Getting Started

Setting up the Lotus Notes Client Program for the first time on a computer

1. Open Lotus Notes a. This can be done either through the Desktop Icon, or from the Start menu.

2. Once you open lotus notes, you will be greeted with this Configuration prompt, click the ‘Next’ button.

3. When you encounter the prompt asking for your name, enter your first and last name in the “Your Name” box. Please ensure that the “Domino server” is set to Mail/Glendon and that the box is checked for “I want to connect to a Domino server”

4. If this is your first time logging in to the program on the computer, you will need to log in with the password that was provided to you or your most recently used Lotus Notes Client password.

5. After the program loads, you will see this Getting Started screen. You can close this tab.

6. On the home tab click “use the default”

What to do when your first attempt to set up your Lotus Notes Client fails If you fail when trying to set up your lotus notes account and exit the program before successfully configuring it for your account, you will need to reset lotus notes. In order to do this, follow the steps below:

1. Open Control Panel

3. Click on the “View” tab

4. Under Hidden and folders select “ show hidden files, folders, and drives and click apply but do not close the window as you will need it again.

9. Open the hidden folder “AppData”

11. Delete the Lotus folder

12. IMPORTANT: Go back to the Folder options window and return the hidden files and folders

options to “ don’t show hidden files, folders, or drives” . Do not skip this step, the hidden folders are accessible and with the wrong folder being affected your user profile may get corrupted.

Changing your password on the Lotus Notes Client Program 1. You will need to change your default password to one of your choosing. To access this click

File>Security>User Security…

2. You will be prompted to enter a password. Enter the password that you used to log into Lotus Notes.

3. Under the tab Security Basics click Change Password. Enter the password you used to access

Lotus Notes and click “Log In”

4. Create a password for yourself that is a minimum of 4 characters and enter it in the boxes “Enter new Password” and “Re-enter new password” then click OK.

3. Under “Change Internet Password” click “ Change…”

Under “Type old internet password” type the password you used to enter webmail. Under “ Type new internet password” create a new password for yourself (get requirements from Luc). Under “ Type new internet password again ” re-enter your newly created password and click “OK”.

1. On the old computer, right-click the bookmark you want to migrate. 2. Click Application, then Properties.

3. Highlight the Application that you would like to bookmark to your Open menu 4. Click on “Bookmark…” 5. In order to view the bookmark, as soon as you hit “Open” highlight “-Bookmark Bar- ” and click

ok 6. To view the bookmark in a subfolder when clicking on “Open”: 7. Highlight the name of the folder where you would like the bookmark to appear or 8. Click on “New Folder...” and type the name of the folder you would like to create and clock OK.

Use the Glendon Address book in Lotus Notes to find out a person’s Glendon email address

1. Open the Glendon’s Address book application on Lotus Notes. You may also bookmark this in your open menu using the instructions in the section “Add a shortcut in the "Open" menu to other databases or applications”

2. Once you open the address book you should see the following screen (personal details have been

blacked out for security reasons).

3. Ensure that you have “Search this View” active for Glendon’s address book by clicking “View” in the top menu and ensuring there is a checkbox next to “Search this View”

4. Enter the name of the person you wish to find and click “Search”. You can enter first name, last

name, or both as your search criteria. You should end up with a results list.

5. Double-click on the record for the person you are looking for to open their record.

6. Check under the Basics tab for the “Internet Address” of the person you are looking for.

Note: Not all people have Glendon email addresses and so may not appear in this list. Please also remember to check York Atlas (atlas.yorku.ca) or directly with the person’s department.

Allow someone else access to your mail file (delegation) 1. While you are in the mailbox in question, click “More” and then “Preferences

2. Open the Access and Delegation tab 3. Click “Add…” next to the box underneath “Delegate access to these people or groups”

4. In the Add People/Groups window, fill out the following information: a. Under Person or Group select “Just this person or group”

i. Click the arrow in the text field box and search the directory by last name for the person who you wish to grant access.

b. Select the level of access that you wish for the person to have under the boxes for “Components” and “Access”

c. Click “OK”

5. Click “OK” when you return to the Access and Delegation tab to apply your changes.

Add a shortcut to someone else's mail file to which you've been granted access (other mail)

1. Go to your inbox. 2. Click on the arrow beside "More" above your inbox and click "Preferences...". 3. Go to the "Access & Delegation" tab. 4. Go to the "Shortcuts to Others' Mail" tab. 5. In the box "Shortcuts in Your Mail File" click the arrow beneath it. 6. In the box beside "Find names starting with:" type the name of who you want a shortcut to.

7. When it is highlighted in the box below, click "Add". You should see it appear in the box on the right.

8. Go back to your mailfile. Underneath your Folders, Archive, and Tools is Other Mail. Click on "Other Mail" to expand it. You should see your added shortcuts in blue. When you click on those accounts, the inbox will open a new tab in Lotus Notes.

Spam From Glendon Annonce sent on July 3 2013: Le français suit l'anglais To all Faculty & Staff: As part of our mail service offering, all email coming into Glendon's mail servers (from outside York's network) goes through an anti-spam filter to reduce the number of unsolicited messages and potential threats to your computer. The filtering process works as follows: once the anti-spam filter has identified an incoming message as a potential threat, all processing of the message stops and it remains on the server until further action is taken by our administrators. This has proven to be problematic in the case of a false positive, where a valid message might remain on the server for more than 24 hours or get deleted. To eliminate the risk of losing emails and to give you more control over your mailbox, as of July 15th, emails processed by our mail servers considered likely to be spam, will be tagged and delivered to your Junk folder. If you notice that a valid message has arrived in your Junk folder, you will have an opportunity to reply back to the sender and to file the message as you see fit. Otherwise, if the delivered message is clearly spam, no further action is required as messages in the Junk folder are automatically moved to the Trash after 90 days. Thank you. --------------------------------------------------------------- À tous les membres du corps enseignant et du personnel Dans le cadre de nos services de courriel, tous les courriels qui arrivent dans les serveurs de Glendon (en provenance de réseaux autres que celui de York) passent par un filtre anti-pourriel visant à réduire le nombre de messages non sollicités et les risques potentiels pour votre ordinateur. Le processus de filtrage fonctionne de la manière suivante : quand le filtre anti-pourriel détermine qu’un message entrant est une menace potentielle, ce message cesse d’être traité et reste sur le serveur jusqu’à ce que nos administrateurs s’en occupent. Ce processus pose des problèmes dans les cas de filtrages faussement positifs où des messages valides peuvent rester sur le serveur pendant plus de 24 heures ou être supprimés. Pour éliminer le risque de perte de courriels et vous permettre de contrôler davantage votre boîte de courriel, à partir du 15 juillet, les courriels qui seront traités par nos serveurs et considérés comme étant probablement des pourriels, seront identifiés comme tel et acheminés dans votre dossier Courriel indésirable. Si vous remarquez qu’un message valide est arrivé dans votre dossier Courriel indésirable, vous aurez la possibilité de répondre à l’expéditeur et de classer ce message comme bon vous semble. Autrement, si le message est un pourriel, aucune action de votre part ne sera requise, car les messages se trouvant dans le dossier Courriel indésirable sont automatiquement mis dans la corbeille après 90 jours.
