Overview This chapter provides overviews of Utilities and Spatial Asset Management. It lists the applications contained in each product, and describes features found in the GIS-enhanced applications.

Utilities and Spatial Asset Management application names contain “(T&D)”. T&D stands for “transmission and distribution.” All of the applications in Spatial Asset Management are also in Utilities. Spatial Asset Management does not include Crew Management (T&D), Crew Types (T&D), CU Estimating (T&D), or CU Library (T&D). Those industry-specific applications are only in Utilities.

Utilities

Utilities provides capabilities and support for crew creation and management, CU creation and estimation. It also provides geographic information system (GIS) functionality to create and manage asset, location, service request, and work order records. Utilities contains the following applications:

GIS Functionality

Utilities and Spatial Asset Management contain the following GIS-enhanced applications:

In each of the GIS-enhanced applications, the Map tab contains the GIS actions and tools needed to work with application records and GIS features.

Map Tab

You use the Map tab to find and view GIS features and application records linked to GIS features on a map. You also can edit maps, create features, create and remove links between application records and GIS features, attach maps to records, and create features, such as work order boundaries, to show where work needs to be done.

The Map tab has the following four sections:

Map Tab

Map Toolbar

You use the map navigation tools, located on the Map toolbar, to perform a variety of tasks. To use a tool, click the tool and then click the map or feature, depending on the task you want to perform.

The Map Toolbar icons and functions are described in the following table.

Map Toolbar

Name Tool Action

Zoom In Draw a rectangle to define the area on which to zoom in.

Zoom Out Draw a rectangle to define the area from which to zoom out.

Pan Drag the hand tool to move to a new area on the map.

Previous Extent Return to the most recently viewed map extent.

Next Extent View the next map extent.

View Full Extent Display map at its full extent.

Identify You use the Identify tool to view the attributes of a feature on a map. If the feature is linked to an application record, the details include the unique identifier of the application record.

Measure You use the measure tool to measure the distance and areas of lines and polygons, and to obtain the coordinates of a feature. When you use the measuring tools, you select the feature you want to measure and the units of measurement. Snap settings must be turned on to use this tool.

Select by Data Point

Click a feature to select it and see it listed under Current Results.

Select by Extent Click and drag the mouse to create a rectangle. All visible features within the rectangle are selected and listed under Current Results.

Select by Polygon Click each vertex of the polygon; double-click to complete the selection. All visible features within the polygon are selected and listed under Current Results.

Attach Image Create a PNG file of the map view and attach it to the selected record.

Attach PDF Create a PDF file of the map view and attach it to the selected record.

Update GIS List Replace the list of records displayed in Linked Current Results with the GIS feature records that match application records displayed on the List tab.

Features in Left Pane of Map Tab

The left pane of the Map tab contains the following sections:

Tasks

Find by Address Use the Find by Address task to search for a particular address on the map. The accuracy of the results depends upon the accuracy of the address data that your system uses. If the exact address is not available, the system displays a map showing a temporary symbol located near the address that you entered so that you can find your actual address visually.

Query by Attribute You use the Query by Attributes dialog box to create SQL statements to search for GIS features and application records using attributes and values. When you perform a query, the system creates a map extent displaying all of the found GIS features highlighted on the map. The system also displays the GIS records in the Current Results section in the left pane of the Map tab.

Update Application List

Replace the list of application records on the List tab with the records that match the GIS feature records in the Linked Node of Accumulated Results. Updating the application list is useful, for example, when you want to select records visually in a geographic area and send them to the current application for additional work.

Merge List Add application records to the List tab that match the GIS feature records in your Results set on the Map tab. When you perform a Merge, the system compares your application records with the GIS feature records listed in Accumulated Results. For each GIS feature record, the system adds its matching application record to the List tab if the application record is not already in the list.

The application records that you originally selected that are not linked to GIS features remain in your selection set.

Display All Selected

Calculates and displays a new map extent, highlighting those features that match the Maximo records on the List tab.

Clear Highlights Clear highlighted graphics and records in Results.

Refresh Map View Refreshes the current map extent. Use when the map tiles are misaligned or the map's appearance isn't quite right.

Results are categorized as Linked or Non-linked. If you query GIS features, the system lists results that are linked to records in the current application under the heading "Linked Results." The system lists GIS features that do not have matching record in the current application under the heading "Non-linked Results." Similarly, if you query application records, the system sorts the results into Linked and Non-linked, depending on whether the current application record has a matching GIS feature.

