License to Operate is a key approach and process, critical for operations management of any services delivery organization such as Shared Services. GMR SSC introduced and adopted this process to ensure that all the service delivery personnel and new employees joining are equipped with a formal training and learning plan and a structured assessment before getting a certification to operate the respective tasks/ deliverables.

The key components of the LTO approach are:

1. Learning Path: For each new employee a structured and mandatory learning path is identified. The elements of Learning path are:

a. Organizational business and process context

b. Role , job description and goal sheet understanding

c. GMR SAP training

d. SSC workflow and documentation training

e. Critical business process scenarios

f. Stakeholder organization and engagement awareness

2. Learning Buddy: An experienced and tenured senior team member is identified as buddy for the new incumbent. The buddy helps the new employee adapt to the GMR environment, supports in driving the

learning path activities and monitors timelines under which it needs to be covered.

3. Learning Team: The learning coordinator monitors the overall learning path progress and ensures there are no delays and the right inputs are always available.

4. Whiteboard Assessment: Typically the learning path is for 6-8 weeks and at the end of the same, a whiteboard assessment is conducted to test readiness and knowledge of the new employee. This Whiteboard assessment is administered by a team comprising of Ops Head, Team lead and Learning coordinator.

5. License to Operate: Post the successful completion of Whiteboard assessment, the new employee is now licensed to operate.

6. Process Knowledge Test: A LTO employee is then periodically tested for continued process knowledge through an annual PKT or an adhoc PKT as and when a process change or policy change is implemented.

The employees who successfully clear the assessment and are licensed to operate get recognized and a certificate is awarded in the Monthly SSC Business head update. Such business updates also cover SSC and Group highlights, introduction of new joinees, updates on organizational structure and any queries that employees have are also addressed.
