1 GTA COORDINATORS’ GUIDE TO COURSE EVALUATIONS This guide will tell you everything you need to know about creating GTA evaluations, editing GTA evaluations, and accessing GTA evaluation reports. Read this first page to get started. GTA evaluations are generally used for graduate teaching assistants who are not in iRoar as the instructor of record and who have little control over the course. If your department has GTRs (Graduate Teachers of Record) who are in iRoar, the system will automatically default for them to use the full instructor evaluation with University and Department questions. Make sure to remind GTRs that they need to set up the evaluations, because there will be no course evaluations if they don’t. GTA COORDINATORS’ GUIDE

TO COURSE EVALUATIONS This guide will tell you everything you need to know about creating GTA evaluations, editing GTA

evaluations, and accessing GTA evaluation reports. Read this first page to get started.

GTA evaluations are generally used for graduate teaching assistants who are not in iRoar as the instructor

of record and who have little control over the course. If your department has GTRs (Graduate Teachers of Record)

who are in iRoar, the system will automatically default for them to use the full instructor evaluation with University

and Department questions. Make sure to remind GTRs that they need to set up the evaluations, because there will

be no course evaluations if they don’t. If you are unsure of the different needs for GTAs and GTRs, contact the

Office of Institutional Research.

CREATING GTA EVALUATIONS

Creating GTA course evaluations is very simple – follow the instructions from Create a GTA Evaluation.

ACTIVATION OF GTA EVALUATIONS

All GTA evaluations are automatically scheduled to be active for the last 3 weeks of the term.

You can manually activate or deactivate an individual GTA evaluation by following instructions from

Activate, Deactivate, or Edit Activation Schedule of a GTA Evaluation.

You can change the activation schedule for an individual GTA evaluation by following instructions from

Activate, Deactivate, or Edit Activation Schedule of a GTA Evaluation.

You can change the default activation schedule for all new GTA evaluations made in your department by

following instructions from Automation Rules.

QUESTIONS INCLUDED IN GTA EVALUATIONS

Unlike regular course evaluations, GTA evaluations ONLY include the GTA question set, NOT the

University, Department, or Instructor question sets.

GTA course evaluations automatically use the University’s default GTA question set unless you choose to

create and designate a custom GTA question set for your department. For more information, see section

called

ACCESSING GTA EVALUATION RESULTS

MAKING & EDITING GTA EVALUATIONS

CREATE A GTA EVALUATION

Click “Create GTA Evaluations” from the side menu.

If you see a “Reset Form” button near the top of the page, press it. If not, continue to the next step.

From the dropdown menu, select the name of the desired GTA.

Select a course discipline from the 1st dropdown menu and a course section title from the 2nd dropdown

menu.

The evaluation will be automatically created, and will be scheduled to be active for the last 3 weeks of the

term (unless you have changed the default settings with an automation rule).

If you find that you did not set up the evaluation as intended, you can Activate, Deactivate, or Edit

Activation Schedule of a GTA Evaluation or Delete a GTA Evaluation the evaluation.

DELETE A GTA EVALUATION

You can delete a GTA evaluation as long as no students have already taken the evaluation.

Click “Create GTA Evaluations” from the side menu.

If you see a “Reset Form” button near the top of the page, press it. If not, continue to the next step.

From the dropdown menu, select the name of the desired GTA.

Any evaluations that have already been created for this GTA will appear in the dropdown menu below the

GTA’s name. Using this dropdown menu, select the evaluation that you would like to delete.

Click the “Remove Evaluation1” button to delete the evaluation.

1 If the “Remove Evaluation” button is missing, that means that at least 1 student has already completed the

evaluation so you can no longer delete the evaluation.

The evaluation is now deleted.

ACTIVATE, DEACTIVATE, OR EDIT ACTIVATION SCHEDULE OF A GTA EVALUATION

Any time after you create a GTA evaluation you can go back to the “Create GTA Evaluations” page to

manually activate or deactivate it, or to adjust the activation schedule.

Click “Create GTA Evaluations” from the side menu.

If you see a “Reset Form” button near the top of the page, press it. If not, continue to the next step.

From the dropdown menu, select the name of the desired GTA.

