HAMPTON UNIVERSITY “THE MARCHING FORCE”

Greetings, Hamptonians, New Recruits of The Marching Force, and Returning Marching Pirates! This letter serves three purposes:

First, if you have committed to attending HU or if you are a current HU student and might be interested, we would like to extend the invite for you to join our band program. If you play a band instrument (Piccolo/Flute, Clarinet, Alto/Tenor Saxophone, Mellophone/French Horn, Trumpet/Flugelhorn, Trombone, Baritone/Euphonium, Tuba/Sousaphone, Cymbals, Snare/Bass/Tenor Drum, Quints), band scholarships are available. If you do not play an instrument, we are still in need of Managers to assist with logistics (all Managers will receive a book scholarship for the Fall 2018 semester), or we can even teach you to play an instrument. If you are interested in trying out for our Auxiliary—“Ebony Fire” Dancers, “Silky” Flag Corps, and “Sapphire Elegance” Majorettes (Baton Twirlers)—auditions will be held during band camp. If you would like to join our family, please complete the Statement of Intent form at the end of this document and submit it via email or regular mail. In addition, please notify us immediately of your interest via phone or email in order to update our roster.

Second, if you have committed to attending Hampton University and have already submitted your Statement of Intent form to secure your place on our roster, we would like to welcome you as part of our Fall 2018 Class of New Recruits for The Hampton University Marching Force.

Third, if you are a current Marching Pirate and have indicated your intent to participate in the HU Bands program for the 2018-2019 academic year as denoted by your submitted Statement of Intent form, this letter will provide you with further instructions, as things will be much different than last year. The 2018 Marching Force Band Camp will begin on Sunday, July 29, 2018. All New Recruits (Brass, Woodwinds, Managers); all new and returning members of the Drumline, Flags, and Majorettes; all student leaders (Drum Majors, Captains, Section Leaders); all returning dancers; and all other current/returning Marching Pirates will report to campus on July 29, 2018. All new auditioning dancers and spring callbacks will report on Monday, August 6, 2018. If you choose to participate in the 2018-2019 edition of The Hampton University Marching Force, read this document in its entirely and adhere to the instructions on the following pages. Report Day – Sunday, July 29 or Monday, August 6 On your Report Day, registration will occur from 7:00am to 11:00am in the Band Room, located at the HU Convocation Center, Entrance C, Second Floor, 700 Emancipation Dr., Hampton, VA, 23668. After registering, you will receive your temporary housing assignment (Men: Wilder Hall, Women: McGrew Towers). Lunch will be served in the HU Cafeteria at 11:00am. After lunch on July 29, parents (optional), and all band members should assemble in the Band Room for an orientation and question/answer session from 12:30 to 1:30pm. You will receive the band camp daily schedule and sign the Assumption of Risk form at this orientation. After lunch on August 6, all auditioning dancers and spring callbacks will report to Ms. Brint Martin for further instructions. On August 12, you will move into your permanent room assignment for the 2018-2019 academic year. However, if you choose to discontinue your membership in the band prior to August 12, your meals will no longer be provided, you will be required to vacate campus by 5:00pm that day, and you may only return to campus with the rest of the non-band students on their assigned dorm check-in date. Please inform your parents and employers of the camp dates. You must attend camp in order to participate in the marching band. There will be no exceptions without prior approval from the Director of Bands. In order to remain in good standing and participate in HU Marching Force, all students must:

- Enroll in BAN 101 – Section 01 or Section 02 o Band rehearsals during the fall semester will be held from 5-8pm, Monday-Friday.

- Remain in good academic standing (2.0 cumulative grade point average) o All students in leadership positions must maintain a 2.5 grade point average.

- Remain in good judicial standing - Be a full-time student (12 credit hours for undergraduates, 9 hours for grad students)

o Thomas Nelson Community College students must substitute BAN 101. Band Dues On or before Report Day, all HU Marching Force members will be required to submit their band dues: $300 for all Brass, Woodwind, Drumline, Auxiliary, and Drum Majors. Additional $100 for Sousaphone players Additional $200 for Auxiliary members, due upon selection Managers will not be required to pay band dues.

****Band dues are non-refundable, even if you quit or do not pass auditions**** Band dues must be made by cash, credit card, or money order/cashier’s check. No personal checks. Please make money orders and cashier’s checks out to: Hampton University Marching Force. Your band dues will cover the following items:

NOTE: During public performances, all band members are expected to display a proper “military appearance.” For men, this means proper grooming. For men and women, when wearing the marching band uniform, all excess hair must fit under the shako and must not extend past the shoulders to where it comes in contact with the uniform. Camp Readiness All students should report to camp in a high state of physical, mental, nutritional, and moral readiness. In addition, you should also ensure that you are prepared to meet the technical and additional physical demands of your particular section within the band. Physical: Cardiovascular training is a critical component of HBCU band life. In order to maintain the high energy of performances and to better acclimate to extreme temperature conditions, such as those seen in locations like Savannah, GA, you should adequately prepare for camp by jogging and running during regular workouts several weeks before camp, along with squats and crunches. Some suggested running workouts are:

