Challenge Specsavers is the world’s largest privately owned chain of opticians, with more than 1,600 stores throughout the UK, Ireland, the Netherlands, Sweden, Norway, Finland, Denmark, Spain, Australia and New Zealand. Stores are owned and run by joint venture partners. In 2010, Specsavers embarked on a new IT strategy to improve communication and collaboration throughout the organisation and support its continued global expansion. As part of this strategy, the company was looking for a set of tools to support email and teamworking, to be deployed alongside a new intranet. As well as providing a more solid foundation for collaboration, the solution would address issues with the reliability and connectivity of the company’s existing in-house email solution. Solution Specsavers evaluated Google Apps against a number of leading e-mail and collaboration solutions, initially implementing Google Apps for 80 users in a newly opened lens manufacturing plant in Hungary. Following the success of this trial, Specsavers decided to roll out Google Apps to around 2,500 staff worldwide who are involved in support office, laboratory and manufacturing operations across all the countries in which the company operates. During the evaluation and deployment, Specsavers was supported by Ancoris, a Google Apps Premier Partner. “Ancoris handled a lot of migration issues and provided troubleshooting services through the transition enabling the pilots and subsequent rollout to be completed with minimal disruption” says Nigel Dufty, Specsavers’ IT Service Director. As well as enabling Specsavers to quickly deploy e-mail and collaboration tools to new sites without the need for a large on site presence, Google Apps allows Specsavers to: centrally manage its email system; utilise existing infrastructures; link to its corporate intranet; and support mobile working by enabling staff to access mail, calendaring and sites from any Internet- enabled device. “We’re moving into cloud-based services where it makes sense. Our service desk application is already in the cloud and we’re looking at a number of other areas where cloud will be the best fit.” —Nigel Dufty, IT Service Director Dufty says that as soon as Google Apps was deployed, Specsavers “quickly saw an increase in reliability over our previous in-house system: overnight, we were able to get away from the kind of issues that are caused by disk space filling up or outages. BenefitsInthemediumterm,Specsavershasseenasignificantimprovementinconnectivity.“GoogleAppsfitseasilywithmultipledevicesandthatprovidesmoreflexibilityandsupportofmobileworkingforourstaff,”Duftyexplains.“AlotofouremployeeshavebeenusingtheirowniPads,iPhonesandAndroiddevicestoaccesstheiremailandcalendars,whichtheycouldn’teasilydowiththeoldsystem.TheyaretellingusGoogleAppsisapositivestepforwardintermsofenablingtheirworkinglives,suchasworkingfromhomeoronthemove.Asaresult,we’reimplementingandformalisingaBringYourOwnDevicepolicy,sothatstaffcanconnectwithanydeviceaslongasitmeetscertainsecuritystandards.”

SpecsaversisalsograduallyexploringhowitcanuseotherfeaturesofGoogleApps,suchasGoogleDocs,toimprovecollaboration.“Wedecidedtolettheuseofthecollaborationtoolsspreadvirallybecauseweweren’tsurehowouremployeeswouldwanttousethem.We’renowseeingincreasinguseofDocsandspreadsheetsforavarietyofpurposesthatwewouldn’thaveguessedatinadvance,”Duftysays.“Inafewmonthstime,weintendtorunaprojecttoidentifywhatpeoplearedoingandpublicisethattotherestofthebusiness,togiveeveryoneideasabouthowtheymightusethosecollaborationtoolsthemselves.”

Naturally,theITteamisleadingtheway.“We’realreadybigusersofDocs,fromthetopdownwards,”saysDufty.“Akeyuseisforprojectmonitoringandreporting,wherewecancreateasingleinstanceofadocumentthatmanypeoplecaneditratherthanemailingarounddifferentversionsoffiles.”

Inthelongerterm,GoogleAppsisgivingSpecsaverstheopportunitytore-evaluatethekindofdevicesitwillgivestaffinthefuture.“Forourfieldstaff,whoprovidedirectsupporttoourstoresandworkawayfromtheofficealot,we’relookingatthebusinesscaseforreplacingWindowsPCsinlineforrefresh,aspartofournormalreplacementcycle,withiPads,”Duftyexplains.“AslongasstaffcanconnecttoGoogleApps,theycando90percentofwhattheyneedtodo,sowe’renolongertiedtoparticularkindsofdevices.GoogleAppsreallyisthekeytothedoortoamoremobileworkforce.”
