Contact Student IT Your ID Card, Email and PINYour ID CardYour ID card is needed to access various services at the University and to get discounts around town. Your student username and email address (highlighted in the green box below) are printed on it. You will also need your student ID card to add funds to your printing balance.

Your PINTo access computer areas and department buildings after hours, use your ID card and the four-digit PIN you received with your card.

If you have problems with your card or if you forget your PIN, visit the ID card office during office hours. After hours, contact Campus Watch on (03) 479 5000 or visit them opposite the Centre for Innovation.

Your Otago University student username and password are used to access most University IT services, including:

Individual departments may give you a separate username and password to use with their webpages and IT services, e.g. Mathematics and Statistics.

You can find your student username on your ID card, and, if you are a new student, you will be given a temporary password when you receive your ID Card.

Changing your University PasswordYou can change your password at otago.ac.nz/password

1. Login with your student username and your current password. If the Password Management page doesn’t pop-up straight away, click Change Password.

2. Fill in your current and new passwords.3. If you have not set up your Challenge Questions, you will be

asked to do this the first time you change your password. Challenge questions are used to verify your identity if you forget your password and want to reset it.

4. Click Submit.

To view your personalised timetable, click Timetable. You can then choose to view by day, week or month. After selecting the month, week or day you wish to view, click Go. Your class timetable is normally available from the Friday afternoon prior to the first week of class. Exam timetables are generally available on the Friday prior to mid semester break.

e:Visione:Vision is the University of Otago’s online student management system. You can access it at otago.ac.nz/evision.

Once logged in, you can use this service to:• Enrol for courses and papers• Update your personal details• Pay your fees• View your class timetable• View your exam timetable• View your exam results• Apply for special consideration• Apply to go on exchange• Apply to graduate

As a student of the University of Otago, you can access the internet on campus via a wired or wireless connection using your laptop, tablet, phone or other wireless device.

Connecting Your DeviceConnecting to the University network is easy - simply select the network, and enter your student username and password when prompted - this is the same username found on your ID card. The student network supports all the major OS platforms including OS X, Windows, iOS and Android. Students living in the Residential Colleges may find the wireless setup is different. Speak to your RA for details.

Considerate Data UsageThe data limit is 30GB per month and includes your usage both on campus and at Residential Colleges. Respect that the network is primarily for course-related use. Excessive downloading impacts on everyone’s network speeds so please be considerate.

Wireless Access Across CampusWireless coverage exists in most high traffic areas across campus and will be soon expanded throughout. Check our IT Campus Map on page 16-17 for the location of wireless access across campus.

Network UpgradeThe University of Otago is in the early stages of a major network upgrade which will place the Otago network at the forefront of university networks world wide. Visit otago.ac.nz/its for updates.

Wireless and Wired InternetIt’s a great time to be a student at the University of Otago with Microsoft offering Otago students a free 1Tb of Cloud Storage through OneDrive. To access this storage:

Cloud Storage through OneDrive

1. Login to your Student Webmail at otago.ac.nz/studentmail2. Click the tiles icon in the top left-hand corner and choose

OneDrive.

Documents in your OneDrive will be displayed in the main window - you’ll have none to start with. To add your documents to OneDrive, either drag the file into the area marked Drag files here to upload or click upload.

Microsoft Office & Online OfficeMicrosoft OfficeAs a student of Otago University you are entitled to 5 licenses to Microsoft Office 365. This allows you to install Word, Powerpoint, Excel and Outlook on multiple personal devices for free. OneNote, Publisher and Access are available for Windows only. For detailed instructions on how to download and install it on Mac or Windows, please see pages 26-29. For instructions on how to install on iOS or Android, please see a Student IT Advisor.

Online OfficeWith OneDrive, you can also create and edit Word, PowerPoint, Excel and OneNote files online. To create a document, click the new link and select the type of Office file you’d like to create. Or simply click on one of the Office files in your OneDrive. This will launch an Office Web App which is similar to traditional Office except you can access your documents and an online version of Word, Excel, Powerpoint and OneNote from any device.

Online CollaborationAn exciting part of creating documents online is that they can be shared with others for viewing or collaboration. It can be handy to share documents for group work or proof-reading.

The advantage of using online collaboration is that all collaborators can work on the same document, meaning it is always up-to-date and only one version exists.

Free Sophos AntivirusEvery computer attached to the student network is required to have an antivirus. Otago University provides an antivirus program, called Sophos, for free to every student.

