Welcome to the 44th Annual PA Home Show!

On behalf of The Home Builders Association of Metropolitan Harrisburg and the PA Home Show Committee, I am pleased that you have chosen to exhibit at this year’s show. I would also like to thank you not only for your interest, but for your ambition and your willingness to join our local efforts. Through partnerships between business and the local community we can continue to support and to showcase the strength of the building industry in the Central PA area.

The objective of the PA Home Show is to provide a comfortable and valuable environment for both exhibitors and attendees throughout the Mid-State to share experiences and ideas, to learn something new and exciting, to have some fun with friends and family, and lastly for our exhibitors to acquire quality leads. We take great pride as one of the iconic events held at the PA Farm Show Complex each year. Please be respectful of the venue, your fellow exhibitors, and the guests attending the show.

Within this manual you will find answers to many common questions and guidance as you prepare for the show, including many of the forms you will need to get your booth ready for the show. Please be sure to read the following information carefully, as it has changed since our last show.

BOOTH REQUIREMENTS 1.All booths must have a back wall either as a pop up,draped, or fabricated to a max height of eight feet(8).2.Exposed sides of all walls (back and/or sides) must be fin-ished or draped and are the responsibility of the exhibitorfor whom they were constructed3. Adjoining walls may not be shared, without written con-sent from both parties to include the sharing of all fees.4. Side rails / Side walls are optional.5. The Home Builders Association reserves its right to do theaforementioned at the expense of the Exhibitor. Invoiceswill be finalized and distributed after the show.6. All double printed signs, banners and any other type ofsignage / promotional materials that are against the back ofyour booth or above another exhibitors booth (s) cannot bemore than 12’ in height.7. Mounting and all associated fees for hanging signage isthe sole responsibility of the exhibitor. If it’s a double sidedsign and you do not have the other side of the booth, thesign must be covered.8. Custom signs must be submitted to the show director forapproval prior to February 16, 2018.9. Booth space must be contiguous and no subletting ofyour booth is allowed.10. Exhibitors may only setup booths within the space re-served based on their complete and submitted contract. Noexhibitor may setup outside of their permitted and con-tracted space.11. Exhibitors must comply with, booth alterations or ad-justments requested by show staff prior to the opening ofthe show.12. HBA staff will be reviewing the composition of eachbooth on the evening before the show opens. Exhibitorsmay be asked to adjust or correct certain areas of theirbooth. Exhibitors must comply or risk a penalty of $100.

BOOTH CANCELLATION POLICY Cancellations of exhibit space must be made in writing and delivered to HBA staff on or before February 1, 2018. 30% of the total booth fee will be charged for cancellations made after January 1, 2018. Cancelled exhibitors interest-ed in re-joining the show may have their cancellation fee applied to their new booth. After February 1, 2018, ABSO-LUTELY NO refunds will be made.

PLUMBING Requests for special plumbing should be made to the Farm Show Complex. (717) 787-5373 - Administration.

EQUIPMENT VERIFICATION All equipment which is identifiable by a fixed serial number must be reported. This is a REQUIREMENT of the State Farm Show Commission. (see page 19)

ELECTRICAL WIRING If you have rented a 10 X 10 or 10 X 20 or less, your space includes one (1) 120 volt 20 amp, which means you get 1 plug in 1 outlet provided to you at no additional cost. If you have rented a 10 X 30 or greater, your space includes (2) 120 volt 20 amp services which means you get 1 outlet top & bottom to allow for 2 plugs. If you need more electrical service than this, you can purchase additional 120 volt - 20 amp hookups as well as 208 Volt Single Phase Services. MUST BE PAID FOR IN ADVANCE. To order additional elec-tricity, please use the Exhibitor Electrical Order Form (see page 20). Farm Show Complex electricians will work only from the list of paid and authorized exhibitors that the As-sociation office provides. Also, not all electric lines will be dropped behind booths. You must bring your own exten-sion cords and or receptacle converters. (Extension cord should be at least 50’feet long)

EXHIBITOR BADGES Security has been advised to follow a “No Badge, No En-try” Policy. Exhibitors are required to have proper badges with them at all times while working the show. Additionally, these badges will be required for entry through the exhibi-tor entrance and main entrance. Extra badges will be availa-ble at the Show Office in the Main Hall starting on Tuesday, February 27 for an additional $5.00. Display is not needed, but badge must be kept on your person (see page 16).

