Guidance for Accessing the Web Portal System (VNC-Lifeline) Introduction This is a brief guide on how to access the web portal system to communicate between Adult Social Care Cumbria and VNC – Lifeline based in Liverpool. This guide is for both Adult Social Care Staff and VNC – Lifeline staff as the procedures are the same for both, the differences being in login and what folders you are allowed access to (where there is a difference this will be mentioned in the text). Process: All Staff Log into the portal utilising your Internet Browser, and type the following into your web address box. Adult Social Care Staff – http://care-portal.cumbria.gov.uk VNC Lifeline Staff – https://care-portal.cumbria.gov.uk The above home screen will appear (you may only see the Telecare and Recycle tabs on the left hand side dependant upon your log in). Guidance for Accessing the Web Portal System (VNC-Lifeline) Introduction This is a brief guide on how to access the web portal system to communicate between Adult Social Care Cumbria and VNC – Lifeline based in Liverpool. The above home screen will appear (you may only see the Telecare and Recycle tabs on the left hand side dependant upon your log in). Click on the word Telecare

This will open up a new screen There will only be a maximum of 2 folders listed and named Finance, Referral Note: You should only see folders that you have access to.

Click on the folder that you need to access (Referral)

This will open a new screen. This screen displays the districts of Cumbria Adult Social Care Staff – will only see the district that you have access to VNC Lifeline Staff – will see all the districts of Cumbria

Click on the district folder

This will open a new screen. You will now see 3 folders named: Fairer Access to Care, Prevention, and Reablement You are now in a position to Upload and Download documents through the portal

Click on the relevant file that you wish to access. Dependent on the Referral pathway.

How to upload a document Click on the tab that says upload

This now opens a new screen

Go to the browse button and click

This opens a new screen

This opens up the drives on your computer for you to select the document that you wish to upload onto the portal. Search and select the document that you wish to upload, then click OPEN

The details and file path of the document you wish to upload will appear in the name box, if this is the file you wish to upload click the OK button. Please note: If the overwrite box is ticked, the file when uploaded will overwrite any file with the same name within the folder that is on the portal. This box is automatically set to default overwrite.

This screen shows that the file has been uploaded the word New appears against the file name An e-mail is automatically generated by the portal to inform the recipient that a new document has been uploaded on the portal for them to action. If you are not carrying out any further transactions on the portal then please log out by following the instructions at the end of this guidance (page 14).

How to Download a Document When VNC have installed the equipment they complete a ‘Confirmation of telecare equipment form’ which they then upload into the portal. You will receive an email stating the form has been uploaded. Repeat the first 4 actions at the beginning of this guidance

Click on the document that you wish to open, the name colour will change to red A warning message will appear click OK

When the file opens click File Save As to save the file on your system adhering to the naming protocol. File in the ‘Telecare’ folder and the file name should be Surname, IAS number Confirmation eg. Brown 1089 Confirmation. Add a casenote, with the confirmation details to the service users IAS record (for the referrals via the FAC and reablement pathway) and send to the practitioner.

Once you have saved the file the file must be deleted from the portal.

Go to drop down arrow

Select DELETE A warning message will appear, Select OK

A new screen will appear showing you that the file has been deleted.

Please do not store documents on the portal, all documents must be down loaded then deleted from the portal. If you are not carrying out any further transactions on the portal then please log out by following the instructions at the end of this guidance (page 14).

To Logout of the Portal

Click on your Name in the top right corner Click on Sign Out A warning message will appear. Click YES

You are now logged out of the portal.
