    Guidelines on submissions for the Literary Folio

    1. GENERAL INSTRUCTIONS1.1. All PONENCIA members are required to submit works to be included in the folio.1.2. All PONENCIA members are likewise assured of a section in the folio which would feature their

    works in any of the four categories, namely: POETRY, PROSE, PHOTOGRAPHY andILLUSTRATION. PONENCIA members may submit in any or all categories, exclusively or in any

    combination thereof.

    1.3. All PONENCIA members are required to submit all their works no later than APRIL 9, 2010, noextensions will be allowed.

    1.4. All PONENCIA members will receive copies of the literary folio and be given the proper creditfor their contributions.

    1.5. The Literary Folio will only accept submissions which are currently unpublished and thosewhich have not been circulated for profit or otherwise. It must not have appeared in any

    magazine, newspaper, school organ, website, folio, collection, compendium or compilation or

    any other means of publication which would be in contravention of prevailing intellectualproperty laws.

    1.6. All submissions must be accompanied with the proper release forms and other suchdocumentation which would reserve the rights to these works to PONENCIA, with the consent

    of the author.

    1.7. PONENCIA reserves the right to distribute the works submitted for use, exclusively in theLiterary Folio alone; any other use contemplated by the organization will require the written

    consent of the authors/artists.

    2. POETRY2.1. PONENCIA members who shall submit poetry exclusively shall need to submit a minimum of

    five (5) poems each. Should a member choose to submit across other categories, please refer

    to Rule 6 of these instructions.

    2.2. All forms of Poetry is acceptable, regardless of its length or style, subject to the followingrestrictions:

    2.2.1.Submissions should be composed of AT LEAST eight (8) lines. UNLESS, there aremeritorious reasons for the non-observance of this rule as decided by the editor, and the

    standards committee.

    2.2.2.Should the title of the composition contain the word which would describe a particularform of poetry (i.e. Sestina, Sonnet, Villanelle, etc.), it is imperative that the rules

    governing said style is strictly observed to preserve the academic integrity of the Literary

    Folio.

    2.2.3.Any subject is open for interpretation. HOWEVER, the Miller Test will be applied by thestandards committee in determining the submissions fitness for inclusion in the Literary

    Folio.

    2.3. The general content of submissions should include the following:

    2.3.1.The Title of the Composition enclosed in quotation marks (), or otherwise presentedclearly that it was intended to be the title of the composition.

    2.3.2.The Full Name of the author, NO NOM DE PLUMES ARE ALLOWED2.3.3.The Composition itself.2.3.4.The lack of any of the foregoing will mean the ineligibility of the entry.

    2.4. Should there be special instructions regarding the formatting of the poem as seen on the page,the author is tasked to provide the following:

    2.4.1.A detailed description of how it would actually look like on the page.2.4.2.A .pdf file which would show how it is supposed to look like on the page.2.4.3.The editor shall likewise send a .pdf file of the formatted poem to the author for final

    approval before printing.

    2.5. All submissions should be in a simple MS Word document, sent to the e-mail address providedfor the Literary Folio, with the word SUBMISSION: POETRY and the full name of the Author in

    the subject field of the message.

    3. PROSE3.1. PONENCIA members who shall submit prose exclusively shall need to submit a minimum of two

    (2) compositions each. Should a member choose to submit across other categories, please

    refer to Rule 6 of these instructions.

    3.2. All forms of Prose is acceptable, regardless of its length or style, subject to the followingrestrictions:

    3.2.1.Submissions should be composed of AT LEAST two (2) pages. UNLESS, there aremeritorious reasons for the non-observance of this rule as decided by the editor, and the

    4. PHOTOGRAPHY4.1. PONENCIA members who shall submit photography exclusively shall need to submit a minimum

    of five (5) photographs each. Should a member choose to submit across other categories,

    please refer to Rule 6 of these instructions.

    4.2. All forms of Photography is acceptable, subject to the following restrictions:4.2.1.Submissions should be Black and White photography, if the photographs are colored, they

    must be calibrated accordingly in terms of brightness and contrast. The Literary Folio will

    ONLY feature photography in Black and White.

    4.2.2.Submissions should have a minimum resolution of 300dpi.4.2.3.Any subject is open for interpretation. HOWEVER, the Miller Test will be applied by the

    standards committee in determining the submissions fitness for inclusion in the Literary

    Folio. Nudes will be judged accordingly.

    4.3. The general content of submissions should include the following:4.3.1.The Title of the Composition enclosed in quotation marks (), or otherwise presented

    clearly that it was intended to be the title of the composition.

    4.3.2.The Full Name of the Photographer, NO NOM DE PLUMES ARE ALLOWED4.3.3.The Composition itself saved as a hi-resolution JPEG (.jpg/.jpeg) file.4.3.4.Should the photographs be too big a file to send online, a disc may be submitted with a

    clear label which includes all the foregoing requirements.

    4.3.5.The lack of any of the foregoing will mean the ineligibility of the entry.4.4. Should there be special instructions regarding the formatting of the photographs as seen on the

    page, the author is tasked to provide the following:

    4.4.1.A detailed description of how it would actually look like on the page.4.4.2.A .pdf file which would show how it is supposed to look like on the page.4.4.3.The editor shall likewise send a .pdf file of the formatted photograph to the author for

    final approval before printing.

    4.5. All submissions should be in a hi-resolution JPEG file, sent to the e-mail address provided forthe Literary Folio, with the word SUBMISSION: PHOTOGRAPHY and the full name of the

    Author in the subject field of the message. This rule will only apply in on-line submissions.

    5. ILLUSTRATION5.1. PONENCIA members who shall submit Visual Art exclusively shall need to submit a minimum of

    five (5) artworks each. Should a member choose to submit across other categories, please refer

    to Rule 6 of these instructions.

    5.2. All forms of illustration is acceptable, subject to the following restrictions:5.2.1.Submissions should be Black and White illustration, if the artwork is colored, it must be

    calibrated accordingly in terms of brightness and contrast. The Literary Folio will ONLY

    feature artwork in Black and White.

    6. SUBMISSIONS ACROSS CATEGORIES6.1. Refer to the following table for minimum requirements should members opt to submit across

    requirements, note: Prose, due to its length, counts as 2.5 each composition:

    6.2. PONENCIA members are reminded that these are MINIMUM requirements, submissionsbeyond the numbers presented herein are certainly more than welcome.

    7. RELEASE FORMS FOR PHOTOGRAPHY AND ILLUSTRATION SUBMISSIONS7.1. All members using models for their submissions MUST obtain model release forms, to be

    personally submitted to the editor of the folio, or the secretary of PONENCIA.

    7.2. This rule does not apply to subjects of street photography.