ENTRANCE AND EXHIBITOR REGISTRATION For security reasons, all exhibitors must enter and leave the Show through the designated Exhibitor entrances (excluding setup and breakdown days). These entrances will be open one hour before regular show hours. On opening day, Thursday, these entrances will be open two hours prior.

ENTRANCE AND EXHIBITOR REGISTRATION CONTINUED These entrances may ONLY be used by exhibitors with prop-er identification (i.e.. badges), no exceptions, this includes those who leave the Main Hall to smoke (see page 16).

EXHIBITOR PARKING Adherence to these parking requirements is critical for the welcoming and efficient flow of attendees. Space is ex-tremely limited. In fact, attendees will be recommended to park off site at the lot on Elmerton Avenue. Vendors may park in attendee parking area during setup and breakdown, but are asked to park offsite during the show also, in order to offer the best possible spots for our visitors. Exhibitors with large trailers may park in the north parking lot behind the Main Hall at the cost of $150 per trailer and will receive an invoice from Farm Show Administration (see page 14)

MUSIC & MICROPHONES Music played must be non-licensed – needle drop music. Due to the licensing restrictions of ASCAP/BMI, recorded, commercially prepared music cannot be played in your ex-hibit space for the entertainment of show visitors. This in-cludes music from a radio or personal music player. Fur-ther, should fines be levied by these licensing organizations, they are the responsibility of the individual exhibitor who violates the licensing terms and not the responsibility of the Home Builders Association of Metropolitan Harrisburg or the Pennsylvania State Farm Show Complex. Any device producing sound must be kept to a volume or level so as not to disturb neighboring exhibitors and show attendees. If HBA Staff, the committee, or any neighboring exhibitor con-siders your music to be too loud, you will be asked to re-move such device from your booth. Furthermore, exhibitors are ABSOLUTLY PROHIBITED from using a microphone dur-ing the show, or any other form of voice enhancing devise.

OUTSIDE SERVICES For insurance purposes, all Exhibitors using outside contrac-tors in the exhibit area must notify the HBA Staff.

SELLING IN ISLE All lead generation or hard selling must be done within the boundaries of your rented booth space. ABSOLUTLY NO selling the isle or elsewhere will be permitted. Violators may be cited and penalized at the discretion of the HBA .

EXHIBITOR CITATIONS HBA Staff and security will be tracking any exhibitor cited for violating show rules and/or disobeying a request made by HBA Staff or security. Exhibitors found in violation 5 or more times in any given year, may not be welcomed back to participate in future shows, may be asked to leave, or may be reported to the Farm Show Administration. Exhibitors are encouraged to notify HBA Staff if another exhibitor is in violation.

ADDITIONAL RESTRICTIONS 1. No babysitting in the booth is permitted.2. No flammable gasses or liquid are permitted within theFarm Show Complex Facility.3. Vehicle batteries parked within the Farm Show Complexfacility must be disconnected.4. No posting of advertising material on any walls, windows,doors, columns, etc.5. No open flames permitted.6. No helium balloons or bumper stickers permitted.7. No liquor or intoxicating beverage without permit.8. Exhibitors may not tear down prior to 6:00pm on March4th, 2018.9.Smoking is allowed ONLY in Designated Areas and will bestrictly enforced.10. Doors must be kept CLOSED at all times. Anyone foundpropping doors open WILL BE ESCORTED FROM THE PREM-ISES, THEIR BOOTH DISMANTLED, AND WILL NOT BE AL-LOWED TO EXHIBIT IN THE NEXT YEAR’S SHOW. Should suchtermination occur, the Exhibitor shall not be entitled to arefund of any part of the rental fee.11. Any exhibitor, or their employees, who hands out extraexhibitor tickets to the general public WILL BE ESCORTEDFROM THE PREMISES, THEIR BOOTH DISMANTLED, ANDWILL NOT BE ALLOWED TO EXHIBIT IN THE NEXT YEAR’SSHOW. Should such termination occur, the Exhibitor shallnot be entitled to a refund of any part of the rental fee.

