What do I know?I already have a PDF of the article I want to get into my EndNote Library. In fact I have a folder with PDFs of several articles I need to cite and I don’t yet have any of them in my Library.

Solution

Use EndNote’s Import PDF tool. This can be used for a single PDF, or several stored in a folder. In your library, select File/Import/Folder.

Use the Choose button to pick the folder.

Include Subfolders if needed and click Import.

This tool can only find PDFs that contain a DOI number and that are not scanned documents. If the reference is not found it will only have the original PDF filename as the Title, other fields will be empty.

However, the PDF will still be attached and the important information, ie. Authors, Title and Year, could be copied and pasted into the reference’s fields. Then the Find Update Reference tool could be used to find a more complete reference online that can be used to fill in the gaps.

With the current version of EndNote there are so many ways of getting those important references into your collection. For most users, the first question you should be asking yourself is: What do I know about the reference?The answer to this question will help you to pick the most appropriate method for getting that reference into your EndNote Library. Some examples are given below.

What do I know?I already have the DOI (Digital Object Identifier) of an article I want to get into my EndNote Library.

Solution

Use EndNote’s Online Search to look for the article at crossref.org.

If CrossRef is not already displayed, click more… and pick it from the full list of connections available in EndNote.

The search interface will be displayed and the DOI can be pasted or typed in, clicking on Search will look it up and import the reference into the Library.

What do I know?I have a book in front of me that I want to get into my EndNote Library.

Solution

This would be basically the same as the previous situation but as it is a book, an Online Search at the British Library or COPAC could be used.

As you have the book, it would be easy to look up the ISBN number and use this as the search criteria. Usually just one reference will be found but if several are, keep the most appropriate.

If you did not have the book to hand and only knew the Author, Title and Year, you could have used all three pieces of information to track it down at the British Library.

What do I know?I have carried out a complex search on Web of Science and found three articles that I want to get into my EndNote Library.

Solution

You would simply export the three references from the browser into your Library. On Web of Science, like many specialist online databases, the process is straightforward.

First, select the articles you want to have in your Library by ticking them. Then select EndNote from the drop down box. An alternative might be an Export Citations button. If EndNote is not mentioned but RIS is, use this. Follow the on-screen prompts to complete the export into EndNote.

Note: If using EndNote on a Mac, use Firefox as your browser, as Safari cannot export to EndNote.

What do I know?I have tried searching on the specialist databases but not found the reference that I want to get into my EndNote Library.

Solution

Try searching Google Scholar and if this finds the reference, import it into your Library from there.

In your browser, go to scholar.google.com.

Once there, go into the Settings. At the bottom there is a section for Bibliography Manager.

If you are only using EndNote, this needs to be set to EndNote.

If you are also using EndNote online, this needs to be set to RefMan.

Once this has been set up, click Save. This will remember the setting for the next time you use Google Scholar. You will be put back in the search page where you can search as normal.

If it finds your reference, look at the blue links underneath it. One of them will be either Import into EndNote or Import into RefMan. Click this link and the reference will be sent to EndNote.

What do I know?I have tried searching online but have not found the reference that I want to get into my EndNote library (it could be one that has not been published, or an internal report).

Solution

Enter the details into a new blank reference in your Library by typing or copying and pasting.

In your Library, click the New Reference button on the toolbar

Make sure you select the correct Reference Type from the drop down box at the top of the screen before you start typing.

Enter the information that you know into the fields. The author must be entered in a particular way to ensure EndNote formats it correctly in Word. Surname first, followed by a comma, then firstname or initials. If it is an organisation, add a comma at the end. When finished, save and close the reference.

Other options

You could gather your references using the online interface for EndNote, using the online search, direct export from various specific databases, or via the bookmarklet in on your browser bookmark bar. Then simply use the Sync in EndNote to add these references to your library.