Note: To perform searches based on the attributes of application records in the Query by Attributes dialog box, your system administrator must have joined the GIS and Maximo tables.

Editing Use the editing tools in the Editing and Versioned Editing dialog boxes to create, modify, and delete features. The available editing tools vary based upon the geometry feature type (point, line, or polygon) that you select to edit. The editing tools are described in the following table.

Editing Tools

Name Tool Action

Select Feature Select a feature or create a rectangle on the map to select a single feature or multiple features within the rectangle.

Clear Selections Clear any selected features.

Show Vertices Display the vertices, or points, that define any selected features. Select Show Vertices in order to use the Add Vertex, Delete Vertex, and Move Vertex tools.

Undo Edits Reverse the last edit. Each click reverses one more edit. Available only in Versioned Editing

Redo Edits Reinstate the last Undo Edit that you performed. Available only in Versioned Editing.

Save Edits Save all changes you made during the current edit session. Save your edits before you close the Editing dialog box.

Discard Edits Delete all changes that you made during the current edit session.

Enter x,y Values Place the new feature precisely at specified coordinates. Coordinates are based on

the coordinate system used by the map document.

Delete Feature Delete the selected feature. Use the Undo Edit tool to undo a deletion.

Move Feature Click the selected feature. Move the cursor to a new location and click the new location. The system displays a line extending from the original location to the new location. When you click the new location, the system deletes the line.

Link Create a link between the selected GIS feature and an application record. The system displays the unique identifier of the application record in the Attributes section of the Editing dialog box.

Unlink Break the link between the selected GIS feature and an application record.

Create feature Click the location on the map where you want to place the point feature. Or, use the Enter x, y Values tool to place the feature precisely.

Create feature Click the location on the map for the first vertex. Drag the cursor and click again at the endpoint to create the line feature.

Results

Identifies the features selected on the map and features and application records resulting from a query. Results are displayed in a hierarchy consisting of the following nodes: Current: Linked and Non Linked; Accumulated: Linked and Non-Linked. You can expand any node that has a "+" to view its contents. Within each node, results are grouped by layer. The system displays the name of the layer followed by a number. The number indicates the quantity of features in that layer that meet the selection or search criteria. To see the attributes of any record, click the record or feature identifier. The attributes and values are displayed in the Result Details section.

Create feature Click the location on the map for the first vertex. Drag the cursor and click again at the next vertex. Repeat as many times as needed. Double-click at the final vertex to create the polygon feature.

Copy Feature Click the selected feature, move the cursor to a new location and click again to place the copied feature on the map.

Copy Feature Click the selected feature, move the cursor to a new location and click again to place the copied feature on the map.

Copy Feature Click the selected feature, move the cursor to a new location and click again to place the copied feature on the map.

Split Feature Click the location on the line where you want to split it. Double-click to complete the line and split the line.

Split Feature Click and draw a line on the polygon where you want to split it. Double-click to complete the line and split the polygon.

Merge Feature Click the selected lines to merge them into one.

Merge Feature Click the selected polygons to merge them into one.

Add Vertex Click along the edge of the feature to place a vertex at that location. Select the Show Vertices tool and then the Add Vertex tool.

Delete Vertex Click a vertex to delete it. Select the Show Vertices tool and then the Delete Vertex tool.

Move Vertex Click the vertex you want to move, move the cursor to the new location, and click again to place the vertex at that location. The system displays a red line from the point of origin to the new location until you click to place the vertex in the new location. Select the Show Vertices tool and then the Move Vertex tool.

GIS Functionality

Result Details

Displays attributes and values of a feature.

Map Contents

Displays a list of the layers of the map. Layers are organized in data frames. A layer contains features of one feature type.

Use the Map Contents to:

Turn layers on and off to make them visible or hidden on the map. To turn a layer on, select its check box. Clear the check box to turn a layer off. If the scale of the data frame is within the visible scale range of the selected layer, the system displays the features in that layer on the map.

View the names, symbols, and colors used to represent features. To view features, click on the "+" next to a layer to see its related features. Click the "+" next to a feature to view its symbology.

Navigation

Displays a compass indicating North, North East, East, South East, South, South West, West, and North West. Click a point to move the map in the selected direction.

Map Overview

Displays the entire map extent. A red-outlined rectangle on the map overview indicates the area of the map displayed relative to the full map extent. Drag or resize the rectangle within the map overview to view another region of the map in the main map window area.