Any evaluations that have already been created for this GTA will appear in the dropdown menu below the

GTA’s name. Using this dropdown menu, select the evaluation that you would like to edit.

Use the buttons under the dropdown menu to edit or delete the evaluation.

o Activate Evaluation Now: This button activates the evaluation manually. It will remain active until

the end of the term or until you deactivate it.

o Deactivate Evaluation: If the evaluation is active, this button deactivates it. This button also

switches the evaluation to the manual activation method; you will then have to come back and

manually activate this evaluation if you want it be active later in the semester.

o Remove Evaluation: This button deletes the evaluation completely. If this button is missing, that

means that at least 1 student has already completed the evaluation so you can no longer delete

the evaluation.

o Adjust Release Schedule: This button lets you change the activation settings of the evaluation.

If you want to adjust the activation settings:

o Click “Adjust Release Schedule.”

o Choose an activation method, and click “Update Evaluation.”

Scheduled Activation is the default. This method lets you choose a start date and end

date, and the evaluation will automatically be activated during that timeframe.

Manual Activation: If you choose this option, the evaluation will need to be manually

activated instead of being automatically activated. Not recommended for GTA

evaluations.

Do Not Activate: If you choose this option, the evaluation will not take place this

semester.

o If you chose scheduled activation, chose an activation date/time and a deactivation date/time.

The default is set to have the evaluation active for the last 3 weeks for the term.

o Choose a daily availability to be used while the evaluation is active. Default settings are designed

to avoid scheduled site maintenance. Click “Save and Continue.”

o Choose who can see the results of the evaluation, and when they will be available. Click “Save

and Continue.”

o The evaluation update is complete.

QUESTION SETS

NOTE: If your department is satisfied with the University’s default GTA question set, you don’t have to

read this section at all. Read this section only if you want to use a custom GTA question set instead of the

University’s default GTA question set.

THE GTA QUESTION SET

GTA course evaluations ONLY include the GTA question set; they don’t include the University,

Department, or Instructor question sets.

All GTA course evaluations automatically use the University’s default GTA question set unless you take

steps to create and designate a custom GTA question set.

All GTA course evaluations within the same discipline must use the same GTA question set.

If you want to create and use a new GTA question set, follow the step-by-step instructions in Creating &

Designating a New GTA Question Set.

If you already have a custom GTA question set and would like to edit it, follow the step-by-step

instructions in Editing your Current GTA Question Set.

There are other question set options available that are not covered in this guide – see the Question Sets

section in the Instructors’ Guide to Course Evaluations for more in-depth information.

THE UNIVERSITY’S DEFAULT GTA QUESTION SET

Preview the University’s default GTA question set to decide whether or not to use it.

Click “Set/Preview Default Questions” from the side menu.

From the 3rd dropdown menu, select “University Default GTA Questions,” and then click “Preview

Selected Question Set.”

The question set will be displayed on the page.

CREATING & DESIGNATING A NEW GTA QUESTION SET

Follow these steps if you want to create a brand new question set and designate it as your department’s

GTA question set.

1. CREATE THE QUESTION SET

Click “Edit Dept Question Bank” from the side menu.

Click “Add New Question Set”

Complete the required information.

o Add a label and title.

The title is used for searches, so it is best to include the discipline and/or department

number.

o Click “Save Changes.”

The question set will appear in your “Draft Question Sets” section.

2. ADD QUESTIONS

Make sure the correct question set is selected. The selected question set will have arrows next to it.

To add a question:

o Click “Add new question.”

o Complete the required information.

1. Choose the type of response options you would like the question to have. Click on the yellow

question mark to view a description of response types.

2. If desired, edit the question sorting order. This will determine the where this question

appears within the question set.

3. Write the question in the “Edit question text” box.

4. Click “Save Changes.”

If desired, change the order of the questions:

o Click the “Sort questions” button.

o Put the corrected order number next to each question, and then click “Sort Questions.”

3. PUBLISH THE QUESTION SET

Click the Publish ( ) icon next to the question set to publish it.

Your question set will appear in the “Published Question Set” section.

4. DESIGNATE THE QUESTION SET AS THE GTA QUESTION SET

Click “Set/Preview Default Questions” from the side menu.

