SIA Region Governor Position Description

A. Area of Responsibility

The Soroptimist International of the Americas (SIA) region governor is the chief administrative officer of

SIA’s region. The region governor serves as the team leader to ensure the region strengthens and supports

clubs as they carry out the strategic direction of our federation. The region governor’s responsibilities are

designed so that faithful performance of duties enables clubs within the region to be financially sound,

ensure a leadership succession, grow membership and support funding and delivery of SIA’s global Dream

Programs, while also ensuring the same for their region.

B. Objectives

Increase SIA clubs’ understanding of our federation’s vision, mission, core values and strategic direction.

Increase clubs’ participation in our global Soroptimist Dream Programs - Live Your Dream: Education and Training Awards for Women and Dream It, Be It: Career Support for Girls.

Increase clubs’ membership recruitment and retention efforts to meet the annual goal given to the region.

Increase public awareness of Soroptimist ‘s social change efforts to economically empower more women and girls who face obstacles such as poverty, violence and teen pregnancy through our Dream Programs in the clubs’ local communities.

Increase contributions from clubs and individual members within the region to financially support our global Soroptimist Dream Programs.

C. Specific Duties

Specific duties are based on our procedures for Soroptimist International of the Americas and the strategies

outlined in our federation’s strategic plan. In general, in addition to the duties that may be outlined in our

region-related bylaws, policies and procedures, SIA region governors are expected to:

impact.

Provide support to clubs in carrying out our strategic direction.

Ensure the region meets the Healthy Region Guidelines.

Host at least one region conference annually and provide call to conference to SIA Headquarters and official visitor at the same time as provided to clubs.

Attend Governors Round Table; once as SIA governor-elect and twice as SIA governor.

Submit entries for the region recognition program - Shaping the Future Award.

Submit entries for the club recognition program Soroptimist Celebrating Success Awards.

Participate in web-based and/or audio informational and training sessions hosted by SIA Headquarters.

Adhere to “Fundraising by Regions” as described in the federation procedures.

Secure appropriate insurance coverage for the region to mitigate risk as described in federation procedures.

Provide training to clubs and members in administrative, programs, fundraising, public awareness, and membership activities.

Identify and develop new region and club leaders.

Appoint and direct region chairs to meet their responsibilities as outlined in each of their position descriptions.

Guide and mentor the region governor-elect to ensure a smooth transition.

Membership

Promote recruitment and retention of members.

Direct the chartering efforts of new clubs in the region.

In conjunction with the region membership chair, supervise the disbanding of any club, as outlined in the federation procedures of disbanding.

Ensure clubs with fewer than the recommended 12 or more members receive counsel and assistance with recruitment and member engagement efforts.

Programs

Promote participation and provide support to clubs in carrying out the Soroptimist Dream Programs.

Encourage the clubs in the region to annually provide Live Your Dream Awards and provide additional support to their recipients.

Encourage clubs to participate in Dream It, Be It and/or support other clubs that are participating.

Encourage clubs to participate in the Working as One exercise, use the Decision Tree tool to analyze their work and create an action plan to align their work with SIA’s strategic direction.

Public Relations

Become familiar with and regularly encourage clubs to use the public relations and branding resources available on the SIA website.

Educate clubs on the benefits of collective branding efforts.

Remind clubs and region leadership to use the S logo on all Soroptimist materials and in communication channels.

Disseminate information, news and resources to clubs as provided by SIA Headquarters.

Fundraising

Promote a culture of philanthropy among clubs and individual members to give for the benefit it will provide women and girls who face obstacles, though our Dream Programs.

Encourage contributions to our organization to exponentially serve more women and girls.

D. Eligibility Requirements and Qualifications

In addition to what is stated in the SIA region-related bylaws, policies and procedures, the following are

eligibility requirements for the position:

Be a member in good standing in their club.

Cannot hold any other elected offices at any level of the organization, including appointments to the Fund Development Council or Soroptimist International.

Have an active email account which is regularly checked and reported to SIA.

