Step 1: Complete Online Form Recommended Timeline

Use this online form to submit your demographic and professional experience BEFORE delivering training. Under “Professional Experience/Expertise” you may cut and paste information from your CV. This process replaces completing a paper conflict of interest disclosure form and uploading your CV to the SharePoint site. Once you complete the online form, it can be reused for other EES projects you participate in. The online form expires one year after you complete it. At the beginning of the next year, you will be able to simply update your information and recertify it, rather than re-entering all of your information again.

Step 3: Create TMS Scheduled Offering Recommended Timeline

Work with your TMS Administrator to list your course(s) in TMS. Your TMS Administrator will create a Scheduled Offering in TMS using the title(s) and TMS ID number(s) that corresponds to the course(s) you plan to teach: • Delivering Serious News- Training for MDs, PAs, and APRNs (1 CME):

Life-Sustaining Treatments (1 CME): TMS ID 34394 Tips for the TMS Administrator: For TMS to work properly, it is critical to accurately set-up the Scheduled Offering:

1. The “Facility” field MUST be in a City, State format 2. The “Location” field MAY be used to designate a specific room/location 3. The “Instructor” field MUST reflect the name of the facilitator

This process generates a SEVEN-DIGIT Scheduled Offering number for use in preparing sign-in sheets. The local TMS Administrator should generate a registration link and provide it to the trainer. For a Job Aid on “Creating a Scheduled Offering,” click on the paper clip icon on the toolbar/navigation pane on the left side of this document and double click “Creating a Scheduled Offering.” If the toolbar/navigation pane is not visible, select “View,” then “Show/Hide,” then “Navigation Panes,” then “Show Navigation Pane.”

Print sign-in sheet. Enter information in highlighted fields. To access the sign-in sheet, click on the paper clip icon on the toolbar/navigation pane on the left side of this document and double click “GoCCParticipantSignInSheet.” If the toolbar/navigation pane is not visible, select “View,” then “Show/Hide,” then “Navigation Panes,” then “Show Navigation Pane.”

Prior to training sessions

Step 6: Have Participants Sign In Recommended Timeline

All participants MUST sign in on the day of the training. Participants who do not sign in will have their registration removed from TMS and will not receive credit for the course. If training is offered over more than one day, participants must initial beside their signature each training day. Participants must attend 100% of the offered training to receive CEUs. No partial credit will be awarded.

Step 7: Provide Instructions for Accessing Evaluation, CE Certificate Recommended Timeline

Provide participants with instructions for accessing the TMS course evaluation and accreditation certificates. You can hand these out at the training session or send them by email after the training session is over. Participants have 30 days after the final training session to complete the evaluation and access CE credit. To access the instructions, click on the paper clip icon on the toolbar/navigation pane on the left side of this document and double click “InstructionsforAccessingCourseEvalandCert.” If the toolbar/navigation pane is not visible, select “View,” then “Show/Hide,” then “Navigation Panes,” then “Show Navigation Pane.”

Step 8: Submit Documents to TMS Administrator Recommended Timeline

Submit the following documents to TMS Administrator:

1. Completed Sign-In Sheet The TMS Administrator must reconcile the sign-in sheet with the roster in TMS to ensure all attendees are registered, and mark learners as “complete” for the Scheduled Offering. The course evaluation will then be assigned to each learner’s To-Do List, and then they will be able to complete the evaluation and download their CE certificate.

2. Facilitator Affirmation Checklist To access the Facilitator Affirmation Checklist, click on the paper clip icon on the toolbar/navigation pane on the left side of this document and double click “FacilitatorAffirmationChecklist.” If the toolbar/navigation pane is not visible, select “View,” then “Show/Hide,” then “Navigation Panes,” then “Show Navigation Pane.”

