Shared Environmental Policy Template
Purpose Promote environmental activities for NRENs and create a shared language so that we can share experiences. Contents Motivation Statements Ø Office Ø Services Ø Community
NRENs can pick and choose statements to fit the template to their own situation.

Shared Environmental Policy: Example statements (office)
" Apply responsible standards in areas not already covered by existing laws and regulations;
" Report on the environmental footprint and be transparent about how it is built up;
" Save energy through the monitoring of unnecessary use of energy sources and ensuring equipment is kept switched off when not needed;
" Respect the environment and emphasise every employee’s responsibility to improve environmental performance;
" Observe prudence in our use of resources, reduce wastage as far as economically possible, and monitor and review progress periodically;
" Support staff in the use sustainable transport for commuting and work-related travel;
" Help to achieve relevant targets set for sustainable operations and development; and
" Re-use and recycle where possible, and dispose of what is left in a responsible way.

Why a Maturity Model? 1. More insight into Green ICT and inspiration for
improvement.
2. Knowledge about where an organization stands.
3. Creates shared language between similar organizations for knowledge exchange.
4. Gives ICT department a way to show higher management how they work with sustainability.

- Suitable for any organization - Self-assessment - Must be easy and inexpensive to use
- Point of view: ICT department in a larger organization - 3 domains covering organization, ICT itself and ICT in operations - Each domain has a number of attributes, 18 in total

A"ribute Defini-on Level 5 descrip-on Score Compu-ng Infrastructure
The resource and energy efficiency of the compu-ng infrastructure. Factors: Hardware Capacity; Turn Capacity on/off; Usage of Capacity; Asset Management; Monitoring and Awareness.
The compu*ng power required for delivering all service levels is dynamically adapted to the demand. Where possible, the compu*ng capacity will be delivered from virtual machines and the physical devices/environment necessary for these machines are op*mized for energy efficiency. Unused physical devices will automa*cally be turned off. Total capacity is sufficient for normal demand. Short peaks in demand will be provided for from solu*ons from the cloud or (addi*onal) rental. The physical environment is monitored for energy use and this is reported and billed to users in propor*on of use of (virtualized) resources.

How to use the model 1. Someone in the organization wants to use the model. This is the
assessment manager (AM). 2. The AM composes an assessment team. The team should be a
combination of skills and responsibilities. 3. The AM organizes a kick-off for the team to explain the model and
assessment process. 4. All participants fill out the maturity model spread sheet and score
all attributes 1-5. 5. The AM summarizes the scores and discusses the result with the
team in an evaluation session. Based on this discussion actions for improvement are defined in an action plan.
6. The AM can evaluate the progress on the action plan by letting the team score again. This creates a constant improvement cycle.
