1.1 SYSTEM OVERVIEW
School Records Management System (SRMS) tends to do what we call a paperless
system. This system will make enrollment much easier and faster. It also lessens the
manpower and human efforts in terms of processing transactions related to
enrollment.
1.2 SYSTEM CONFIGURATION
School Information Management System (SIMS) operates on a computer with the
following requirements:
Hardware Requirements:
Processor: 1.5 GHz or higher
RAM: 1GB or higher
Display: 512MB or higher
HDD: 500 GB or higher
Software Requirements:
Operating System: Windows 7 or higher version
Database: MySQL Server 5.0 or higher
Crystal Report Viewer
1.3 USER ACCESS LEVEL
The system can be accessed by any registered users simultaneously with different
access levels. The user with Admin account can create another account for new
Admins, Registrars, Cashiers, Students and Teachers.
1.4 CONTINGENCIES
In case of power outage data are not saved in the internal memory of the operating
device. Using of Uninterruptable Power Supply (UPS) for the system server is required.

Installation of Pre-requisite software
1. Install mysql.data.
2. Click Next.
3. Click Complete button, then Next.

4. Click Finish.
5. Install MySQL – Essentials 5.4.1.

6. Click Finish. After clicking the Finish the following screen will appear.

8. Click Next.
9. Click Detailed Configuration.

10. Select Server Machine. Click Next. Select Multifunctional Database.
11. Continue the installation without changing anything.
12. Once you reach this screen, check Add firewall exception for this port.

13. On the Modify Security Settings screen, use moth34board as your new
root password.

14. Click Next.
15. Click Execute.
16. Click Finish.
17. Install MySQL – GUI Tools 5.0.

19. Click Finish. On the dashboard again, install Crystal Report Viewer. Before
installing it, check your system type first if it is 32-bit or 64-bit. Select the
version of Crystal Report Viewer appropriately.

Installation of the Required Fonts
1. Install the required fonts.
2. Select and install all the fonts as shown below.

2. You are done with the installation process. Run the system for the first
time. An error “Unknown database deped_srms” will appear. This
indicates that the system cannot find the database deped_srms.

Restoration of Database Backup
1. Click the Start menu, click MySQL Query Browser.
2. Input the following details:
Server Host: localhost
Username: root
Password: moth34board
3. Click Ignore.

4. On Tools menu, click MySQL Administrator.
5. The following screen will appear. Click on Restore option.
6. At the bottom part of the screen click Open Backup File.

7. Locate the database backup.
8. Click Start Restore button.

Running the SRMS for the 2nd Time
1. On the Start menu, run SRMS using the following:
Username: lxe
Password: moth34board
Note: You can use this account once only. Make sure to create your
admin account before logging out from the system.
2. Input the School Year and Semester you want to login. For Elementary
and Junior High School, Semester is not required.

3. On the Admin menu, click System Settings.
4. Encode the required information on the given form. Upload the school
logo, DepEd logo and the school letterhead.

Note: Before you click the Update button, make sure you type the
information correctly. Once it is clicked, you cannot change the
encoded information anymore.
5. Once you’re done, click Update.
Creating the first Admin account
1. On Admin menu, click Manage User Acct.

2. Fill-up the necessary details.
Note: For Admin Account, Select Admin as the Position.
3. Exit/Close the SRMS.
4. Login using the newly created admin account.