SALES TAX LICENSE Any exhibitor doing direct sales or taking orders for mer-chandise must have a Pennsylvania Sales Tax License, and be able to show their PA license number to the Department of Revenue upon request. If you do not have one, you can obtain one by calling them at (717) 783-3239 or at www.pa100.state.pa.us.

SECURITY Twenty-Four (24) hour guard service, which is included in the space rental charges, will be provided on the Show floor beginning Tuesday, February 27th and continuing to Mon-day, March 5th, 2018 at 5:00 PM. Any Exhibitor requiring additional security services in his/her display area is re-sponsible for all arrangements and cost through INA Secu-rity at 800-443-0824. All security activities must be coordi-nated with the HBA Staff. Please cooperate with all securi-ty guards, particularly at the entrances and exits. Doors to the outside, on the actual Show floors, may not be used and are not to be propped open.

FOOD AND BEVERAGE AREAS Food trucks will be part of the PA Home Show. Exhibitors may not partner with food vendors in any way during the show. Included in a general selection of fries and sandwich-es are coffees, smoothies and various other prepared and prepackaged beverages. The Farm Show Complex is a ... 7

… contracted Coke-a-Cola distributor. Therefore, sale of all outside food and beverages are strictly prohibited without the written consent of the Farm Show Concession Manage-ment Company.

SECURITY ROOM Exhibitors may check equipment into the Home Show Office at the entrance of the Main Hall. This office is locked nightly. Items may be checked one hour prior to the close of the show each evening. You may pick them up one hour before the opening of the Show each morning. This is an important security service, and Exhibitors are urged to take full advantage of it. To the extent that this service is provid-ed, this does not create a bailment relationship between the Exhibitor and The Home Builders Association. Exhibitors are cautioned to use care in safeguarding exhibit materials and property during the installation period, during the Show and when the Show is dismantled.

ADDITIONAL STORAGE Secure spaces have been set aside for the storage of addi-tional materials outside of the Main Hall floor. Space is lim-ited however, therefore items will be stored on a first come first serve basis. The HBA is not responsible for the damage, theft, or loss of any item stored in this location or the Main Show office. The hourly drop off and pick up times remain the same as mentioned above.

FIRST AID - EMS SERVICES First Aid care will be available on Tuesday, February 27th to Monday, March 5, 2018 during set-up, tear down and regu-lar show hours. The first-aid station will be located in the Maclay Street Lobby. Location of the first-aid area will be clearly marked on all show maps and layouts. Please be sure to review all show resources, to be sure where this im-portant area is located.

HOME SHOW WEBSITE Exhibitors will be listed on the Home Show website using details matched from the fields in your original contract as best possible. If you noticed that you DO NOT have a de-scription, it’s because we did not receive your Keywords form. You may submit a list of products that you specifically deal with, sell or services your company performs and email them to the HBA Staff at [email protected].

LIABILITY INSURANCE The Exhibitor, at Exhibitor’s expense, shall obtain and main-tain in effect a commercial general liability insurance policy, written on an occurrence basis, that provides coverage against claims for personal injury, death or property dam-age occurring on the premises of the Home Show, including, without limitation, the building and parking lots. Such policy shall afford protection with a limit of not less than One Mil-lion Dollars. ($1,000,000.00) combined single limit with re-

spect to bodily injury, personal injury or damage to property in any one occurrence. Exhibitors shall cause the HBA to be an additional insured on such policy and shall deliver to the HBA a certificate of insurance evidencing said coverage by February 7, 2018. It is to include the dates 2/27 to 3/5 to cover set-up, Show and tear-down. Failure by the Exhib-itor to comply with the provision of this section shall result in the termination of this Agreement upon written notifica-tion to the Exhibitor by the HBA and, should such termina-tion occur, the Exhibitor shall not be entitled to a refund of any part of the rental fee (see page 9).

