I. Institution Admin RoleThis role designates an individual as the Institution’s HOL Cloud administrator. To maintain con-sistency each Institution should assign one person as the admin. This role includes the following functions:

A. User Functions

B. Institution Functions

C. Course Functions

A. User Functions• Add a user

• Edit an existing user’s information

• Deactivate a user

• Activate a user

• Assign a user as an instructor and/or author (Premium function only)

1. Adding a User

» From the Institution Dashboard scroll down, past the courses, to the user’s list and click on “Add an Institution User” on far right.

» The Institution Users screen will open. Type the Name, Email, Phone Number, and Department of the new user. Items marked with an asterisk are required.

» Next, select the Role. Once the Institution Admin role has been assigned instructors are typically assigned as “Instructors”.

�NOTE:� If an instructor would like to duplicate their own courses for future session dates, then assign them as “Instructor” and check the “Admin” box.

» Click SAVE at the top right!!

2. Editing an Existing User’s Information

» From the Institution Dashboard scroll down to the user’s list and click on the name of the user to be edited.

» The user’s name, email, phone, and department can be edited.

» The user’s role can be changed by selecting from the Role drop-down menu.

» To make the user an Institution Admin as well as an Instructor, select “Instructor” and check the admin box.

» Please note that users are not able to change their own role.

» SAVE!!

3. Deactivating a User

» From the Institution Dashboard scroll down to the user’s list and click on the name of the user to be deactivated.

» Click Deactivate User in the top right and then confirm.

4. Activating a Deactivated User

» From the Institution Dashboard scroll down to the bottom of the user’s list and check the box next to “Show deactivated users”. Select the user to be reactivated.

» Click Activate User in the top right and then confirm.

5. Assign a User to a Course

» From the Institution Dashboard scroll through the Courses section and click a course to select it.

» In the Instructor field begin typing the name of the user, if the user has already been added to the system it will populate their name.

» SAVE!!

6. Enable Authoring Capabilities - (Premium courses only)

» From the Institution Dashboard through the Courses section and click a course to select it.

» Check the “Enable Instructor Lesson Authoring” box next to the Instructor.

» SAVE!!

B. Institution Functions• Thumbnail Logo: An institution’s logo when shown in lists.

• Banner Logo: The logo on main pages, such as the instructor course dashboard.

• Institution Color - Background Banner Color: The background color of the institution’s ban-ner, typically shown on the main pages.

• Institution Color - Text Color: The color of text for an institution’s name, shown in the institu-tion’s banner.

�NOTE:� The default Institution Colors are ADA compliant. To maintain compliance, please visit http://webaim.org/resources/contrastchecker/ to test text and background colors before making changes.

�NOTE:� Institution Name cannot be changed.

» To change logos and colors from the Institution Dashboard page click the “Edit Institution” button in the top right corner.

» Click “Browse Files” and navigate to the location of the logo being inserted. Click on the swatch to change the Institution Colors. Click “Save” in top right to implement changes.

C. Course FunctionsCourse management is essential in maintaining an organized institution dashboard. Duplicat-ing courses each term ensures that new HOL content, or corrections, are incorporated into your course and that student data is never lost. Students should never be deleted to re-use a course because their data will be lost and cannot be recovered. Course session dates should never be adjusted to re-use a course. HOL content updates cannot be added to courses that a student has previously started. Course management includes the ability to:• Preview courses

• Duplicate courses

• Deactivate and archive courses

• Remove courses

• Change course dates

�NOTE:� New courses containing different lessons cannot be created. Contact your Sales Rep to purchase new courses.

» To access Course Management, from the Institution Dashboard click on the course to edit.

» This takes you to the Edit Course Instance screen. Here a course can be duplicated, re-moved, previewed, and dates changed.

Preview a Course

» On the Course Management screen (see screenshot above) click the Preview button at the top right. The preview screen will open in a new window showing the Course Dashboard.

» The class list, lessons, materials, documents, answer guides, gradebook, and course set-tings can all be viewed from the dropdown menu on the left side of the page. Do not at-tempt to edit anything as any changes will not be saved.

�NOTE:� Premium courses will also include “Custom Lesson Authoring” in the drop-down menu.

» Toggle between the student view and the instructor view near the top right.

» Close the preview to return to the Course Management screen by clicking on “Close Pre-view Window” in the upper right.

Duplicating a Course

Option 1 – On the Course Management screen (see screenshot above) click on the Duplicate Course button at the top right. The Duplicate Course Instance screen will open.

» Course Sku cannot be changed.

» Check or uncheck the box to Enable Student Final Report Download, under Additional Course Features.

