Lots of docu­mentation – bu­t what abou­t the synergy effects?

Whether internal or provided by suppliers, it is important for all departments:

Technical editorial department creat-ing handbooks, instruction manuals or product sheets

Sales, where documentation is used as a spare parts catalogue or technical information for potential customers

If you produce or supply technical services, your company will have a large range of documentation.

Keeping all these documents updated to the same level company-wide – and conveniently accessible for all involved – is a challenging task. Especially if the documentation derives from different sources and is created in different for-mats.

So what is needed is a flexible way of combining documents used in different areas using a sustainable system. What is more, this method should allow control-ling costs for creation, maintenance, extension, research and publication in the long term.

With HyBrix, we offer you a concept which will make your entire technical documenta-tion more efficient, more transparent and more convenient.

The core idea is that all existing documents are placed on a common basis – the uni-versal language XML (Extensible Markup Language). This creates the conditions for administering and maintaining all informati-on in a professional manner: via the central hub, the HyBrix Xportal. From here you can create any electronic or paper document at low cost.

The key advantage is that all documents – once they have been fed into the HyBrix Xportal – can be reused again and again. Without multiple registration, without error sources, but with lots of synergy effects, e.g. when drawings are used both for equip-ment documentation and for e-learning systems.

Why XML?

HyBrix is a completely XML-based system because this standard provides maximum future reliability. Among other things, XML means:

�problem-free data exchange with every type of program and system

�automatic linking of documents and their content

�avoidance of redundant information

�rapid research due to extensive search functions

�flexible choice of “styles” for the same content

�publication in different media without additional work and expense

Three steps to professional documentation management:

1. Import your existing data into the com-mon standard XML. If your documents exist in the programs Word, Interleaf or CAD systems, we supply ready-made import tools. For other systems we create a connection quickly and at low cost. Collecting data from paper archives is also a routine process.

2. Manage and maintain the XML data in the HyBrix Xportal. It can be designed as a document management system or a con-tent management system – or as a combi-nation of the two.

If necessary, we can also set up interfaces so that, for example, your translation agency or marketing department has access to all required documentation. It is even more convenient to place all docu-mentation in a Web portal.

3. Create any kind of output – whether e-learning modules, handbooks, electronic parts catalogues and much more: no prob-lem with the HyBrix generating tools.