PROPER DOCUMENTATION A complete and final application is required by all partici-pating exhibitor for not only proper filing purposes but as recognition of both this document and the original set of regulations described on the contract itself. As per the PA Home Show Contract, each exhibitor is required to provide a Certificate of Commercial General Liability In-surance. Please adhere strictly to the following guidelines:

1) The Exhibitor, at their own expense, shall obtain and maintain in effect a commercial general liability insurance policy,written on an occurrence basis, that provides coverage against claims for personal injury, death or property damageoccurring on the premises of the Home Show, including, without limitation, the building and parking lots.

MOVE - IN / SETUP RULES AND REQUESTS

ARRIVING FOR SETUP Exhibitors may begin arriving at the scheduled time shown on the previous page. Please be aware of your predetermined entry door. Exhibitors arriving at the wrong door may be asked to drive around the complex. Waiting may be necessary for exhibitors arriving earli-er than scheduled. Entry into the Home Show will be managed by staff and security using first-come-first-serve scheme based on posi-tion within the approved floor plan. Due to unforeseeable circum-stances and random arrivals, exhibitors may not be able to park vehicles directly in front of their booth. Positioning will be managed in as reasonable a fashion as possible.

UNLOADING Show management requests that once exhibitors are prepared to unload, they do so first and as quickly as possible. Once unloaded exhibitors will be asked to remove their vehicles from the floor to allow other exhibitors access. Once, vehicle is removed, exhibitor may resume their setup.

EXITING THE FLOOR Due to space limitations, larger vehicles may have difficulty ma-neuvering around obstacles within the Home Show Hall. Exhibitors are requested to exit through the same door through which they entered, unless otherwise noted. A loading dock is available for ex-hibitors uncertain of their ability to drive in. Exhibitors assume all risk for damaged property either belonging to the HBA, the Farm Show Complex, or another exhibitor. Due to unforeseeable circum-stances and variable load sizes, some exhibitors may be asked to unload their vehicles outside of the Home Show Hall, requiring the exhibitor to transport their material by hand.

LOADING DOCK A loading dock is available on the west end of the MAIN HALL. Ac-cess will be granted on a first-come-first-serve basis. Due to un-foreseen circumstances and variable load sizes, some exhibitors needing the loading dock may need to wait. Exhibitors using the loading dock are asked to do so as quickly as possible to allow ac-cess for other exhibitors.

VEHICLES PERMITTED Tractor trailers are not permitted within the MAIN HALL. Large vehicles may be asked to use the loading dock. Because of reasons, described above, waiting may be necessary. Exhibitors are asked to accompany all vehicles at all times, while within the MAIN HALL.

CHECKING IN Exhibitors are requested to check in with the Show Office after they have unloaded, but before they commence with the setup of their booth. Exhibitors without completed applications or with an outstanding balance with the HBA will not be permitted to begin their setup. Contractors may be asked to wait, while contact is made with the billing administrative contact on file per exhibitor.

PIPE AND DRAPE Hershey Expositions Services will be onsite and available for all ex-hibitor needing to request additional pipe and drape. Pre-purchased materials should be constructed prior to the arrival of an exhibitor. However, due to unforeseen circumstances, Hershey Exposition Services may need access to an exhibitors booth after their arrival. Exhibitors must allow Hershey Exposition Services access to their booth at all times.

OVERNIGHT SETUP Access to the MAIN HALL will be permitted overnight, on the night of Tuesday, February 27th, for exhibitors that need additional time to setup their booth. However, exhibitors are asked to remove their vehicles from the hall during overnight hours. Due to unforeseen circumstances and unexpected delays, exhibitors may be granted an exception, allowing vehicles to park within the MAIN HALL over-night. These exceptions will be awarded based on situation and cir-cumstance. Exhibitors assume all responsibility for damage that occurs during any overnight hours. In order to allow show management time for review and last minute details. All exhibitors are asked to exit the MAIN HALL by 9:00 pm on Wednesday, February 28th. Exceptions to this request will be awarded based on circumstance and situation.

WEATHER Inclement weather may impact an exhibitor’s access or ability to unload in the MAIN HALL. In the event that a weather situation oc-curs, exhibitors may be asked to accommodate setup adjustments as needed.