» Edit Course Name.

» Add the Instructor. Only users that have previously been added to the system will populate in the Instructor section.

�NOTE:� Premium courses will include a check box to enable instructor lesson authoring.

» Check the “Maintain Instructor Notes” and “Maintain Gradebook Weights” boxes to copy these features to the duplicated course.

» Edit Course Session Name.

» Choose the Course Session Dates (class start date and end date). Choosing an end date will automatically close the course and deactivate/archive it when the course is finished. More on deactivating a course below.

» SAVE!

Option 2 – On the Institution Dashboard click the Icon to the far right of the course. The Dupli-cate Course Instance screen will open. Follow the steps in Option 1. Be sure you are copying the correct course before using this option.

Deactivating and Archiving a Course

This is an important feature utilized to clean up the Institution Dashboard. Deactivating a course does not delete it, but rather archives it from the Dashboard so that the current courses are easily found. All student data is kept intact, course attributes can still be viewed, and the course can be reactivated, or duplicated at any time.

» Select the course to be deactivated from the Institution Dashboard. Once the Edit Course Instance screen opens choose an End Date that is before today’s date. Click Save.

» A warning will appear. Click Change Dates to proceed with deactivating the course.

» The course can be reactivated by scrolling to the bottom of the Course section on the Insti-tution Dashboard. Check the “Show deactivated courses” box.

» All deactivated courses will appear in a dark gray box.

» A deactivated course can be reactivated or duplicated. If reactivate is selected, then a new Course Session end date will need to be created. If duplicate is selected, then follow the steps outlined above.

Removing a Course

This is a permanent removal of a course along with the student information. Use caution when removing a course. When selecting the Remove Course button on the Course Management screen a warning will appear. The course will be permanently removed from the Institution Dashboard.

Changing the Dates on a Course

Only change dates to close or deactivate a course. Do not use this feature to reuse a course. A course should be duplicated if it is needed for the next term, and the old course should be deactivated (archived) by adding an end date to the Course Session Dates.

II. Instructor Admin RoleThis role uses the same features described above for the Institution Admin role. The instructor can edit the users, the Institution information, and the Courses.

If there isn’t an assigned Institution Admin role, then an Instructor Admin can change this infor-mation. However, it is highly recommended that an Institution Admin, who isn’t an Instructor, be assigned to handle the administrative side of course management.

An Instructor Admin should only change the courses that he/she teaches unless instructed to do so by another member of the Institution.

» To access only those courses that the Instructor Admin teaches, from the Institution Dash-board click on “Open Instructor Portal” at the top of the screen. Only use this method to access courses so that any changes made will be saved.

» Clicking on the Open Instructor Portal will open the My Courses screen. See below to con-tinue with the procedures from this point.

III. Instructor RoleThe Instructor Role is able to view and edit any course linked to their email. This role cannot see or edit anything on the Institution Dashboard. When logged in, the instructor will see the screen with all of their courses.

» The My Courses screen will show all of the courses assigned to the Instructor.

» Watch the Navigation video to familiarize yourself with the platform.

» View Active Courses, All Courses, and Closed Courses.

» Click on a course to access that course’s dashboard.

» On the Course Dashboard there is a snapshot of:

1. Student Overview – The progress of each student through the lessons. Hover your mouse cursor to see the lesson titles for each bubble. Student reports that have been submitted can be downloaded by clicking the bubble and selecting “Download Data” for the desired lesson. Lessons can also be unlocked after submission if nec-essary by clicking the bubble and selecting “Unlock Lesson”.

2. Course Completion – Student progress for each lesson.

3. Time Spent on Lesson – Average time students are spending on each section of a lesson.

�NOTE:� Viewing each student’s lessons and grading can be found in section V. Gradebook.

IV. Instructor Notes - StandardThis feature is included in all standard and premium courses. An Instructor utilizes this to add infor-mation or instructions to existing HOL content.

• Add text, images, and videos to Exploration content pages (not the Overview or Review Re-sults pages - premium only).

• Add text, images, and videos to Experimentation Exercise pages (not the Overview and Ma-terial pages)

�NOTE:� Existing HOL content and Pre-req lessons cannot be deleted or edited (Getting Started, Laboratory Safety, or Using the V-Scope).

�NOTE:� Please be advised that any added notes intending to change our procedures, and potentially present a safety hazard for students, will result in liability passing to the institution that added such notes.

» Log in and on the My Courses page click on the course to be edited.

» From the Course Dashboard pulldown menu on the left, select Lessons.

» Click on the lesson to edit.

» Click on the section to edit.

