    THE RHODES SCHOLARSHIP 2015

    HONG KONG

    Notes of Guidance

    Before you start your application you should study the Memorandum for Candidates available on this site.When you have done that and are sure that you meet its conditions of eligibility then you are ready tostart your application. Please read these Notes of Guidance carefully. They contain important information

    specific to applicants for the Rhodes Scholarship for Hong Kong 2015.

    The online application is divided into six stages, which can be accessed from the left hand menu at eachstage of the application. Guidance for each of these sections is provided in this document as follows.

    The deadline for applications to the Rhodes Scholarship in Hong Kong is midnight, HKT Friday, 26September 2014. You must submit your application online by this date. References must be submittedby the same date.

    1. Instructions

    The 2015 Memorandum for Candidates and Notes of Guidance are available to download from thissection.

    Please note that you may make one application only for the Rhodes Scholarship for 2015.

    2. Application Form

    Using the online application form Read these guidance notes, and refer back to them as you complete each section. You can save your application, then log out and return at any time. Use the menus and links provided to navigate between sections of the online form. It is advisable not

    to use your browsers back button. Sections of the form which are mandatory in all constituencies are marked with an asterisk (*). Your

    Rhodes constituency may require additional information, and these requirements are given below.

    Page 1: Personal Details & Contact Information

    Preliminary Information (Country and District):If these details are incorrect, please return to the Preliminary Questions via the link update my answersat the top of this page. If you change the Rhodes constituency (country) for your application, you shoulddownload the guidance notes for the new country when you return to the application home page.

    Contact InformationYou must provide a primary telephone number use the radio buttons on the form to designate either ahome or mobile/cell telephone as your primary number.

    Page 2: Nationality & ResidenceUnder Permanent Residence details you should provide details of your current permanent residenceonly.

    Please choose Hong Kong for nationality if you are a permanent resident of Hong Kong.

    Page 3: Education DetailsPlease enter the records in reverse chronological order, starting with the most recent first.

    Page 4: Additional InformationPlease state the course of study you intend to pursue at Oxford.

    Under Country specific requirements please provide other information which is input neither in thisonline application form nor your curriculum vitae but is relevant to your application. Otherwise, pleaseenter N/A.

    Page 5: Referee DetailsThe Date References Required By for Hong Kong is 26 September 2014. This information will be used toadvise your referees when you request references in stage four of the online application.

    Please provide the names and contact details of four referees. Referees should be well acquainted withyou. Three references should be persons under whom the applicant has studied at university, and theseyou should indicate as academic referees in the Type of Reference drop-down. One reference should befrom a person well acquainted with the candidate who can speak to character and/or extra-curricularactivities.

    You will be able to request letters from your referees when you come to section four of the onlineform.

    3. Supplementary Materials

    Please provide only the documents requested.

    Original documents and copiesYou should upload electronic copies of your documents. Please ensure that you retain any originals or

    authorised copies in case your Selection Committee should require these at a later date.

    Uploading documentsThe preferred method for submitting documents is via the online application form. Where possible, youshould upload a PDF or Microsoft Word (.doc or .docx) file for each item. You must retain original copies ofyour documents in case they are required for authentication by the selection committee.

    If you have a scanned image of your document (for example your transcripts or photo), you should pastethis first into a Word document before uploading it. This will allow you to fit the images correctly on thepage. Detailed instructions for uploading your scanned images or photograph are provided here:

    1. Take the digital image, preferably in a gif or jpeg format, or scan a paper photograph into a digitalimage and save it as a gif or jpeg format.

    2. Insert the picture in a word processing document. For example in Microsoft Word: Open the .gif or .jpeg file and go to Edit-->Select All. Once the image is highlighted, use Ctrl+C to copy the image (Command+C on a Mac). Open up Word or Word Perfect and use Ctrl+V to paste the image (Command+V on a Mac).

    3. Alternatively, use the insert function in the program to paste the image to the file - for example inWord, go to the "Insert" heading, and choose "Picture", and then click on the "From File" functionwith the little yellow picture icons.

    4. Save the document as something easy to remember, in an easily accessible folder on your computer.

    5. Follow the upload instructions on the screen in the online application to select the appropriate file toupload.

    If the file size is too large (there is a limit of 2MB), you may need to resize the picture using a tool such asAdobe Photoshop, or iPhoto for Mac.

    Specific advice about each document type is given below.

