This is #Congress2018 in the year of student voice! Congress is a 3-day extravaganza of student voice taking place at Ormond College, The University of Melbourne from the 10th-12th of July. VicSRC Congress brings together students from all across the state to forge connections, discuss the issues affecting their education and build capacity to tackle these issues at a school, community and state level. Congress also features interactive workshops, problem solving brainstorming sessions, and culminates in a presentation to key education stakeholders, including the Minister for Education, and the announcement of the new VicSRC Student Executive! In 2018 we’re keeping our choose-your-own adventures format, allowing delegates to shape Congress in real time, and bringing in a new level of personal empowerment. With delegates from regional and metropolitan Victoria; independent, government and Catholic secondary schools, we are focussed on giving all students the tools they need to make the change they want to see in the world.

Step 1: Checklist

To complete your online registration, you’ll need the following information:

1. Home phone, mobile phone and individual email addresses 2. Dietary and/or accessibility requirements 3. T-shirt sizes (XXS, XS, S, M, L, XL, XXL)

Step 2: Register by Wednesday 13th June

From Wednesday 9th May, go to the online registration page: https://www.eiseverywhere.com/vicsrccongress2018

1. If you’re a student booking put in your details – please check with your school first as we can only allow three delegates per school to attend. If you’re a teacher booking for your school put in the attending students’ details.

2. If you’re a student (under the age of 18) add details for an adult contact – hopefully this can be a teacher from your school but if your school isn’t supporting you to attend a parent or guardian is fine too. If you’re a teacher booking for students this is where you add your information.

3. Click 'Make Payment' Note: You can pay by credit card, cheque or invoice. You don’t have to pay straight away. Select ‘Invoice’ as your payment method to book now, pay later

4. Click 'Tax Receipt/Invoice' to generate your invoice Note: If you’re booking on behalf of the school pass the invoice on to your finance officer or school bursar

5. Check your email for your booking confirmation

Step 3: After registration

On Thursday 14 June, VicSRC will email the Pre-Congress Delegate Pack to all delegates and adult contacts. This pack contains important information and forms that you’ll need to read, sign and return to get ready for Congress 2018!

Victorian students are bringing the hot topics to Congress 2018!

Delegates will shape Congress in real time, incorporating a choose-your-own-adventure format!

So what does this mean? Unlike a traditional conference where the whole program is determined in advance, parts of the VicSRC Congress program will be decided in real time at the event by the delegates.

These include:

1. Action Teams on Day 1; and 2. Workshops on Day 1 and 2.

Action Teams Delegates work in their Action Teams throughout the event, building rapport and relationships. Working together on their self-directed topic, they will:

• Develop creative solutions to the issues identified on the first day, • Brainstorm plans for action to drive change at school and within the education

system at the state level, and • Present their solutions and plans for action at the Congress Open Morning on Day 3.

VicSRC will then advocate for these plans for action at the state level!

So how do delegates create the Action Teams? Through the Action Market!

Action Market In 2018, again we’re giving students control of their Congress journey! On Day 1, delegates can pitch their ideas and issues to the whole group at the Action Market. From these ideas, delegates will form the Action Teams – each team drilling down into a single topic and looking for solutions at a school, community and state level.

Note: All delegates and adult contacts will receive key information and starter ideas about how and when to pitch their topics for Action Teams in the Pre-Congress Delegate Pack (released 14 June 2018). Workshops On Day 1 and 2 of Congress 2018, delegates have the opportunity to participate in a bunch of fun interactive workshops and discussion groups. The workshops are facilitated by experts in order to build skills and capacity to make change.

In keeping with the choose-your-own-adventure format, delegates get to pick and choose workshops in real time at Congress. They create their own path through these upskilling opportunities based on where their interests lie and what they want to learn.

Note: All delegates will receive a heads up on workshop topics in the Pre-Congress Delegate Pack (released 14 June 2018). Open Morning The Day 3 Open Morning is the culmination of all the delegates hard work and their chance to share it with the world.