OS SupportSophos Antivirus supports almost all versions of Windows, Mac OSX and Linux. Note that Windows 8 comes with its own antivirus called Windows Defender which will need to be deactivated if you choose to install Sophos.

To get Sophos Antivirus for Free• Go to otago.ac.nz/sophos and follow the instructions• Or contact a Student IT Advisor

It is necessary to uninstall any existing antivirus programs before installing a new one. This includes any trial versions of antivirus software. If you are having trouble removing an antivirus program, come and speak to Student IT and we’ll help you out.

Student DesktopIn 2015, a new Windows 7 based Student Desktop has been launched campus wide. It is available for use in computer labs around campus. See our campus map (pages 16-17). There is also a Mac Student Desktop in Enterprise Lab and West Cal which can be accessed using your student username and password.

Applications on the Student DesktopAll students have access to a suite of general applications including Microsoft Office, Open Office, Chrome, Firefox, and more. In Windows you can access these via the Start menu.

If your course requires a specific piece of software, this will be also be available through the Start menu.

Access the Student Desktop on your LaptopOne of the awesome features of the new Student Desktop is that you can access it from your Windows, Mac or Linux laptop and your iOS or Android smart device at any time, anywhere in the world. This means that you have access to all your course specific software from the comfort of your home or flat.

Before you can do this, you will need to install a free piece of software called a Citrix Receiver. For instructions on how to do this on your Mac or Windows laptop, please see pages 24-25. For help installing it on your iOS or Android devices, please see otago.ac.nz/studentIT or see a Student IT Advisor.

There are over 80 Canon Printers around campus for your use. These have black and white printing, colour printing, photocopying, scan-to-USB and scan-to-email functionality. Black and white printing costs 10c and colour costs 50c per A4 side.

Registering your Student ID Card with the Print SystemThere are two good reasons to register your ID Card with the printers:

To Register:

PrintingPrint jobs sent from the Student Desktop or your laptop will appear at the Canon Printers under the Secure Print menu. Jobs can take a few minutes to appear depending on the file size and the traffic on the print system at a given time. For more information on printing, see the step-by-step guides on pages 30-33.

Printing

1. At any printer, tap your 2015 Student ID Card on the card reader2. Touch the white boxes on the screen to enter your student

username and password. Hint: It might be easier to use the corner of your ID card as a stylus to touch the letters.

3. Touch the Login icon on the screen. (This step may take some time while the system checks your details).

4. Touch the Secure Print icon to see a list of your print jobs and your printing balance.

5. Remember to Log Out. You might want to try tapping your card again to see if your registration was successful.

Print From Your Laptop - @PrintYou can print from any device which has access to the internet and a web browser. No setup is required. All you need to do is:

How long will it take for my print job to appear at the printers?Sometimes a little patience is needed before the document appears at the printers . Remember to wait for the email to finish sending before you visit the printers. Sometimes a bit more time is needed (1-5 minutes) before the document appears. This is due to file size, file complexity and the levels of traffic through @Print at the time.

If you need help reducing the size of your document or other help with formatting your print job, come and speak to Student IT.

This map helps you find IT resources such as computer labs and wireless facilities. Almost every computer lab also has printing facilities available. The spread of these resources throughout campus gives you freedom to do your work in fresh and convenient areas. The uni computers are also handy if you don’t have a laptop with you.

When you are ready to leave the University of Otago, it’s important to remember that you will no longer have access to certain resources and services. This includes your access to your student email, Sophos Antivirus, library resources, Microsoft Office 365 and the Student Desktop. Take Your Data with YouSet up an Automatic Reply on Your Student EmailAdvise people that you will no longer be using this email and provide them with an alternative address.

Back up Your Student EmailsIt might be difficult to imagine why you would need these in the future but it is best to back them up as a precautionary measure. The best way to back these up is to download the mail into a new email account, to your computer, or ideally both!

Uninstall Sophos and Install a new Anti-virusYour access to Sophos will end, however there are many highly regarded free anti-virus software applications available for both Mac and Windows users. Wikipedia currently provides a comprehensive list of available anti-virus software.

Back-up Files from the Student DesktopRemember to back-up any files saved on the Student Desktop. You can back-up onto your own laptop, a USB flash drive or copy it to a cloud storage service.

Back-up your University of Otago OneDriveOneDrive is a fantastic service for backing up files, however once you leave the uni, you will lose access to your OneDrive. On a Mac you will need to log into your OneDrive and download the files individually. On Windows, you can download the Microsoft OneDrive App and then copy and paste all your files from the OneDrive folder to your Laptop.