Map Window

Displays the map document. Use the tools to navigate within the map.

Edit Map Features

There are two types of map editing: versioned and non-versioned. A version is a snapshot of the production, or DEFAULT, database. A version contains all of the data sets in the database, and lets multiple users edit the same data at the same time. Which method you use depends upon how your system administrator has configured your permissions and manages the GIS database.

In versioned editing, delta tables in the database track the changes you make. After you complete your edits, the GIS administrator reconciles your changes with the DEFAULT version. The default version is the original version, and

typically the one that is used as the version to publish. After reconciliation, the administrator posts your accepted changes to the default version. To perform versioned editing, select Edit Map Features from the Select Action menu. The Versioned Editing dialog box has the same editing tools as the Editing dialog box.

Organizations (T&D) Application

Overview You use the Organizations (T&D) application to configure numerous settings for Utilities applications. When you configure settings, you select the organization and the site to which the settings apply. Among the settings that you choose in this application are: selecting crafts, items, and tools to use in the CU Estimating (T&D) and CU Library (T&D) applications; defining actions you want Maximo to perform when the user selects certain actions in Utilities applications; and defining account codes. You also use this application to enable the spatial functionality in the GIS-related applications.

Account Code Options

You use the Account Code Options action to define and edit account codes used in the Utilities applications. These codes specify how to account for charges based on the Federal Energy Regulatory Commission (FERC) system of accounts.

Account Override Options

You use the Account Override Options action to define options to override the accounting code specified on the CU record in the CU Library (T&D) application or the corresponding GL account.

Asset Code Options

You use the Asset Code Options action to enter financial codes for asset. The asset code and the accounting code together make up the unique identifier for the asset and how it is to be charged within the organization. If you do not associate an asset code with an accounting code, the asset code is valid with any accounting code.

Assign Labor to Work Groups

You use the Assign Labor to Work Groups action to select a work group for a labor code.

Assignment Options

You use the Assignment Options action to configure how long resources are available and how crew duration will be calculated.

Configure Classifications

You use the Configure Classifications action to specify which classifications in the Maximo database are valid for use in the Utilities applications.

Configure Crafts

You use the Configure Crafts action to specify which crafts in the Maximo database are valid for use in the Utilities applications.

Configure Items

You use the Configure Items action to specify how Maximo will determine costs associated with items on compatible unit records that are used on estimate requests in the CU Estimating (T&D) application.

Configure Tools

You use the Configure Tools action to specify which tools in the Maximo database are valid for use in the Utilities applications.

Configure Work Groups

You use the Configure Work Groups action to specify which work groups in the Maximo database are valid for use in the Utilities applications.

CU Library Options

You use the CU Library Options action to define the level of version control for compatible unit records in the CU Library (T&D) application. The version control level determines what can and cannot be changed on a CU for all the records in the library.

CU Estimating Options

You use the CU Estimating Options to set many options that are used during the estimate generation process.

CU Acceptance Options

You use the CU Acceptance Options action to define actions that Maximo will take when an estimate request is accepted.

Labor Adder Options

You use the Labor Adder Options action to set up percentage values to be used in the estimation generation process to apply to labor hours defined on a compatible unit record.

Loading Type Options

You use the Loading Type Options action to define the loading/overheads that apply to each cost type. Loading types can include Company Labor, Contracted Labor, Stocked Material, Direct Purchase Material, Inside Tools, Outside Tools and Support Activities. Maximo applies the rate automatically during the estimate generation process if you have set up the estimating options to apply loading during estimate generation.

GIS Admin (T&D) Application

Work Type Options

You use the Work Type Options action to define resource substitutions for the sub-craft on the CU record during the estimation process. Sub-crafts can vary by work group. A subcraft is a special type of resource that may exist in some locations or sites and not in others. By setting up Work Types, including sub-crafts, work groups, crafts and crew types, Maximo translates the sub-craft on the CU record to its corresponding craft or crew type within the work group specified on the estimate. Cost information is stored on craft and crew type records.

Work Zone Options

You use the Work Zone Options action to set up codes which define geographic areas where work can take place and a Travel Factor for calculating off-site hours. The Travel Factor is applied automatically by the estimate generation process when the you select a work zone for the estimate version in the CU Estimating (T&D) application.

General Value List Options

You use the General Value List Options action to insert records into the general value list table and to create values which will be used against the main value in T&D processes.

GIS System Settings

You use the GIS System Settings action to determine access to the GIS functions on the Map tab in certain T&D applications. If GIS is not enabled, users receive an error message when they select the Map tab.