TRASH AND CLEANUP Exhibitors are responsible for removing any tape applied to a Farm Show Surface, any may be asked to cleanup any outstanding trash. Farm Show Staff will pickup trash left in isle after setup.

See the map on the previous page. Staging area and west lot may be used for exhibitor parking during all move-out / breakdown periods

Sunday, March 4th (6:00pm to 9:00pm) ONLY HAND CARRIABLES can be removed from the building. For security reasons, it is recommended that ALL carriable items be taken from the building at that time. (NO OVERHEAD GARAGE DOORS WILL BE OPEN)

Monday, March 5th (6:00am to 5:00pm) Starting at 6:00am, you will be allowed to drive in - weather permitting. You must be finished by 5:00pm or you’ll be charged by the Farm Show Complex for storage.

ALL TRASH or DRYWALL etc. must be removed at teardown.

ALL DISPLAYS MUST BE REMOVED FROM THE FARM SHOW COMPLEX BY:

MONDAY, MARCH 5, 2017 (5:00 pm)

PARKING REQUIREMENTS

Parking is free for both attendees and exhibitors

PARKING DURING SETUP AND BREAKDOWN DAYS The West Lot has been reserved for exhibitor parking during both setup up and breakdown days (excluding Sunday morning and after-noon). However, space is limited and available on a first come first service basis. If no spaces remain, exhibitors may park in any of the following lots: North Lot, Northwest Lot, Northwest Expo Lot. Walking may be required. Exhibitor parking passes are not being used for the 2018 Home Show.

Exhibitors may not park in any of the Maclay Street lots at any time. Shuttles will not be running during setup or breakdown days

TRAILER PARKING Exhibitors with large trailers will be allowed to park their trailer in the designated lot near the West Hall. Farm Show Administration at their digression will be managing this area and does charge for usage ($150 per trailer). Exhibitors will not be charged to temporarily park , but must remove their by the end of their respective setup day.

Exhibitors intending on parking trailers must notify HBA staff. Deadline to notify staff of intent to park trailer is February 7th, 2018

PARKING DURING THE SHOW HBA and Farm Show Administration consider it important to cater to our attendees and provide them with the easiest and most reasona-ble means to park and enter the Main Hall. Therefore, THE WEST PARKING LOT WILL BE RESERVED FOR ATTENDEES ONLY. Horse World will also be taking place during the PA Home Show, but at the other end of the Farm Show Complex. Horse World has reserved the North-west, North, and Northwest Expo lots, and intends to charge for parking. Any exhibitor choosing to park in any of the other lots during the show , does so at their own risk.

EXHIBITORS ARE REQUESTED TO PARK OFFSITE Transportation will be provided before and after show hours for exhibitors to and from the Offsite lot on Elmerton Ave.

EXHIBITOR BADGES AND REGISTRATION PUNCH TICKETS ARE NO LONGER BEING USED FOR THE HOME SHOW. Please read the following page carefully as it may impact you or your staff’s ability to use the exhibitor entrance.

Registration During move-in day, a representative must register at the Show Office where they will also pick up their exhibitor packet. This packet will have some additional information needed to the fun and safe exhibition at the Home Show, including all exhibitor badges. Please note: exhibitor packet and badges will not be given to any exhibitor without a completed application signed and Certificate of Insurance filed with the HBA and/or if that exhibitor has an outstanding balance due.

Exhibitor Badges Each participating exhibitor will receive 6 badges. Exhibitors badges will grant you access through the main entrance and the exhibitor entrance and may be used by those staffing your booth. Badges may not transferred to another exhibitor. PLEASE NOTE: After the success of last year’s Will Call, badges again may be left at the Show Office Will Call for staff arriving at different times.

PA Farm Show Complex is a non-smoking facility

EXHIBITOR LOUNGE Any exhibitor interested in taking a break from the main floor and away from their booth is encouraged to utilize the exhibitor lounge near the rear of the Main Hall. This space has been sponsored for your enjoyment, and is not open to the general public. A separate bath-room is located within the exhibitor lounge. Facility and amenities are dependent upon sponsor promoting the area. Exhibitors are en-couraged to bring their own multimedia, or digital devices as needed.

