This document defines and rolls out the methodology we propose to implement to help Rodan + Fields ascend to the next level in the quality and efficacy of its events. The additional expertise and quality assurance described below will fuel Cornerstone to provide even greater support to Rodan + Fields as it continues to experience exponential growth –in 2016 and well into the future.

Addressing some Concerns …This document addresses (but is not limited to) three main areas of concern. Many of the solutions involve off-loading responsibilities to a bulked-up Cornerstone staff for your event – taking details off your plate allowing R+F to focus on the big picture.

• Multiple R+F sources offer agenda priorities and messaging directives, frequently resulting in competing instructions and leaving the production team uncertain which path to follow. This document proposes a more clearly delineated line of communication.

• Last year, key individuals were not available during the San Francisco rehearsals; unfortunately, these were also the most complicated presentations. On-site, one of these

presentations required 80 man hours to create and was rehearsed for the first time on the main stage. During this rehearsal, we discovered some cross platform conflicts that required additional rendering time post rehearsal. These are issues that could easily have been handled prior to the on-stage rehearsal session. We offer two alternatives to eliminate similar problems in the future.

• Main stage rehearsals have not been punctually attended. When individuals miss their scheduled time, it throws things off. Last year, this became an issue when the doctors were forced to wait on others to belatedly finish their rehearsals. Also, presenters need to come prepared to do a full run-through. We offer solutions that will make the rehearsals on the main stage run more smoothly and save money for R+F.

1. Cornerstone to introduce a Coordinating Producer into the production team. The Coordinating produce will be responsible for (but not necessarily limited to):

• Laser focus on agenda and how it can best support and deliver big picture messaging.

• Work with R+F team (pre- and on-site) to implement best practices for speaker preparation and on-message speaker support content.

• Weekly calls / meetings to keep messaging and content on point and on schedule.

• Create and manage critical path documents and sched-ules to keep the team on track and the production on schedule.

2. Cornerstone to introduce a Managing Account Director into the production team. This individual will be the Cornerstone project accountant focusing on up-to-the-minute budgeting and forecasting.

• Overall budget management (gatekeeper for all budget communications).

• Creation and oversight of all major production timelines, schedules and deadlines.

• Liaison between R+F and all members of the production team.

• Contact point for all issues arising for R+F.

3. Cornerstone to provide additional resources for event logistics and on-site coordination. A team member will be dedicated to schedules and logistics on site. This individual will create, manage and constantly update all weekly and at-a-glance documents to keep the R+F team apprised of progress on a minute-by-minute basis.

• Main goal: Enable on-site team to hit the ground running once they arrive.

• Problem solves and address issues that should be handled prior to arrival.

• Coordination of loading docks.

• Management of freight and drayage.

• Schedules and coordination of installation and strike.

• Creates and manages an informative at-a-glance document.

• Monitors executives’ schedules and assists to VIP attendee care.

• Incorporates the desired result into the thinking and planning for every aspect of the production process.

5. Weekly Pre-Production Meetings (Face-to-Face). Constant and free-flowing communication is invaluable to successful events and market strategy. We will coordinate a series of weekly pro-ductive meetings to help achieve our desired outcome(s).

• Cornerstone representative(s) meet weekly (face-to-face) with event stakeholders at Rodan + Fields offices to track progress, problem-solve and collaborate.

• Present and explain the stage design to the doctor’s/executives prior to on-site; make sure they are comfortable with the design to mitigate potential issues at the venue.

4. Convene an Event Strategy Team. After conducting a discov-ery phase with the key members of the Rodan + Fields team, Cor-nerstone will create a targeted strategy for each event. All pre-senters will receive a presentation tool kit equipped with a style guide, visual assets and contact information to establish open communication and expectations for their presentations.

• Team comprised of key event production leadership, plus a pre-production PowerPoint designer, two online graphics designers during the run of show, and a dedicated VIP / Executive graphics designer that is mobile and on-call 24 / 7 to work with executives at any time or place.

• Team will establish and clearly communicate goals and milestones well in advance of the event, then monitor prog-ress and ensure the meeting of those milestones throughout the planning process.

• Collaborate and strategize with R+F to achieve the desired outcomes.

• Following consultation with R+F, the Event Strategy Team will work to clearly define the desired outcome(s) of the event.

• Create a guiding Mission Statement for the event that articulates the desired outcome(s) and enumerates the processes and initiatives to achieve them.

Note: Items 6 and 7 below are two proposals to improve and streamline the process of creating speaker support (slides) for general session presentations. Both are successful best practice strategies we would like R+F to consider, then determine which approach makes the most sense for its presenters and content.

6. Option A: Speaker Support Efficacy and Process

• Step #1 – Define and create a theme and style guide for the event. Regardless of individual preference, we will adhere to the style guide to create visual cohesiveness throughout the event.

• Prior to initiating slide production, all key points, messaging and “feel” are created, reviewed and approved. After approval, only minor script edits will be permitted.

• At this point in the process, either Cornerstone will work with your scriptwriter to create visual content, or Cornerstone will take the script and create a proposed deck for speaker support. (Note: Cornerstone can provide scripting services, too.)

• From this first draft proposal deck, Cornerstone will

entertain suggestions and fine-tuning. Production continues for refining, enhancement and continuity from concept to completion.

• Final speaker support decks are reviewed prior to the show. Only minor text edits will be possible on-site. All im-agery and graphics will be considered 95 percent complete prior to site.

• On-site rehearsal may dictate some final refinements – accomplished directly with the show graphics operator. Following these refinements (if any), each deck is consid-ered complete and used for the show.

• We will implement file-sharing technology and an onsite network to transfer media and presentation files. In addition, we will employ a dedicated media and content manager on-site.

7. Option B: Speaker Support Efficacy and Process

• Step #1 – Define and create a theme and style guide for the event. Regardless of individual preference, we will adhere to the style guide to create visual cohesiveness throughout the event.

• While major media is produced beforehand, more time is allotted to produce the speaker support slides on-site. We would recommend that speaker support decks would be a minimum of 50 percent complete prior to on-site.

• Once on-site, there will be a dedicated room staffed with two or three graphics operators to work directly with present-ers / admins to complete the deck.

• Slides are finalized and dry rehearsals are conducted in this offline graphics room or speaker ready room.

• The main stage is strictly reserved for dress rehearsals – no slide or script changes.

8. Maximizing Rehearsal Productivity

• Off-site rehearsals – Use this opportunity to fine-tune presentations and understand how visuals will integrate with the remarks to best deliver the message. Ideally, this would be the time to hone the message rather to develop or create the message.

• Motion graphics discussion – Ideally, all motion graph-ics and other visual imagery would be available to discuss

during the off-site rehearsals. Changes and new renderings are difficult and time-consuming to accomplish expeditious-ly when requested on-site.

• On-site dress rehearsals – Use this opportunity to be-come comfortable with the surroundings and to work on suggested stage direction. Ideally, any video content, final speaker support decks and final TelePrompTer scripts would have been submitted at least 24 hours prior to dress re-hearsal (allowing ample time to input these items into the system). Any tweaking to content would be minimal and cos-metic. This time should be best utilized to improving deliv-ery and performance.
