Housing Groups stay in lodges of varying size and bed configuration. Your full group will stay in one lodge (or lodges) together. Because beds are different sizes, we recommend sleeping bags. Bring your own bed linens (or sleeping bag), pillow, and towels. Each lodge has a living area and kitchenette with refrigerator. Groups will likely need to share a lodge.

✔ Common Registration Questions

CAN I CHANGE MY NUMBERS? You are able to add to your current registration online before the

final payment date, with space permitting. All drops after February 1 but prior to the final payment due date

result in the forfeiture of those deposits. All drops after the final payment date will result in forfeiture of

those deposits and incur an additional $100 late drop fee for each drop. Please note that once registration

changes are made by a Group Leader online, it may take 2-5 business days for subsequent financial

adjustments to appear in the registration system. ARE CAMP SCHOLARSHIPS AVAILABLE? At Passport Camps, we believe that every student

should have the opportunity to attend summer camp regardless of their financial abilities. The goal of the

Camp Scholarship Program is to partner with churches to assist students in their congregation who

demonstrate significant financial need and make camp a reality for them. The application is open from

January 1st to April 5th. Any applications received after the deadline will be considered with any funds

GETTING TO CAMP

CHECK-IN

✔ Check-In is from 12:00-2:00 p.m.

HOW DO I FIND PASSPORT? Look for our flags and staff to welcome you. The Check-In location will be indicated on the campus map.

WHO CHECKS MY GROUP IN? The Group Leader and one other adult will come into the Camp Office while our staff hang out with your campers outside.

“OH NO, WE HIT TRAFFIC AND ARE GOING TO BE LATE!” Please call the camp office during Check-In hours and let them know when to expect you and the total number of males and females, campers and adults, and t-shirt sizes. We will be ready for you. Late groups may be asked to wait until the end of Opening Celebration to Check-In.

experiences, we request that Group Leaders avoid placing couples or friend-groups in the same Bible study. You can simply avoid giving them the same Bible study stamp in their passport, or let us know at Check-In if we can help you place these special attention situations in a thoughtful way.

MOVING IN

✔ Housing

PRE-PLAN ROOM ASSIGNMENTS Review our Safe Harbor Policy and plan rooming before arrival. You will find the policy on page 9 of this packet. BE FLEXIBLE Initial housing assignments are made five days before you arrive at camp, but adjustments must sometimes be made. CHECK YOUR ROOMS Do a quick visual check of each room. Notify the Assistant Director of any problems during the first Adult Meeting. On checkout day campus personnel inspect each room for damage and collect payments for damages and lost keys before your group departs.

✔ Phone and Internet Access

ADULT CHAPERONES Limited wireless Internet is available on campus. Adults are permitted to have cell phones and other electronic devices. However, we ask that you use them with discretion. Celebrations and Worship services may not be recorded or streamed live. STUDENTS Campers are not permitted to have cell phones or other devices at Passport. Help your students disconnect from the distractions and connect with each other and God. As a part of your campers Digital Sabbath, ask your campers to turn their electronic devices and/or cell phones over to you before the Opening Night of camp. You will return them on the last morning. NOTE: If staffers see a student with devices during the week, they will be collected and given to the Group Leader. Please help us enforce this rule, as it will enrich the camp experience. Some group leaders will give phones to their campers for a brief parent check-in a couple of times during the session. We trust our group leaders to make decisions about what is best for the needs of their campers and their families. However, Passport prefers for every group to maintain a full digital sabbath for the week – so we ask our group leaders to use discretion for these check-in moments.

MAIL EARLY AND INCLUDE YOUR RETURN ADDRESS Camper mail is distributed daily at the address on the General Information page. Late mail is marked “Return to Sender,” but ONLY with a visible return address.

✔ Camp Food

WHAT MEALS ARE COVERED? All meals from dinner on Opening Day through breakfast on Closing Day are included in the program fee. FOOD ALLERGIES? Please alert us to special dietary needs in the Special Attention box on our registration website by May 1 or by calling the national office at least 2 weeks before your session.

