. PPD (Prearranged Payment and Deposit Entry) – A (SEC) Standard Entry Class, either a credit or debit, where funds are either credited into a consumer's account at the RDFI or debited from the consumer's account and deposited into the ODFI. Prenote (Prenotification) – A zero dollar ACH entry notifying an RDFI that an Originator will send one or more entries to a Receiver's account. RDFI (Receiving Depository Financial Institution) – This is the financial institution that receives ACH entries from the ACH Operator and posts them to the accounts of its depositors (receivers). Reversal – A function of reversing transactions that have been extracted and processed. SEC (Standard Entry Class) – A specific three-digit code that identifies an ACH application. SSL (Secure Socket Layer) – A protocol developed to ensure security and privacy. This supports authentication of client, server, or both, and encryption during a communications session. SWIFT (Society for Worldwide Interbank Financial Telecommunication) – A privately-owned electronic payments system used for funds transfers between member banks. Template – Information saved for the purpose of initiating transfer(s) on a consistent basis, eliminating the need to enter repetitive information each time. Template Level (account transfers) – The level of security access required by the operator in order to use the template to create account transfers.

Text File – A file composed of text characters. ZBA (Zero-Balance Account) – A cash management service offered by banks. Bank checking accounts that can accept deposits and/or make disbursements but that is always maintained at a zero balance. The zero balance is maintained by transferring just enough funds from or to a concentration account to offset each day’s activity. The concentration account is sometimes called the parent account and the zero-balance account is sometimes called the child or subsidiary account.
