This user guide provides step-by-step instructions on how to view your organisational
structure, update your CV and career preferences in our Talent Management System.

01 / Login to the Talent Management System (TMS)
For employee with @peninsula.com or @quaillodge.com email
address:
User ID: Business email (e.g. [email protected])
Password: Windows password (password that you use to log on to
your computer)
For employee with a different email address:
User ID & Password will be sent to you by email from [email protected].
What do you need to do upon your first time login?
1. System will prompt you to reset your password
2. Enter the Current Password, New Password and
Confirm Password fields. Click "Save",
3. Answer 2 security questions, e.g.What is your favorite colour and What is your favorite food etc.

Welcome Page
The Welcome page is the Home page for the HSH Talent Management System.
Header
Click the tabs on the header to:
Home Return to the home welcome page and Universal profile.
Performance Access performance review, KRAs and development plan.
User Guides View user guides.

Click Universal Profile under the tab Home on the header:

Left navigation shows employee name with 3 Sections - Bio, Actions and Snapshot.
03 / Bio Page
Section 3: Bio
This section includes 3 tabs which provides an overview of the organisational structure, your CV
profile and career preferences.
Organisational Structure Shows your Manager and direct report(s) with their profile pictures (if it is
available). You can click on the name to see the next level and
subsequently to the top or the bottom of your organisation.
CV You can view/update your CV details including: Education, Professional
Qualifications, Work Experience, Special Projects and Language Skills.
Career Preferences Specific mobility and career aspiration questions are located in this
section.

Section 3.1: Organisational Structure
Shows your Manager and direct report(s) with their profile pictures (if it is available). You can click on
the name to see the next level and subsequently to the top or the bottom of your organisation.
Employees can only view the organisational structure of his/her manager, however managers can view
the CV and career preferences of their direct reports.
You can always click “Universal Profile” to go back to your Bio Page.

Section 3.2: CV
You can view/update your CV details including: Education, Professional Qualifications, Work Experience,
Special Projects and Language Skills.
Step1 : Select CV tab and proceed to enter the required details into the different sections.
Step 2 : Click “+” button to add new record and click Save

Section 3.2.1: Education
In this section please provide all your post-secondary and above education details. More than one
record can be added by using the + button after you have saved the current record.
Click “+” button to add new record into Education and click Save
Description Description details
Name of School * Enter the full Name of School
e.g. Harvard University
Degree/Diploma* Select the option from the drop-down list
e.g. Bachelors
Education in Progress Check this box if the Degree/Diploma has not yet been
achieved and you are still studying
Graduation Date * Select the Month/Year of your graduation date
e.g. 07/2010
Name of Degree / Course * Enter the full description of your degree/course
e.g. Bachelor of Hotel Management
Major(s) Enter the full description of your Major(s)
e.g. Hotel & Catering, Hospitality Management
* is a compulsory field

Section 3.2.2: Professional Qualifications
A pre-defined list of professional qualifications have been populated for your selection. Should your
professional qualification not be on the list, please select Other (in Page 4) and indicate your
qualification in the text box provided. Please note that there is no search function for this section and
all qualifications are listed in alphabetical order.
Click “+” button to add new record into Professional Qualification and click Save
Description Description details
Qualification * Click the page icon located on the right and select the qualification
from the drop downlist, only one qualification can be selected per
record
e.g. Certified/Chartered Accountant - CA
Please complete if you have
selected other
Enter your qualification / additional details in this field if you cannot
find your qualification in the drop-down list
e.g. Certified Facility Manager
Date Achieved * Select the Month/Year of the qualification date achieved
e.g. 12/2010

Section 3.2.3: Work Experience
Please indicate the most recent three positions you have held.
Click “+” button to add new record into Work Experience and click Save
Description Description details
Company * Enter the Company Name
e.g. The Peninsula Hong Kong
Dates * Select the month/year of the Start date and t End date of your
employment e.g. 02/2010 to 12/2014
Position * Enter the last position held in the company
e.g. Finance Manager
Job Responsibility Enter the job responsibility of the last position

Section 3.2.4: Special Projects
This section should include any cross exposure or special projects you have been involved in with HSH
or with your previous companies in the last five years.
Click “+” button to add new record into Special Projects and click Save

Cross exposure / Project * Select the option from the drop-down list
e.g. Pre-opening
When (Month/Yeaer) * Select the month/year of the Start date and End date of the
project
e.g. 01/2014 to 05/2014
Name of Company / Property * Enter the name of the Company or Property
e.g. The Peninsula Paris
Location (City) Enter the city of the project
e.g. Paris

Section 3.2.5: Language Skills
Please select one language at a time and indicate the level of proficiency in Speaking, Reading and
Writing. To add another language simply press the “+” button after you have saved the current record.
Click “+” button to add new record into Language Skills and click Save

Language * Click the button at the right and select the languague from the
drop-down list
e.g. English
Native Language (Primary) Check this box if it is your Native language
Speaking Proficiency * Select your speaking proficency from the pre-defined drop-down list
e.g. High
Reading Proficiency * Select your reading proficency from the pre-defined drop-down list
e.g. High
Writing Proficiency * Select your writing proficency from the pre-defined drop-down list
e.g. High

Section 3.3: Career Preferences
Mobility and career aspiration questions are found in this section.
Click the pen button to answer to the Career Preferences questions and click Save. You can click the
pen button to edit the answers.

04 / Actions Page
This section shows all Actions that have to be completed or has already been completed by the userin
the Talent Management System e.g. Performance Review. The actions can be grouped by Due Date,
assignment date, priority and Type.
05 / Snapshot Page
This section gives a quick dashboard view of your details in the Performance Management module.

06 / My Account
Click at the top right corner and select “My Account” to change your own Preferences in the Talent
Management System.
Section 6.1: Settings
You can set your basic preferences and click Save.
Time Zone Select your local time zone from the drop-down list.
This affects how time is displayed to you in the system.
Select Signature
Select your desired signature font from the drop-down list, This
will appear in the electronic signature in the Talent
Management System that require your sign off

Section 6.2: Upload Profile Picture
You can upload your profile picture and change/delete it at any time.
Step 1: Click on the photo and a drop-down Step 2: Click on “Change” button
button will show up
Step 3: Click “Browse” button to select your Step 4: Click “Upload” button
photo from your computer directory
Step 5: Use the cropping and focus tool to adjust the view of the photo and click Save.
You can select “Change” or “Delete” of your uploaded photo.

Section 6.3: Options
There are 2 options for you to:
- Change Password
- Edit Security Questions
Section 6.3.1: Change Password
Enter your new password to match the specific criterias listed below and click Save. You will not be
allowed to re-use previous passwords.

Section 6.3.2: Edit Security Questions
Step 1: Enter your current password and click Submit
Step 2: Select the secuity questions from the drop-down list and enter details “Answer” and “Confirm
Answer”, and click Continue. User should remember the answers to their security questions as this will be
used to verify the user when resetting password if forgotten.
Step 3: It returns to the Preferences page and click Save