This course may be audited by ACCME, ACCME-NP, AAPA and ANCC. The TMS Coordinator is responsible for maintaining the sign-in sheet and Facilitator Affirmation Checklist. For a Job Aid on “Reconciling Registrations and Marking Completions for a Scheduled Offering,” click on the paper clip icon on the toolbar/navigation pane on the left side of this document and double click “ProcessforReconcilingRegs.” If the toolbar/navigation pane is not visible, select “View,” then “Show/Hide,” then “Navigation Panes,” then “Show Navigation Pane.”

Creating a Scheduled Offering

1. In the Admin screen of TMS, go to Learning

2. Locate the EES National TMS Item Number

3. Once in the item screen, click “Schedule”

Instructions for Accessing Course Evaluation and Certificate

Once the TMS Administrator has reconciled the sign-in sheet with the TMS Registration list, you will be able to access the evaluation and CE certificate. You must complete the evaluation within 30 days of completing the course to access your accreditation certificate. To complete the course evaluation:

1. Log in to TMS. 2. From the TMS Home screen, locate the program by scrolling through the list of courses in the

“My Learning” box. [NOTE: If you do not see the course listed, you may not have pre-registered. Contact your facility’s TMS Administrator to see if retroactive registration is possible.]

3. Hover over the title and click “Start Course” or “Continue Course.” 4. In the “Online Content Structure” screen, click “Launch Evaluation.” 5. Complete the evaluation. Once submitted, close the window. 6. You have now completed your requirements for this course, and the item should be

accessible through the “My History” box on the TMS Home screen.

To access your accreditation certificate in TMS, please follow the steps below: 1. Find the “My History” box on the TMS Home screen. 2. Hover the mouse over the title of the program, and click “View Details” in the pop-up window

that appears. 3. Click “Print Accreditation Certificate” next to your requested accreditation. Your certificate

should appear on the screen, and you can print or save it.

Process for Reconciling Registrations and Marking Completions for a Scheduled Offering

Note: Verify that the Admin tab is selected.

o Have Sign In Sheet available

o Select the Learning tab.

o Click Scheduled Offerings. The Schedule Offerings screen appears.

o Enter Scheduled Offering ID number in the Scheduled Offering ID box or enter the Item ID number in the Item/Schedule Block ID box to display all scheduled offerings for that item number.

o Click Next.

Note: Be sure to remove the date in the Start Date After box

o Click the Scheduled Offering Number.

o Select the Registration tab, if not already on it.

If you need to add walk-ins or any other participants, click Add Users (green plus sign).

o Enter Last Name, First Name and any other information that will help you find the correct person to register. Click Search.

Note: Click Add/Remove Criteria to display other search options.

o Select the Add Checkbox (far right hand side of registrant) for the proper attendee(s). Click Add.

o Click Yes on warning box to proceed.

o Attendee has been registered. Continue to follow this process for all walk-in attendees.

Marking completions

o Click Record Learning from inside the Scheduled offering.

o Choose VA – COMPLETE (VA-Complete) – For Credit from the drop down box. Click Apply

o Go through the list of users and mark No-Shows and Incompletes as needed. Choose VA-INCOMPLETE (VA-Incomplete) – Not for Credit and VA-No Show (VA – No Show) – Not for Credit.

Note: You can also un-register users that are No-Shows when you are still on the registration tab. Hover over the user’s name and select remove to unregister them.

o Once all the completion status’s are correct, hit Next

o Choose Next

Note: Prior to selecting Finish, make sure everything is correct. If there are any errors click Previous, until you get to the page where you can make the corrections and then click Next until you return to this page.

To Change an Incorrectly Marked Completion:

How to remove a completion and choose a new completion status:

o Click on the User tab

o Click on Tools and choose Learning Event Editor

o Select VA from the drop down box

o Enter the item number and click Search

o Find the user whose completion needs to be removed. Click on the Edit button.

o Click Delete

You have successfully removed the completion. Click Continue.

Next you will need to re-mark using the appropriate completion status. Go back to page 3 and follow instructions for Marking Completions
