Welcome to IJFM 2018 Rongcheng in China!

First of all, the organizers of IJFM 2018 Rongcheng would like to extend a very warm welcome to

all jet model teams and enthusiasts. We look forward to as many participation as possible

from you！

International Jet Formation Masters 2018 Rongcheng (IJFM 2018 Rongcheng or the

event ) will take place in Rongcheng, Shandong,China, this October 13th (Sat) to 15th

(Mon). We encourage you to enroll for the event as soon as possible. The Organizers

have secured some funding to provide financial supports for the final qualified contestants.

Details of which you may find inside this Bulletin. The first fifteen (15) qualified contestants

(definition in Point 4) will be entitled to the financial supports as listed out in this bulletin.

We also introduce the site, weather, itinerary and, more importantly, logistics of boxes,

inside this bulletin. A bulletin will be issued periodically from now on to keep you abreast

with the recent development of IJFM 2018 Rongcheng. For any queries, contact

information are also listed below.

1. Location

Rongcheng, Shandong, China

Rongcheng is a county-level city of Weihai City, at the eastern end of Shandong

Province, looking out to the Yellow Sea in all directions apart from the west.

2. Itinerary

IJFM 2018 Rongcheng officially starts on Saturday Oct 13th , 2018. It will be a

three-day event with a brief closing and prize giving ceremony on Monday Oct

15th.

All competition teams are required to be on site on Oct 11th fo r preparat ion.

Below is the draft itinerary (subject to further minor changes).

3. Climate/Weather/Daylight

Rongcheng belongs to the North Temperate Zone with seasonal wind and a

humid climate. It has four distinct seasons with about an annual average

temperature of 12 °C. In mid-October, the following weather condition may be

expected:

- Temperature between 15 to 20 °C centigrade

- Humidity around 50%

- Mostly stable weather

- Sunrise at the early October is at 05:45, sunset at 17:30.

4. Definition on Qualified Contestants / Teams

A total of fifteen (15) teams will be selected worldwide as “Qualified Contestants/Teams”.

The selection will be based on:

a) the timing of each contestants’ registration applications; the early the better;

b) the track record of the contestants’ past participation in similar international events;

c) information on the contestants’ models and its quality and craftsmanship;

d) once the budget for financial support is exhausted, no further financial aid for late

applicants can be provided.

5. Accommodation

For judges and the qualified teams, the organizer will provide complimentary

LOCAL hotel accommodation, catering and travel services during the event,

including specifically:

- Complimentary accommodation for three people of each qualified team at the

designated hotel;

- Complimentary buffet breakfast and dinner (bar expenses excluded) at hotel,

simple working lunch at the event site;

- Complimentary shuttle bus to and from the arrival airport and the designated hotel.

- Complimentary shuttle bus from the designated hotel to the event airfield site.

Rongcheng Haitai Junting Resort will be the designated hotel for the event. It is

located at No.839 Haiwan South Road, Rongcheng.

Opened in 2014, the Rongcheng Haitai Junting Resort offers travelers a pleasant stay

in Rongcheng. The Ocean view rooms feature soothing decor and a lovely sea view.

The hotel restaurants serve both Chinese and Western dishes. The lobby bar is a great

place to relax while gathering with friends. Both indoor and outdoor swimming pool

are available. Hotel guests also have access to a private sauna. The saunas are open,

from morning to evening.

6. Crates Transport

The Organizer will provide complimentary transport and importation of model aircraft to

and back from Rongcheng for the qualified teams.

Serious contestants interested in availing themselves of this transport support are

suggested to register early.

6.2 Crates Marking

6.3 Crates Packing

Exhibitors are advised to provide strong packing cases for the transportation of the exhibits

which can withstand unpacking and repacking operations. For main models, were

commend bolted returnable type of cases to be used. This is to avoid unnecessary repair

and reconstruction of cases in the event of damages due to handling whilst in transit.

6.4 Fumigation Rules in China

Please note that, according to NEW WOOD PACKING MATERIAL REGULATIONS in

China, which became effective since Jan 1st , 2006, ALL CARGOS WITH WOOD

PACKING MATERIAL (WPM) to China (such as wood block cases, lath cases, wood pallets,

wood frames, wood drums, wood axes, chocks, stow-wood, crossties and so on),

fumigation MUST be arranged in the country of origin before sending the cargo to China.

