This Factsheet pack includes:

• All Estate Infrastructure System Record GDL attributes (In alphabetical order)

NOTES: Master Data Management (MDM) within the GEMS environment requires the understanding and use of the GEMS Data Load (GDL) Tools within the context of Defence Estate business processes. The MDM QRGs are provided to help guide the business to interact with GEMS in an effective way. In support of the QRGs, Factsheet provide the details of all attributes of records’ master data within the Defence Estate. The purpose of the factsheets are to provide a clear understanding of each master data attribute within a GEMS Estate record and which rules are applied to data creation, update and disposal. Each Factsheet includes an attribute definition, data & business rules, example use in business and who the data owner is. By reading an attribute factsheet, a system user will have a sound understanding of the use of a particular attribute and how that fits into an Estate Record. The next page of this document provides and explanation and definition of what will be found on each sheet.

ATTRIBUTE

DESCRIPTION

This provides a more detailed description of what the attribute is used to record. It

provides some business context so that purpose and entry values can be understood.

RULES

Data Type: This specifies the type of data which is stored in the attribute.

Data Length: This specifies the maximum length (or specified length) of attribute

entry values.

Attribute Format: This specifies the data value format.

Business Data Rule: This details any specified business rules which applies to the

attribute data value.

GDL LOAD TOOL This defines which GDL load tool the attribute is available for loading in.

ERIM MAPPING If an attribute is defined in the ERIM, this line will provide the ERIM attribute ID and name.

Mandatory Label Definitions

Mandatory This attribute must have a valid data value for the Estate record to be complete.

TBD The attribute is scheduled for data entry however it is not supplied during

normal record creation. Attributes categorised with this label are still required,

however the data is supplied during service delivery activity. (i.e. Estate Upkeep).

Optional These attributes are required if they are scheduled against an Estate Item based

on the EC-ID. Where no mapping data exists the field is left blank. BSR

contractors are to populate the field during normal service delivery if it is

applicable and the value is not present or correct.

Future This attribute can technically have a value loaded; however it is not included in

the normal schedule of data supply. A future business decision could be made

for data supply inclusion.

NA This attribute is not filled in for the specified Estate Class 1. This is either because

the attribute is not relevant to the Estate Class or unavailable for bulk loading.

The AO ID for the hierarchically superior Estate item. Must be selected based on a

pre-exiting estate item or sequenced correctly (most senior item first) within the

creation process. When creating parent and child records within the same GDL Tool,

the Parent Legacy ID can be entered as the AO Parent ID.

Business Data Rule: The AO Parent is a key piece of Reference Data which represents

physical parentage. Each Estate item is only allowed one physical parent at a time. A
