1 Introduction

This document is a short guideline on how to use Healthcare Barcode Survey.

3 Mobile Application

The mobile application is available on iOS and Android. They can be downloaded from AppStore or

GooglePlay.

3.1 Login

You can use Healthcare Barcode Survey App with your own

account: login name (email address) and private password, then press the Sign in button.

3.1.1 Forgotten password

If you have forgotten your password you can recover it using

the Lost your password? function.

3.2 Menu

The menu is accessible from any screen of the application (login is needed).

Click on the username to log out the application.

You can change your default location which is applied when there is no GPS data available.

If you are offline (no Internet connection) press the button and if Internet is available your application will change to online.

If a new version is available you can get it by pressing on the button.

Shows your earlier created records.

Create new record.

Change the settings of the application

3.3 Settings

Before you start scanning barcodes, please check carefully the Settings (Menu Settings) and make any

necessary changes. Please note that scanning environments are based on the General Specifications. See the section 2.7 of General Specifications for more information.

Choose the product category (Only available in Survey or Survey demo mode): • Stationery • Cleaning products • Medical Devices • Medical Consumables • Pharma intravenous • Pharma all other

Choose from the drop-down list the Normal, Survey or Survey demo mode.

Actual version of the application.

Tick this and you do not have to log in each time you launch the application.

If the DND Mode is ON, you won’t receive any notification about updates.

Choose your language from the drop-down list.

You can access the menu from any page by tapping here.

Shows the date of the latest language file.

You can find a list of scanning environments.

Size of the images attached to your records: choose between high (100%), middle (70%) and low (50%) sizes.

Tick this and the app takes an image of your barcode scanning automatically.

Choose your default location.

Tapping on this button will clear the application cache (e.g. pictures stored in the cache).

Shows how much storage the device has to store the images attached to each record. It cannot be modified.

Choose the packaging level (Only available in Survey or Survey demo mode): • Single unit package / Blister • Primary • Secondary • Tertiary – Case or Shipper

Choose between 20, 40 or 80 rows per page.

3.4 Create New Records - Manual and Scan

In order to create new record choose New record from the Menu.

You can add one or more barcodes to the record manually (by pressing Enter button) or via scanning (press Scan button). In case of manual input, first you must select the symbol type, then type in the data content. If you need to enter multiple AIs the process is the following:

1. Select AI

2. Tap in to the field on the right of the selected AI 3. Enter code for the AI 4. Hit “Done” button on your keyboard

5. Select the next AI 6. In case you entered all the necessary data elements (AIs + data), tap the ENTER button on the

screen.

You can delete the entered barcode by using the swipe function on it. You can change the following settings for each record on the New record screen: scanning environment, scanning location and MO rule. You can add maximum three photos and one comment to each record.

If you want the record to be reported to the relevant GS1 MO, tick the Send report setting. You can save the record on the device for future batch upload (press Save button) or you can upload it immediately by pressing the Validate button.

If you want to create more records, tick the Continous scanning setting – therefore after saving the record a

new empty record page will appear (it will be shown on the History list).

You can add a maximum of three pictures to each record.

Add records manually. We can add full barcode content (symbol type and multiple element strings)

Add barcodes by scanning.

Click here to change scanning environment, scanning location and MO rule.

You can add a maximum of one comment to each record.

Tick the Continuous save setting if you want to scan more records without saving them one by one.

Save the record for future batch upload.

Upload the record immediately to the server.

3.5 History

The history screen is the main screen of the application. This is where we get after a successful authentication, and from this menu we can initiate creating a new record or adjust settings.

The history function is basically a chronological list of our earlier created records, but we can also apply filters that help us narrowing the list accordingly.

The records waiting for upload are editable – you can delete them (swipe) or you can click on the record and you will get to the Record screen to make any editing.

You can access the menu by tapping here. The number shows how much records are waiting for upload.

Filter settings are located here.

Tapping on this symbol will start the batch upload process.

Shows if the record was made in Normal or in Survey mode.

If any image is attached to the record, the camera icon changes to blue.

If the record has a comment, the icon changes to blue.

3.5.1 Uploaded records – Record details

Uploaded records cannot be edited, but you can add new photos and comments and send a report.

By tapping on it, you will get to a detailed analysis of GS1 Lib response.

Shows GEPIR status information in details about the GS1 ID Key.

Shows detailed scanning location information.

Shows the name and GLN of the scanning location.

See your scanning location on a map.

See your previously attached comments and add new ones if needed.

Shows the time you have executed the scanning.

Shows the time when the record was saved on the server.

Check your images attached to the record here.

Records from history cannot be deleted or modified on this webpage. Through this function not only the record details but also the report details can be accessed. You can also use dynamic filtering.

4.2.1 Record Details

The Record Details view can be accessed from Record History.

It shows all available information organized into groups.

4.3 Survey

Use the app in Survey mode to conduct surveys, scan hundreds of barcodes, add pictures and send the

information to the administration website where records are available for further statistics and analysis.

The details of the

record will appear according to the

4.4 Statistics

4.4.1 Dashboard

After selecting the Statistics menu a Dashboard page will appear.

You must enter a survey name

and description.

Locations of the survey

Supervisor can manage who can add

records to this survey

Users will not be able to add new records to the survey

after the expiration date.

The Statistics Dashboard contains six different types of charts that show statistical data based on records from the current month. Naturally the period of time can be set on the dashboard. (Please note that the period selected in history view (List menu) has no effect on the Statistics.)

Click on the [Details] button to go to the sub-page of the chosen statistics and to get more detailed statistical information. On sub-pages, the data is shown according to the time period previously set on the dashboard.

4.5 Admin

The Administration page is available only for Supervisors. On this page, you can approve the registration of the companies and users and also edit their data (see the two screenshots below).

The main parts of this operation:

• Activation of a new company registration: When a new company is being registered in the system, the GS1 MO Supervisor receives a notification email about the registration. The company and supervisor data is saved in the system but they are not activated.

• Editing company data: If for some reason the information related to a company should be changed, it is necessary to make these changes on the company datasheet.

• Editing user data: On the MO user list, users of a specific company can be seen, user data can be edited and the user can be activated/deactivated.