GIS Admin (T&D) Application

Overview You use the GIS Admin (T&D) application to create relationships between feature classes in the GIS (geographic information system) database and the assets, locations, service requests, and work order database tables in the Maximo database. A GIS feature represents a physical entity, such as a pole, road, or parcel, on a map. A feature is comprised of geometry (point, line, or polygon) and business attributes (such as a unique identifier, address, or owner). A feature class defines the GIS entity. All of the records in a feature class have the same geometry type.

By creating the relationship between feature classes in GIS and your Maximo data, you can then link Maximo records to GIS records. After you create a link, you can display a Maximo asset record, such as a pole, on the Map tab in the Assets (T&D) application.

To create a relationship, you select a GIS table. The system then selects the appropriate Maximo database table, based on defined column names added by scripts run during the installation and implementation process.

Use the Feature Class table window to create relationships between GIS feature classes and system database tables. GIS Feature Classes and Maximo database tables have a many-to-one relationship. You can associate multiple GIS feature class tables with one Maximo database table. You cannot associate multiple Maximo tables with one GIS feature class table.

After you associate a feature class with a Maximo database table, you can link GIS feature records to Maximo records in the T&D applications.

Assets (T&D) Application

Overview You use the Assets (T&D) application to create and store asset numbers and corresponding information, such as parent, location, vendor, up/down status, and maintenance costs for each asset.

Tabs in the Assets (T&D) application let you build the asset hierarchy, an arrangement of buildings, departments, assets, and subassemblies. The asset hierarchy provides a convenient way to roll up maintenance costs so that you can check accumulated costs at any level, at any time. It also makes it easy to find a particular asset number.

Assets (T&D) is GIS-enabled to support creating and managing assets in a spatial context. On the Map tab, you can link a GIS feature to an asset, search for and view assets with matching GIS feature records, save maps to attach to records, and modify features.

Locations (T&D) Application

Overview The Locations (T&D) application lets you enter and track locations for assets and organize these locations into logical hierarchical systems or network systems. Using hierarchies or systems of locations and specifying the location for assets on the asset record provides the groundwork for gathering and tracking valuable information on the history of an asset, including its performance at specific sites, as it is moved from location to location. With locations organized into systems, you can quickly find a location on the Drilldown page, and identify the asset at that location.

Locations (T&D) is GIS-enabled to support creating and managing locations in a spatial context. On the Map tab, you can link a GIS feature to a location, search for and view locations with matching GIS feature records, save maps to attach to records, and modify features.

Purchase Contracts (T&D) Application

Overview The Purchase Contracts (T&D) application has been enhanced to support purchase contracts to use on estimate requests that involve outside labor. On the contract, you identify the bid code unit, compatible unit record, and work function. Whenever the identified CU record is used on an estimate with that vendor, Maximo uses the prices defined on the contract to calculate costs. Labor hours are not defined for contracted labor, so Maximo uses internal labor/craft hours to estimate the time it will take for the contracted labor to complete the work.

Only those CU records that have their CU Bid Unit? check box selected can be used on Purchase Contracts.

CU Library (T&D) Application

Overview You use the CU Library (T&D) application to create, view, and edit compatible unit (CU) records and their attributes. A compatible unit contains details on the effort, materials, and tools required to perform a particular task, such as installing a cross-arm pole. The CU's details and the filters you specify on the CU record are used to create an estimate in the CU Estimating (T&D) application.

Each compatible unit corresponds with an element of construction work as specified in each utility's construction standards manual.

You can create CU hierarchies, with as many as nine levels, creating parent-child relationships among the compatible units.

Planning Module 5

Application Utilities Function

CU Library (T&D) Create compatible unit records, build hierarchies, specify the items, labor, and tools to use in specific work site conditions.

Job Plans (T&D) Supports the use of crew types, crews, and work groups.

Compatible Unit Tab

You use the Compatible Unit tab to create, modify, and delete compatible units. Each compatible unit defines effort, tools, or materials required to perform a particular construction task. For each detail on the record, you can use the filters to specify the conditions for which the labor, materials, and tools are appropriate.

You use the check boxes in the Control Flags section to set specific attributes of the compatible unit. These flags are used throughout the Utilities applications. Refer to the field help for information about each control.

Specifications Tab

You use the Specifications tab to classify CU records. When you classify a CU, Maximo displays the classification's details in the Specifications table window.