Night 1 - Rec Party: Superheroes Training Camp What’s your superpower? Join us and discover yours as we make our way through this year’s Rec Party Superhero Training Camp. Even superheroes need to train, practice, and prepare to become Fearless Savers of the world! At Passport’s Superheroes Training Camp Rec Party, campers (excuse me, Superheroes) will train together to prepare for their important mission. Get ready to use your strength, your speed, and your brain to become the ultimate superhero! Pack your most comfortable clothes including a t-shirt to match your Bible study (Red or Green) and some closed toed shoes (required). Mask and cap are optional, but we can all show our Super Spirit! Night 2 - Night Market Night Market is a simulated nighttime bazaar based on the country/culture we’re studying at camp. The staff introduces roles that represent the breadth and diversity of the culture. Campers will try on exotic clothing, taste local cuisine, play games, barter for goods, and engage in a Scavenger Hunt to get a deeper understanding of the people group of study. It provides context and missional understanding for our global mission offering each summer.

Night 3 - Variety Show Super! Awesome! Amazing! Add your voice to this year’s Variety Show, the 2019 Supers Awards Show. Even superheroes deserve some recognition, right? Join us for the 2019 Super Awards as we celebrate superheroes and enjoy the talents of some superhero campers along the way! Sign up your church group’s act for the Show Screening. At the Variety Show Screening, acts must perform their act in the clothes they will wear during the Show. Space is limited due to the camp schedule. Group acts will be given first priority. Dress in your favorite superhero costume and cheer on your friends. To allow as many acts as possible there is a 2 minute limitation on all acts. Please help your campers come prepared for where they will cut any songs to stick to this time limit.

✔ Camper’s Choice

At Check-In, campers will sign up for elective activities that will occur in the morning and afternoon of Days 2 & 3 (three opportunities—two on Day 2 and one on Day 3). Activities are divided by Bible Study group colors (Green: 3rd and 4th graders and Red: 5th and 6th graders). They choose a different activity every day. Activities include such things as basketball, soccer, dance, crafts, video crew, indoor games, worship arts, and more. In addition, every camper will participate in a mission education rotation led by Passport staffers on Day 3.

✔ Free Time

Following afternoon rotations on Days 2 and 3, your group will have some Free Time to spend together and “do your own thing.” You may want to hang out together as a whole group or organize your campers into smaller groups to enjoy some of the options available during Free Time. Please note that campers must be escorted to and from all Free Time activities. You and your adult chaperones are responsible for campers that do not attend Passport-led activities.

Here are a few of the things you might choose to do during Free Time:

• PASSPORTkids Store—T-shirts and other fun and useful items to enjoy and share. Cash, checks, and credit cards are accepted. �

• QuickCrafts—simple and brief crafts, such as “Bandanarama” wristlets. �

• Outdoor Fun—a scheduled activity each day (e.g., four square).

• Variety Show Screening—only on Day 2 of camp.

• Kickball Tournament - New this year is a Kickball tournament that will take place during Free Time on Day 3.

Many groups like to use this time to relax, shower, and dress for the evening. ��

PREPARING ADULTS

GROUP LEADERS, CHAPERONES, AND NON-CAMPERS

WHO IS THE GROUP LEADER? The Group Leader is the lead chaperone responsible for the camp registration and participants. Children eligible for PASSPORTkids must have completed grades 3 through 6 at the time of camp.

✔ Group Leader Checklist • A container to store collected cell phones • A backpack or duffel bag • Pens and pencils for your group • Portable First Aid kit for minor injuries • Insect repellant and sunscreen • Snacks and bottled water (you may want to

bring a cooler) • Fans for stuffy dorm rooms or white noise • Trash bags - for general group use,

individual rooms and wet clothes • Paper towels, tissues, and Lysol • A copy of each participant’s medical

release form

WHO IS A CHAPERONE? At least one chaperone of each gender represented at camp must have been out of high school for at least one year. Younger chaperones may also attend, but must have completed grades 11 or 12. All chaperones driving vehicles at camp must be at least 21 years old.

HOW MANY CHAPERONES DO I NEED? The chaperone to camper ratio in each group must be at least 1 chaperone per 5 campers of the same gender. For example, if you bring 8 female and 3 male campers, you must bring 2 female chaperones and 1 male chaperone. WHAT IF MY PASTOR WANTS TO VISIT FOR A DAY? Pastors and other ministers are more than welcome to come, but these requests must be made by email to [email protected] or by calling 800-769-0210 by April 15. Guests must be registered with the group even if they are not participating in camp programming. And don’t forget to add these visitors to your Chaperone Screening Certificate.

