Low cost in buyingLow cost in buyingHigh cost of ownershipHigh cost of ownership

Total Cost Ownership (TCO)• Estimated total TCO of PDA per business user is $3,000 a year• Add wireless capability, total rises by $1,392 to $4,392• PDA’s standard issue for workers -> understanding handheld TCO is critical• TCO of wireless devices is directly related to their capabilities• Increased processing power & advanced applications requires greater investment

Total Impact • The expenses associated with adding a wireless modem or PC card are comprised

primarily of hardware, support and service fees• These costs include training to use devices, and deploying them to workforce. • Enterprises: “What are benefits (ROI) of additional $1,392 for connectivity?” • Wireless enables real-time communications; integrating voice and data will increase

productivity and connectivity• Such benefits are difficult to quantify

Determining Return on Investment (ROI)• Actual ROI varies widely, depending on user and applications in handheld device • Companies that go beyond the return on specific mobile applications -- linking

technology investments to sales revenue, customer support and internal operations goals -- will be better equipped to define a mobile ROI

The view of Gartner The view of Gartner (according to Gartner report 2002)(according to Gartner report 2002)

http://GroupWise.AdvisorEvents.comhttp://GroupWise.AdvisorEvents.com

Breakdown of Cost of ownershipBreakdown of Cost of ownership

Breaking down TCO for integrated wireless PDA• 60% cost is capital, including hardware, software and network services • 30% operations: technical services, application management and development• 10% for administrative expenses • With service costs having the biggest impact on capital expenditures -- at $50 to $100 a

month -- businesses should consider consolidating providers, bundling services and negotiating contracts to reduce the total cost of ownership

Need for Wireless • Businesses need the addition of wireless mobility, because to keep up with the

competition. They need to contact their clients more quickly and be able to provide immediate feedback

• Among the factors enterprises should consider in determining the costs of ownership related to mobile technology are an increase in productivity and a subsequent increase in revenue, improved accuracy associated with constant communication and lower costs based on improved efficiency

Managing expectations. Of course your users need to receive, read and even edit a 2 Mb Word doc as an e-mail attachment on a PDA with 16 Mb of memory connected via 9.600 kb GSM. This might seem ridiculous to you, but to them the size of 2 Mb might not even be visible; quite often such a size doesn’t mean anything else to them but a number.

Cradle Based versus Server BasedCradle Based versus Server Based

Cost structure can be a bit more complex, with server and client based license fees.

Con:Software, maintenance and support costs can be directly coupled to a user; however, these costs generally are higher than with a server based solution.

Pro:

Most server based solutions offer a true ”anywhere – anytime” solution: as long as the PDA can use IP to connect to the server a sync can be accomplished. This will work with WiFi, GSM/GPRS, CDPD, and other channels.

Pro:Although some sync software can be configured to support LAN-based sync, the result is that the client-p.c. should be left online, logged into the network and the firewall should allow traffic to the ports in use. The resulting LAN-based sync is quite often cumbersome.

Con:

The user can use any p.c. with the standard sync software, which quite often supports “guest” accounts, to connect to the sync server

Pro:Most often the user can only install the standard sync software on one or two PC's; quite often the user wants/needs to sync at the office and at home. The local sync software install is usually tied to the user's account and PDA. Even if multiple sync software installs are possible the resulting syncs might not always be correct.

Con:

There is a larger risk for SPOF's, which can be reduced by a multi-server installation with failover or load-balancing

Con:In general, a distributed model presents less SPOF’s (Single Points of Failure)

Pro:

The current solutions all depend on the GroupWise Win32 client API, which makes it necessary to use a Windows server with a GroupWise client installed. This could present scalability and stability issues.

Con:GroupWise information is accessed via the user's PC. As long as the GroupWise client is running or accessible the device can perform a sync, requiring no more load on the system than if the user was browsing their mailbox, making it a scalable solution.

Pro:

The server will (and should) most often be a US version of Windows2000 with a US version of the GroupWise client, resulting in no language problems. The user doesn’t notice this.

Pro:Additional software doesn’t always support all the languages necessary; Pumatech’s IntelliSync for example doesn’t support the Dutch GroupWise address book.

Con:

Server install, the user (most often) doesn’t need any software on the desktop; a single server can often serve hundreds of users.

Pro:Additional software is often not easily manageable (difficult ZEN snapshots, easily “disturbed”), resulting in high maintenance costs and expert helpdesk skills

Con:

No additional software is required on the desktop, normal ActiveSync/HotSync is used; most solutions do require a small applet on the PDA

Pro:Additional software on top of ActiveSync/Hotsync needs to be installed on the desktop of a user, making these computers an exception to a corporate standard; quite often a solution will install additional software on the PDA as well

Con:

Some final things to considerSome final things to consider

A PDA or phone has limited resources• Depending on your needs, you might want to remove unnecessary messages from

the device, but leave them in your GroupWise mailbox to further process them• Or you might want your GroupWise mailbox to reflect the deletions you made

during the day on your deviceThese devices will somehow be part of your corporate network

• If a PDA or phone gets lost, valuable information could get lost as well• Quite often users create a small file with all kinds of interesting information, like

passwords, on their device; they will certainly store telephone numbers on it• You should decide on a policy for lost or stolen devices and enforce that policy

with ZENworks for Handhelds or other toolsNot every solution supports the downloading of attachments:

• This is not as bad as it seems: downloading a large attachment via relatively slow link on a device with limited memory resources and quite often limited viewing capabilities can be cumbersome.

• Consider using PDF files, which are relatively small and which can be viewed without these risks of unwanted modification

When choosing a device:• Beware: your own personal favorite device might not be the best corporate choice• The costs of supporting several device types with different software versions will

be much higher than you and your organization can probably afford• However, these devices are definitely all around us now and they will soon

become an important part of GroupWise collaboration environment