    Pages 6 & 7: Birth certificate/evidence of age/passportPlease provide a copy of your Hong Kong Identity Card or passport .

    Page 8: Personal statement/EssayUpload a signed statement about your general interests and activities, the course of study which youpropose to follow at Oxford, and the character of the work aimed at in later life. This statement should not

    exceed 1000 words in length or two A4 pages (Times New Roman 12 pt.) and should be written inEnglish, in as simple and direct a manner as possible, avoiding a diffuse or rhetorical style on the one handand excessive curtness on the other. If you have left University before applying for a Rhodes Scholarship,you should also state your occupation since leaving.

    Pages 9 to 13: Evidence of your academic record/TranscriptsUse these pages to provide: Official academic transcript(s) for undergraduate and/or postgraduate programme(s), issued by the

    University Registrar or other responsible officer, including Exchange Programme and overseassummer course (if any).

    if you are applying under either paragraphs 2.a.i or 2.a.iii of the Memorandum for Candidates forHong Kong, evidence of a total of at least five years of full-time education in Hong Kong during thelast 10 years of the candidates education, e.g. copies of testimonials/leaving school certificates oracademic records of each semester/term of primary/secondary/tertiary education; OR, if you are acitizen of the Peoples Republic of China studying in a university in Hong Kong (paragraph 2.a.ii), an

    official academic transcript from the university at which the candidate is studying, as previousbullet.

    A certifying letter of the student status which is issued by the University Registrar or otherresponsible officers (for current registered students).

    Copies of supporting documents certifying class of honours and degrees (if any).

    Pages 14 to 15: English Language Proficiency (ELP) & Test ResultsProvide copies of score report of public examinations you have taken (e.g. TOEFL/ IELTS/ HKALE etc.) withExplanation Notes of the Grading System, i.e. copies of both sides of the score reports (if any).

    Page 16: CV/Resume/List of principal activitiesProvide a full curriculum vitae which should include awards received, records of achievements andextra-curricular activities, work experience as well as educational history, together with supportingdocuments which should be numbered on the right hand corner with reference to the curriculum vitae.

    Pages 17 to 19: Other DocumentsIn addition to the documents specified above, you are required to provide a copy of evidence of yourcurrent occupation , if applicable, e.g. a copy of the appointment letter/staff identity card.

    Page 20: Supporting documents checklistPlease confirm which documents you have uploaded. Where the option exists to upload multipledocuments (e.g. for your transcripts), please indicate how many you have supplied.

    You are expected to supply all supporting documents online. If you are unable to provide an electronic

    version of a document, you should mail the additional materials to the Rhodes Administrator and Hon.Secretary, Hong Kong Selection Committee c/o University of Oxford China Office, Suite 4018, Cosco Tower,Grand Millennium Plaza, 181-183 Queens Road Central, Hong Kong.     in one package, and include a covering page which states your full name and Embark online applicationreference number (this number can be found in the email which was sent to you when you started yourapplication).

    If you need to add clarification to the submission of your supporting materials (for example, if one of yourtranscripts will be mailed to the Rhodes Administrator and Hon. Secretary but the others have beenuploaded) please use the comments box here.

    4. References

    Please use this section to register the four referees whose details you provided on the application form.This will enable your referees to submit their references online.

    To begin, click on Register Referee. Then follow these steps:

    1) You will see a preliminary question inviting United States scholarship applicants to choose theirreference type. This does not apply to Hong Kong scholarship applicants; you should ignore this pageand simply click Save and Continue.

    2) Enter the details of your first referee, and complete your declaration. Then click on SubmitRegistration.

    3) The system will confirm registration, and immediately send an email to your referee providinginstructions for submitting a confidential letter of reference online.

    4) If you need to register another referee, click on Register Another Referee to start at step 1 again.Repeat these steps until you have registered all your referees.

    Where possible, please arrange for all of your references to be submitted online. If a referee indicates that

    they do not wish to use the online system, please provide them with a copy of the guidance for referees,

    which contains address details for delivery by post, see:

    Track your references onlineYou can return to this section of the system in future, to track the status of your reference requests. The

    various statuses are explained below:

    Registration UnconfirmedIndicates that the referee has never used or accessed the Embark Online Recommendation System.

    Registration ConfirmedIndicates that the referee has an existing account or has logged in before, but has not yet startedwork on your online reference.

    In ProgressIndicates that the referee has accessed your reference form one or more times.

    SubmittedIndicates that your reference has been submitted successfully and is pending final processing by the
