DLM Support Wait Times DLM have two suggestions: if you call, wait it out or use email. The number of emails are much lower than the number of phone calls. The subject in the email should be: DATA LOCKDOWN REQUEST. Then in the body of the email put in something simple like, “XXX district needs to exit a student.” The Service Desk will respond with the secure Hawk Drive link for the district to use when uploading the template(s) needed for the change request. Please direct your districts to the resources to use and remind them that it is against federal law to email student level information. Districts must use the secure data transfer URL, which they will receive. Materials needed for data lockdown are located at http://www.dynamiclearningmaps.org/content/dlr

DLM Updates • Due to the data lockdown that has occurred March 11,

districts test coordinators must contact DLM for the following issues: – Adding new teacher accounts – Activating inactive/pending accounts – Adding students – use the secure site – Creating or editing rosters – Addressing issues with First Contact Survey – Addressing missing students

• DLM will only make changes based on the district test coordinators contacting DLM.

• Grades 9-12 - High School biology – Exemptions – proof of “not a first year biology student”

• ISBE will search SIS records for grades 8-12 from Fall 2013 through Summer 2015 for a full year credit in at least one of the four biology courses identified previously.

– Also, districts may use the “Reason for No Valid Test Attempt” code 06 (Not in Valid Course) during data cleanup for those that were missed during the initial rostering process.

• All grades – Mobility impacts to testing ISA – Students that have started/completed a test, then move to a new school, will NOT

start/continue to test at the new school. We are working with the test vendor to communicate the student’s test status during the rostering process.

PARCC Test Irregularity Reports School staff has 5 business days to submit a test irregularity form to the Student Assessment Division at the Illinois State Board of Education. Please provide details of the incident and what steps school staff took to correct the incident. School staff do not need to report minor technology issues that staff are able to resolve and continue with student testing (e.g., students not initially assigned the correct test accommodations in the online test format). Additional Orders (AOs) • Please inventory and double check your initial

shipment before you place an AO – Original shipments arrive 2 weeks prior to the test start date – Based on the test start date uploaded by SIS on Jan. 22 – If the test start date was not entered in SIS by Jan. 22,

March 7 was sent as the default test start date • Pages 30-31 in the Test Coordinator’s manual. • Pearson has already received several orders that

appear to be duplicates of shipments that are in transit.

Student Mobility After March 4 • Student Information System (SIS) and PearsonAccessnext (PAN):

– SIS stopped automatically sending student update transmissions to PAN after the weekend of March 4, 2016.

– Districts should continue to enroll new students in SIS and, beginning on March 7, must carefully enter new students directly into PAN for testing, as needed.

– See “STUDENT REGISTRATION/PERSONAL NEEDS PROFILE TRAINING MODULE” for guidance, linked from https://parcc.tms.pearson.com/, or contact PARCC Support at 1-888-493-9888.

– If your district has a significant number of students to transmit to PAN on or after March 7, contact the SIS Helpdesk for assistance at 217-558-3600, option 3.

• Hard copy Individual Student Reports (ISRs) are shipped to the “Responsible School” (Home School in SIS) unless a different school is indicated in PAN.

• Ship Report District Code/Ship Report School Code-used to ship hard copy ISRs to a location different from the Responsible School location.

• Serving Schools must get permission from the home school to redirect ISR shipments.

• Home Districts still have access to ISRs in PAN if a hard copy is desired.

• Students appear on School and District rosters based on Home School.

Key Reminders • Caching by session rather than by test is more efficient.

– Some “timeouts” (white screen with no activity) have been reported – Pearson recommends precaching by individual test (Grd 7 Math)

• Test Tickets must be printed by session (there is no “Print All” function)

• Sessions must be started individually – you cannot “Start All” from the combined view

• Sessions must be “Started” before the Unit “unlock/lock” will work

• A unit must be locked before the next unit can be unlocked (only one unit can be open in a session at a time)

• All students must be in Completed or Marked Complete status in order to “Stop” a session

iPad MDM-ASAM Issue • If using iOS 9, use version 9.2.1 (NOT 9.2.0)

– Just released version 9.3.0 is being tested

• There is a known conflict between the DRC profile and the TestNav profile when using ASAM – If your MDM (AirWatch, JAMF, LightSpeed etc...) is

configured with multiple apps that use ASAM (autonomous single app mode) profiles or have multiple apps listed within your ASAM profile the TestNav application will not work properly/allow the test to begin.

– Pearson recommends that you remove all other ASAM profiles, only list "com.pearsoned.TestNav" within the ASAM Profile.
