submission.

Agoodapplicationcanbeevaluatedbothonthemeritsoftheworktobedoneandwhetherornotthepaperworkhasbeencompletedcorrectly.Forthisreasonitisofvitalimportancethatwereceive

accurateandappropriatelylabeledinformationfromourapplicants.Thisinformation,thecontentof

yourapplication,iswhatallowsustoassessnotonlytheneedbutalsothefeasibilityofaproject.Itis

thiscontentthatwemustshowtoourauditorsandtheIRS.Iftheinformationisincompleteoris

providedimproperlythenourabilitytocontinuetofundworthyprojectsisjeopardized.

Accuracyisnottheonlyvirtueofasuccessfulapplication.Brevityinbothdescriptionsandexplanations

isalsoessential.Whiletheemotionalbackstoryofaprojectisimportant,andindeedthistypeofimpact

iswhatwehopetofacilitatewithourfunding,itcandetractfromtheprojectitself,causingthereader

tofocusonthepastcircumstancesratherthanthepresentneed.Providingclear,conciseanswerstothe

questionsontheapplicationisthebestmethodtoinsureasuccessfulsubmission.

Section1|UnderstandingtheProcess

Totheuninitiatedtheapplicationprocesscanseemlikeaquagmire,abottomlesspitofdifficultand

sometimesconfusingpaperworkthatappearstohavelittlerelationshiptoyourneedsfortheproject.

Thoughitmayfeelthiswayatfirst,beassuredthatallthedocumentswerequirearebothrelevantand

necessaryforcompletingthegrantprocess.

Withthatinmind,letsbeginbyexplainingthepurposeofeachdocument:

LetterofRequestThisisourfirstcontactwithyourorganizationandourintroductiontoyourproject.Itisalsothefirststepinourprocess.Submittedatthebeginningofeachcalendaryeartheinformation

providedinaletterofrequestallowsustodeterminewhetherornotaprojectfallswithinourfunding

guidelines,andsowhetherornotanapplicationwillbesent.Therearethreeimportantpointsthat

shouldbecoveredintheletterofrequest.Thefirstisthenatureofyourorganization.Besuretostate

plainlythatyourorganizationisaCatholicnotforprofit.Iftheorganizationhasarelationshipwitha

ReligiousCongregation(explanationprovidedunderthesectiononpage3)orisdirectlyresponsibletothediocese,itisagoodideatomentionthisrelationshipintheletterofrequest. Thesecondcrucial

pointistodescribetheprojectforwhichyouarerequestinganapplication,asclearlyandconciselyas

possible.Istheconstructionofyournewchapelabouttobeginthesecondphase?Thenbyallmeans

provideabriefexplanationofwhatwillhappeninthesecondphase.Thirdly,youmuststatehowmuch

yourprojectwillcostintotalandhowmuchyouareaskingfromus,inUSD.

GrantApplicationThisisthemainbodyoftheprocess,bothforyoutheapplicantandourstaff,foritisbytheapplicationthataprojectisjudgedforfunding.Forthisreason,werequirespecificdatain

equallyspecificformats.Thisdatanotonlyillustratestheneedoftheproject,butalsotheimpactofthe

project.Anexplanationofhowthisworkswillbeprovidedfurtheronintheguide

AssociatedDocumentationThevarioussupportdocumentsthatenhancetheapplication.Weusethesedocumentsandtheinformationtheycontaintodeterminehowtheprojectwillbesupported,

eitherfinancially,spirituallyorboth,bythebroadercommunity.

FiscalAgentLetterAletterfromarepresentativeofaUSbasedorganizationlistedinthe

OfficialCatholicDirectorythatiswillingtoreceivegrantfundsonyourbehalf.YourFiscalAgentmust

knowyoupersonally,orbepersonallyknowntosomeoneinyourCongregationorDiocese,andmustbe

willingtovouchfortheauthenticityofyourprojectshouldanyquestionsarise.

ProofofownershipAdeedofsaleoraleaseagreement,thisisonlyrequiredforconstruction

projects,andhelpstoensurethatwedonotprovidefundstoaprojectthatwillnotbeabletomove

forwardduetolegalreasons.

LandUsePermitIncountrieswheregovernmentapprovalisrequiredforconstruction,or

wherethelocalmunicipalgovernmentrequirespermitsforrenovations,youwillbeaskedtoprovide

someproofthatyouhavethisapproval.

USOfficialCatholicDirectoryFororganizationsintheUnitedStatesonly,thisisundeniable

evidenceofyourorganizationsgoodstandingwithintheCatholicChurch.

IRSDeterminationLetterFororganizationsintheUnitedStatesonly,thistwopageletterfrom

theIRSisproofthatyourorganizationisrecognizedbytheFederalGovernmentasanotforprofitand

thereforeanydonationsaretaxdeductible.

LettersofSupportDependingontheorganizationapplyingandthetypeofproject,the

numberofthesesupportlettersmayvary,howevertheweighttheycarrydoesnot.Itisthroughthese

letters,writtenbyindividualsholdingprominentpositionswithintheChurchhierarchythatwecometo

knowhowtheprojectisperceivedbytheChurch.Wealsolearnhowtheprojectoperateswithinthe

contextofthelocalcommunity,howitrepresentsthemissionofaDiocese,VicariateApostolicorOrder,

andhowitwillbesupportedbythatcommunity.Aprojectthatisoutofstepwiththecommunityis

unlikelytoreceiveafavorablereview.

fromthewebsite.Thisreportconsistsoffour(4)simplequestionsthathelpustounderstandhowthe

projectwasactuallyimplementedanditsrealimpactonthecommunity,andanaccountofexactlyhow

Kochfundingwasspent.FinalReportsareduetwelve(12)monthsafterfundingwasdispensed.Failure

tosubmitaFinalReportcancauseyourorganizationtobedeemedineligibleforfuturefunding.Should

ayearpassandyouhavenotyetspentallofthegrantmoney,youmustwriteourofficeandexplainthe

situation.Inthisletteryoushouldstatewhyyouhavefundsremaining,howyouwishtousethose