Contractor Unit Prices Tab

You use the Contractor Unit Prices tab to view data from Blanket and Price Agreement Contracts on which the selected CU is referenced on a contract line. The fields on this tab are read-only.

Where Used Tab

You use the Where Used tab to view a list of CU records that are parents of the selected CU record. In the Parent CUs table window, you can click View Details to see more information about the parent record. You also can delete the parent-child relationship by deleting the parent in the table window.

Change Status

You use the Change Status action to change a CU record's status.

The following rules apply to status changes:

You can only change a PENDING status to ACTIVE.

You can only change an ACTIVE status to INACTIVE.

When you change a CU record's status to ACTIVE and an ACTIVE version of that CU record already exists, Maximo changes the currently ACTIVE status to INACTIVE.

Activate CU Set

When you create a CU, you can assign it to a set. By assigning a CU to a set, you can activate all of the CUs in the set at once. All of the CU records in the set have the same status.

View Status History

You use the View Status History action to review a CU record's status changes. For each status change, the dialog box displays the status, the name of the person who changed the status, the date and time of the change, and the memo that was entered at the time of the change.

Create New CU Version

You use the Create New CU Version action to create another version of the selected CU. When you create a new version, its status is set to PENDING, and its highest version number is increased by one.

Maximo copies the control flags from the original version to the new version. Maximo does not copy child CUs, materials, labor, or tools from the original record to the new version.

You can create a new CU version only if the selected CU and any of its versions do not have a status of Pending.

Note: You can only create new CU versions if the version control level set in the Organizations application allows multiple versions to exist.

Duplicate CU Version

You use the Duplicate CU Version action to create a copy of the selected CU version. When you duplicate a version, Maximo copies the children, materials, labor, and tools to the duplicate. The system increases the record's version number by one, and sets the status to PENDING. The duplicate version is not attached to the parents of the original version, if the original had parents.

You can duplicate a CU version only if there is no PENDING version record of that compatible unit.

Job Plans (T&D) Application

Duplicate CU

One of the quickest ways to create a CU record is to duplicate an existing one. When you duplicate a CU record, Maximo copies the current CU record, including its child CU records, material, labor, and tools. The duplicate CU record's version is set to one and its status is set to PENDING. The new CU record is not attached to the parents, if any, of the original CU record.

Delete CU Version

You can only delete a CU version record if it meets the following conditions:

it is not attached to a parent CU it is not referenced on any estimate request

Delete CU

You use the Delete CU action to delete a CU record and all of its versions.

You can only delete a CU record if it meets the following conditions:none of its versions are attached to a parent CU record.

none of its versions are referenced on any estimate request record or contract (contract line).

Job Plans (T&D) Application

Overview New fields have been added to Job Plans (T&D) to support the use of crews. You set up crew types in the Crew Types (T&D) application and you create crews in the Crew Management (T&D) application.

When you create a job plan in the Job Plans (T&D) application, you can now plan for crew types or specific crews on the job plan.

Overview The Resources module has two new applications. This chapter describes the Utilities-specific applications. For more information on any application, refer to the application help. You also can refer to the IBM Maximo User’s Guide for more information on any standard Maximo application.

Spatial Asset Management does not include Crew Management (T&D) or Crew Types (T&D).

The Resources module contains the following industry-specific applications:

Crew Management (T&D)

Overview You use the Crew Management (T&D) application to define, plan and schedule labor resources to a crew. A crew is comprised of labor and tools or assets that are required to perform a specific type of job. When you use a crew type to build your crew, the required crafts, qualifications, and tools needed for the crew are displayed on the Crew tab. Using the crew type requirements, you can be sure that you assign all of the necessary resources to the crew.

When you create a crew, you can associate the crew with a calendar and shift, and specify the time period that each member is assigned to the crew.

You assign crews to work orders using Work Order Tracking (T&D) or Assignment Manager (T&D) applications; you can report the hours a crew worked using the Labor Reporting (T&D), Work Order Tracking (T&D), and Quick Reporting (T&D) applications.

You also use the Crew Management (T&D) application to view reported actuals for members of a crew, and to see who has held or will hold positions on the crew, historically, currently, and in the future.

Crew Tab

You use the Crew tab to create a crew, defining the labor positions, tool resources, and qualifications that the crew requires to perform its work. You can use a crew type to build the crew. When you specify a crew type, Maximo copies the crew type's positions and crafts, qualifications, and tool resources to the Required Crafts, Required Qualifications, and Required Tools table windows.