Be able to participate in web-based and/or audio informational and training sessions and annual face to face meetings with federation leadership and SIA Headquarters.

Qualifications:

Because a governor holds the key leadership position within the region and serves as the main link between

the federation board, SIA Headquarters and clubs, she should :

Be dedicated to our mission.

Understand our strategic plan and how the region and clubs in the region will advance it.

Have the ability to be an articulate spokesperson for Soroptimist.

Possess leadership skills such as critical thinking, flexibility, delegating, and problem solving.

E. Planning and Finance Reporting Requirements

Governors are responsible for submitting their region’s strategic plans to guide their efforts and further our

strategic direction. These plans are to include tactics/activities to achieve the federation directed region

goals, objectives and strategies. Region leaders, including the governor, the region board of directors, and

region chairs, should develop the tactics/activities to support the achievement of the strategies, objectives

and goals. The SIA region governor shall submit their region’s strategic plan to SIA Headquarters by the

deadline requested.

All regions are required to provide SIA Headquarters with their year-end financial statements 60 days

following their year-end. These financial statements will include a balance sheet showing assets, liabilities

and net worth and a detailed income statement reflecting the activities of the current year. Their current

year’s budget with all activities including region conference must also be submitted with the financial

statements.

All regions based in the US, its territories and Canada are required to provide SIA Headquarters CO&FO with a copy of any future contracts with a value of $10,000 or more at the time of execution.

F. Region Conferences

Region conferences, which typically take place annually in March, April, and May, are a time for members

to gather for friendship, fellowship, and learning. They are also an opportunity for “Official Visits” to each

region from members of the federation board, and other SIA leaders or staff. Refer to the Official Visits

Guide for further information about these visits. The Guide can be found in the Governors section of the

website. SIA Governors should connect with their Official Visitor no later than January 1 to discuss travel

logistics and any other important conference information. In addition to providing a hospitable visit, as

indicated in the Official Visits Guide, the Governor ensures time on the conference agenda for the Official

Visitor’s speech as well as a minimum of 90 minutes during the region board meeting to hold the Healthy

Region Conversation.

Beginning with the 2019 Region Conferences, Governors will also allot time on their conference agendas for

four presentations developed by SIA Staff in the areas of program, membership, fundraising, and public

awareness. Region chairs are expected to deliver this content.

G. Monitoring and Other Reporting

Region performs a self-evaluation against the Guidelines for a Healthy Region for all criteria points where SIA Headquarters does not collect data.

Discussion of the region brief provided by SIA Headquarters.. The official visitor will note areas where the SIA region is excelling and areas that are of concern. In the second year of the biennium, the review must take place between the official visitor, the current region board and the incoming region board of directors. A confidentially form will be necessary if the incoming board has not been elected.

The official visitor reports to the federation board with recommendations for any next steps.

The region governor shall receive a letter from the federation board indicating follow-up and expectations for the up-coming year.

The region leadership should address the federation board’s expectation in their strategic plan tactics/activities.

Certificate of Appreciation

The Certificate of Appreciation honors clubs that have met the requirements listed below during the club year.

Clubs do not need to apply for the award. Any club that meets these requirements will automatically receive

the certificate:

Programs

Participate in our Live Your Dream: Education and Training Awards for Women program.

Participate in our Dream It, Be It: Career Support for Girls program.

Membership

Overall net change in membership of -1% or better.

Add new members representing 13% or more of starting total membership.

Terminated members represent 14% or fewer of starting total membership.

Fundraising

Contribute at least 10 percent of funds raised locally to Club Giving in support of our federation

programs.

Donate Founders Pennies for every member in support of our federation programs.

Every club that accomplishes even one of these activities will receive a certificate, with each activity achieved

designated on the certificate. Special thanks to those clubs that accomplish everything listed on the Certificate

of Appreciation.

Frequently Asked Questions about Our Dream Programs Strategy

Soroptimist International of the Americas (SIA) has a long and proud history of improving the lives of women and girls. Our common mission of improving the lives of women and girls through programs leading to social and economic empowerment is the number one reason why women join our organization.