�NOTE:� Section overview pages cannot be edited.

» Using the pulldown menus at the top, navigate to the page to edit.

» As the mouse moves over the page a blue line will appear in places that content can be added. These appear around breaks in our content, such as between text and images.

» Click the bubble with the plus sign, to the far right of the blue line, to access the content menu.

1. Adding text – Select the text tool. A comment box appears. Click inside the com-ment box to add content. A tool bar appears to format the text. Along with the usual editing features, links and equations can be added, and text can be split into separate comment boxes. DON’T FORGET TO SAVE!

2. Adding images – Select the image tool. Browse to the image file or drag and drop the image into the image panel. Use the horizontal sliding bar to adjust the size of the image. Add an image caption if desired. Add ALT text (to maintain ADA com-pliance) and a copyright if necessary. Supported file types: png, gif and jpg/jpeg. DON’T FORGET TO SAVE!

�NOTE:� Added image captions do not produce a figure number automatically. To avoid disrupting the HOL figure numbering throughout the lesson, do not include a figure number with your caption.

3. Adding videos – Select the video tool. Browse to the video file. (Supported file types: mp4). Browse to the closed captioning file (.vtt). Add a title, description, and copy-right information. DON’T FORGET TO SAVE!

�NOTE:� All videos must have a descriptive text transcript accessed through a hyperlink and have closed captioning enabled to maintain ADA compliance. The verbiage for a descriptive text transcript is as followsE: If needed, a descriptive text transcript is available. (hyperlink the words “descriptive text transcript” to the file). This hyperlink needs to appear above the video within a text box. See the screenshot below.

» Students will see the added content in a shaded box tagged as “INSTRUCTOR NOTES” in the upper right corner. The box will combine all sequential instructor authored text, images, and videos into a single shaded box.

» To delete any added content, click the edit bubble to the right, then click the “x” in the up-per right corner of the added content box. A warning modal will appear asking if you are sure you want to delete the content. All deleted items cannot be retrieved!

V. GradebookThis feature is included in all standard and premium courses and can be used in place of the down-loadable answer guide.

• Instantly see which students have completed lessons that are ready to grade.

• Assign point values for each question.

• Grade by student.

• Grade by lesson.

A. Student Overview » Click on the book icon and select Gradebook.

» On the Gradebook Overview page, the Student Overview will show if students have les-sons that are ready to be graded which is indicated by a green bubble. After grading is complete, the Overview page will show color coded bubbles of student grades. Click on the Legend to see the color code values. Click a graded bubble for an expanded quick view of how a student scored in each section.

B. Lessons - Assign Point Values to Each Question » Click a Lesson title to expand the questions in that lesson. All questions have a default of

1 point.

» Type over the point value or use the up and down arrows to adjust the value.

» Click SAVE at the bottom of the page to save your changes!!!!!

C. Grading by Student » In the Gradebook Overview click the student’s name.

» Premium ONLY - Any auto-graded assessments will show student scores to the right of the lesson. When the lesson is expanded there is a checkmark next to these auto-graded parts indicating that it has been graded. The auto-graded assessments are:

9 Pretest: First attempt of the Test Your Knowledge/TYK questions (in the Exploration section). Pretest is NOT factored into the total score for the lesson.

9 Exploration: Question Time/Q. Time questions and second attempt of the TYK ques-tions (in the Exploration section).

9 Competency Review questions (in the Evaluation section). The Evaluation will not show a final score because of the Essay Extension questions, which must be manu-ally graded.

�NOTE:� The Evaluation section includes Extension Questions that are NOT autograded. Therefore the Evaluation section will not show a score until the Extension Questions are graded by the instructor.

» Click a Lesson to grade it and to expand all sections.

» Easily switch between students by using the drop-down menu located in the upper right.

» Click on the Experimentation section and then select an Exercise to grade.

» The HOL Sample answers for each question will populate at the top.

�NOTE:� Please allow the entire page to fully load each question before clicking a different section, or the next page may not load correctly. If the page does not load the questions, refresh your browser.

» The student answers are below HOL provided answers.

» Assign a grade and add comments under “Additional Comments”. Click SAVE!!

�NOTE:� You cannot assign a grade higher than the total point value for the question. You can assign partial credit by typing in a decimal number such as 0.5.

» Continue scrolling down to grade the rest of the exercise for that student.

» Do not forget to SAVE after each question.

» Premium ONLY - Proceed to “Evaluation: Extension Qs” to grade the final essay question, which completes the grading.

» After all of the questions have been graded, the breakdown of points will automatically populate at the top of the grading page under the student’s name.