WHAT IF WE NEED TO BRING A BABY OR SMALL CHILD? Babies and children are more than welcome to come, but a request must be made by email to [email protected] or by calling 800-769-0210 by April 15. A Camp Coordinator will discuss the specific guidelines, waivers, expectations, and any additional fees with the Group Leader.

✔ Do Not Bring • Firecrackers, extra shaving

cream, water balloons, tobacco products, vapes, illegal drugs, alcohol, firearms—all the usual no-nos. Churches will be held responsible for property damage and/or cleanup costs incurred.

• Students may not bring clothing, hats, flags, posters, or other room decorations that are seen as divisive, inflammatory, or offensive.

✔ What Do Chaperones Need to Know Now?

CHAPERONES SHOULD KNOW ABOUT PASSPORT’S SAFE HARBOR POLICY. Passport requires a background check be completed for every adult attending camp.

A Chaperone Screening Certificate (in the Addenda) requires a list of every adult accompanying your group with a checked box indicating a completed background check. Any official statewide background check that you have conducted within the past three years is acceptable. A ministerial staff member of your church must sign the certificate to be presented when your group arrives at camp for Check-In. Passport Inc.’s Rooming Policy regarding Adult/Minor Rooming requires that an adult cannot sleep in the same room alone with a minor unless that adult is the parent or legal guardian of the minor. In lodging where there are multiple beds, we will arrange for at least two adults who are not married or related to stay with multiple minors as space allows. This may occasionally necessitate placing more than one group in an apartment or dorm suite. If there are separate bedrooms, an adult will be given their own room or may share with another adult. In the event that your group’s policy is stricter than this, Passport, Inc. will follow your policy to the best of our ability. Special rooming requests may require additional payment based on single room costs from our host facilities. You may email your request to us at [email protected]. It is the Group Leader’s responsibility to make specific rooming issues known to Passport in writing prior to the Final Payment Date so that we can adequately plan.

CHAPERONES SHOULD HELP CAMPERS RESPECT THE DRESS GUIDELINES. Campers and adults should dress appropriately – as defined by the camper’s parent/guardian and Church Group Leader – the entire week of camp. Please consider these guidelines, as it is the Group Leaders who will monitor their group's clothing:

• No clothing with inappropriate language or advertising is allowed. • Clothing should not make fun of, belittle, or demean another person or culture. • Shirts with sleeves & closed-toe tennis shoes are required for Choice time. • Bring some clothes that can get dirty at Rec Party and for various games or activities. • Both one piece and two-piece bathing suits are allowed at camp.

CHAPERONES SHOULD HELP CAMPERS FOLLOW THE CAMP COVENANT AND RULES. Camp Rules • Participate fully in all PASSPORTkids activities. • Go only into my own cabin or room and only when an adult is present. • Stay in my cabin or room after curfew. • Spend time with God each day this week. • Have fun!

FORMS, HANDOUTS & LINKS

✔ Medical Release Form

Passport has moved our Medical and Photo Release Forms to a secure online platform. We hope that this will streamline the process and be easier for all parties involved.

STEPS FOR GROUP LEADERS: 1. An email will be sent from [email protected] listing the unique URL for your church. Note: this

link will be specific to your youth or kids program registrations. 2. Send the URL to your chaperones and camper parents/guardians, or have everyone fill it out at an

informational meeting. Ask parents to bring their medical insurance information and doctor’s address so they can complete the form.

3. Participants will receive an electronic copy of their waiver and copies of each signed document will be sent to the email address of the Group Leader on file. Watch for emails to come in from Passport with a link to each person’s Release Form. Their name will be in the subject line. If you need to change or update the Group Leader email on your account, contact the Passport Office at (800) 769-0210 or by emailing [email protected].

4. Links expire within 3 days, so click the link and download the form for your records.

5. Keep track of who on your roster has completed their form using these emails. We recommend moving forms to a dedicated folder you can easily return to later.