This page will show you a table of the current GTA question set, if you already have one designated. If

your department covers more than one discipline, there may be a different GTA question set assigned to

each discipline.

If you want to add a GTA question set in a discipline that already has a GTA question set, you will need to

remove the old question set first.

To remove the old GTA question set:

o Use the dropdown menus to select your options.

1. In the first dropdown menu, choose the discipline from which to remove the question set.

Selecting “All Disciplines” will not work. You must remove the question sets one

discipline at a time.

2. Click “Remove Default Question Set.”

o The selected discipline should disappear from the table. If there was only one discipline in the

table, the table will disappear.

To designate a GTA question set:

o Use the dropdown menus to select your options.

1. Choose the discipline from the first dropdown menu.

Choosing “All Disciplines” will not work.

Some of the discipline abbreviations may be outdated – you can ignore the outdated

ones and just use the current discipline abbreviations.

2. In the last dropdown menu, choose the desired question set.

To be sure you are choosing the correct question set, you can click “Preview Selected

Question Set” to view the questions in the selected question set.

3. Click “Set Default Question Set.”

o The newly designated question set will now appear in the table on the page.

EDITING YOUR CURRENT GTA QUESTION SET

Follow these steps if you want to edit your current GTA question set.

1. COPY YOUR CURRENT GTA QUESTION SET

If you are not sure of the name of your current GTA question set, look it up:

o Click “Set/Preview Default Questions” from the side menu.

o This page will show you a table of the current GTA question set(s). The question set name(s) will

be in the body of the table. If your department covers more than one discipline, you may have a

different GTA question set for each discipline.

Click “Edit Dept Question Bank” from the side menu.

In the “Published Question Sets” section, click the copy icon ( ) next to your current Department

question set.

You will now have a draft version of your department question set in your “Draft Question Sets” section. It

will have the same name as the original question set plus “rev” at the end.

2. REVISE THE QUESTION SET

In the “Draft Question Sets” section, select the copied version of the department question set by clicking

on the name.

o You can tell that the question set is selected when there are arrows next to the question set.

The questions from the selected question set will appear on the right side of the page.

Make any desired changes to the question set.

o To delete questions:

Click the icon next to any questions you wish to delete.

o To change question order:

Click “Sort Questions.”

Put the corrected order number next to each question, and then click “Sort Questions.”

o To add a new question:

Click “Add new question.”

Complete the required information.

1. Choose the type of response options you would like the question to have. Click on

the yellow question mark to view a description of response types.

2. If desired, edit the question sorting order. This will determine the where this

question appears within the question set.

3. Write the question in the “Edit question text” box.

4. Click “Save Changes.”

Once you have completed all desired changes to the question set, you can move on to the next step.

3. PUBLISH THE REVISED GTA QUESTION SET

Click the Publish ( ) icon next to the revised department question set to publish it.

The revised version will now be in your “Published Question Sets” section, along with the old version of

your department question set.

If you want to rename the revised question set:

o Click on the Label ( ) icon next to the revised question set.

o Write a new label and title, and click “Save Changes.”

EVALUATION RESULTS

From the GTA Coordinator Interface you have access to GTA evaluation reports and End-of-Term

evaluation reports from courses taught by GTRs.

GTA & GTR REPORTS

The GTA Reports page allows you to view individual course evaluation reports for each GTA & GTR in your

department. These reports provide basic summary statistics (mean, standard deviation, etc.) for each scale-based

question, provide a comparison of those statistics with other courses in your discipline, and allow you to view the

responses to open-ended questions.

Click “GTA Reports” from the side menu.

Select from the options on the page.

1. Pick a semester from the 1st dropdown menu. The number in parentheses tells you how many evaluations

are available from that semester.

2. Pick a GTA/GTR from the 2nd dropdown menu.

3. Using the 3rd dropdown menu, you can browse the selected GTA/GTR’s course evaluations by semester.

4. The course evaluations available from the selected GTA/GTR for the selected semester will be displayed in

a table.

o If the evaluation is labeled “Regular” in the “Eval Num” column, then that evaluation is a full end-

of-term evaluation.

o If the evaluation is labeled “Mid-term” in the “Eval Num” column, then that evaluation is a GTA

evaluation.