To ensure the WPM is properly treated either by Heat Treatment (HT) or Methyl Bromide

(MB), following information MUST be marked or stamped on the outside packing as the

below sample:

- IPPC Logo ( )

- ISO country code (XX)

- Unique number assigned to the company (which carries out the fumigation

procedure) by the national plant protection organization (000)

- Fumigation method either HT -Heat Treatment or MB - Methyl Bromide (YY)

WOOD PACKING MATERIALS WITHOUT ACCEPTABLE STAMP OR NOT IN

COMPLIANCE WITH THE ABOVE REQUIREMENTS MUST BE DESTROYED OR RE-

EXPORTED.

For cargo with non-wood packing materials, the cargo owner must provide the non-wood

packing declaration, which is printed out by company letter-head, signed with authorized

signature and endorsed with company chop. The original declaration letter must be

attached to the original Master Airway Bill or courier to our local office in China for Customs

clearance purpose.

6.5 INSURANCE

It is the responsibility of each team to arrange Transport Insurance covering transport to

the event site, during the show, till the return of the models, including the period the models

are handled by APT Showfreight Shanghai Co., Ltd. The complimentary logistic services

provided by organizer will cover the transportation insurance fee. Every team should

submit insurance proposal to organizer for approval before issuing.

6.6 Additional Services

For additional services not covered by the above, an individual solution will be given upon

request.

6.7 Documents Needed by the Organizer

Below documents shall be provided to the organizer upon completion by email to

transport@bjabird.com or logistics@bjabird.com .

- One (1) copy of combined packing list and invoice

- One (1) copy of Insurance Policy

7. Travel Allowance

A USD 3,000 travel allowance will be offered by the organizer to support each qualified

team outside China by TT transfer to the team’s designated bank account after the event.

8. Official Language

Both English and Chinese will be used throughout the competition.

International flights

Weihai International Airport (WEH) is the nearest airport to Rongcheng. The hotel is

20km away from Weihai airport or 20 minutes by car.

Yantai Penglai International Airport (YNT) is another alternative. The distance between

Yantai airport to Rongcheng is about 170km or an hour and half by car.

The organizer provides complimentary airport pickup service to and from the airport

to the designated hotel.

10. Registration

10.1 General Information

- Registration starts now.

- Applicants need to fill in Appendix A -- Registration Form. The e-copy of the

completed Registration Form shall be returned by email to contact@bjabird.com.

- Registration deadline is June 15, 2018.

- An electronic passport photo of each team member is required as photos are

needed for the access badge to airfield restricted area. Registration without e-

photo will not be entertained.

- The more information, such as pictures and videos, on your team, model aircraft

and/or past achievements will give you better advantage for the final selection. If

you have a team website, please simply fill in the Appendix A under team website.

If not, please feel free to provide such info by email together with the Registration

Form.

10.2 Use of Data

All information collected will be used by the organizers solely for the purposes of organizing

IJFM 2018 Rongcheng. Your personal data records are confidential and will be used for

invitation letters only. Team names, country and aircraft photo will be used for event

publications, brochures, and/or any other press coverage of the event.

11. Judges Guidelines

IJFM 2018 Rongcheng will adopt the same Judges Guidelines as IJMC other events

(www.ijmc.net). The judge panel of IJFM 2018 Rongcheng will include two (2) Chinese

judges and three (3) international judges recommended by IJMC.

12. Winning Prize

The winning prize will be allocated as below. A sample check will be used during

the prize giving ceremony. Real money will be transferred to the designated bank

account of each winning team after the event.

13. Complimentary Fuel, Gas & Color Smoke

Due to airline restrictions on the transportation of jet fuel, oil & color smoke materials,

complimentary supplies will be available on site for contestants to mix their own fuel.

14. Insurances

- Liability insurance of the Organizer covers the pilots and helpers during training

and contest flight operations as well as demo flights in the context of and for the

duration of the event.

- All further insurances (health, general and driver’s liability, flying out of context of

the event, legal expenses etc.) are up to the team managers, pilots, helpers,

supporters and spectators to take care of.

15. Passports / Visas / Immigration

- All international travelers must be in possession of a valid passport (at least 6

months before expiry date).

- The Organizer will provide the official invitation letters for visa purposes upon

request.

- Each competitor, helper, family member or supporter is responsible for his/her own

immigration process to enter China.