Each Action Team will present their ideas and recommendations to all delegates, visiting students, teachers and stakeholders at the Congress Open Morning. Date Thursday 12th July 2018

Nominating for the 2018-2019 VicSRC Executive

The VicSRC Student Executive is our governing team, elected annually at Congress, and made up of fifteen high school students from around the state. Students can nominate now for the VicSRC Executive for 2018-2019; one year that will change your life!

The VicSRC Student Executive is responsible for:

Leadership and governance of VicSRC

• Determine, review and maintain the vision, purpose and values of the VicSRC • Make important decisions about the direction and future of the organisation • Approval of short term and long term strategies • Approve VicSRC staff report monthly • Consider risks to the organisation • Appoint VicSRC staff by sitting on interview panels

Advocacy and representation

• Consult with students by talking to students about their views and ideas • Promote and represent student voice at all levels of decision making including your

school, community and at a state level. • Developing and advocating for the priorities passed at Congress • Attending VicSRC events • Support engagement with key stakeholders • Represent the organisation and its key messages in multiple forums

Organisation

• Help oversee state-wide projects and planning for state-wide events like the VicSRC Congress, VicSRC Regional conferences, Teach the teacher and Recognition Awards

• Organising Congress and leading Action Teams If you are interested in joining the VicSRC Student Executive from August 2018 – 2019 and representing students at the highest levels, nominate now!

How do I nominate?

To nominate for the 2018-2019 VicSRC Student Executive, you need to:

2. Complete the VicSRC Executive Nomination Form via SurveyMonkey by Friday 29th June 2018.

How do the Executive Elections work? Fifteen students are elected to the Executive team each year via the VicSRC Executive Elections. This year, the Executive Elections will be held on Day 2 of Congress, Wednesday 11th July. Every student who attends Congress has the opportunity to vote in the Executive Elections.

• For voters, Elections are time for carefully considering which candidates would form the most motivated and diverse team, and be the best representatives for Victorian students at a state level in 2018-19.

• For nominees, Elections are time for you to share the reasons why you

would be ideal for the Executive role, and demonstrate how you would represent your fellow students and take on their top concerns in education for the following year.

We want our Student Executive to reflect the diversity of Victorian students to make sure we’re doing our best to represent student voice at all levels of decision making. The Exec vote-counting process is way too much to explain here, but we’ll give you the shortened version:

The number of votes a person receives is really important, but we also have an intricate formula that makes sure the Executive has a good balance of regional and metro students, students from government, Catholic and independent schools, and students of all genders.

We provide financial support for Executive students to cover rural or regional transport, as well as any access needs that students require.

So no matter your background, ability, gender, school or where you live, we really encourage you to apply! The newly elected Executive Team of 2018-19 is announced on Day 3 of Congress, at Open Morning. Note: Students will also receive information about nominating for the VicSRC Exec in the Pre-Congress Delegate Pack (released 14 June 2018).

How many students can attend?

Each school is eligible to bring up to 3 students from Year 7-12 currently attending secondary school, or equivalent,

in Victoria. This total includes scholarship students. Please note a maximum of 165 overnight delegate and 50 day

delegate places are available.

Note: On Day 3 - Open Morning, additional tickets are available for students and teachers. See 'What is the Day 3 -

Open Morning?' for more info.

What if my school isn’t going to Congress?

If your school is unable or unwilling to support your attendance we encourage you to book independently!

Unfortunately we are unable to accommodate more than three students from each school – before booking

independently please ensure that your school does not already have delegates attending Congress.

Earlybird: $185 per student (Open 9am Wednesday 9 May - Wednesday 23 May, 5pm)

VicSRC Members: $195 per student

Non-Members: $220 per student

Congress Day Delegate: $125 per student

What is the Congress Open Morning?

We are excited to welcome non-delegate students, teachers and stakeholders to Open Morning on Day 3 of

Congress 2018. For the first time in 2018, as part of VicSRC’s Primary School Engagement Project, we are excited to

extend this invitation to primary school students and their parents/carers!

Open Morning visitors will meet the Congress delegates, experience the solutions-focussed Congress presentation,

and hear the results of the 2018-2019 Executive elections. Secondary school aged students attending Open Morning

will also be able to vote on the priority Action Pitches after the presentations.

