MODULES AND LOG-IN ROLES
The HRMS has five (05) modules to be operated by five* specific roles in all SBUs of LTF. These
roles are:
1. Meeting Centre In-charge*
2. Branch In-charge
3. State Head
4. SBU Head (or Regional Heads in MFI)
5. HR Coordinator (The HR coordinator role is reserved for Central HR only)

HRMS MODULES
The Five HRMS modules are:
1. New Candidate’s Hiring
a. Filling of Forms at Br In-charge Level
b. Uploading of photo and documents at Br In-charge Level
c. Approvals at State and SBU Head Level
d. Verification and issue of Offer Letter by HR Co-ordinator
e. On Boarding by Br In-charge and State Head Level
2. Monthly Attendance at Br In-charge Level

3. Renewal of Contracts
a. Proposals of renewal or non-renewal with / without payment recommendation at Br In-
charge Level
b. Approval / Rejection of renewal or non-renewal with / without payment
recommendation at State and SBU Head Level
4. Discontinuation of Contracts
a. Proposals of end of contract / termination at Br In-charge Level
b. Approval / Rejection of end of contract / termination at State and SBU Head Level
5. Reports and Pending Status at various levels

ROLE DESCRIPTION
1. MEETING CENTRE IN-CHARGE:
This role is specific to MFI
This role can only view list of active Associates of respective Meeting Centre along with
their pending status of new hiring and existing Associates’ renewals

ROLE DESCRIPTION
2. BRANCH IN-CHARGE:
Hiring: Shall fill HRMS ‘Add New Candiadte’ form of Associate including uploading of
Associate’s photograph and scan images of his testimonials / documents in .jpg format.
• After on-line hiring, the copy of testimonials of prospective candidates will be send to HR by
post/courier
On-Boarding: Shall ensure on-boarding of new Associates in the HRMS on date of
joining
Attendance: Shall mark monthly attendance to all Associates of the respective Meeting
Centres
Renewal: Shall run renewal proposal in HRMS for expiring contracts of performing
Associates including change in his/her gross payments

2. BRANCH IN-CHARGE: …..Contd…
Discontinuation: Shall run action for discontinuation of contract for Associates who
are either terminated on ground of discipline, not performing as per business norms or
required to be discontinued due to exigency of business.

ROLE DESCRIPTION
3. STATE IN-CHARGE:
Hiring: After being proposed by the Branch In-charge, he/she shall Approve & forward
or Reject the prospective Associate’s hiring including his/her gross payment
Renewals: Shall approve & forward or deny the Associates’ renewal including change
in their gross payments
Transfer (Off the system): Shall propose location transfer of Associates on e-mail to
SBU Head due to business reasons
Discontinuation: Approves discontinuation of contract for Associates on reasons
proposed by the Branch In-charge

ROLE DESCRIPTION
4. SBU HEAD (or REGIONAL HEADS in MFI):
Hiring: After being proposed by the State In-charge, he/she will Approve or Reject the
prospective Associate’s hiring including his/her gross payment
Renewals: Shall approve or deny the Associates’ renewal including changes in their
gross payment
Transfer (Off the system): Shall confirm location transfer of Associates as proposed
by State In-charge on e-mail to central HR
Discontinuation: Approves discontinuation of contract for Associates on reasons
proposed by the Branch In-charge

ROLE DESCRIPTION
5. HR CO-ORDINATOR:
Administrative Rights: HR with administrative rights will authorize the log-in rights of
various roles and carryout branch mapping of Associates
Hiring: After being approved by SBU Head, HR will verify testimonials sent by Br In-
charges and approve the candidate in the HRMS for the release of NEM Code. HR will send
request on set format to respective agency for issuing the Offer Letter with expected date
of joining
• The letters will be send to respective Branch Office of respective SBUs by respective agencies. In case of
LTF, offer letter will be generated by Central HR
On-Boarding: After being processed for on-boarding by respective State Head, the HR
will activate the new joinee for Attendance

ROLE DESCRIPTION
5. HR CO-ORDINATOR: …..contd..
Renewals: Shall complete the renewal process by sending renewal note with change of
payment, if any, to respective agency for releasing the renewal letter to the respective
associate
Transfer (Off the system): HR shall re-map the Associate with new MC/Branch on
receipt of transfer approval from SBU Head and update the agency with new location for
issuing transfer letter.
Discontinuation: Approves discontinuation of contract for Associates on reasons
approved by SBU Head and intimate the agency to carry out necessary terminal action