- Long-distance running (3-5 miles, 1 day a week) - Sprints (10 x 100 meters, walk back in between sets, 1 day a week) - Long intervals (5 x 2 laps on track, 5 minutes rest between sets, 2 days a week) - Short intervals of 30/60 or 60/120 (e.g. sprint 30 seconds/walk 60 seconds, 2 days a week) - 1 day of rest/recovery

Additionally, you should also seek to incorporate a mix of cross-training options, such as swimming, rowing, cycling, step mill, and elliptical. NOTE: For all Drumline members and Sousaphone players, you must incorporate deadlift training into your workouts. NOTE: For all auxiliary members, it is imperative that you maintain a high level of cardiovascular and nutritional health for both endurance and appearance purposes. The Auxiliary Coordinators reserve the right to restrict membership to those who pose a minimal health risk amid the performance demands of the band and/or to those who display a proper and appropriate fit of the uniform. Musical: All Instrumentalists (Brass, Woodwind, Percussion) must arrive at camp ready to meet the musical demands of The Marching Force. For Brass and Woodwinds, it is highly recommended that you familiarize yourself with all 12 major scales and the chromatic scale. To build endurance, you should also practice a combination of instrument-specific exercises (long tones, lip slurs, etc.). Drumline members should be familiar with all 40 PAS rudiments and additional tasks as deemed by the Percussion Director. Dietary and Conduct Restrictions: Starting from the first full week of camp (July 30), you will refrain from engaging in the “Five S’s” in order to ensure a safe and productive learning environment:

- No Sweets (to include cakes and pies—however, there will be limited “cheat days” TBD) - No Sodas - No Smoking - No Sipping (alcohol) - No Swearing (to include language of a derogatory, racist, sexist, and/or demeaning manner)

Use this time to wean yourself off of these vices well before camp begins. Violations will not be tolerated and will result in disciplinary action, to include scholarship reductions and/or the recommendation for dismissal from the HU Bands program and/or Hampton University. Medical Clearance All members of The Marching Force should have a valid physical on file with the Hampton University Health Center and be medically cleared. For the 2018-2019 academic year, HU has moved to an online system, Med + Proctor, as the default medical clearance platform. It is up to you to ensure that you take the necessary steps to be medically cleared prior to arriving at camp. There will be no exceptions for medical clearance. Submit your completed physical form to the Health Center and the Director of Bands. Enrollment steps can be found here http://www.hamptonu.edu/studentservices/health/medical_requirements.cfm. You must be medically cleared in order to participate in The Hampton University Marching Force. NOTE: Refrigerators and microwaves are NOT authorized for dormitory use. Only with a specific and valid medical note, signed by a doctor, will a student be permitted the use of a refrigerator. Assumption of Risk, Release and Waiver of Liability and Indemnity Agreement

Student Name (Please Print): Age: The Hampton University Marching Force and I agree as follows: I, the undersigned (or legal guardians of the undersigned), understand and EXPRESSLY AGREE that Marching Band is an inherently rigorous activity that involves certain risks. Nonetheless, I wish to participate in this activity and agree to these terms as a condition of my participation. In this Agreement, the term “Marching Band” shall include all activities, events, and services provided, organized, conducted, sponsored, or authorized by Hampton University and the Director of Bands, and shall include, but is not limited to: performances at sporting events, pep rallies, exhibitions, and other similar activities, on- or off-campus; travel to and from performance sites; rehearsals, training, and practices for performance preparation; and lodging associated with band camp and performance travel. I AGREE that it is my sole responsibility to ensure that I am medically cleared and adequately prepared to meet the physical demands of the Marching Band activity. I realize that injuries, stress, and exertion are a common and ordinary occurrence of this activity. I have prepared my mind and body accordingly. I AGREE that, as a condition of being allowed to participate in The Hampton University Marching Force and to use the premises, I freely accept and voluntarily assume ALL RISKS of personal injury, death, or property damage, and FULLY RELEASE Hampton University FROM ANY AND ALL LIABILITY for personal injury, death, or property damage arising out of, or resulting from, my participation in the Marching Band activity within its normal scope of operations, as outlined by the Director of Bands. I have no medical conditions that would prevent me from actively participating in the Marching Band. I CONSENT to having photos or videos taken of me while participating in the Marching Band and to the publication of these photos or videos for advertising, marketing, recruitment, and promotional purposes. I (and my parent/guardian, if applicable) have read this assumption of risk, release and waiver of liability and indemnity agreement, and have had the opportunity to ask questions about the same. I fully understand this assumption of risk, release and waiver of liability and indemnity agreement, that I am giving up substantial rights in connection therewith, and that its terms are contractual, and not a mere recital.