Throughout our nearly 100 years, clubs, regions and federation have developed and executed myriad projects to achieve this mission. But, as we prepare for our second century, we need to take stock of the changing environment, the needs of women and girls and the need to ensure Soroptimist will survive and thrive for another 100 years. For several years, our SIA board of directors has been preparing for our future – studying the landscape, listening to members, plotting our course, developing new strategy. They envision a future where:

We meet the needs of more women and girls through our Dream Programs

We are well known for the impact we have on women and girls

We attract financial support for our programs

We engage more people in our mission through our clubs and LiveYourDream.org

The board identified the strategy of increasing our collective impact as our first step. This strategy has begun to produce results: an increase in our Dream programs impact; 80,000 supporters engaged in LiveYourDream.org; more and diverse funders; and a slowdown in our membership decline. In order to continue these improvements, we need to continue the strategic direction identified by our board of directors.

We have developed this FAQ to answer questions that have arisen about our strategy of focusing on building the collective impact of our Dream Programs.

We have identified education as the key tool to improve the lives of women and girls. But the word education is defined in multiple ways. What does SIA mean by the word education? SIA defines education by providing access to formal schooling, knowledge, information and resources to the women and girls we reach. For the Live Your Dream Awards, access to formal education through schooling or training is provided. For Dream It, Be It, education is provided through the Dream It, Be It curriculum in conferences or small group mentoring.

Global agencies, both governmental and non-governmental alike, agree that a quality education, more than any other intervention, holds the greatest potential to transform the lives of women and girls. Education is the tool that can address all of the issues important to us, including domestic violence, trafficking, teen dating violence, homelessness, teen pregnancy and sexual assault. poverty, decreasing mortality rates, increasing overall health, decreasing incidences of violence, and increasing the chances that their own children earn an education….breaking the downward cycle for their family.

Our mission states “women and girls,” but are there particular women and girls our Dream Programs are trying to reach? Women, simply because they are born female, face myriad obstacles to their success. Both men and women and girls and boys live in poverty, face discrimination and have to overcome obstacles. But, throughout history, in every country in the world, women and girls face additional obstacles and discrimination because of their gender. However, some women and girls have even less chance at living their dreams than others. These are women and girls who are disadvantaged, marginalized and underserved. They were, for example, born into poverty. Trafficked into prostitution. Mistreated as children. Addicted to drugs and alcohol. Abused by an intimate partner. Live Your Dream Awards – For this award, we seek applicants who have overcome obstacles and are trying to get their lives back on track, build a better life for themselves and their families and lift themselves and their families out of poverty through education and skills training. They have overcome violence, addiction, health issues, the death of a spouse or parent, or mental health. And, they are women with dependents. Around the world, households headed by women have the highest poverty rates. Helping these women improve their education offers them the best chance of improving their lives and the lives of their children – ensuring more positive outcomes for generations to come. Specifically, these women:

Have had their dreams derailed

Are getting their lives back on track

Are the heads of their household

Care for their dependents

Want to increase their standard of living

Lack the financial resources to access quality education Dream It, Be It – For this program, we seek to reach girls who do not have access to the resources or information to live their dreams. We focus on girls in secondary school who, in most cases, are between the ages of 14 and 18. Girls of other ages might benefit from the program but we identified this need for these girls in the yearlong research done to create the program. Although all girls face barrier because of their gender, we are trying to reach girls that have additional obstacles including poverty, unstable home lives, living in foster care, or are teen mothers. Helping these girls identify their career goals and path to success will help them to overcome the barriers and obstacles they face in their future. Specifically, these girls:

Face obstacles to their success

Are at risk for having their dreams derailed

Lack access to professional role models

Do not have access to career education

Do not know what steps to take to accomplish their goals

How does the Big Goal fit into this strategy? Our efforts to define our next big goal are building on the efforts of our current strategy and big goal of increasing our collective impact. We have already heard from clubs that they want to continue to invest in the dreams of women and girls through access to education. We are now in the process of gathering input from

clubs on how many women and girls we can reach and what we will have to do as an organization to reach our big goal.