EXHIBITOR SMOKING AREA An exhibitor smoking area has been designated on the loading dock, outside of the exhibitor entrance. Smoking in any other area is strictly prohibited and will be monitored by show security. This policy has been established for the safety and security of the show and its attendees. Violators found smoking out front of the Maclay Street Lobby or any other event door other than the designated exhibitor en-trance may be cited and reported to Farm Show Administration.

PROPER IDENTIFICATION REQUIRED Exhibitor badge may be required for access to the exhibitor lounge. Exhibitor Badge will definitely be required for re-entry once an exhibi-tor exists out of the exhibitor entrance. Those without proper identification will be required to walk around and to check in with the show office. Extra badges will be available at the show office for $5.00 per badge.

FIRE REGULATION Safety Practices at the Farm Show Complex

1. Smoking outside of the designated exhibitor smoking area is prohibited (see page 18)

2. Vendors setting up tents, canopies, and any other type of membrane covering must provide fire department with fire rating of

material. Also required are additional portable Fire Extinguishers as needed.

3. Fueling/Refueling of motorized vehicles must take place outside and away from the building.

4. Outside propane tanks shall be protected by posts or other approved physical barriers (Jersey barriers).

5. Extinguishers need to be visible, accessible and located in a conspicuous location where they will be readily accessible and imme-

diately available for use. These locations shall be along normal paths of travel.

6. Doors shall never be blocked or tied off.

7. If existing exit signage is blocked by a display, additional signage must be installed.

8. All exit corridors and emergency exits must be kept clear; no partial blocking will be permitted.

9. All fire alarm pull stations must be kept clear.

10. Fire extinguishers may not be covered by any drapes or hidden by any type of displays.

11. No motorized camping units or vehicles may contain more than one (1) gallon of fuel while on display.

12. All pressurized fuel tanks must be drained.

13. All fuel fills must be locked and fuel caps must be taped closed with duct tape.

14. Any living trees or shrubs are acceptable as long as the shrubbery is individually bagged and baled.

15. Artificial trees and shrubbery must be treated with a flame proofing material. The fire official may request certification of flame

proofing.

16. Any type of mulch materials must be treated with a flame proofing material, or watered daily. If treated with a flame proofing

material, certification may be requested by the fire official.

17. The Fire Prevention Code of Harrisburg will be strictly enforced.

18. No open flames, fires, burning of any kind will be permitted within the Complex. No exterior burning is allowed unless the De-

partment of Environmental Protection and the Bureau of Fire grant permission.

drayage and labor at the upcoming show being held at the Farm Show Complex. We are very excited to be working with you.

CUSTOM, LARGER BOOTH AREAS: WILL BE MARKED IN ACCORDANCE WITH HBA APPPROVED

In order to provide you the best services, we have enclosed all required forms for additional needs you might have. By returning the

completed forms to our office, all equipment will be set up in your booth prior to your arrival. In the event you are not going to

personally plan and supervise your exhibit, please forward this kit to the person you have appointed to be in charge.

PLEASE NOTE (Per Show Management):

1. All exhibit rear walls and Farm Show walls must be Draped, Covered, or Otherwise constructed to a height no higher

than 8’. Due to ceiling constraints 8 feet is the max height. Packages have been established and agreed upon between

Hershey Expositions and HBA and are included on Supply Form at exhibitor expense.

2. Booths will not be PRE-Carpeted. If Interested please See Booth Supply Order Form

3. Equipment such as tables, waste cans, chairs, Etc...Can also be ordered on provide forms at exhibitors expense.

IMPORTANT:

The Farm Show has NO provisions for receiving and storing freight. All required shipping information is enclosed. Please refer to

our Freight/Drayage form. Any Exhibit Materials that need to be shipped directly to the Convention Facility cannot arrive prior to

your (exhibitor) set-up time(s) as indicated by Show Management. Shipment(s) that arrive at the Convention Facility prior to the

stated set-up times or are received in the absence of the attending exhibitor WILL BE CHARGED “DRAYAGE CHARGES” in

accordance with the Drayage Service Form. Advance shipments to warehouse are only received Monday thru Friday 7:30 AM – 5 PM

(excluding holidays.)
