Pre-Show Planning

Purchase an ad in the show’s official show magazine and resource guide. This magazine has a shelf life and will be distributed to salons throughout the country, as well as be in the hands of over 20,000 attendees! This magazine is a lasting reference guide.

Give attendees a reason to visit your booth! Contents, prizes, and giveaways that you can later use in e-vite programs and marketing materials create buzz and inventive to remember your name and to visit your booth in person.

Print and place reminders on invoices, monthly newsletters and emails, as well as placement on your website to keep a constant, up-front reminder that you’ll be at the show.

Participating in e-vite programs is a chance to put your company in front of key industry professionals. How often do you get to brag about your company to thousands of industry pros at the same time?

The IMAGE lead retrieval program are easy to use scanners that allow you a simple and swift follow up with HOT leads. This excel list has names, phone numbers, and emails for you to use at your disposal.

Sincerely follow up with your visitors: within 48 hours. Attendees know you’re busy, but they also respect and trust sincerity and timeliness. It looks professional and it tells them you value them.

Expo’s are part of an initiative to gain a foothold in a new market. If you are not already active in a market place, being a part of an expo can play a valuable part in your learning about the market, it can provide a place to meet potential partners, sales channels, end customers and the local or industry press.

Everything should be at EYE LEVEL in your booth. This means graphics, giveaways, and YOU. It’s much easier for a guest to greet you at eye level than to approach someone sitting.

NO TEXTING OR PHONE CALLS! You are here at the show to network. If you look like you’re busy, guests and attendees won’t want to interrupt...and walk right past your booth.

Smile.

Don’t eat our drink in the booth. Having a bottle of water at your fingertips is one thing: if an attendee has to watch you wipe your nacho fingers clean before they shake hands, it leaves a poor impression.

Know what you’re talking about. And if you don’t—say so and find out the right answer. Your credibility is on the line. Be an expert and show some confidence and know-how. But don’t exaggerate, and DON’T FIB.

When can I set up my exhibit space?Exhibitor move-in is ALWAYS before the show. Our service director will call you a few weeks before the show starts to establish a MANDATORY move-in time.

When can I begin to dismantle my exhibit space? The IMAGE show ends at 4PM on the last day. You may not break down before then.

When will I receive the Exhibitor Service Manual? Approximately 30 days prior to the show your Exhibitor Service Manual should arrive via email. This will contain pertinent information, rules and regulations, lead retrieval, and loading dock directions, as well as all vendor forms you will need to participate in the IMAGE Expo.

When is the deadline to register my booth staff? You’ll need to have all badge requests in 10 days prior to the show to insure they are printed and sent to the show.

When can I expect to receive my badge in the mail? Badges are not mailed to exhibitors. You must check in at the Exhibitor Service desk located prior to your move in. At that time you will receive your badges.

Can exhibitor pass holders attend the general IMAGE Expo seminars? Your exhibitor badge will allow you to attend all complimentary seminars. Please be sure to have someone available in your booth at all times! Workshops and continuing education credits however, must be paid for.

Is there a host hotel for IMAGE Expo.IMAGE Expo is working hard to contract in special rates at participating Houston, Texas hotels. Closer to the show date we will have information on our website with key details and instructions on where to go and how to book.

As an Exhibitor, what are my responsibilities at Expo? One of your primary responsibilities is to promote your own participation in the Expo. While IMAGE Expo does a great amount of general marketing of the show, it is the exhibitors job to invite the specific companies you want to see.

Other responsibilities of the exhibitor are:• Ensure your booth is set up completely before the show opens• Staff your booth at all times during the two day event.

How can my customers or potential customers find me at EXPO? Expo attendees are provided with an official Show Magazine & Resource Guide in which each exhibiting business is listed with its corresponding booth number. We encourage every exhibitor to advertise in the show magazine to gain extra, lasting exposure.

How many sales can I expect to make at EXPO?While sales and orders are made on the tradeshow floor, many exhibitors find that leads they make and follow up on result in sales long after the show is over. Most exhibitors use IMAGE Expo as a chance to meet potential clients, or to launch new products.
