Helpful HintsThis document is meant to provide helpful information for properly using features of Online Design.

Direct Online Design LoginFor direct Online Design login, go to od.walsworthyearbooks.com. This is useful for staff members who will not use Members Only for anything other than logging into Online Design.

Page Count Changes• When reducing the Page Count, the last page of content will move to the new end position. Any content

existing on the spread, in the position where the current end page will go, will be overwritten.• When increasing the Page Count, the current last page of content will move to the end of the ladder.

View all spreadsYou can request multiple hi-res PDFs from the View All Spreads link.

Uploading images• You cannot upload images from another cloud storage program.• Images from previous years may be downloaded within 90 days after the previous year’s book ships.• Do not upload all images taken (camera dump). Be selective. The more images you have to move over the

Internet, the slower the loading and accessing of pages will be over time.• For quality reasons, it is strongly discouraged that a spread created in InDesign/Photoshop is saved as an

image and uploaded to Online Design.

Tagging imagesTagged images can be used for searches, indexing, auto captions and coverage.

Aviary• Edited images will not auto replace an image on the page.• Aviary will not launch if the name of the photo is too long (more than 32 characters will fail).

Convert Text to Shape• Once the text is converted, you can no longer edit the text.• Must start in 24 points (minimum).• Cannot be applied to more than 50 characters.

Coordinates• When you have an element selected in Page Editor, you can use the arrow keys to slightly adjust the location

on the page.• To make sure two elements are the same size or location on the spread, use the coordinates under the

Object palette. (See additional instructions on page 5).

Copying text from another program (example, Microsoft Word)• Must use quick keys.• Mac users – The commands are based on the keyboard settings. You may need to use either Command

or Control.

Draw toolWhile holding the Shift key, the Draw tool can be used to create straight lines. Create the first point, drag the line out to the desired length, hold Shift, click and the line automatically straightens out.

Key commandsCan be found inside with the Page Editor menu. Right-click (Win) or Control+Click (Mac) to view extra menu options within the Page Editor.

Layout paletteYou can use the Align and Distribute tools to quickly align elements on the pages without the grid or extra guides. (See additional instructions on page 6).

Snap to GuidesYou can go to File > Preferences and adjust the distance between an element and a guide before it snaps into place.

Text Wrap• Applying the text wrap: The text wrap must be applied to the object (shape or image) not the text box.

• Ignoring the text wrap: If using a text wrap on a shape or image and extra text is to print on top, select the text box, click on the Object palette and choose Ignore text wrap.

Custom Templates• Images do not carry over with custom templates.• Updated preview is not available until the page is re-saved.

Color matching between different publishing softwareThis is discouraged. Colors created in another program are handled differently than the Formula Colors used within Online Design. Walsworth cannot guarantee the colors will match. (See additional information on page 7.)

Special Characters• Walsworth cannot guarantee that all special characters will print in a book (ASCII Codes, Chinese

characters, etc.).• Always request a PDF and view the page before submission to ensure any special characters used will print

correctly. If they do not show correctly, the text will need to be created in a program like Photoshop and inserted as an image in Online Design.

Portraits• Portraits can be manually placed by clicking the Portraits link within the Page Editor.• Portrait images cannot be downloaded from Online Design due to copyright issues.

IndexingThe indexing feature does not auto-match names if more than one portrait has the same name (duplicates).

• Example 1. Students in different grades are named Jimmie Black. The user will have to manually match to pick the correct Jimmie Black.

• Example 2. Student(s) are listed in two grade categories (i.e., 012 and Formal). The user will have to manually match in the View Index or merge the two students under Portraits and Index > Students. To merge the names, click to select and highlight both names. (Note: The first name selected becomes the image and grade category that will be used as the Primary name and image for Index Matching). Click Merge from the right of the screen, and then choose the appropriate student category.

CoordinatesTo ensure like elements are the same size or in the same location on the spread, use the coordinates under the Object palette.

The Object palette (not menu) is located to the right of the Page Editor screen. You will see W (width), H (height), X, which indicates locations on the page that read from left to right, and Y, which indicates locations on the spreads that read from top to bottom

To determine width and height• Click on an object on a spread with the Selection tool.• From the Object palette, locate and record the W and H values. These values can show in picas, inches or

points, depending on your preferences.

To determine location• When placing items on a spread, the X and Y coordinates indicate the location of the object starting from the

top left-hard corner.• Click on an object on a spread with the Selection tool.• From the Object Palette, locate and record the X and Y values. These values can show in picas, inches or

points, depending on your preferences.

Align• Using the Selection tool, click on two or more objects on a spread.• Go to the Layout palette and select the appropriate Align option.

Note: • The first object selected is the target element, and all selected objects align to this object. • Align first by rows (horizontally), and then by columns (vertically), or vice versa.

Space Evenly (Distribute)• Using the Selection tool, click on three or more objects on a spread.• Go to the Layout palette and select the appropriate Distribute option.

Color MatchingFrom time to time, customers may try to use a Walsworth Formula Color in an image or graphic and match these colors to the Formula Colors within Online Design.

The Result: They will see a deviation of color between the image/graphic designed outside of Online Design (i.e., from Photoshop) and the Formula Color(s) within Online Design. Online Design processes images/graphics differently than objects that are created within the program.

For this reason we highly discourage trying to color match outside of Online Design. Note: Graphics, backgrounds, art, etc., that are created by our cover artists and use Walsworth Formula Colors can also appear differently compared to Formula Color objects within Online Design.

This information can be found on the Yearbook Help website (yearbookhelp.com) under Selecting Colors > How Will Formula Colors Print.

Example Of Color Variance

The boxes were created in Online Design.

The leaves were created in Photoshop using Walsworth Formula Colors.