5. If you are getting a report for a “Regular” evaluation, then this evaluation will include the University

question set and may include a Department and Instructor question set. In the “Display Preferences”

section, check the boxes to indicate which questions you would like to be included in the report.

o “Global Questions” are the default University questions.

o “Instructor Annotation” refers to the comments that an instructor may add to their evaluations.

6. In the “Comparison statistics” section, indicate whether you would like the target course evaluation’s

statistics compared to (A) all other evaluations in your discipline, (B) only evaluations in your discipline

NOT taught by graduate students, or (C) only evaluations in your discipline taught by graduate students.

7. Pick an evaluation from the final dropdown menu.

8. Pick a report option.

View Summary: Displays the summary statistics and comparison statistics for each question. It

also displays the written responses to the open-ended questions. Example:

Download Summary: Same as the “View Summary” button, but in the form of a Word document.

This option allows for easier printing.

View Compact Summary: Condenses the statistical information into a table with 1 line per

evaluation question. Written responses to open-ended questions are NOT included. Example:

Download Compact Summary: Same as the “View Compact Summary” button, but in the form of

a Word Document. This option allows for easier printing.

View Questions: Just a list of each question and the response scales used. Example:

Download Questions: Same as “View Questions,” but in a Word document. This allows for easier

printing.

View Student Comments: Just the responses to open-ended questions. Example:

DOWNLOAD ALL GTA & GTR REPORTS BY SEMESTER

If desired, you can download all evaluation reports at once for all GTA & GTR evaluations from within your

department for a specific semester. This will often create a very long document and may take a long time to

download.

Click “Download GTA reports” from the side menu.

Choose from the options on the page.

1. Choose a semester. The number in parentheses indicates how many course evaluations will be listed in

the report.

2. Choose 1 or more disciplines to include in the report.

3. Some of the evaluations included in this report may be regular End-of-Term evaluations for courses

taught by GTRs. In the “Display Preferences” section, check the boxes to indicate which questions from

these full evaluations you would like to be included in the report.

“Global Questions” are the default University questions.

“Instructor Annotation” refers to the comments that an instructor may add to their evaluations.

4. In the “Comparison statistics” section, select a comparison group against which to compare each

evaluation’s scores.

5. Choose a report to download.

Discipline Member Report Download: For each included course evaluation, this report lists the

full text for each question along with the scale type, the summary statistics for scale-based

questions, and the written responses to essay questions.

Discipline Member Compact Report Download: For each included course evaluation, this report

lists a compact version of the summary statistics for each scale-based question. Full text for each

question, scale type for each question, and written responses to essay questions are not

included.

Discipline Member Student Comments Download: For each included course evaluation, this

report lists the written responses to essay questions.

Discipline Member Questions Download: For each included course evaluation, this report lists

the questions from each evaluation.

AUTOMATION RULES

Automation rules control the activation method and schedule of all GTA course evaluations. The default

automation rule schedules evaluations to be active for the final 3 weeks of the term, daily from 6am-11:30pm.

Create your own automation rule if you would like to use different activation options for your department’s GTA

evaluations. Your new rule will dictate the activation schedules for all new GTA evaluations made in your discipline.

Click “Set Automation Rules” from the side menu.

The page will display all of your department’s GTA automation rules.

If only 1 automation rule is displayed, then it is the default GTA automation rule. It will look like this:

To make a new automation rule, click the “Add GTA Automation Rule” button.

Fill in the required information.

o Write a label.

o Select a discipline. All GTA course evaluations from that discipline will use this automation rule to

determine their activation schedule.

Click “Save and Continue” again.

If you chose scheduled activation, chose an activation date/time and a deactivation date/time. The

default is set to have the evaluations active for the last 3 weeks for the term.

Choose a daily availability, to be used while the evaluation is activated. Default settings are designed to

avoid scheduled site maintenance.

Your new automation rule has been created. Click “review rules” to return to the main rules page.

Your new rule will appear next to the default rule. The new rule will dictate the activation schedule for all

new GTA evaluations made for courses in the specified discipline.
