INFORMATION ABOUT ERAS (ELECTRONIC REMITTANCE ADVICE) FILES

Did you recently receive a check without a paper EOB? If so, the insurance company is sending you an Electronic File called an “ERA 835” instead of your paper EOBs.

This file is a non-readable file! You must have some kind of software to load the non-readable file. If you don’t have any software to do this, you may download Medicare’s Free Easy Print Software.

We give you the ERA file from your insurance company. You load it into the software to view your EOB!

DOWNLOAD AND INSTALL MEDICARE’S FREE EASY PRINT SOFTWARE

1. GO TO http://www.cms.hhs.gov/AccesstoDataApplication/02_MedicareRemitEasyPrint.asp 2. Scroll to the bottom of the page and under “Related Links Outside CMS,” then click on the first link named: “Download

Information for .Net Framework.”

3. This will take you to a Microsoft page; you will then click on “download” in the blue area that appears on this page.

4. Click on “Run” on the “File Download Security Warning” window

5. Click “next” through all installation prompts to finish the installation.

THE .NET APPLICATION FROM MICROSOFT IS REQUIRED BEFORE YOU DOWNLOAD THE REMIT EASY PRINT SOFTWARE FROM MEDICARE.

6. Next, go back to the Medicare screen, where you downloaded the .Net, and scroll up until you see DOWNLOADS. Under DOWNLOADS you will find “Medicare Remit Easy Print - Version 2.4” Double click the Medicare Easy Print

8. This will open a new window, click “Extract all files” on the left side of the window.

9. Click “Next” after the “Extraction Wizard” window appears.

10. Click the “Browse” button

11. After choosing browse, you will see the “Select a destination” window. Left click on “desktop” and choose “ok.” Click “next” on the following screen.

12. After choosing next, you will see the “Extraction Complete” page. Choose “Finish” to see the files.

13. Depending on your system configuration, you will see your files on your desktop. Look for the File Called “Medicare Remit Easy Print.msi” (If you don’t see “.msi” its ok) Double-click the file, and choose next through all the prompts to install the software.

14. Easy Print will now be installed on your computer.

ACCESS THE ERA 835 FILE FROM OFFICE ALLY

1. Log-in to www.officeally.com 2. On the left side click “DOWNLOAD EOB/ERA 835”, you should now see a calendar at the top of the page; we receive ERA’s from

the payers daily.

NOTE: If you cannot find any ERA_STATUS reports in your Download EOB/ERA 835 section, please call Office Ally @ (949) 464-9129 option 1. Have your Medicare Provider Number with you when you call and let us know that you cannot find your ERA_STATUS reports.

3. Change the “Report Mode” to MONTHLY, then choose the month you would like to search for ERAs in. Change the “Report Type” to ERA 835 (multiple payers) and click “GO”.

4. Any ERAs linked to your account for the month chosen will be displayed.

5. Click on the date you would like to download ERAs from.

UZIPPING ZIP FILES

OVERVIEW

This document will show users how to unzip files using the built in zip utility within windows XP.

WINDOWS XP UNZIP METHOD

There is a zip utility built into Windows XP that allows for users to unzip their zip files. Zip files are containers that hold multiple files within a single container (aka a “zip” file). In order to remove these files from the container (unzip the file) within Windows XP, please complete the following procedures:

PRE-REQUISITE: MAKE A FOLDER ON YOUR DESKTOP CALLED “OFFICE ALLY ERAS”

1. Right Click the “Start” Menu on the lower left side of your computer and choose Explore

2. Left Click “Desktop” on the left Folders section of the Explorer Window

3. Choose File – New - Folder

4. This will create a highlighted New Folder as seen below.

5. Type the name of the new folder “Office Ally ERAs” (With no quotes) and hit Enter. This will create a New Folder on your desktop called “Office Ally ERAs”

DOWNLOADING AND UNZIPPING THE ERA FILE

1. Once you have located the desired EOB information, choose the “View” button under Download/View

• If you see the screen below, you will need to left click on the blue area seen below.

• Left Click Download File

2. You will then see the File Download window, choose “Open”

3. You will then see a new window with the Downloaded EOB File. On the left side of the window, choose “Extract all files.”

4. The Extraction Wizard will appear. Choose “Next”

5. Choose “browse”

6. Choose the folder you created called “Office Ally ERAs” and choose “Ok”

7. Choose “Next” and you will see that file is extracting…

9. Close all windows by choosing the button in the top right of all your windows.

LOAD THE EAR 835 INTO YOUR EASY PRINT SOFTWARE

1. Open Medicare’s Easy Print Software. (If you get a message that says no remittance files found, hit ok)

2. Click, “Import”

3. Click, “Desktop” on the left. Double Click on the folder you created called “Office Ally ERAs”

4. Double-Click the FOLDER that you extracted from earlier steps.

NOTE: THE FOLDER HAS THE PLAIN FOLDER ICON AND THIS IS THE ONE YOU WANT TO USE!! DO NOT USE THE FOLDER

THAT LOOKS LIKE

5. Once you open the correct folder, you will see your .835 file. Double-click the .835 file.

NOTE: MAKE SURE YOU DOUBLE-CLICK THE .835 FILE AND NOT THE .TXT FILE. IF YOU DO, EASY PRINT WILL GIVE YOU AN ERROR MESSAGE.

6. You will now see a list of patients with check boxes by their names. Check some or all of the boxes. 7. Click “claim detail” You will see your EOB!!