WirelessOnly parts of the UOW Campus have access to wireless. If you need assistance with setting up your mobile device, please follow the instruc-tions in this booklet for joining the University of Otago student wireless service or bring your device to the Technology Services reception on Level C.

Wireless is available in the following locations:

UOW Campus IT UOW Campus IT SupportTechnology Services is available on the UOW campus to help students with any IT related issues or questions. Physically located behind reception on Level C of the Academic building, they can also be contacted by email at [email protected] or by internal telephone on x6844.

UOW is using the ITS Managed Student Desktop – see Page 11 for more details.

Student Computing Locations and Access Hours

24 Hour LabOpen 24/7 and is accessible from the Main Foyer in the Academic Block, Level C. The room contains 16 computers and one Uniprint MFD. Access is by ID card at all times.

Main LabThe main lab is available for student use whenever the UOW library is open. There are approx. 30 machines and a Uniprint MFD available for student printing. The machines are located on Level C, but access is only provided through the Library on Level D. This room is periodically booked for student exams, so is unavailable to other students during those times.

UOW Library There are 17 computers on the library floor for student use. There are two Uniprint MFDs and a Uniprint kiosk which can be used to top up your printing/photocopying account.

Hutt LabLocated on the second floor of Clock Tower Building at the Hutt DHB. It contains seven computers and a MFD in the corridor. It is available to any UOW student working at Hutt Hospital.

Radiation TherapyRadiation Therapy has a Lab containing 18 computers plus an additional PC in the Tutorial room along with an MFD. These facilities are available for RT students only. Both rooms are open during office hours and on proximity card access after hours.

Computer Training Room C13The computer training room is for training/teaching sessions only and cannot be used for students outside of structured teaching or exam sessions.

Printing, Photocopying and ScanningCanon Multifunction devices (MFDs) are located in each lab and the UOW Library. They can be used for printing, photocopying and scanning. Top ups to your printing balance can only be done in the UOW library, during library open hours. The printers you need to use are called UOW Black & White Printer, and UOW Colour Printer.

Printing from laptops or other mobile devicesTo print from your own computer, you need to use your student email account to email your file (Microsoft Word, Excel or Powerpoint or PDF) to the following addresses:• [email protected] (for black and white)• [email protected] (for colour)

Accessing CCDHB Patient RecordsUOW Medical Students are provided with access to Wellington Hospital clinical records using the Citrix client software. In Internet Explorer go to https://citrix.ccdhb.org.nz. Training is provided as part of the 4th year Introduction.

Students needing their CCDHB password reset should in the first instance contact Ann Thornton, x5576, as CCDHB requires confirmation of student’s enrolment. For problems other than issues with account username and password, please contact the Hospital IT Service Desk: [email protected] or (04) 385 5835.

Please note: If you do not login to your CCDHB account for 30 days your account will become inactive.

Remote Teaching

Video ConferencingThe UOW campus has a number of remote sites, where teaching is delivered via video conferencing equipment on the Vivid Solutions network. UOW operates two Vivid units on the Wellington campus as well as units in Hawkes Bay DHB, Hastings Heath, Hutt Valley DHB, Palmerston North DHB, Tairāwhiti and Wairoa. These units can also connect to any other Vivid Solutions system throughout New Zealand. These units are used for teaching, meetings and exams. Technical support is available on (04) 918 6891 during business hours.

Facilities at Remote HospitalsAccess to computers and video conferencing facilities at remote hospitals vary depending on the services provided by the local DHB. UOW has dedicated space for students at the Hawkes Bay DHB, Palmerston North DHB and Hutt DHB. We are always working to provide better off site support for our students, so please contact the local Associate Dean for more information related to your specific location.

Step-By-Step Sophos AntivirusWindows 8 has an anti-virus program called Windows Defender included and turned on by default. This means that you do not need to install Sophos or any other anti-virus product.

If you would feel more comfortable with an anti-virus product supplied by the University, please turn off Windows Defender and then follow the steps below. For help turning off Windows Defender, or if you would like us to check that Windows Defender is working, please come and see us.

3. In the pop-up (at the bottom of the window or a separate window) click Run, or click Save File and then double-click on it in your Downloads folder. In the Setup window, follow the prompts to install. On the last window, click Finish, NOT Add Account

4. To use the Student Desktop, return to otago.ac.nz/studentdesktop and click on Student Shared Desktop

5. If you are asked whether to allow the program to run, choose Allow

Step-By-Step Office 365 -WinDownload and Install Office 365

1. Log into your StudentMail account at otago.ac.nz/studentmail

2. Click on the cog icon in the top right-hand corner and choose Office 365 settings

3. Click Software in the left-hand menu. You can see what software will be installed and also view any previous installs you may have made on other computers. Click the Install button to download the installer.

