1. Complete and sign The Harvest application. A signed application is a commitment to participate if accepted. 2. Choose the appropriate category using the “Vendor Categories” to the right as a guide. You can enter more than one category, but please make sure that you mark each category on the application and send photos of items for each category you select. 3. Submit at least 3 photographs of your work. These can also be emailed to [email protected]. Photos become the property of GSUMC and will not be returned. Artists/crafters are selected based on the images submitted. All images provided must represent the works that will be exhibited. 4. Checks should be made payable to Mother’s Day Out and Preschool. Be sure to indicate which you prefer. 5’ x 10’ covered sidewalk space - $40.00 10’ x 10’ tent space - $45.00 5. We recommend that applications are postmarked by Oct. 23rd, 2015. “HeArt” of the Harvest Recognition

We will evaluate exhibits throughout the festival according to how each participant celebrates his/her gifts. You can achieve this through packaging, displaying a Scripture verse relating to your work, and/or overall creativity. Our objective is to use and share our God-given abilities and celebrate the One who has blessed us. This is the HeArt of the Harvest.

Application Rules, Procedures, and Fees

Vendor Categories

Clay - ceramics, pottery… Drawing - caricatures, pen & ink, pastel, pencil, calligraphy… Fiber/Fabric - sewing, quilting, monogramming, crocheting, knitting… Glass - stained, etched, blown… Jewelry - beads, clay, fabric, glass, leather, metals, wood… Metal - cast, embossed, forged, punched, sculpture… Wood - household, toys, sculpture, carved, furniture… Lawn/Garden Art - planters, furniture, fountains, birdhouses… Photography - black & white, sepia, color… Painting - watercolor, oils, acrylics, mixed media, 3-D, crayon… Sculpture - dimensional forms in clay, metal, glass… Decorative or Functional Crafts - wall hangings, tapestry, seasonal items, kitchen items, containers… Paper- stationary, gift tags…

Giving Back

Each participant agrees to give a minimum of 10% of their total earnings to the Mother’s Day Out and

Preschool. Profits from the festival help support the preschool and GSUMC. Proceeds will be collected at the end

of the festival. Receipts will be given upon requests.

Vendor Hospitality Room

There will be a Vendor Hospitality Room specifically designed for your comfort. We will have drinks

and snacks for you throughout the day. A light lunch will also be provided.

Arrival and Set Up 1. Vendors are responsible for the set up and security needs of their exhibit. The festival does not require insurance, but it is recommended that each exhibitor be covered under their own insurance. 2. Vendors must check in at the Vendor Room by the fountain between 7 and 8 am, present a photo ID, and attend the show in its entirety. 3. It is recommended that you bring one guest to assist you during the festival. Please add this name to your application in order for them to have access to the Vendor Room. 4. Accepted artists/crafters must be set up no later than 8:45 am and their vehicles moved to the far end of the parking lot in order to provide parking spaces for our shoppers! 5. 5’x10’ covered sidewalk spaces - Vendors must furnish their own tables and chairs for their space. Tables should be placed against the building to allow for the flow of foot traffic. 6. Tents may be used in the 10’x10’ areas. No nails or other anchors may be placed in concrete, walls, columns, or parking stoppers. Tent weights are required. Vendors must furnish their own tables and chairs. 7. All items and displays must be contained within your assigned space. 8. All fire department safety lanes and rules will be strictly enforced. No gas generators are allowed although battery power is acceptable. 9. No amplified music is permitted. 10. No smoking is allowed on festival grounds. Artists/crafters work 11. Vendors must be directly involved in the design and production of the work they exhibit. No retail or work produced by someone other than the exhibitor is permitted. 12. The sale of commercially manufactured items will not be accepted. However, repurposed items are welcome. 13. Items for sale will be viewed during the festival and the festival committee reserves the right to request removal of any work that differs from the images submitted and accepted, as well as any inappropriate work or display. Breakdown 14. Each vendor agrees to give a minimum of 10% of their earnings to the GSUMC Mother’s Day Out and Preschool. Starting around 2 pm this will be collected and also the HeArt of the Harvest recognition will begin! 15. Breakdown will begin at 3 pm. 16. Each vendor is responsible for collecting, reporting, and paying all sales taxes due to the appropriate revenue division. Tax forms will be provided. It may be necessary for you to purchase a transient license from the State of Alabama/Baldwin County. For more information you can contact Baldwin County License Inspector at 251.990.4627.

Festival Rules and Regulations

NOTE: The Harvest reserves the right to remove a vendor from the show for conduct deemed unacceptable and/or detrimental to the mission, reputation, and testimony of the

Gulf Shores United Methodist Church and Mother’s Day Out and Preschool.

Photos taken by The Harvest committee during the festival may be used in future publications, advertising or press releases.

Release and Indemnification Agreement

Completion of application represents my commitment to participate in The Harvest, A Festival of Gifts to be held in Gulf Shores, Alabama. In the event that the Gulf Shores United Methodist Church is unable to hold The Harvest as scheduled by reason of war, insurrection, or acts of God or nature, then no refund shall be made and it is agreed that all contracts are null and void and there shall be no responsibility on the part of The Harvest for losses sustained by any person caused by such event. I have received and read the general guidelines and festival regulations and all of the rules and conditions contained therein which are hereby incorporated by reference. I agree to abide by them. For good value and consideration, including participant being permitted to participate in The Harvest, to be held Saturday, November 7, 2015 at the Gulf Shores United Methodist Church South Campus in Gulf Shores, Alabama, the undersigned participant, for myself and my successors, heirs, employees, agents, and affiliates (and in case of corporation, its officers, directors, and shareholders), (collectively the “PARTICIPANT”) forever release and discharge The Harvest and The Gulf Shores United Methodist Church and each of its officers, directors, employees, agents and affiliates (herein collectively referred to as The Harvest) from all claims, demands, losses, costs, expenses, suits, damages, obligations, liabilities, causes of action and judgment whatsoever, in law or in equity which any of the foregoing, any or all of the PARTICIPANT ever had, now or which they hereinafter can, shall or may have for, upon or by reason or any matter, cause or thing whatsoever existing out of the EVENT. The participant AGREES TO AND DOES HEREBY ASSUME ANY AND ALL RISKS OF PERSONAL INJURIES TO THE participant, including death, and damages to PARTICIPANTS property, caused by or arising out of PARCIPITANT’S involvement in the EVENT. The participant HEREBY AGREES TO DEFEND, INDEMNIFY AND HOLD the Gulf Shores United Methodist Church and The Harvest harmless from and against a claim, demand, suit, loss causes of action, damages, liabilities obligations, costs, expenses, and judgments (including without limitation death and damages to property) caused by PARTICIPANTS acts or omissions or failure to abide by the rules and conditions contained herein. The Gulf Shores United Methodist Church and The Harvest, reserve the right to final interpretation of all rules.