6. If your church has a separate Medical Release Form, there’s no need to print and bring Passport’s form to camp. If your church does not have a form, then print and bring a copy of Passport’s form with you for your records. Note: When printing forms, they are four pages long, but text is very large. We recommend printing 4-to-a-page, since these are still legible and use much less paper.

7. If anyone in your group arrives at camp without a completed online, PASSPORT Medical Release Form, they will not be allowed to participate in camp activities until a completed online, PASSPORT Medical Release Form is submitted.

CAMP PLANNING MEETING

We recommend that you hold a camp-planning meeting at least two weeks prior to your departure date.

✔Invitations

Announce your meeting. Invite the following individuals: • Campers and their Parents/Guardians • Adult Chaperones

✔Medical Release Forms Use this meeting to have parents fill out the Medical Release Form, or you can send out your Medical Release Form link ahead of time for parents to fill out prior to this meeting. In any case, be sure to remind parents (and chaperones) to fill one out. We recommend that you print a copy for each camper for your records at camp.

✔Meeting Time

Generally, a Camp Planning Meeting will last from 20-40 minutes, depending on group size.

✔Checklist ¨ Welcome/Introduction Thank everyone for attending and share your excitement about this

summer’s camp. Be sure to introduce the adult chaperones, encouraging campers and parents/guardians to thank them.

¨ Distribute Handouts Give the Parent Essentials to each camper family and adult chaperone. Go over the basic information on the page, offer tips from your own experience, and discuss your Variety Show costume plans, Mission Offering emphasis, etc. Urge campers to plan ahead if they want to present a Variety Show act and to let you know the details. Emphasize second set of shoes and clothes that can get wet/messy for Rec Party. Suggest that parents make 3 cash envelopes for their campers: mission offering, store, and travel meals.

¨ Go over Campus Info Review the following information: • Campus Mailing Address • Emergency Phone #s (including your own) • Sheet sizes (although we encourage sleeping bags)

Encourage parents/guardians to write notes for their campers and send them a day or two before your departure.

¨ Show the Passport Theme Video

Consider showing the 2019 Passport theme video, available at our website, www.passportcamps.org/promote-camp. The video will build excitement among your campers!

¨ Q & A Refer to your Group Leader Packet—many of the answers may be found here. If you cannot find an answer, feel free to contact us during the next workday. Be sure to give instructions about your departure and return.

CAMP PROGRAM

✔ Free Time Following afternoon rotations on Days 2 and 3, your group will have some Free Time to spend together and “do your own thing.” You may want to hang out together as a whole group or organize your campers into smaller groups to enjoy some of the options available during Free Time. Please note that campers must be escorted to and from all Free Time activities. You and your adult chaperones are responsible for campers that do not attend Passport-led activities.

Here are a few of the things you might choose to do during Free Time:

• PASSPORTkids Store—T-shirts and other fun and useful items to enjoy and share. Cash, checks, and credit cards are accepted. �

• QuickCrafts—simple and brief crafts, such as “Bandanarama” wristlets. �

• Outdoor Fun—a scheduled activity each day (e.g., four square).

• Variety Show Screening—only on Day 2 of camp. • Kickball Tournament - New this year is a Kickball

tournament that will take place during Free Time on Day 3.

Many groups like to use this time to relax, shower, and dress for the evening. ��

✔ Camper’s Choice Activities At Check-In, campers will sign up for elective activities that will occur in the morning and afternoon of Days 2 & 3 (three opportunities—two on Day 2 and 1 on Day 3). Activities are divided by Bible Study group colors (Green: 3rd and 4th graders and Red: 5th and 6th graders). They have the freedom to choose a different activity every day or stick with a favorite. Activities include such things as basketball, soccer, dance, crafts, video crew, indoor games, worship arts, and more. In addition, every camper will participate in a mission education rotation led by Passport staffers on Day 3.

✔ Mission Offering Passport campers always learn about a need around the world and are given the opportunity to support Christians working to meet that need, living as the hands and feet of Jesus. The camp offering for missions will be collected in Night 3 Worship.