You can add positions, qualifications and tools to the crew. You also can assign labor and tools to the crew that do not meet the requirements of the crew. Maximo displays a warning message when you do so. You can only delete positions and tools if they do not have any labor or tool assets assigned to them.

Crew History Tab

You use the Crew History tab to view the labor and tools that were reported for work performed by the selected crew. You report work in the Labor Reporting (T&D), Work Order Tracking (T&D), and Quick Reporting (T&D) applications.

You can use the filter in the Date column in the Required Crafts table window to specify a reporting date.

Labor Assignments Tab

You use the Labor Assignments tab to assign labor to a crew, or to modify a current labor assignment. For each position in a crew, the tab displays a list of all labors assigned to that position on the selected crew in the past, currently, and in the future.

Once you assign labor to a crew, that labor is not available to be assigned to a work order. You can assign internal or outside labor (contractor) to a crew. When you select labor to assign to a crew, if its craft, skill level, qualification, certification, or availability do not match the specified requirements of the crew, Maximo displays a notification message. You can, however, still assign labor whose details do not match the crew requirements.

Tool Assignments Tab

You use the Tool Assignments tab to assign specific tool assets to a crew, or to modify a current tool assignment. For each tool you assign, you can specify the time period for which the tool is assigned to that crew.

You can assign a tool to only one crew at a time.

Crew Management (T&D) Actions

Crew Management (T&D) has the following actions:

Change Status

You use the Change Status action to change a crew's status. A crew can have a status of ACTIVE or INACTIVE. If a crew is referenced by an active work order or job plan, you cannot change its status to INACTIVE.

When you change an ACTIVE crew to INACTIVE, all labor and assets' assignments for that crew end as of the date the crew becomes INACTIVE.

View Labor Assignments

You use the View Labor Assignments dialog box to view labor assigned to the crew for the date you specify. Maximo displays the labor for that date, along with craft and qualification information.

View Status History

You can view read-only status history for a crew. Each time you change the status of a crew, Maximo writes a history transaction.

View Work Orders

You use the View Work Order action to view a list of work orders that the selected crew has performed work against.

Duplicate Crew

You can duplicate a crew record rather than create a new one. When you use the Duplicate Crew action, Maximo copies the information from the Required Crafts, Required Qualifications, and Required Tools table windows from the original crew record to the duplicate. Maximo does not copy the crew's history, labor assignments, or tool assignments.

Delete Crew

You can delete a crew only if the crew is not referenced by an active work order or job plan.

Crew Types (T&D)

Overview You use the Crew Types (T&D) application to define the crafts, qualifications, and tools that compose a crew that will perform a certain type of work.

For example, an overhead line crew type (OHLINE) consists of one lineman and two helpers, a bucket truck and a utility trailer. When you assign the OHLINE crew type to a compatible unit (CU) record or a work order, those resources will be used to calculate the estimated cost. You also can use crew types to build a job plan in the Job Plans (T&D) application, and to define crews in Crew Management (T&D).

A crew type can have one of two statuses, Active or Inactive. When you set a crew type’s status to Inactive, you cannot use that crew type in other Utilities applications.

ListCrew Type

Crew Type Tab

You use the Crew Type tab to create, modify, and view crew type records. A crew type consists of the required crafts, qualifications, and tools or assets needed to perform a specific type of work.

In the Required Crafts table window, you identify unique positions for each craft on the crew.

In the Required Qualifications table window, you add qualifications either specific to a position on the crew or that can be held by any crew member. You also view qualifications that are associated with any of the tools assigned to the crew type.

In the Required Tools table window, you add tools that are needed to perform the work. If a tool requires the person using that tool to hold certain qualifications, Maximo displays those qualifications in the Required Qualifications table window.

Update Crew Hourly Rates

Maximo calculates a crew's hourly rate by adding the individual craft rates of all the crafts on the crew and dividing the sum by the number of crafts. Tool rates are not included in this calculation. You use the Update Crew Hourly Rates action when the rate for any of the crafts listed on the crew type has changed.

Change Status

A crew type can have one of two statuses, Active or Inactive. You use the Change Status action to change a crew type record's status.

View Status History

You can view read-only status history for a crew type. Each time you change the status of a crew type record, Maximo writes a history transaction.

Override Average Hourly Rate

You use the Override Average Hourly Rate action to change the Maximo-calculated average hourly rate for the crew type. This is useful, for example, when your company needs to apply an overhead cost to its crew types.