» Click the lesson to hide the questions.

» Click “Gradebook Overview” at the top of the page to go back to the Overview page or use the drop down to navigate to a different student to grade.

D. Grading by LessonIn the Gradebook Overview there are 2 ways to navigate to grade by lesson:

VI. Student ManagementOverview of the student’s view in Gradebook and some rules regarding students enrolled in cours-es.

A. Gradebook » When the Instructor has completed grading the lessons the grades will be pushed to the

student to view.

» The student will access their grades the same way as Instructors, through the Course Dash-board pulldown menu.

» By clicking on the Gradebook menu item the Lessons page will display all of the lessons in the course, which lessons have been completed, and those that have been graded.

» If the lesson has a green bubble to the right, that means that the lesson has not been completely graded. The student can see those parts that have been graded but an overall score will not be present.

» When the lesson has been completely graded the bubble will show a score and color cod-ing according to the Legend. The pulldown legend, to the right, provides a color key. Stu-dents will also see the number of points they received out of the total possible points.

» Clicking on a lesson expands it, allowing students to see the questions and points earned in the Exploration, Experimentation, and Evaluation sections.

�NOTE:� The Exploration and Evaluation sections of the gradebook are only visible with Premium courses.

» Any comments from the Instructor will be designated with a callout icon to the far right of the question.

B. Other Items of Note• Be sure to delete students that have dropped from a course.

• Deactivate courses that have ended.

» Once a course has ended, deactivate it. This will archive the course.

» DO NOT delete students, or attempt to add new students. Courses cannot be recycled in this manner, duplicate the course instead (review section C of the Institution Admin Role for further instruction on duplicating courses). Deleting students will remove any record of their grades and course work, data cannot be retrieved once deleted.

» Instructor Admins can deactivate a course by adding an end date to the course in Course Management, or HOL can deactivate the course.

» Deactivated courses can be accessed at any time to download student reports, view the Gradebook, and access the lessons/notes.

VII. Custom Lesson AuthoringThis feature is included in all Premium courses and is enabled by an Institution Admin, Instructor Admin, or HOL Admin. This feature allows Instructors to expand on their kit by adding new lessons for students. Instructors can:

• Build learning objectives, content, and questions (Test Your Knowledge question types and Question Time question types) in the Exploration section.

• Build learning objectives, exercise content, relevant data tables, photo panels, and essay questions in the Experimentation section.

• Build multiple choice (Competency Review) and essay questions (Extension) in the Evalua-tion section.

• Publish and reorder lessons within the lesson list, after the pre-requisites (Getting Started, Lab Safety, and Using the V-scope).

A. Enabling Custom Lesson AuthoringAn Institution Admin or an Instructor Admin can enable this feature on Premium courses only.

B. Custom Lesson Authoring Step by Step » From the Instructor Portal, on the My Courses page select the course to edit.

» From the book navigation icon, on the left, select Custom Lesson Authoring.

» The Course Management screen opens in a new window. The standard options of duplicat-ing, removing, and previewing a course are available, as well as “Create a Custom Lesson”.

» Click “Create a Custom Lesson”. Name the lesson and click SAVE!!

» The Custom Lesson screen will appear. The format follows HOL’s labs: an Exploration tab, an Experimentation tab, and an Evaluation tab; which are accessible at the top of the page.

» Edit lesson information from any page by clicking the pencil icon, located on the top right side of the page. In the Edit Lesson pop-up, the lesson name can be changed and the core discipline can be added. The Sku number is not required.

X. Premium QuestionsThis feature is included in all Premium courses and is enabled by HOL admin. Premium questions are the following types:

A. Exploration section:

• Overview Page – Test Your Knowledge questions: These are interactive style (match-ing, ordering, categorization, labeling) questions used to test the student’s incoming knowledge before completing the lesson.

• Exploration Pages – Question Time questions: These are multiple choice questions used to test the student on retention of information on each Exploration page.

B. Experimentation section does NOT contain any premium questions.

C. Evaluation section:

• Overview Page - Includes the estimated completion time. The Learning Objectives from the Exploration and Experimentation will be recapped.

• Competency Review: These are multiple choice questions that test the student’s out-going knowledge by including concepts from the Exploration and Experimentation sections.

• Extension Questions: These are a final essay question that require students to apply their knowledge gained from the lesson to outside principles.

Classification

» Compose the question. HOL bolds the question and ensures the font is set to Scrollable.

» Scroll to the bottom and click the “More options” drop-down. Under “Column count,” en-ter the number of different categories the question requires. For example, if the question asks a student to classify statements as true or false, there would be 2 columns.
