How we engage them

bull Present at their quarterly meetings and their annual learning collaborative Solicit input via meetings and surveys They are invited locally to regional community collaboratives

bull Present at their bi-annual training events meetings with leadership team and single point of contact for issues that need resolving they are invited locally to regional community collaboratives

bull A delegation from DBHDD state office and medical directors from our state hospitals m conducted planning sessions with their association representatives for 1 year to gain input into needed changes to the current board We also have quarterly crisis meetings and bi-monthly regional community collaboration meetings that they attend

Volume of Beds Volume of Admissions

GA has been able to serve more individuals closer

to home with less capacity all due to better

coordination and transparency Each level of care

has been able to focus on individual care with

appropriate lengths of stay With live data KPI

indicators can drive the system

How it is done Who What Where When and Why

Who What Where

bull Who Referrals come from clinics individuals hospitals MCT Sheriffsjails and other professionals

bull The Census is for our contracted detox facilities BHCC Temporary Observation chairs Crisis Stabilization Beds Contracted hospital beds and the admissions teams for the State Hospitals

bull What Referring entities currently see the pre-admission form only The receiving facilities and DBHDD Staff have the ability to see the full supply and demand

bull Receiving facilities use the board for bed census 100 of the time they do not all use the referral board 100 of the time

bull Where BHLWEB is accessible 247 through a secure log in site

When and Why

bull When The board is updated live If a person is placed on the board it updates if someone reviews them it updates if someone is accepted or discharged the census updates

bull Why Providers use the board for multiple reasons bull Their contracts require it

bull The service is authorized by placing a head in a bed on the live census so it is tied to payment

bull DBHDD has worked hard to make it easier to utilize the system versus manually loading the information

Coordination and Transparency

bull Referrals are organized by wait time and are live

bull The triage is updated with every review

bull It is clear who has reviewed the referral and who has not

bull GCAL and DBHDD can see how many beds are available and the gender of those beds

bull The Pre-Admission form allows for labs to be uploaded for the receiving facility to view

bull Medical clearance and level of care are determine intuitively by the system

Click on Edit in the row for the bed you selected for the new admission

In the Edit Beds Inventory Status Record choose ldquoOccupiedrdquo for Bed Status Yellow highlighted fields are required

To Discharge an IND from a Bed from the Web App Menu go to Beds Inventory Status click Editon the row of the IND discharginghellip

bull The Census is for our contracted detox facilities BHCC Temporary Observation chairs Crisis Stabilization Beds Contracted hospital beds and the admissions teams for the State Hospitals

bull What Referring entities currently see the pre-admission form only The receiving facilities and DBHDD Staff have the ability to see the full supply and demand

bull Receiving facilities use the board for bed census 100 of the time they do not all use the referral board 100 of the time

bull Where BHLWEB is accessible 247 through a secure log in site

bull When The board is updated live If a person is placed on the board it updates if someone reviews them it updates if someone is accepted or discharged the census updates