Delete Crew Type

You can delete a crew type record only if the crew type is not referenced by a crew, job plan, work plan, or on a compatible unit (CU) record.

Duplicate Crew Type

You can duplicate a crew type and modify it instead of creating a new crew type.

Overview You use the Assignment Manager (T&D) application to dispatch labor or crews and schedule their work. You can filter the work list to match the available crews, and you can filter the crew list to match the requirements of the work.

Filter Work to Match Crew

When assigning crews to work, you can filter the Work List to match the crafts, skill levels, vendors, contracts, and organizations on selected requirements to the crafts, skill levels, vendors, contracts, and organizations of the crew. By filtering work to match crews, only those requirements whose crafts, skill levels, vendors, contracts, and organizations match those selected on the Crew List appear in the Work List.

CU Estimating (T&D)

Filter Crew to Match Work

When assigning crews to work orders, you can filter the Crew List table according to the crafts, skill levels, vendors, contracts, and organizations on selected work order requirements. By filtering the crews to match the work, only crews whose craft, skill level, vendor, contract, or organization that matches the selected requirements in the Work List appear in the Crew List.

Assign Crew

You can assign crews to requirements in two ways:

Use the Assign Crew action via the Select Action menu or Assign Crew toolbar icon.

Click the availability grid row of the crew to which you want to assign work.

When assigning work to crews, Assignment Manager's algorithms determine the best fit for a requirement. For example, if a requirement needs six hours of labor, and the crew you select has four hours available on one day and five hours available the following day, Maximo assigns the first four hours of the task for the first day and creates a new assignment for the remaining two hours to be completed by the same crew the following day.

Select Crew Query

The Crew List table displays either the crew records or a filtered list of crew records based on the saved default query (if one exists) in the Crew Types (T&D) application. You can use the View/Manage Queries dialog box to select or modify an existing crew query. You can create specific default queries for a user or groups of users. You access the View/Manage Queries dialog box via the Select Crew Query action or the Select Crew Query button located at the bottom of the Crew List.

Show All Crews

You use the Show All Crews action to display all labor in the database instead of only a filtered labor list. Show All Crew overrides the default saved crew query.

Refresh the Crew List

When you are using Assignment Manager (T&D), periodically refresh the table window in which you are entering information. Maximo will refresh the table with data entered by others using Assignment Manager (T&D) and Maximo.

CU Estimating (T&D)

Overview You use the CU Estimating (T&D) application to create design and construction scenarios and estimate their appropriate costs. You use the compatible unit (CU) records that you create in the CU Library (T&D) application as building blocks to create the scenarios. For each estimate, you

select the CUs and apply the various filters to specify the conditions for each scenario.

The estimation process calculates and stores job version details for analysis using Actuate reports. The reports show summarized information of costs against the version. When you accept an estimated version, Maximo generates a work order based on the estimate.

Estimate Request Tab

You use the Estimate Request tab to create, modify, or view estimate scenarios. For each request, you specify its request type, and you can select a target work order for the request.

The Estimate Request tab contains attributes related to an estimate as well as some additional control information.

Versions Subtab You use the Versions subtab to specify the details of the estimate. You can create multiple versions of an estimate, each with different parameters.

Maximo copies the values you set in the default parameter and Filters fields to the Stations subtab on the Stations tab for all stations on this estimate. You can modify the filter selections on each station's record on the subtab.

You should select Material, Labor, and/or Accounting Filters on the Versions subtab to apply to the compatible units. If you leave a filter NULL, Maximo will select only CU details (Child CUs, Material details, Labor details, and/or Tool details) where the corresponding filter is NULL. For example, if the Labor details for a CU specify one Labor detail for Hot work and another for Cold work, neither one will be selected by the estimation process if the Hot/Cold field is NULL on the Version sub tab and the Stations subtab on the estimate request.

Contractors Subtab You use the Contractors subtab to enter information about contract labor if any part of the work to be estimated is going to be completed by outside labor rather than company crews.

Costs Subtab You use the Costs subtab to view the costs for the estimate. When you perform a quote or an estimate, Maximo displays the calculated costs here.

Stations Tab

You use the Stations tab's subtabs to specify details about the work to be performed at specific locations for each version of the estimate.

On the Estimate Request tab, you select the version from the Version subtab for which you want to create station records before displaying the Stations tab. The version you selected will be displayed in the Version field on the Station tab.

