Worldspan Group Bridge British Airways

Introduction Worldspan Group Bridge provides the capability to create and modify airline owned group PNRs in the airline’s system. This product also provides the capability to issue tickets from the Worldspan system using a passive Passenger Name Record (PNR). Worldspan Group Bridge for British Airways (BA) requires the use of Worldspan Direct Access formats to create and update British Airways PNRs. End transaction on a PNR automatically transfers an agent back into the Worldspan system while the original PNR remains within the British Airways system. When a booking is ended in the British Airways system, the COPY PNR function is used to create a mirror image of the PNR in Worldspan. The Worldspan PNR is given a Worldspan record locator for ticketing. This PNR appears in Worldspan as a passive segment (MK) PNR and has the header “CPYD PNR” at the top. Effective October 18, 2006, airline-approved agencies are allowed to add MK air segments to the copied Worldspan PNR. This allows agents booking allocations (block space) to have all segments in one PNR for ticketing and invoicing.

Agent does not accept fare- If Worldspan agent does not accept the fare, agent should cancel the itinerary. Queue process ends here. Fourth Queue Placement British Airways confirms space, advises when names and other requirements are needed via a remarks field and queues PNR back to Worldspan agent to HK the segments and complete the PNR (other remarks are added at this time). Fifth Queue Placement Worldspan agent adds names and additional remarks, if needed, to the British Airways PNR and queues it back to BA. Sixth Queue Placement British Airways adds the fare breakdown five weeks prior to departure and queues PNR back to the Worldspan agent’s queue in the BA system. When the fare breakdown is added to the British Airways PNR it is valid for 24 hours and agency must issue tickets within that time frame. If agency does not issue tickets within the 24-hour time frame, they must contact British Airways to verify that the fare is still valid for ticketing. PNRs that are not ticketed are canceled four weeks prior to departure.

Important Note: Worldspan agents can request a copy of the British Airways PNR to issue itinerary and invoice documents. Remarks fields may be added to the copied PNR; however, other PNR changes are not allowed to the copied PNR in the Worldspan system. Step 7 - Request Copy PNR for Ticketing Request a Copy PNR for ticketing after British Airways has confirmed the space and entered the fare breakdown.

When a Copy PNR is successfully ended, Worldspan automatically sends an acknowledgment message to British Airways and PNR synchronization occurs between the master PNR and the copied PNR. At this time British Airways appends the Worldspan record locator to the master PNR. If British Airways is unable to update the PNR with the Worldspan record locator Worldspan sends an UMSG (unsolicited) message to the agent. Step 8 - Issue Ticket Rate desk price the PNR using the fare calculation provided by British Airways in the Other Service Information (OSI) message field. The fare calculation must be entered within 24 hours of the British Airways pricing time stamp and typed exactly as provided by BA to avoid a debit memo. In addition tickets must be issued within that 24-hour time frame or the fare expires. Ticketing Guidelines • When ticketing large groups the maximum number of tickets you can issue in a single entry is

nine. Ticketing a maximum of nine passengers at a time ensures British Airways receives all ticket data. (The size limit on British Airways Teletype messages is 4K. When more than nine tickets are issued using a single entry, British Airways does not receive all the passenger ticket numbers.)

• Agent must issue electronic tickets to avoid the fee for issuing paper tickets. • If agent cannot issue tickets within the 24-hour time frame due to printer problems, contact the

Worldspan Help Desk for assistance. • Once the copied PNR is built in Worldspan, the agent has the ability to add British Airways (BA)

and/or OAL segments in the copied Group PNR. Adding Passive (MK) segments to the copy PNR allows agents booking allocations (block space) to ticket and invoice using the same PNR.