4. Save/download the install file. If it does not run automatically, double-click on the file (in your Downloads folder).

5. Click Next and Accept in any dialogs until you are asked to sign in. Enter your student email address for Office activation. Choose Organizational account if prompted.

6. Enter your University password (associated with your email address) and click Sign in.

7. Click Next and Accept in any dialogs and then you can close the dialog box. The installation may continue in the background, but you can still use the newly installed applications.

3. Wait for the download to finish then navigate to your Downloads folder. Double-click on the Office installer file (MicrosoftOffice2011.dmg).

2. Click on the cog icon in the top right-hand corner and choose Office 365 settings

2. Click Software in the left-hand menu. You can see what software will be installed and also view any previous installs you may have made on other computers. Click the Install button to download the installer.

4. Open the Office installer by double-clicking on the Office Installer icon.

5. Click throught the installer, agreeing to any licence agreements.

6. Register by signing in with an Existing Office 365 subscription, and enter your student email address and password. We suggest you also enter your name and enable updates.

7. You can now close the installer. The installation may continue in the background, but you can still use the newly installed applications.

Step-By-Step PrintingPrinting Your Job at the Canon MFD Printer

1. Login at any of the Canon MFD printers on Campus

You can login with your Student ID or by typing in your Student Username and Password—register your card using the instructions by the printer

2. Touch Secure Print

3. Select the jobs you wish to print and touch Print and Delete (or touch Print All to print all jobs)

Your balance is shown at the top left.

4. Further finishing options can be found by touching the Options button

5. Remember to Logout!

Login

Login to a printer with either your ID card or your student username and password.

Scan and Send—Scan to Your Student Email

Finish and Logout Wait for the file to be scanned, converted to PDF and sent.

Remember to Logout when you are finished!

Choose your Settings Change any settings by using the options on the screen or by tapping the Options button.

When you are ready, press the green Start button on the printer keypad.

Setup your Documents Place your original on the scanning plate or use the document feeder to copy multiple pages at once.

Tap Send to Myself.

Choose a Function Touch Scan and Send on the touch-screen.

Pop-up Wait while printer scans your document. Touch Start Sending to send the file to your email when you are finished.

To add more pages to the same file, put your next document on the scanner, and press the Start button on the printer. Repeat until done and press Start Sending

The scanned document will be sent to your student email account.

Logout Remember to Logout when you are finished!

Choose your Settings Change any settings by using the options on the screen or by tapping the Options button.

When you are ready, press the green Start button on the printer keypad.

If your page is not A4 then the printer will ask you to select a page size. Choose A4 > OK and then press the Start button again.

Make sure the corner of the document is aligned with the red arrow.

To check your balance, you need to go to the printing screen: Press Main Menu on the printer and choose Secure Print on the touch-screen. Press Main Menu then Copy to return to photocopying.

Scan and Store—Scan to Your USB

Finish and Logout Safely remove your USB using the button shown and remember to Logout when you are finished!

Choose your Settings Choose a location on your USB to save your file. When you are ready, press Scan to move to the options screen. Change any settings by using the options on the screen or by tapping the Options button.

When you are ready, press the green Start button on the printer keypad.

Setup your Documents and USB Place your original on the scanning plate or use the document feeder.

Plug your USB stick in on the right-hand side of the printer, and then choose it in the list on the touchscreen.

Choose a Function Touch Scan and Store on the touch-screen.

Pop-up Wait for the scanning to finish. Touch Start Storing to save the file to your USB when you are finished adding documents.

To add more pages to the same file, put your next document on the scanner, and press the Start button on the printer. Repeat until done and press Start Storing

Rules and Student IT PolicyThe following rules apply to all students using the Student IT environment. This includes all University of Otago systems, equipment, student networks and Internet access.

• Notify Student IT if you see a problem with any of the computer areas by phoning 5170 or emailing [email protected]

• Be considerate. Student IT areas are for course-related work. In a busy lab don’t take up a seat for social networking; keep it course related.

• Do not eat or drink in Student IT computer areas.

• Do not download illegal or copyrighted material

• Do no download excessively. If you do so, you are slowing down the network for everyone else. Network usage of over 30Gb may be reported to ITS Management, the Proctor and the Information Security team.

• Do not download or circulate offensive material. In doing so you could risk suspension of your privleges.

• Do not share your username or password. If you feel your password has been compromised, see Student IT immediately.
