The SMC EDI (Electronic Data Interchange) Procedure is performed to send and receive orders between Home Depot (the customer) and SMC Manufacturing China. The Atlanta office is the liaison between the customer and our manufacturing factory in Hong Kong.
The following people are essential to the EDI process Please note their names, roles and contact frequency.

Edisoft Installation InstructionsUse the following instructions to install the Edisoft Program on a system.
1. Run SetupMerchant.exe.2. Run c:\program files\Edisoft\Merchant\dbcentre.exe to set the data
path location3. Copy and paste MERCHANT.LIC into c:\program files\Edisoft\
Merchant\system\4. Launch Merchant from the desktop and click on Create New Company
on the bottom right hand corner with Shell Electric Mfg. (China) Co. Ltd. as company name and SMC as company ID
5. Exit Merchant application6. Unzip SMC.zip file to extract all the files to c:\program files\Edisoft\
Merchant\SMC folder7. Unzip Commscr.zip to extract all the files to c:\program files\Edisoft\
Merchant\Commscr folder8. Install CheckPoint VPN on the computer by running sr56b615.exe for
Windows XP system and SC_NGX_R60_HFA2_simp_630000044.msi for Windows Vista
9. Follow the instructions from SRUpgradeGuide.doc to set up the VPN connection to GXS with the same User name and password as the Mailbox Id and password
10. Create user logins for Edisoft. The default user id and password is ADMIN/ADMIN
11. EDI Merchant: SMCATLANTA/smc2125

Every month there are two ‘waves’ of orders that come in from Home Depot to SMC. The orders come in via email and the subject line will contain the month for which the order is for and ‘wave 1’ or ‘wave 2’.
The orders are typically placed 60-90 days in advance.
Each time an order email is received from Home Depot, write a new email to SMC China using .hk account and forward the information in the body and the attachments.
When China receives the documents, they will perform the containerization and they will send back an excel spreadsheet. Once received, forward the containerization report to Nathan at Home Depot (using the .hk account).
Nathan (Home Depot) will then process and upload the purchase orders to through GXS to the merchant System, which you must go into the system and download (see next section).

GXS GXS is the

VAN A VAN is a
portal that is used to exchange electronic data (or EDI).
EDI Merchant
Express is the web interface we use to connect to their VAN and transfer the EDI (or Electronic Data Interchange).

Follow the steps below to log into the Edisoft System, connect with Home Depot, download Purchase orders and send functional acknowledgments

Click on the key Icon located in the windows bottom dock (Checkpoint VPN). The following screen populates:

2) After a successful login, click on Send/Receive icon located on the top left in the menu bar. You will see a new window pop up.

3) Click on Translate icon and Click on Select All button and then click on Translate button.

4) Click on the Inbox icon to see all the new orders. Highlight all the new orders and then click on Post button on the top.

6) Click on History tab after posting to view/print out all the orders to make sure they are correct.
FIGURE 1.7 Go to Envelop to verify the posted orders and then go to Outbox to send the confirmation to HD.

7) When you see the Send/Receive screen, click on Connect button and once it is connected, click on the Send button to send acknowledgement to HD.

1. Once you have reached step number 7, all the files that have been received. Highlight all of the files and click the print button. Select print to PDF and export all the files into a single PDF file. Save that file to the desktop under documents/homedepot/edi/ ‘date of download’.
2. Write SMC China an email using the .hk account and attach the PDF file that contains the purchase order.

Containerization The following steps are used to complete the containerization process.
Open the file “Shell Electric Mfg_11-2010_E6BF5CD12C9F.xls”. Insert rows between different DCs.
Calculate CBM and weight of each DC orders: Please copy the formula under the column of CBM and the weight (wgt) when you do new containerization. The total CBM and weight of each SKU would come out. *** Note: it is NOT acceptable if the total weight exceeds 19,500kg. Example: DC5146, the total CBM is about 222CBM, so we spread the shipments evenly to 4x40’containers.
Determine container size: Please see the attached file “minimum CBM” and note the following:
The max. CBM for mix container (contains several types of models): 40': 59CBM40'HC: 67CBM45': 76CBM (cannot be used until further notice)
Even though the CBM reaches the minimum CBM requirement, we would use a smaller container if the goods can be fully stuffed into it. This practice can help THD to save the freight cost.

Example: DC5146, the total CBM is about 222CBM, so we spread the shipments evenly to 4x40’containers.
Determine ship date start: Please refer to THD’s file “ship window calculations” FCL = full container load LCL = CS
Example: DC5151, THD requested us to spread shipments evenly across 2 weeks of ship windows, so the ship dates are Jan 8 and Jan 15 respectively.
Determine port name. If the order is CS, please select “Yantian”. If the order is 40/40HC, please select “Shenzhen”.
Put number under the column of container #
Factory: SMC Mfg.
Before you send the completed containerization to THD for approval, please send it to Rachel for checking. She will inform you if there are any changes.
Filling out the Containerization (Excel) Template
Follow these directions when filling out containerization forms. Adherence to these directions will allow us to turn your containerizations around much faster and get your orders processed in a timelier manner.

Do not change any formatting. Do not add columns, change headings, or merge cells, or rearrange columns. You may use the columns provided after column L if you need to do any extra calculations. Changing format will cause the spreadsheet to be returned to you.
Add rows as needed to split items into containers as desired.
1. Container #'s do not span across tabs. If you are moving quantities to ship early, Subtract a quantity from one tab and add it to another. Each Tab will restart the container numbering.
2. Use the Container # column to designate SKUs which should be shipped together. For example if 2 SKUs for DC 5146 can be put together in one 40 container, then use "container # 1" for both. Keep DC, container size, and ship date the same for items that are containerized together. For every different container, increase the container # by 1 (example: 1, 2, 3,4, 5, etc.)
3. Container size can only be the following: 20, 40, 40HC, 45, CV (Mexico truckload), and CS (For consolidated).