Accommodation All general delegates** stay at Ormond College for two nights (Tuesday 10th and Wednesday 11th July) before departing at the close of Congress on the afternoon of Thursday 12th July.

University accommodation is provided at Ormond College. Each delegate has their own single room and shared

bathrooms.

**Day delegate tickets DO NOT include overnight accommodation.

Transportation

Delegates are responsible for their own travel to and from Congress.

Delegates will meet the VicSRC staff at Ormond College Reception at 11am on Tuesday 10th July, and depart

Ormond College at the close of Congress at 4.15pm on Thursday 12th July.

Supervision

VicSRC works on a supervision ratio of 1 adult:10 students. VicSRC will have trained staff and volunteers assisting with

the running of Congress 2018 to ensure all students are supported and supervised. A trained first-aider is onsite at all

times.

Are teachers required to attend?

No, teachers do not need to attend Congress 2018 but are welcome to volunteer!

Can non-students volunteer?

Yes! We love our volunteers! They are the engine of Congress and the event simply would not be possible without

their skills, enthusiasm and support. You must be 18+ at the time of Congress.

We have a number of roles available. Find out more about how to Volunteer at Congress 2018

VicSRC Membership discounts

Did you know that you can receive discounted ticket prices to events if you have a VicSRC Membership (Annual

School Membership)?

Teachers, if your school is not a VicSRC Member (or you need to renew your current membership), simply follow the

prompts to add a Membership to your booking, and then select the discounted Member price for your students.

VicSRC Memberships are valid for 12 months and cost $100+GST. The cost of the membership is included on your

invoice.

Methods of payment

You are welcome to make payment via Invoice, Cheque, Credit Card or Electronic Funds Transfer (EFT).

EFT Payments: BSB: 083-347 | Account: 525 584 897 | Reference: Your Event Registration Reference Number.

Cheque: Please make it out to 'Youth Affairs Council of Victoria Inc.'

Invoice: You can generate an invoice when you complete your group's Registration Record. Click 'Tax Receipt /

Invoice' to create your invoice, which you can pass on to your finance officer or school bursar for payment.

Credit card: Simply enter your credit card details and make the payment. Click 'Tax Receipt / Invoice' to generate

your tax receipt.

Terms and conditions

As soon as a booking is submitted online it is confirmed. You are able to generate an invoice after registering all your

attendees.

PAYMENTS must be received prior to the event. Prompt payment is requested. All payments must be made by Friday

22 June or the ticket will be reallocated.

CANCELLATIONS will be permitted up to Friday 22 June. If you cancel after this date, no refund will be available.

A NOTE ABOUT CONGRESS (FOR PARENTS/GUARDIANS) 09/05/18 Dear Parent/Guardian, Your child has been nominated by their school or otherwise chosen to attend the VicSRC Congress 2018: The 13th Annual VicSRC Congress. Congress is the primary decision making event for the Victorian Student Representative Council (VicSRC). The 2-night, 3-day event involves a mixture of workshops, activities, reports from the previous VicSRC Student Executive, formal decision-making and different learning opportunities to enhance student leadership.

Date: Tuesday 10th to Thursday 12th July 2018

Location: Ormond College, The University of Melbourne, 49 College Crescent, Parkville, VIC 3052

Note: on Day 3 (Thursday 12th July), delegates will attend the Carillo Gantner Theatre, Sidney Myer Asia Centre (The University of Melbourne) for the Congress Open Morning from 10am-12.30pm. This venue is walking distance from Ormond College and delegates are fully supervised.

Cost: VicSRC provides invoices for the cost of student tickets. The cost includes accommodation, all meals, registration, showbag, tshirt and materials.

Safety: Congress is a drug free, smoke free and alcohol free event.

Students will need to bring: A towel and toiletries; clothing suitable for cold and wet weather, and a pen and paper. Students will required a smart phone/tablet for Congress voting if one is accessible to them. Please advise us if this is not possible and we will arrange an alternative option for them to use at the event. Note: Delegates will receive a full checklist of items to bring one month prior to the event. The Pre-Congress Delegate Pack will be emailed to students and adult contacts on Thursday 14 June 2018.