Why is it important that we focus on impact through our Dream Programs? To secure our future – and the impact we have on women and girls – we need to be better known for our work. This increased recognition will bring us more members, supporters and funders. And this will allow us to reach more women and girls. To do this, we must be clear about our impact so others can understand how we are improving the lives of women and girls. Traditionally, clubs and regions have identified projects to help women and girls in their local communities. But with myriad projects – few with measured or reported impact – we cannot define or publicize our work. Our evidence-based Dream Programs help specific populations of women and girls and have measurable impact. For us to have a collective impact and for others to understand how our global efforts improve the lives of women and girls, we need to be working toward the same goals and investing our resources in the same impact to strengthen our story of greater impact. In order for this strategy to continue to be successful, we must continue to change the way we think and the way that we approach our work. We need to align our resources at every level – club, region and federation – to focus on the Dream Programs. We know our Dream Programs:

Are evidence-based

Create a measurable impact on women and girls

Address a need in all of our communities

Support the work that matters to us including ending violence against women and girls and lifting them out of poverty

Define our impact to a larger audience

Appeal to potential members and supporters

Attract funders Working together, following the same strategy, reaching for the same goals, focusing on our common mission and programs, we can do everything that is important to us including securing the future of Soroptimist for generations to come.

The success of our current big goal is setting the stage for our next 10-year big goal. Clubs selected this 2021-2031 big goal

and told us they could reach 500,000 women and girls by focusing their efforts on our brand-unifying Dream Programs.

In 2012-2013, SIA adopted a big goal of increased collective impact to empower more women and girls, and to be better known for

our work. To achieve this big goal, we identified the need to work differently, moving from a club orientation where clubs undertook

individualized action in their own communities to one where we work as one to build the collective impact of our organization

through our Dream Programs.

SIA’s Diamond Campaign is a multi-year campaign to

strengthen our organization’s membership base! During

this campaign, our entire organization will be working as

one towards unified membership goals.

YEAR 1: June 1, 2018 – May 31, 2019

CAMPAIGN GOALS: Our SIA Board has set the following goals for all clubs and regions this year:

Overall net change in membership of -1% or better.

Add new members representing 13% or more of starting total

membership.

Terminated members represent 14% or fewer of starting total

membership.

In addition, as we seek to charter 100 new clubs by SIA’s 100th Anniversary,

all regions should charter more than one new club annually.

1. Changing for the Future SIA is changing for the future to be what our members say they want to be—an organization with more

members, greater capacity to serve more women and girls who face obstacles, and more recognition

for our impact. This change requires working as one to fund and implement our brand-unifying Dream

Programs.

2. Providing A Positive Club Experience SIA clubs can grow and retain members by providing an engaging and civil member experience.

Inviting and encouraging members to get involved on committees—or helping when they can if being

on a committee is too much of a time commitment—is an ideal way to engage members. Making all

members feel welcome by hearing and responding to their feedback/ideas in a positive manner, even if

they are not feasible to implement, helps to create a civil member experience.

3. Branding SIA

When clubs and members are asked what they want most, they say—more members and greater

recognition. The only way to accomplish this is by having a strong brand. We must be who we say we

are and do what we say we do. That means all SIA clubs should implement our brand-unifying Dream

Programs, which economically empower women and girls who face obstacles.

4. Dream Programs: Our Impact Through our Dream Programs, we economically empower women and girls who face obstacles such as

poverty, violence or teen pregnancy. We provide them with access to the education and skills training

they need to reach their full potential. Our Dream Programs help specific populations of women and

Let me share to you this simple lesson from the crayons….

We could learn a lot from crayons; some are sharp, some are pretty, some are dull, while others

bright, some have weird names, but they all have learned to live together in the same box.

Similarly, like these crayons we in the Soroptimist have our differences. We are unique in our