✔ Camp Theme: FEARLESS THEME VERSE: Stay awake, stand firm in your faith, be brave, be strong. Everything should be done in love. 1 Corinthians 16:13-14 (Common English Bible) DAILY THEMES

✔ Parties Night 1 - Rec Party: Superheroes Training Camp What’s your superpower? Join us and discover yours as we make our way through this year’s Rec Party Superhero Training Camp. Even superheroes need to train, practice, and prepare to become Fearless Savers of the world! At Passport’s Superheroes Training Camp Rec Party, campers (excuse me, Superheroes) will train together to prepare for their important mission. Get ready to use your strength, your speed, and your brain to become the ultimate superhero! Pack your most comfortable clothes including a t-shirt to match your Bible study (Red or Green) and some closed toed shoes (required). Mask and cap are optional, but we can all show our Super Spirit! Night 2 - Night Market Night Market is a simulated nighttime bazaar based on the country/culture we’re studying at camp. The staff introduces roles that represent the breadth and diversity of the culture. Campers will try on exotic clothing, taste local cuisine, play games, barter for goods, and engage in a Scavenger Hunt to get a deeper understanding of the people group of study. It provides context and missional understanding for our global mission offering each summer.

Night 3 - Variety Show Super! Awesome! Amazing! Add your voice to this year’s Variety Show, the 2019 Supers Awards Show. Even superheroes deserve some recognition, right? Join us for the 2019 Super Awards as we celebrate superheroes and enjoy the talents of some superhero campers along the way! Sign up your church group’s act for the Show Screening. At the Variety Show Screening, acts must perform their act in the clothes they will wear during the Show. Space is limited due to the camp schedule. Group acts will be given first priority. Dress in your favorite superhero costume and cheer on your friends. To allow as many acts as possible there is a 2 minute limitation on all acts. Please help your campers come prepared for where they will cut any songs to stick to this time limit.

IMPORTANT THINGS TO KNOW:

✔ Medical Release Form

See your Group Leader for the online link to the Medical Release. Make sure you have your doctor’s address and insurance information ready, if applicable.

✔ Food Allergies

Please make sure you mark Food Allergies on your Medical Release Form, and that your group leader is aware of these allergies.

✔ Housing Groups stay in lodges of varying size and bed configuration. Your full group will stay in one lodge (or lodges) together. Because beds are different sizes, we recommend sleeping bags. Bring your own bed linens (or sleeping bag), pillow, and towels. Each lodge has a living area and kitchenette with refrigerator. Groups will likely need to share a lodge.

✔ Camp Mail Please mail early and include a return address. Mail that comes late will be marked “Return to Sender,” but ONLY with a visible return address.

✔ Cell Phones Taking up the Biblical idea of a rest, we invite our campers to join us for a week of Digital Sabbath. Campers will not be permitted to have cell phones or electronic devices during camp. Your group leader can plan the best platform for daily updates about your church group at camp.

✔ Camp Store There will be a camp store selling t-shirts, mugs, hats, stickers. The cost of camp items ranges from $5—$20. Proceeds go to support Passport ministries, a 501(c)3 non-profit, whose aim is to keep camp costs accessible to a broad range of economic incomes.

✔ Mission Offering Campers will learn about global needs and are given the opportunity to support Christian ministries working to meet those need. The camp offering is collected in the final night of Worship. Please help your students plan ahead for this as you prepare to come to camp

✔ Do Not Bring • Firecrackers, bad attitudes, shaving cream for a

purpose other than its intended use, water balloons, tobacco products, illegal drugs, alcohol, firearms—all the usual no-nos. Churches will be held responsible for property damage and/or cleanup costs incurred.

Students may not bring clothing, hats, flags,

posters, or other room decorations that are seen as divisive, inflammatory, or offensive.

• We ask that all electronics be switched off and

put away while at camp. This is our Digital Sabbath rule designed to allow campers to focus on God, camp, relationships and themselves—not games or music.

✔ Dress Guidelines Campers and adults should dress appropriately, as defined by the camper’s parent/guardian and Church Group Leader, the entire week of camp. Please consider these guidelines, as it is the group leaders who will monitor their group's clothing: • No clothing with inappropriate language or advertising

is allowed. • Clothing should not make fun of, belittle, or demean

another person or culture. • Shirts with sleeves & closed-toe tennis shoes are

required for Choice time. • Bring some clothes that can get dirty at Rec Party and

for various games or activities.

TIP: If packing something that must not get lost or left behind, please make sure there is a first and last name on it somewhere! If possible, city or church is helpful too.