Stations Subtab You use the Stations subtab to specify details about where the work is to be done. A station is a point at a location. A station can, but does not have to be, a Maximo location.

Each version of an estimate can have its own stations. On the Estimate Request tab, you select the version from the Version subtab for which you want to create station records before displaying the Stations subtab. The version you selected will be displayed in the Version field on the Station subtab.

Compatible Units Subtab You use the Compatible Units subtab to enter CU records to identify the work that needs to be done at each station.

The filters and parameters established at the version, station, and/or work set level control which details get selected by the estimation generation process for a particular CU record.

The Compatible Units table window shows the compatible units associated with a station/work set. The records display based on the station you select in the Station/Work Set table window.

The Quantities fields in the Compatible Units detail window indicates how many of the entered CUs are required to be installed, removed, transferred, and/or abandoned at the specified station and whether the site is hot or cold. This is the only filter carried to the CU level.

You use the Rename Station action to change the name of a station on the Station subtab on an estimate request.

CU Estimating (T&D)

Change Status

You use the Change Status action to change the status of an estimate request. In addition, Maximo changes the status of a request when you use the Perform Acceptance or Perform Quote actions for a specific version of the request.

View Status History

You use the View Status History action to view the status changes that have been made to an estimate request.

Perform Estimation

You use the Perform Estimation action to calculate the costs for all of the CUs that make up the estimate. Maximo displays the costs on the Costs subtab of the Estimate Request tab. Estimate information is also available through the Run Reports action.

Perform Quote

You use the Perform Quote action to change the status of the current version to QUOTED, indicating a quote has been communicated to the customer.

To perform a quote on the current version, the following conditions must be met:

the version must have a status of ESTIMATED the Estimate Type of the version must not be ASBUILT

Perform Acceptance

You use the Perform Acceptance action to change the status of a version of an estimate to ACCEPTED. if the version has an Estimate Type of DESIGN, the system posts the estimated costs and resources to the appropriate MAXIMO work orders. After performing an acceptance, you cannot change or re-estimate the version.

To perform an acceptance on the current version, the following conditions must be met:

the version must have a status of ESTIMATED or QUOTED

the version's estimate type must be DESIGN or ASBUILT

a target work order must be designated on the record, and:

! to accept a Design version, the status of the work order must be WAPPR

! to accept an As Built version, the status of the work order must be COMP.

Duplicate Estimate

The quickest way to create an estimate request is to duplicate an existing one, and then modify it. When you duplicate an estimate request, Maximo copies

Duplicate Version

The quickest way to create a version is to duplicate an existing one, and then modify it. When you duplicate a version, Maximo adds a new version record to the current estimate request. All stations, work sets, and compatible units are copied to the new version.

You use the Enter by Crew dialog box to report the hours that a crew worked, the tools used, and the work orders against which a crew performed work. Service Requests (T&D) Application

Overview Use the Service Requests (T&D) application to create, view, and resolve service requests from customers or requestors. The request can be to resolve an issue, obtain new service, obtain information, or change a current service. Either a service desk agent or a customer can create a service request.

An agent creates a service request record to track all contacts from a requestor, capture information from the requestor and determine what, if any, further action is needed.

A requestor can either contact the service desk agent or create a service request via e-mail or other form of communication. A requestor also can create a self-service request via the Create Service Requests (T&D) application. The agent views these requests in the Service Requests (T&D) application and either resolves them or delegates them to another party for resolution.

Work Order Tracking (T&D) Application

Service request records are a type of ticket. Other ticket types are incidents and problems. The ticket applications are closely related and share many features, including the ability to define relationships between tickets, link them together for information purposes, and view the linkages and details in the appropriate applications.

Service Requests (T&D) is GIS-enabled to support creating and managing tickets in a spatial context. On the Map tab, you can link a GIS feature, such as an asset, to a service request, search for and view service requests with matching GIS feature records, save maps to attach to records, and modify features.

Overview Work Order Tracking (T&D) supports creating work plans with crew types or crews, and reporting actuals for crews.

Work Order Tracking (T&D) is GIS-enabled to support creating and managing work orders in a spatial context. Enter Time by CrewEdit Map Features

Enter Time by Crew

You use the Enter by Crew dialog box to report the hours that a crew worked, the tools used, and the work orders against which a crew performed work. You can edit the position, labor, craft, skill level, and hours in the Enter by Crew dialog box if the people originally assigned to the selected crew were not the ones who actually did the work. Editing these fields only affects the reporting; the original crew record remains unchanged.
